CREATION PROGRAM CONTENT

DO’S AND DON’TS

BELOW IS A GUIDE, WITH EXAMPLES OF WHAT CAN AND CANNOT BE CAPTURED FOR THE PROGRAM:

Photography / videography must showcase the applicant’s organisation as a business event venue, product, or service. Preference will be given to activated spaces, such as conferences, exhibitions, or events in session, to demonstrate real delegate engagement.

No – headshots of employees or other ‘non-business event’ related activities.

Yes – content of your product and/or service in a business-relatedcontext.

Content must be professional quality and suitable for use across Business Events Perth marketing channels.

No – The content cannot be watermarked with your brand.

Talent must be wearing corporate or work-related attire.

No – Inappropriate or casual attire.

Spaces must be staged for a business meeting, dinner or activity.

No – photographs of weddings, social parties, family gatherings, funerals and et.

Yes – content are of high quality.

Yes – Talent wearing collared shirts, lanyards etc.

Yes – Talent wearing uniform related to their work.

Yes – photographs of office team activities, or activities related to your field of work.

Yes – Tables set for corporate meeting, pens notebook etc.

CONTENT EXAMPLES

Venues and spaces

• Conferences filled with delegates.

• Delegates in breakout rooms and interactive workshops.

• A gala dinner set up, including guests being seated and dining.

Services related to food and beverage

• Catering staff in uniform serving canapes for a corporate event.

• Buffet spreads, coffee stations, and food and beverage service.

• Live cooking station on display at a business event.

• Delegates enjoying the product.

Entertainment

• Live entertainment playing at a corporate event.

• Roving performers entertaining delegates.

• Motivational speaker or entertainer engaging with delegates.

• Delegates enjoying entertainment (applause, laughter, reactions).

• MCs or hosts engaging with the crowd.

Transport Services

• Vehicles picking up the delegates (Airport or hotel transfers connected to the event).

• Chauffers assisting delegates into or around vehicles.

• Vehicles at different locations including airports, landmarks and attractions.

• Branded transfers or event signage on vehicles.

• Delegates departing in the vehicle (farewells, boarding buses, pick-up zones).

Other products or services

• Delegates interacting with a product.

• Behind-the scenes set-ups and production details.

• Tech services in action (event apps, QR code scanning, AV equipment).

TERMS & CONDITIONS

1. Eligibility

a. The program is open to current industry members of Business Events Perth.

b. Funding must be used to create content that promotes the applicants venue, product, or service specifically within the business events market.

2. Funding

a. Business Events Perth will provide up to AU$1,000 matched funding towards professional photography / videography services.

b. Members are required to contribute a minimum of AU$1,000 towards the project, to be eligible for AU$1,000 matched funds.

c. Funding will be reimbursed upon submission of final approved assets and evidence of member contribution (ie. Paid invoice).

3. Scope of Photography / Videography

a. Photography / videography must showcase the applicant as a business event venue, product, or service.

b. Preference will be given to activated spaces, such as conferences, exhibitions, or events in session, to demonstrate real delegate engagement.

c. Content must be of professional quality and suitable for use across Business Events Perth marketing channels.

4. Deliverables

a. Final edited photography / videography assets must be submitted to Business Events Perth no later than 30 June 2026.

b. Content usage rights must be granted to both the applicant and Business Events Perth.

5. Approvals & Branding

a. Members are responsible for engaging a professional photographer / videographer of their choice; a supplier list can be provided.

b. Business Events Perth reserves the right to review the proposed photographer / videographer and shoot brief to ensure alignment with program objectives.

c. Final assets must be approved by Business Events Perth before reimbursement is processed.

6. Usage Rights

a. By participating, members grant Business Events Perth a non-exclusive, royalty-free licence to use the content across digital, print, and promotional platforms, in perpetuity.

7. General Conditions

a. Places in the program are limited and subject to Business Events Perth approval.

b. Business Events Perth reserves the right to withhold reimbursement if deliverables do not meet the program requirements.

c. Participation in the program signifies acceptance of these Terms & Conditions.
