COWICHAN HOSPICE SOCIETY OFFICE COORDINATOR JOB DESCRIPTION Purpose: Bookkeeping and financial reporting for society programs. Administrative support for the Executive Director, Client Coordinator, Volunteer Coordinator and the Board of Directors as required. Responsibilities include: 1. Provide welcoming reception for clients, volunteers and the public as they walk in to the office, telephone, fax or email. Link clients with appropriate staff and respond to questions from the public about hospice services & programs, as back up to reception position. 2. Completion of Reports: CRA; BC Gaming; BC Societies; Year End. 3. Coordinate, orient and supervise reception position 4. Bookkeeping including: accounts payable and receivable, payroll reporting and payment to receiver general, w.c.b. ,g.s.t. etc. preparing financial reports for committee, board and staff use, prepare for year end financial review or audit bank deposits, back up for issuing receipts, bank reconciliation, and other financial administrative duties as required managing and completing petty cash reconciliations 5. Support to fundraising as required including: registration for events the collection of revenue for these events receipting into Donor Perfect 6. Maintaining Library by: Ordering books and pamphlets Contracting with Thrifty’s for Smile Card support 7. Supervise building maintenance and repair including: Annual maintenance e.g. heat pump, filter changes, duct cleaning, carpet cleaning Supervising and scheduling repairs and maintenance 8. Supervising repair and maintenance of equipment including: Research new equipment options Schedule regular equipment maintenance 9. Understand and implement in-house security procedures 10. General office duties 11. Undertake appropriate training as required
