ETIQUETTES IN VIRTUAL MEETINGS

FIND A QUIET PLACE

COME PREPARED, MINIMIZE DISTRACTIONS

Find a spot that will help you keep your attention to the meeting.

Make sure you have everything you need for the meeting prior the meeting.

JOIN EARLY Test your equipment and resolve any technical issues before the actual meeting starts. While doing this, be aware that you are with other participants.

This is to avoid unecessary background noises. Turn on when asked to speak.

For questions and clarificationsclick the hand icon to raise a question or send the questions via the meeting's chatbox to avoid interruption.

Find an area that is work appropriate and look presentable in case you camera is asked to be turned on.

MICROSOFT TEAMS WHEN JOINING A MEETING When joining a meeting make sure that the microphone and camera are turned off. Click on the Microphone and Camera icons or buttons until they are slashed across to indicate that they are turned off. Click the “Join” Button, once ready.

TO UNMUTE AND MUTE THE MICROPHONE Click on the microphone icon. The slash across the microphone icon will disappear, indicating that it is on and you are unmuted. Press on the microphone icon to mute. A slash on the microphone icon indicates that it is muted. TO TURN THE VIDEO ON AND OFF Click on the camera icon. The slash across the camera icon will disappear, indicating that it is on and you are seen. Click on the camera icon to turn it off. A slash on the camera icon indicates that it is turned off.

TO SHARE SCREEN Click on the icon of the box with an arrow to share screen. A dialog will pop-up with options on what to present. Click on the screen you want to share. To end screen sharing, click on “Stop presenting” button at the top or bottom of the screen.

TO SHARE COMPUTER AUDIO There are two options to share your computer audio: 1. Upon clicking the share screen icon, an option to include the computer audio will appear. Click on the button next to “Include computer sound”. 2. Click on the screen icon next to the “Stop presenting” button. Click on the button next to “Include computer sound”. Click again the button to stop sharing computer sound. OPTION 1

TO VIEW CHAT SCREEN To view conversation, click on the conversation bubble icon on the upper right corner of the interface.

TO RAISE AND LOWER HAND On some occasions, the hand icon does not appear. Do not worry when this happens, you can click on the reaction icon on the top or bottom part of the interface. An indicator will show that your hand is raised. Click on the same hand icon to put it down.
