ORGANIZER GUIDE

For the 16th Annual Philly Tech Week, dozens of partners will celebrate our local tech community with a week-long series of events from May 4-8, 2026.

HOW TO USE THIS GUIDE

This step-by-step guide is organized to help you successfully propose, promote, and execute your PTW26 event! Review each section carefully and reference the sections that you need as you progress along the process.

Once you’ve got your idea planned, submit your event on the Community Events Submission Form.

WHO ARE COMMUNITY ORGANIZERS?

Local individuals or groups — typically connected to a company, organization, institution or meetup

— with a desire to celebrate tech and innovation in the Greater Philadelphia region. They organize an event during Philly Tech Week and follow all necessary steps for their event to be included on the community calendar.

They are responsible for the logistics of their event (i.e. registration page, virtual event platform or venue, insurance, liability, catering, etc.).

In order to be recognized as an official Philly Tech Week event, organizers must submit events to the community calendar and adhere to the PTW guidelines. Information on how to submit your event is as follows: ORGANIZER GUIDE

HOW TO SUBMIT YOUR EVENT

HOW DO I SUBMIT AN EVENT?

You must fill out the Community Events Submission Form.

Information you will need includes:

Event Title

Event Description (make it catchy and inviting!)

Event dates and times

A logo

e. f.

Name of the organizer

Link to the event’s website or ticket site

WHEN CAN I SUBMIT MY IDEA?

The Philly Tech Week Community Events Submission Form is open from January 22nd – April 10th.

WHAT ARE THE PERKS?

Position your event as part of a citywide, nationally visible tech moment.

Once your event is submitted, our team will review the event within (3) business days. If approved your event will be added to our calendar! We will email you with a link when it is approved and live on the public PTW calendar.

Get your event in front of a highly engaged tech audience via the official Philly Tech Week calendar.

Gain social amplification through curated Instagram Story features and inclusion in the community schedule post.

COMMUNITY ORGANIZER CHECKLIST

PRE-APPROVAL:

Complete these actions to start the Community Organizer process:

Submit your event via the Event Submission form as soon as possible. Please wait up to three business days for approval. We will accept submissions for the community calendar until April 10, 2026.

POST-EVENT;

POST-APPROVAL:

Complete these actions as soon as your event idea has been approved:

Once the Philly Tech Week team has approved and posted your event to the public Philly Tech Week calendar, you will receive a separate guide for next steps!

Review your event details and update, as needed.

Include these fields in your event registration form:

How did you hear about this event?

I am aware that this is a Philly Tech Week event (yes/no)

This is my first time at a Philly Tech Week event (yes/no)

I would like to subscribe to the Philly Tech Week newsletter for updates about upcoming events (yes/no)

Keep track of the attendee stats, including: total # of attendees, demographic breakdown, and the types of folks that participate.

Submit the PTW26 Community Organizer Survey (Link w shared after PTW)

Send the answers to the requested registration question the Philly Tech Week events team via the survey.

CAN I CHANGE MY EVENT AFTER APPROVAL?

We understand that changes may arise. Feel free to make adjustments to your event details as needed. However, we kindly request that you keep us posted on any significant changes, such as venue or speakers, to ensure accurate and up-to-date information on the public calendar.

WHY ARE WE ORGANIZING THIS WEEK?

We are committed to helping to increase Philadelphia’s impact regionally and nationally and to increase the reach and relevance of Philadelphia’s technology community.

WHERE SHOULD MY EVENT TAKE PLACE?

In-person at the venue of your choice or virtually! If you have a unique and safe idea for an indoor or outdoor activation that follows local, state, and federal guidelines, you’re welcome to submit and we will assess.

WHAT IF I JUST WANT TO SPONSOR PHILLY TECH WEEK?

For those interested in sponsorship opportunities, feel free to reach out to Phillytechweek@1phl.org. When reaching out, please include the subject line "PTW Sponsorship." You do not have to sponsor PTW to organize an event, though we’d certainly appreciate your support to make PTW the best it can be!

CAN I CHARGE FOR EVENTS? CAN I FIND MY OWN SPONSORS?

Yes. We realize that these events cost money to organize. In the case of sponsorship, we ask that you notify 1Philadelphia of all sponsorships to avoid overlap with other PTW efforts.

1Philadelphia is the producer of Philly Tech Week 2026, with a cast of dozens of longtime partners.

PTW CODE OF CONDUCT

Philly Tech Week is dedicated to providing a safe, inclusive and harassment-free experience for everyone, regardless of gender, sexual orientation, disability, physical appearance, body size, race, religion or political background. We do not approve partisan events for the community calendar. We do not tolerate harassment of event participants in any form. If you have questions about whether or not your content is appropriate for the community calendar, please contact phillytechweek@1phl.org.

Treat all attendees, speakers, organizers, and staff with respect and kindness. Embrace the diversity of backgrounds, experiences, and perspectives that make our community unique. All communication should be appropriate for a professional audience. Sexual language and imagery is not appropriate for any portion of the event, including but not limited to conference sessions and networking events.

By attending Philly Tech Week, you agree to abide by this code of conduct. Attendees violating these rules may be asked to leave events without a refund at the sole discretion of the event organizers. We appreciate your cooperation in creating a positive and inclusive atmosphere for everyone.

If you witness or experience any form of harassment or discrimination, please report it immediately to conference organizers or staff. We are here to address any concerns promptly and confidentially. Your safety and wellbeing are our top priorities.

REPORTING INCIDENTS

If you experience unacceptable behavior, notice that someone else is being subjected to unacceptable behavior (before or after an event), or have any other concerns, please email the Philly Tech Week event staff as soon as possible at phillytechweek@1phl.org. Philly Tech Week event staff will be available to assist those experiencing unacceptable behavior to feel safe and all reports will remain confidential.
