Scope of Works

SCHEDULING

• Your account manger will provide you with a pre-agreed schedule for each website build.

• Cleverbox will endeavour to hit all deadlines in our control.

• The client must also meet deadlines and respond in a timely fashion to approve stages. Failure to meet client deadlines may result in the website missing launch date. Unfortunately, Cleverbox can not be held responsible if the website is late due to client missing deadlines and information being provided late.

PLANNING PHASE

• Kick off meeting to discuss the completed brief questionnaire with your dedicated account manager to discuss the project expectations, timings and deadlines.

• Deep dive creative briefing session including senior designer to discuss goals, expectations, USPs and design preferences. (C)

DESIGN PHASE

• Homepage design visualisation including creation of 1 x homepage layout design.

• Once approved, creation of 2 inner page design layouts based on the homepage. (S/C)

• We provide a 100% satisfaction policy on planning and design stages. We will re-plan and re-design as many times as required to sign off. (S/C)

DEVELOPMENT & BUILD PHASE

• Wireframe development to define and plan the information hierarchy of your site prior to design. (C)

• Our development team will build your website in line with the agreed design, sitemap and specification.

• The website will be designed and developed to be viewed and used on modern web browsers, be mobile compatible and will be tested on numerous devices/emulators as outlined in our Service Agreement.

• ReactCMS or WordPress will be installed and configured for you on our dedicated servers and updated to the latest version on launch.

• Any changes to design and/or functionality once the website build has commenced may incur additional costs.

CONTENT POPULATION PHASE

• Cleverbox will set up a shared Dropbox containing named folders based on your approved sitemap.

• We will provide instructions on how to name, supply and upload your content along with a deadline for your content submission.

• We will require a single word document for each site page of content to be populated.

• All content will need to be uploaded to the correct folder within the shared Dropbox.

• All copy needs to be checked for spelling and grammar by the client prior to submission.

• All documents, images and downloads must be in the correct format and named appropriately for front end display and SEO purposes.

• If we have undertaken your photography, we will provide a spreadsheet for you to pick specific images for each page and name them appropriately for SEO.

• Once the content has been received, the page structure map will be updated and re-sent to you to confirm all content has been received.

• If there is a delay in supplying content, or content is supplied outside of the outlined requirements, delivery of the project may be affected. If you are unable to provide your content in the requested format or you require us to migrate content from your existing website, we can undertake this for you for an additional fee.

• Cleverbox will upload the supplied content, including page text, documents, images and video links, to the CMS in line with the agreed content plan included with your package.

• Any additional content we are required to populate will be charged at our hourly rate.

• Page content can be amended or added at any time for free by the client once the website has been handed over.

• Any image and video production required by Cleverbox will incur additional costs.

CONTENT PLANS

Plan 20 (E)

20 pages of content, 20 documents, 20 images, 5 banners, 3 news articles, CSV import of calendar.

Plan 25 (S)

25 pages of content, 25 documents, 25 images, 5 banners, 3 news articles, CSV import of calendar.

Plan 30 (C)

30 pages of content, 30 documents, 30 images, 5 banners, 3 news articles, CSV import of calendar.

ACCEPTANCE

TESTING

• Cleverbox will exercise commercially reasonable efforts to test your website and to make all necessary corrections prior to release.

• We schedule in 1 week worth of acceptance testing before launch. The client will have the opportunity to provide any snags during this period.

• Once the site is live, we will also provide a simple snagging document for clients to complete and send back to Cleverbox to review and implement in one hit.

• Snag list amends that conflict with previously signed off design and planning stages may incur additional costs if they are required.

• Amendments to content can be made by the Client upon access to the CMS and will NOT be classified as snags.

SEO SUPPORT SERVICE

• Cleverbox will add meta page titles and meta page descriptions and implement h1 tags for the home page and a few selected pages as part of our SEO go-live service.

• Cleverbox will also set up Google analytics prior to launch.

GO LIVE PHASE

• When your website is ready to be set live we require three working days’ notice to transfer the site to our live server.

• You will need to re-point your website domain (DNS) to the Cleverbox servers. We will provide you with clear transfer instructions which will outline how to move your DNS from your current hosting provider.

• Any minor issues or further snag requests must be submitted through our service desk software (Zendesk), which will be set up for you by one of our support heroes.

• Any serious issues will be fixed as a priority within your Service Agreement.

TRAINING & USER ROLES SETUP

• Our introductory remote training sessions are undertaken by one of our experienced and friendly Support Hero’s for up to 4 people, during which you will be given full access to the CMS and be set up as a support desk user. During this session we will also set up your admin account and show you how to define user roles within the CMS.

• We will require the names and email addresses in advance of the members of staff that will undertaking the remote training session.

• At this stage you will be required to provide us with the names of all staff that require logins to the CMS.

• Websites built on our proprietary CMS will be supplied with a simple CMS User Guide that is also available via the CMS.

• A full training break down will be provided in advance of the session followed by a feedback form after.

We offer three levels of training which are:

• Level 1: 1 hour introductory training session included within the Express Package. (E)

• Level 2: 2 hour introductory training session included within the Signature and Creative Package. (S/C)

• Level 3: A tailor-made training session designed specifically to your needs. Ideal for top-up sessions, new user roles or advanced functionality training. Cost TBC upon request.

ONGOING MAINTENANCE & SUPPORT SERVICE

We have a dedicated support department whose primary function is to help you when you need it. We provide various services to monitor and support our websites including:
