Another new year is here!! 2022 seemed to fly by. It is my hope that everyone has a healthy and prosperous 2023.

Board Meeting, December 15, 2022

The Board meeting was called to order at 12:30 PM. Six Board members were present. Norm Counts had an excused absence. Also attending was our Executive Director, Executive Administrator, Director of Compliance, Financial Manager, Lifestyle Director, and the Association’s Attorney. Four homeowners appeared, one to inquire about the annual assessment process, and three to observe the meeting.

Consent Agenda

Approved the November 17 BOD meeting minutes.

Old Business

Reviewed and approved the Board Room Usage Guideline, Community Room Usage Guideline and Rental Agreement, Cancellation of Events Guideline, Activities Sponsorship Guideline, Social Committee Guideline Policy and Procedures, Lake Usage Guideline and Supplier and Contractor Insurance Guideline.

We reviewed and approved the procurement and storage of Emergency Supplies outlined in our Disaster/Emergency Preparedness Plan.

New Business

We revised and approved our Committee Service Guideline. The new homeowner welcome brochure was sent to 254 new homeowners.

We held a Board Orientation Session for anyone interested in running for a seat on the Board on Dec. 13 at 6:30 PM. There were no attendees.

Association Reports

We reviewed the following October Financial Reports: Balance Sheet, Operating Statement, Restricted & Non-Restricted Investment Schedule, Summary of Accounts Receivable, Bad Debt Expense Reserve, and Investment Performance Report.

Executive Session

We reviewed and approved our 2023 Fence replacement repair and replacement contract with Precision Fence. We also approved a revised contract with SOS, our sprinkler system contractor.

We reviewed the Foreclosure Report, Variance Report, Payment Plan Status Report, Collections Committee Waiver Report, Violations Report, Appeals Committee Report, and Project Reports.

We reviewed a proposal and approved a contract to install a system (ACTIVENet) for the issuance of new and improved resident photo ID cards. When installed, the new system will allow easier entry to the Beach Club and Aquatic Center pools, credit card payment capabilities when those are required, a streamlined process for Community Room and Pavilion rental and registration, and tracking of Lifestyle events. Future capabilities may include gate access control capabilities to amenities.

We received an update from our Attorney on the status of ownership of the Wall on the Adriatica Lake before conducting any repairs. A survey is in progress. Our Attorney updated us on the current status of pending legal issues.

The meeting adjourned at 5:01 PM.

SRCA 2023 Annual and Organizational Meetings

The Stonebridge Ranch Community Association staff, board, and committee members are currently planning the SRCA 2023 Annual Meeting. The event is scheduled for Thursday, March 16, from 6:30-9:00 pm at Crosspoint Church (2101 South Stonebridge Drive in McKinney).

The Annual Meeting is clearly the most important of all the SRCA-hosted events each year. Here’s why:

• It is a legal proceeding required by SRCA bylaws. Aspects of the meeting (such as achieving a quorum) are guided by Texas State Law – see the Texas State Property Code, Title 11, Chapter 209.

• A quorum of the SRCA membership is required for the Annual Meeting to be

conducted. According to our Bylaws, ten percent (10%) of our homeowners must attend in person or by proxy for a quorum to be established. In the official notice of the Annual Meeting, details of the meeting, proxy options, and voting directions as needed will be provided.

• Association accomplishments from 2022 are presented by SRCA board members .

• And, last but not least, two lucky homeowners who attend or participate by proxy will win the 2024 annual assessment fee! All homeowners who vote (one vote per household) will be put into the drawing for the prize. *

Homeowner participation is key to Annual Meeting success. A quorum must be met for the Annual Meeting to be conducted. For our Association, that means at least 946 members (homeowners) must participate either in person or by proxy vote.

Participation Options

There are four options for participating in the Annual Meeting. SRCA homeowners can choose from any of the following:

• In-Person Attendance: Attend the meeting on March 16 at Crosspoint Church, 6:30 - 9:00 p.m.

• Online Voting: SRCA offers online voting for homeowners who register accordingly. Online

voting will be available during February and early March. Simply visit our website homepage at www.StonebridgeRanch.com and follow the directions and hyperlink.

• Absentee Ballot: Homeowners also have the option of assigning their proxy or as needed, casting their vote via absentee ballot. This ballot is available via download from the SRCA website. The absentee ballot includes all actions that require a homeowner vote including the names of the candidates running for the Board. In the 2023 election, two director positions will be filled.

• Participation by Proxy: Voting by proxy is another option. This form is also available for download at www.StonebridgeRanch.com.

Homeowners who vote using the proxy form must choose to either assign their vote to the Board or another homeowner who will attend the meeting in person on their behalf. Alternatively, owners may choose to assign the “quorum only” option. Using this option, they will not vote in the Board election but will assign their proxy to help us meet our 10% participation requirement. Each of these alternative voting options allows voters to be eligible in the prize drawing for the 2024 assessment fee.

This year, two Board seats are up for election. SRCA wants all members to be well-informed of all board candidates. Full profiles of each candidate will be featured in the March 2023 issue of Stonebridge Ranch News magazine. Additional candidate information will be available on other SRCA channels.

If the number of candidates does not equal the number of positions to be filled, the Board of Directors may vote to accept the candidates standing for election to those positions and select, at its sole discretion, the process to fill the vacant positions. If the selection process is completed on time, the new Board members will be introduced at the Annual Meeting. This is according to the SRCA Section 3.2 Bylaw Amendment. *PRIZE RESTRICTIONS. The March 16 Annual Meeting quorum must be achieved for both drawings to occur. The prizes will be awarded equal to a winner’s 2024 annual assessment rate for their lot. The prizes are awarded as an account credit against 2024 dues. (There is no cash value or alternate redemption.) In the event a winning owner moves out of the association prior to paying their 2024 annual assessment, the prize will be forfeited. The two winners will be chosen at random from among all quorum participants combined (online, absentee, proxy, and in-person). The winners will be announced on the Stonebridge Ranch website by 3 p.m. on Friday, March 17, and staff will privately notify each homeowner who is a winner. ◀

To help our members prepare for this important meeting, we are providing some helpful tips. Please review this checklist so you can watch for and receive the necessary information.

UPDATE YOUR CONTACT INFORMATION

For our resident homeowners to receive accurate and timely Association information, Stonebridge Ranch needs updated contact information on file. If you change your phone number, address, email address, or any other contact information, make sure to contact the Stonebridge Ranch on-site office at 214-7335800 or STONEB@Ciramail.com. Remember it is the homeowner’s responsibility to keep updated and current contact information on file with SRCA.

A call for candidates and a candidate questionnaire were published in the December issue of Stonebridge Ranch News . The March issue of the magazine will include the profiles of all homeowners who have submitted their candidacy and want to be considered for Board election.

Voting in person, by absentee ballot, proxy, and online are all options offered by the Association. Please see the Annual Meeting story on page 7 for information on each of these choices and watch your mail (surface or e-mail) for specific details.

ATTEND THE MEETING

The best way to know what goes on at the meeting is to attend! Mark your calendar for March 16 from 6:309:00 pm. For those who cannot attend in person, the Association will provide a live stream of the event on our website.

FOLLOW UP

Depending on the number of candidates on the 2023 slate, the ballots and proxies may need to be tabulated the day following the election. Once the vote

tabulations have been verified that day (Friday, March 17), the names of the candidates elected to the Board will be posted at www.StonebridgeRanch.com. The drawing for the two winners of the 2024 assessment fee will also be held on March 17. The winners of the drawing will be contacted individually and will be announced on our communication channels. ◀

Curb Appeal Corner

Yard Signs

When placing a yard sign on your property, a submittal request is not required provided you comply with the SRCA guidelines.

• One "For Sale" or "For Lease" sign may be placed on your lot. The size may be up to six square feet

• Political signs should comply with the size in accordance with the state law. Only one (1) sign shall be permitted for each candidate or measure for an election. Your sign may be erected 90 days in advance of the election and should be removed within 10 days after the election. Signs must be ground-mounted.

• ET Controller signs are required by the City of McKinney and permitted to acknowledge the watering day exemption.

• One security/alarm sign in permitted in your front yard.

• Contractor signs are permitted when a City of McKinney permit is required and attached to the sign.

• Children’s school affliation signs are welcome. One sign per child is allowed in your front yard.

• Other signs are not permitted.

• No sign shall be attached to any structure, fence, landscaping, or displayed in windows, except for pet notification and tot finder signs that are no more than 8” x 6”.

SRCA Welcomes New Executive Director

In the fourth quarter of 2022, Stonebridge Ranch Community Association welcomed new Executive Director, Brian Matt. Brian’s arrival comes following careful consideration by the SRCA Board of Directors as well as GrandManors, SRCA’s on-site management company.

Since Brian began his position as Executive Director of Stonebridge Ranch, he has been working with the Board of Directors, each of our six committees, on-site staff, and residents to become acquainted with the Association and begin setting goals to maintain and enhance the Stonebridge Ranch lifestyle for homeowners.

Brian believes that the Mission Statement of Stonebridge Ranch Community Association is imperative to maintaining a robust and successful master-planned community: “Preserve and enhance the quality and natural beauty of Stonebridge Ranch for our residents. Offer and maintain attractive amenities, active lifestyle opportunities and leadership which protects property values and the financial health of the community.”

Experience

With more than 18 years of comprehensive experience in HOA and complex property management, Brian brings dynamic executive leadership to our community. His work with volunteer committees, boards of directors, and large HOA entities will serve our community association well.

“I am thrilled to be your newly appointed Executive Director and I am looking forward to learning more about Stonebridge Ranch,” Brian says. “I am excited to begin 2023 meeting the homeowners and learning the lifestyle of this great community.”

SRCA Board President, Jon Dell’Antonia shares his approval of the decision to bring Brian on board. “Brian brings extensive executive experience managing complex, large homeowner associations to Stonebridge Ranch,” he says. “We are pleased to have

attracted an executive with that expertise to manage our Association.”

Based on his experiences in management, Brian notes that volunteers are highly important for an association to thrive. “For Boards of Directors to be high-functioning, the association committees must be as well,” he says. “All successful associations contain an atmosphere of community volunteerism”

Brian was raised in the community of Lake Okoboji, which is in northwest Iowa. In his spare time, he enjoys hobbies such as golfing, swimming, and cooking gourmet meals for his family and friends. Natural Gas Safety Tips

Natural gas is a clean, efficient fuel source for your home. It is a useful energy source for gas-powered fireplaces, water heaters, clothes dryers, and kitchen ranges. While using natural gas, one must practice safety measures to keep everyone safe.

The American Gas Association (AGA) represents more than 200 energy companies and has been educating the public about the importance of natural gas since 1918.

Safe Use of Natural Gas

Take a look at the tips below from the American Gas Association regarding the safe use of natural gas in and around your home:

1. If you smell rotten eggs, go outside, and call your utility provider or 911

If you hear the sound of escaping gas or smell rotten eggs, do not smoke, use your cell phone

or landline, or operate electrical switches. Get outside, leave your door open and call your utility provider or 911. Utilities purposely odorize natural gas with a substance called Mercaptan, which smells similar to rotten eggs. This makes gas leaks easy to detect and thus take immediate action.

Regularly maintain your natural gas appliances

By having your natural gas appliances regularly serviced by a licensed natural gas contractor you can properly maintain them and keep them operating efficiently. Contact your natural gas provider for a list of licensed contractors.

3. Make sure you know where your natural gas shut-off valve is

Before there’s an emergency and you need to shut off your gas immediately, make sure you and your family know where the main natural gas shut-off valve is located and how to use it. You may need to store a screwdriver or wrench nearby to use in an emergency.

4. Install a Carbon Monoxide detector in your home

Carbon monoxide (CO) is odorless and invisible and can seriously harm you if it builds up indoors. In fact, it is deadly. According to the Centers for Disease Control and Prevention (CDC), more than 400 Americans die from unintentional CO poisoning. Another 20,000 visit the emergency room, and 4,000 are hospitalized. As an important way to prevent CO poisoning, the CDC recommends placing CO detectors in the home. CO detectors look like smoke alarms and should be installed near your bedroom and in other areas throughout the house to alert you if carbon monoxide reaches dangerous levels. Make sure to replace the detectors’ batteries when you change the time on your clock each spring and fall.

Keep your natural gas fireplace clean and free from obstructions

Your natural gas fireplace is an appealing and comfortable way to heat a room, but remember to keep children, pets, and combustibles away from hot surfaces. Safety screens and fire-resistant

hearth guards can effectively prevent accidents as well as maintain a clean fireplace without obstructions.

6. Call 811 Before You Dig

Before you begin planting a tree, digging in your yard, or excavating, remember to call 811 to find out where your utility lines are located. This protects both you and your community’s pipelines.

FRIENDLY REMINDER:

In order to access SRCA events and amenities, residents need to carry a valid form of Stonebridge Ranch photo ID. SRCA homeowners on record with a valid Texas driver’s license that lists their Stonebridge Ranch address may use their driver’s license. All other household members, including permanent adult residents and children 3+ need a Stonebridge photo ID.

For walk-in photo ID processing, residents may visit the SRCA on-site office at 6201 Virginia Parkway during the hours of 8:30 am-5:00 pm, Wednesday-Friday. Residents are welcome to park their classic or fancy cars in the circle drive. We love to see motorcycles and choppers, too, but you are welcome regardless of the vehicle that you drive! This is a relaxed comeand-go event for residents only. Feel free to stop by while on your morning walk or bike ride. We will provide coffee and donuts (one per person, please) in the Community Room until supplies run out. As part of this event, we are also hosting a Book, DVD, & CD exchange (bring one, take one).
