The BCBF held their annual Wine and Beer at Laurel Creek Country Club. Led by BCBF President, Mary Ann O’Brien, the BCBF had their largest attendance in recent years. Attendees won great prizes as the BCBF raised funds for the Children’s Holiday Party that is taking place this month. Kudos to Mary Ann, Amanda Schkeeper, Erika Attanasio for a job well done!

The BCBF will host their annual Children’s Holiday Party on December 7 and we will hold our annual Holiday Cheer at a new venue this year – Allora Restaurant. We look forward to sharing pictures of these events next month in the Straight Word. If you cannot wait that long, please follow us on social media to see pictures from each event.

Additionally, the BCBA hosted a welcome for our Burlington County Judicial Staff, Law Clerks, and Secretaries at our annual Meet the Judges & Law Clerks event. Villanova University won out as the school with the most law clerks by far for the 2019-2020 Court Year. This is a great event for attorneys to meet the Judicial Staff in an informal setting while enjoying the camaraderie that is the hallmark of being a member of the Bench and Bar in Burlington County.

The BCBA recently formed a new Bylaws Committee. The Committee is an ad hoc committee, which will review the current BCBA Bylaws. We will present recommendations for revisions to the Bylaws prior to the Law Day dinner on April 30. At the Law Day dinner, members will have the opportunity to vote on the proposed revisions. Thank you to attorney members of the BCBA Bylaws Committee including Joan Burke, Brett Gorman, Mary Ann O’Brien, Kathryn Rivera, Reema Scaramella, Jennifer Stonerod, and Berge Tumaian.

In November we focused on our new members: November offered our first new member mixer. Thanks to BCBA Trustee Brenda Maneri for hosting the mixer at her beautiful home. We have 52 members that have joined the BCBA since the start of my Presidency in June. This personal welcome offers an opportunity for the new members to feel like they are integral to BCBA’s future because they truly are… these are our future volunteers, leaders, and judges.

New Bylaws Committee Formed:

Membership is very important to sustain our future. If you know an attorney who practices in Burlington County that is not a member, ask them to join us. As the only Bar Association in New Jersey with two complimentary dinners a year and reasonably-priced CLE’s… it’s a no brainer to join.

13 of the BCBA’s 52 new members are Law Clerks. On November 15, I had the honor of speaking to this year’s class of Law Clerks at their Swearing In Ceremony. The ceremony took place in the Historic Courthouse, a true gem in Burlington County. My advice to this year’s class is to always consider Burlington County their home and avail themselves of all of the BCBA’s programs. Getting involved 3

WINE PICK OF THE MONTH

by Janice L. Heinold, Esq. It’s time for the “greatest wine hits” of the Bar Foundation’s Wine, Beer and Bourbon Tasting, which occurred October 25th at Laurel Creek Country Club. If you weren’t there, you missed tasting some fabulous wines, beers, and bourbons; eating delicious food; and the chance to win over 50 fabulous prizes! All proceeds go directly to the Children’s Holiday Party the Bar Foundation throws the first Saturday in December for children in need.

The sparkling wine was a big hit: NV Fritz Ritter Riesling Sekt (Pfalz, Germany) Certified Organic. 100% Riesling, but not sweet. Classic Riesling on the nose with aromas of apricot and petrol. Peaches, apricots, and almonds on the palate. Minerality from the nose through the finish.

Fine bubbles. Pair with salty snacks and ham. Martin’s Liquors carries it for $19, which is a great value for sparkling wine. Stock up for the holidays!

The favorite white wine of the evening was the 2017 MaconVillages La Cuvée de Béracius Domaine des Terres de Chatenay (Burgundy, France).

People often ask me at the event, “Do you have any Chardonnay?” and this year, I did, although it was a very classic version (meaning not overly buttery and oaky) from Burgundy, France. Tasting Notes: Pear, lemon, nectarines, and golden apple on the delicate

nose. Lemon curd, pears, honey, apples, with mineral acidity on the palate. Pair with fish and shellfish. Moore Brothers carries it for $19. If the 2017 is sold out, buy the 2018. Many people came back for more of this.

The favorite red of the evening was the 2017 Fabre Montmayou Cabernet Franc Reserva (Mendoza, Argentina). 100% Cabernet Franc (old vine). Black plums, raspberry, currants, and coffee on the nose, with ripe acidity and fine-grained tannins on the palate. Pair with lamb, pork, game, or chocolate desserts. This is only $13 at Traino’s Wine and Spirits in Marlton. None of this was left by the end of the night.

The second most popular red (and my favorite) was the 2018 Nals Margreid Galea Schiava (Sudtirol-Alto Adige, Italy).

Made from 100% Schiava (a/k/a Vernatsch or Trollinger), grapes indigenous to this Northeastern region of Italy, this is a fantastic food wine. Tasting Notes: Light garnet in color. Red cherries, pomegranates, and raspberries with notes of violets, almonds, and clove. Bright acidity with silky graphite-infused tannins. Pair slightly chilled with fish and poultry and pair at room temp with everything else under the sun. Traino’s Wine and Spirits Marlton ordered this for me. $20 a bottle. This was also gone by the end of the evening.

No one guessed the secret wine. It was Schiava from another producer, Castelfelder, available on special order from Traino’s Wine and Spirits in Marlton.

DESIGNING AND USING SYSTEMS IN A LAW FIRM - PART 1

The Advantages of Systems

This is the first of a two-part article on using systems in a law firm. How can attorneys better serve their clients? Clients are consumers, and consumers want three things: better services, faster services, and cheaper services. Better means high-quality legal services delivered on a consistent basis.

Faster means quicker turnaround time.

Cheaper means affordable fees, which means law firms must become more efficient and reduce their costs. The solution to satisfying clients’ needs for better, faster, and cheaper is to adopt systems.

The goal of a system is to organize complex work in such a manner that it can be done easily.

•

Quality of Work. Systems ensure consistent quality.

•

Increase in Production of Work. Systems enable a firm to produce more work. It has been estimated that by using a good system, staff time can be reduced by 15% and attorney time by 20%.

•

Training Staff and Associates. The practice of law has become so complex that it is difficult to train new staff and associates.

A paralegal, secretary or associate working for a firm without a system must understand a great deal about substantive law in order to work efficiently. Training a new paralegal, secretary or associate to follow a system reduces the learning time significantly.

Operating Systems/Standards of Excellence Clients want fast service. To ensure the delivery of quick service law firms should develop internal standards of excellence. Call them “Standards of Excellence.” This may vary from one area of practice to another, but typical standards of excellence would include the following: •

The Phone. Answer the telephone by the third ring. Install direct lines for attorneys and staff.

•

Return Telephone Calls. All telephone calls should be returned the same day. Adopt the “sunset rule.” Lawyers do not go home until all telephone calls received during the day have been returned. Get clients’ home telephone numbers and cell phone numbers to facilitate these return calls.

•

Dictation. Don’t let the file sit on the attorney’s desk. Adopt a standard where all dictation is completed within 24 hours after the initial client interview. Any action taken on a file, dictation or not, should be done within 24 hours after the initial client interview and the file moved on to the next person responsible for handling it.

•

Document Preparation. Doc prep should be completed within 24 hours after receipt of the file from the attorney by the doc prep person.

•

Attorney Review. Attorney review should be the same day.

When the file is received back from the doc prep department the attorney should review the file early in the same day it is received back.

•

Docs Out. The documents should be sent to the client the same day they are received back from the doc prep department.

•

Telephone Review. Schedule a telephone review three days prior to the signing appointment for the case manager to review all of the documents with the client. That way, changes can be made in advance of the signing appointment. The signing should only last 20-30 minutes.

•

Signings. In practices that permit it, schedule a signing at the time of the initial appointment for two weeks after the initial appointment.

90% Rule Roberta Ramo, author of “How to Create a System for the Law Firm,” 10.1 suggests a 90-percent rule: If something is used 90 percent of the time, it should be included in the system; if not, it should be excluded.

Fifteen-Step Method •

Step 1: Choosing the Subject Area for the System. As stated above, the area of practice that would benefit most from systemization is the area in which the firm has the largest volume and spends the most time. Although it would be the most difficult area to systematize, once systemization is accomplished, the savings in time would be enormous and the other areas of practice would be made easier to systematize.

•

Step 2: Selecting the Team. Buy-in is critical. Unless the other lawyers and the staff see the value of the system, it will be almost impossible to implement. A team that is committed to accomplish the goal and that has the skill to do so should be selected.

•

Step 3: Preparing the Check Plan. One way to ensure consistency and avoid errors of omission is to have a written Check Plan in every file. The Check Plan is a transaction list. Five closed files should be assembled—the five best files on which the firm performed in that area. Every step in the transaction, from the opening of the file to the closing of the file, should be listed on a piece of paper. This paper will become the Check Plan. The Check Plan should be placed on the left-hand flap of the file when the file is opened. The Check Plan has four columns: (1) task, (2) assigned to, (3) completion date, (4) date actually completed. “Task” includes every task to be followed during the course of the representation in that area of substantive law. By insisting that all lawyers and staff members complete the Check Plan, anyone in the firm can pick up the file and know the status at a glance. If every item on the Check Plan is completed, there will be no error of omission. Consistent quality is ensured.

WELCOME NEW LAW CLERKS On October 29, nearly 150 Burlington County members met at the DoubleTree Suites in Mt. Laurel to meet our judges and their assistants, and to welcome in this year’s class of law clerks. Assignment Judge Covert livened up the evening by having each judge introduce their law clerk and assistant, and tell the crowd interesting facts about each (including that apparently most of them are Villanova graduates!). Many of this year’s clerks have already become involved as BCBA members on the Young Lawyers Commitee, and we hope they will remain in Burlington County for years to come!

Parker McCay attorney and BCBA Member Emeritus Stacy Moore, Esq. was honored last week by Mayor James Young of Southampton Township, New Jersey for his decades-long service to the community. On Tuesday, 11

November 12, 2019, Mayor Young surprised Mr. Moore at the township monthly meeting with the reading of a proclamation to make November 12th “Stacy Moore Day” in honor of his long-term commitment to the community.

Ms. Ruggerio focuses her practice in the representation of private and public sector employers in the areas of labor and employment and civil rights law matters, as well as litigation arising from these disputes. Ms. Ruggerio received her law degree from Villanova University Charles Widger School of Law and a B.S. degree in Neuroscience from Lafayette College.
