TOOLBOX TALKS, TALKING POINTS, FAQ’s

We are excited to announce that our People Management system, Civvy, is getting an upgrade!

As you may know, our People Management system, Civvy, launched last year, and is currently used by some employees for essential tasks. In the coming year, we will be adding new features to better manage your employment information. As such we need all employees now using Civvy.

From July, Civvy will be the go-to system for all employees to access payslips, book leave, and view leave balances. Please note that your payslip will no longer be emailed to you after we transition to Civvy in July. You will receive more information in coming weeks on these upcoming changes.

All Civeo employees will be affected, so NOW we need you to:

• Know how and where to access Civvy.

• Log in with a username and password.

• Check and update your personal and contact details, including your emergency contacts, email address, and phone number.

In the coming days, you will receive an email outlining these changes and you will receive a guide 'How to access and log into Civvy'. We realise some people have already logged on, but we need everyone to complete these following steps as soon as possible.

Here is what you need to do when you receive the email:

• Read the email in full

• Read the employee guide 'How to access and log into Civvy' on how to set up and update personal information - you must check and update your personal and contact details, including your emergency contacts, email address, and phone number. You must complete all mandatory fields marked with an asterisk*.

• Not all questions are mandatory. This is a global system, so some fields are not relevant to Australian employees.

• There will be clear instructions in the email you receive and the guide 'How to access and log into Civvy'. It will take you 5 minutes to complete, and we require everyone in Civeo Australia to do this as soon as possible.

• Completing this task by May 31st will enter you into a draw for one of five Coles/Myer vouchers valued at $50 each.

• Our People and Culture partners will be running leadership and champion sessions to support our learning, so we can support you in the changeover process.

Please reach out to me or your P&C (People & Culture) leads for further information.

I look forward to seeing if we can be the first team to complete!

Question

Why are we changing systems?

Are all questions mandatory to answer?

I have forgotten my username/password

Answer

Civvy was implemented last year with the aim of streamlining your experience. This implementation allows you to access more of your own employment information through a single system.

Only questions marked with an asterisk (*) are mandatory to complete.

Click on “Forgot Password”. Choose either the “Forgot username” or “Forgot password” and put your email in and submit.

I am a new employee, and I cannot access Civvy If you have recently joined Civeo, there may be a few days delay in setting you up in Civvy. Please email: CIV.HCMSupport.APAC@civeo.com

I have forgotten my username/password Click on “Forgot Password”. Choose either the “Forgot username” or “Forgot password”, enter your email in and press submit

My date and time format are in North American format. How can I change this?

From your Civvy home page on a personal computer:

1. Go to your initials or picture at top right of home screen

2. “Set preferences”

3. Go to “Regional”

4. Change territory to Australia, change time zone to your time zone (e.g. if you are in Sydney timezone, scroll to “Sydney”).

Look around – sure! But please do not change/add/delete info in other sections as we are not set up to support these other areas yet. If I win a prize, how will I be notified? Your P&C Partner will contact you after May 31st.

Can I look around Civvy and use the other functions?

When completing Family and Emergency contacts why am I asked for “What's the start date of this relationship?”

Where will I access my payslip after July?

This system is global, and the question specifically pertains to North American users. Australian employees can simply enter today's date. Although the question is not applicable to Australian users, we are unable to remove it entirely.

From July, payslips will only be available in Civvy. They won’t be emailed to employees. To access historical payslips: Civeo Owned Villages (COV) employees will be able to access on JDE. Civeo Integrated Services (CIS) employees will need to email Payrollaus.pays@civeo.com

In June, you can expect to receive additional training and communications. The cutover process will take place in early July, and we will provide you with more information soon Where will training be available? You will receive "How-to" guides via email, and we will also conduct information sessions with leaders and champions to provide further guidance. Please don’t delete this email and if you need assistance, check with your leader.

When will we get more information on the payslip and leave management changes?
