LETTER FROM THE PRESIDENT As I write this letter in mid-July, we finally have the special public meeting scheduled to officially present the proposed clubhouse project on July 24. And by the time you are reading this, the vote is either underway or completed. Given that this has now been a multi-year effort, I just wanted to take this opportunity to briefly review the process that has been undertaken over the last couple of years. In early 2016, the TPOA Board sent an email survey out to property owners to gauge their interest in an upgraded clubhouse and what they would like to see. The response was surprisingly strong with over 600 responses, and based on the survey results and responses that expressed strong interest in an upgraded clubhouse, the Board began consulting informally with local commercial architects and building professionals to discuss ideas, opportunities and challenges, toured other HOA clubhouses in the area, and began looking at things like code requirements, platting, etc. Based on these discussions with the building professionals, it was determined the design cost would be approximately $30,000. In November 2016 a community vote was taken to determine whether or not to proceed with the design, and the community voted in favor of proceeding with the design by a margin of more than two to one. Based on input from the community, the Board also agreed that a communitywide vote would be taken once the design was complete and the estimated cost was determined to decide whether or not to proceed with the project. After submitting a request for proposal to 10 different architectural firms and interviewing & vetting four firms that submitted bids, an architect was selected in May 2017, and the design process officially commenced. The process to plat the park

also began. Initial floor plans were developed and revised multiple times based on community desires for things like larger community gathering space, larger gym, more restrooms, larger kitchen, etc., and these plans were presented at various community meetings as a work in progress. In conjunction with that, mechanical, electrical, plumbing, structural and geotechnical engineering work got under way, all of which would be used to help determine the ultimate project design and cost. The options of remodeling the existing clubhouse versus building a new clubhouse were both considered, and the process included a thorough review of the current clubhouse by the architect and engineers. Based on the building’s aging and outdated infrastructure, and the community’s desire for much more space, it was determined that a renovation would be a much less cost-effective option as it would result in a much higher cost per square foot. So the decision was made to pursue new construction versus renovation. As we have announced, we did have a setback in the effort when we unfortunately had to part ways with our original architect in January 2018 because the project reached a point where it just wasn’t progressing. But we are fortunate that Slay Architecture was able to step in and get the project moving again. Slay had originally expressed interest in the project in early 2017, and they were strongly considered, but they were unable to pursue it at that time.
