Whilst there are solutions on the market, these have often been designed with just a single problem in mind. What we were trying to achieve was something so much bigger; a product that was designed to solve all the pain points of group exercise admin and management in a one stop shop solution.

Compliance: Instructors upload their profiles, including certificates and insurance, which we verify and maintain to ensure your team always remains compliant.

Reporting and Insights: Access a comprehensive dashboard of KPIs to manage your business effectively Gain key insights into staffing needs, team performance, and areas where support is required. Track instructor punctuality and monitor which classes and locations are being advertised.

Communication: Seamlessly manage communication through the app, whether 1-1 or with a group. Broadcast news, share playlists, or distribute important company updates with ease.

O2 BACKSTORY

Where It All Started......

In 2017, Studio Society was founded by Bev & Rosanna as a boutique fitness center that grew to 2500 members, offering 250 classes weekly.

Both founders previously worked at major gym chains like Virgin Active and LA Fitness, gaining experience as instructors and operators in various gym settings.

Similar to your journey, they encountered the ongoing struggles of recruiting, training, and retaining instructors They also experienced the challenges of covering classes on short notice and balancing time for essential tasks such as creating engaging experiences for members and supporting team growth.

They shared your desire for solutions that elevate passion, reputation, and revenue, aiming to unify, assist, and reward instructors while maintaining unwavering dedication to the industry.

Drawing insights from extensive market research and recognizing the prevalent use of communication tools like WhatsApp, email, messenger, Facebook groups, and text messages within fitness clubs, they developed a Beta app - a comprehensive platform serving both Instructors and Venues.

Operating in the UK, they prioritized GDPR compliance to ensure a robust system that meets stringent standards. Their development team continuously refines the app to adapt to evolving industry demands and technological advancements Their ultimate goal was to provide a valuable tool for instructors and streamline the operational tasks essential for the optimal functioning of health and fitness businesses.

O3 RESEARCH

RESEARCH

Our next step was to quantify just how big this problem was and what the upside could be. We took on funding and launched independent market research. Whilst we found many commonly shared issues we found 6 that stoodout amonstthe rest: Operators spend 5 to 15 hours per week on administration and finding cover, sometimes delegating these tasks to team members.

89% of operators frequently alter or cancel group exercise schedules, including changing classes from what was initially advertised.

Among the members facing regular timetable disruption or frequent changes , a whopping 33% cancelled their membership.

78% of clubs have no incentive to keep their great instructors and had no reward system in place for these key individuals.

92% of clubs struggle with methods to recruit new and inspiring instructors or replace instructors if they left the business. 87% had not given any thought to how they were going to stay inline with current trends and move with the status quo.

05 ONBOARDING & COMMERCIALS

ONBOARDING

When you join CoverMe, the onboarding team do 95% of the heavy lifting. The process is simple,andandfast. Weonboardsitesin aslittle as48hoursandin 6simple steps:

Communication

We communicatewith your existing teams to introduce CoverMeand new ways of working. We use your existing communication methods to support and help behaviour change.

Instructor Profiles

Instructors download the CoverMe Instructor app via a link or QR code. Once downloaded they will create a profile including their bio and upload their certificates and insurance.

Venue Profiles

Each venue will download the CoverMe Venue app via a link or QR code. Once downloaded they will create a profile including their location and club information. Each venue is assigned an account manager as a point of contact and support.

Connect

The onboarding team will connect the relative instructor with their respective clubs. If an instructor teaches at multiple sites, they will be connected to each different site, so they receive requests from each sites at they teach at.

Launch

On a mutually agreed date, each venue will be made live on the system and instructors can start posting and receiving cover requests The whole onboarding process takes approximately 10 days from start to finish

As part of the partnership, we provide ongoing support by ‘ghosting’ the system to reinforce correct behaviours and safeguard the operation to ensure the maximum benefit

PROPOSAL

1.0 Pro Management App

▪ Usual Monthly Fee: CAD $175 per month (including all features).

1.1 Onboarding Fee

▪ One-time Fee: CAD $13 per instructor.

▪ Included Services:

o Onboarding of each club and instructor

o Training

o Change of behaviour management

o One month of shadowing

o QA support by the CoverMe team

o On Going Lifetime product support 24/7

1.2 Discounted Proposal for GoodLife Fitness

▪ Monthly Fee Per Club:

o 5-100 clubs: CAD $165 per club.

o 101 - 200 clubs: CAD $155 per club .

▪ Reduced Onboarding Fee: CAD $6 per instructor (one-time fee).

1.3 Free Trial

▪ Duration: Three-month free trial for up to ten clubs in a cluster area.

▪ KPI Report: Delivered at week 10 of the trial period.

2. Rollout and Implementation

▪ Timeline: Completed within eight weeks upon successful trial completion.

▪ Included Services:

o Full training and change of use.

o Monthly Reporting – Dashboard built to your requirements.

3. Terms and Renewal

3.1 Initial Term

▪ Duration: 12 months inclusive of the 3-month trial, starting from the date of full rollout completion.

▪ Fees: Fixed for the initial term.

3.2 Future Fee Amendments

▪ Fees: After the initial 12-month period, CoverMe reserves the right to amend the fees with 90 days advance notice provided to GoodLife.

Classed as a ‘closed user group’, we can offer the best available discount that you would not find anywhere else online. Each discount has its own unique code that cannot be shared, meaning that we can keep our offers exclusive.
