Hey, welcome to our Plymouth family.

To help everyone enjoy their time in the building, we’ve put together a quick guide on the do’s and don’ts, along with some other useful information. Nothing too strict; just a few things to keep everything running smoothly for everyone →

DO

Keep things quiet — Please be mindful of noise levels so everyone can focus on their work.

Bring your four-legged friends — Schedule a quick dog-friendly interview if you’d like to bring your well-behaved dog to work.

Use the Communal spaces — The kitchens are fully stocked and ready for you, so please help yourself.

Clean as you go — Whether you’re in your office, the kitchen or communal space, please tidy up after yourself to keep the space looking great for everyone.

Ask us first — If you’re planning something big like hosting an event, let us know; we’re happy to help.

DON’T

No wall mounts or drilling — TV’s must stay on stands and nothing should be hung or mounted on walls without written approval from BLOCK.

No big signage — Large company signs and banners are not allowed, but feel free to add your own personal touch.

Leave the big appliances at home — Please don’t bring coffee machines, kettles or other large appliances without written approval from BLOCK; our kitchens have everything you need.

No cutlery or crockery — Mugs, plates or any other items are not allowed. The kitchens are fully stocked, so please make use of them.

ACC— OMOD ATION

↓ INVENTORY

On the day of occupation, BLOCK will provide you with an inventory of the accommodation that you occupy. This will list all BLOCK furniture and will give a description of appearance of the walls and floors. Any stains or damages occurred to any of the listed items during your occupancy will be charged for repairs or replacement. You will sign to agree that the office is in the current state and you will have a copy emailed to the main contact of the licensee. Your office will be equipped with data ports and plug sockets. Please note that additional ports and sockets cannot be installed, nor can existing ones be relocated.

↓ BUILDING ACCESS

The BLOCK main reception is staffed from 08:00—17:00 on normal working weekdays. Outside of office hours please use your key card to access the building. It is your responsibility to lock the doors to your ac- commodation and to the building when you leave. This is to ensure the safety of individuals and property at BLOCK Plymouth.

↓ KEY + KEY CARDS

Any keys or key cards which BLOCK issues remains BLOCK’s property at all times. BLOCK will supply you with 2 keys to your office. If you require any further keys, please speak to a member of our team to approve the copy of the office keys. Any lost keys must be reported to the BLOCK Plymouth reception team in writing immediately, this will result in a £15 + VAT replacement fee for replacement keys, and changing locks if required. This rule improves security levels of the Business Centre. No additional locks or bolts of any kind shall be placed upon any of the doors or windows of the building by you, or shall any changes be made to existing locks or the mechanisms. If you do need to have this facility, please speak to our management team.

↓ SIGNAGE

You may not put up any signs on the windows or doors of your accommodation, or anywhere else that is visible from outside without written approval from the local business centre team. We reserve the right to charge a fee for any signage and to specify its design to ensure it remains in keeping with the centre’s brand.

↓ LOGO + MANIFESTATION

BLOCK will provide your company logo on your office door and any additional frosting, agreed upon the time of signing. All installations must be carried out only by BLOCK’S approved contractor, and all associated costs (installation and removal upon vacating) will be charged to the tenant.

↓ ROOM ENTRY

The management of BLOCK reserves the right to enter any part of the offices. Some, but not limited to appropriate reasons for such entry include: (1) Concern for health and safety of occupants (2) Inspection for fire, health, building or safety violations (3) Maintenance and repair services. We will always give notice should we have to enter the office for maintenance where possible. BLOCK will supply you with a main entry door key card per person which will give you access to the building 24/7. If your card is misplaced or lost, please report to the BLOCK Plymouth reception team as soon as possible in writing. Any further lost cards will be charged at £15.00 + VAT. Do not let anyone else use your card as they are dedicated to each individual client, this is for the security of all tenants and staff at BLOCK Plymouth.

↓ PRINTING

We provide a communal printer on site with connected software ‘Papercut Hive’. Please send email addresses of any members of staff that will need access to this and your centre manager will set this up. You will receive an invite email. Once received, follow instructions to download the software to your computer / laptop and once complete, simply print to the ‘Papercut Hive’ device. Go to the printer and input the code specific to each user to retrieve your printing. Black and white printing is 10p per sheet and colour is 20p per sheet. This will be invoiced monthly. Should you wish to have your own printer in your office, this must be connected via an ethernet cable, not via Wi-Fi.

↓ MEETING ROOMS

Three different meeting rooms are provided at BLOCK Plymouth and can be booked via the member portal. Please email our Centre Manager to assist you with any specific requests. Please email info@blockplymouth. co.uk should you need assistance planning a meeting or event. Meeting rooms are on a first come, first served basis, but can be booked in advance. Meeting rooms must be returned to the state in which they were originally found. Ten hours of meeting room use is included for office members. Five hours are included for co-working members.

↓ KITCHENETTE

Your serviced office offers a kitchenette, equipped with tea and coffee making facilities, with crockery and utensils which are available to clients for basic food prepara- tion. Use the dishwasher provided. The dishwasher will be emptied at the start of the business day. Do not leave dirty items on the kitchen side. Rinse and load into the dishwasher as you go. We operate a clean worktop policy in the kitchen. Please do your best to keep the fridge clean and tidy. Name and date any perishable food you put in the fridge. Any perishable food items left in the fridge on Friday without a name and date will be thrown away without notice or warning. Please keep this area clean and tidy for hygiene reasons.

↓ POST + DELIVERIES

We can receive post and parcels on your behalf which we will then distribute to offices. Anything that is larger and heavy, we will send a delivery notification via the member portal for you to collect. We cannot hold your larger parcels or deliveries on Reception, and we do not take any responsibility for any losses or breakages. Please note that the lift is not to be used for any large deliveries to safeguard the passenger lift for the occupiers and therefore the stairs will need to be used to take any goods up to the upper floor offices. We do not have a post collection, the closest letter box is a two minute walk away, located on Durnford Street.

↓ SECURITY + RECEPTION

Reception facilities are available to all tenants operating from BLOCK Plymouth. Receiving of post, welcoming visitors and other general enquiries. Reception is staffed between the hours of 08:00 and 17:00 on normal working weekdays. Reception will be closed on Bank Holidays. During working hours, the main entrance doors will be open for all occupiers and guests to enter the building. Out of hours, all doors are locked, and all occupiers will need to use their access fobs to enter the building.

↓ BIKE STORE, GYM ACCESS + PARKING

BLOCK Plymouth has a small amount of bicycle parking on-site. Please bring your own lock to secure your bike. Bike storage is available on a first come, first served basis. Please note that all bikes and possessions left at the bike store are done so at the owner’s risk. BLOCK does not take any responsibility for any damage caused by others.

GYM Access 24/7 — All members get unlimited access to our on-site gym, complete with showers and changing rooms. Stay energised, take a break, or wind down after work-anytime you like. Just sign up at reception to activate your gym pass!

Parking at Royal William Yard — BLOCK Plymouth have secured an allocation of free parking spaces at the Yard through Urban Splash, the Landlord. This is a permit to park on the Royal William Yard site. It does not give you a named parking space, but a right to park when spaces are available on a first come, first served basis. You will be allocated permits as per your workspace agreement. BLOCK Plymouth will manage your parking permit which is updated in-house via reception. RECEPTION

TERMS OF USE

↓ CARE OF YOUR PROPERTY

You must take good care of all areas of BLOCK Plymouth, including all equipment, fittings and furnishings that you use. You must not alter any part of it. If a client damages the centres property, the person or company who is responsible for the damage must compensate for the cost. All property belonging to the client or any of the client’s employee, agent or invitee shall be at the risk of such person only and BLOCK shall not be liable for damages there to or for theft or misappropriation thereof. In your office you will not affix anything to the windows, walls or any other part of the office or the building or make alterations or additions to the office without our prior written consent.

↓ CONDUCT

The Client or the Client’s officers, directors, employees, shareholders, partners, agents, representatives, contractors, customers, or invitees shall be prohibited from participating in any type of harassing, discriminatory or abusive behaviour to team members, other customers or invitees, verbal or physical in the Business Centre for any reason. Any breach of this rule is a material breach of your agreement (not capable of remedy) and your agreement may be terminated immediately and services will be suspended without further notice. Members may only solicit other members for business or any other purpose through centre approved channels (e.g. through noticeboards and networking events held in BLOCK Plymouth).

↓ PUBLIC AREAS

You shall not leave open any corridor doors, exit doors or door connecting corridors during or after business hours for security purposes, and if you do so, it will be at your own risk. All corridors and stairways shall not be obstructed by you or used for any purpose other than egress and ingress. You can only use public areas with our consent and those areas must always be kept tidy and clean. If management have to clean an area after you, your staff or visitors use, there will be a charge.

CONSERVE

Reduce, reuse and recycle. Please recycle where possible. We provide recycling bins and food waste bins in the kitchenette areas and cleaning staff will recycle any cardboard daily. NOTE: Please do not leave excessive amounts for disposal. Large deliveries or bulk packaging must be broken down and removed by you directly.

↓ GUESTS + VISITORS

In the event that you expect to have multiple visitors, depending on the specific circumstances, we may require you take meeting room space to accommodate. Please discuss any high-volume visitor requirements you may have with your centre team in advance of their visit. Please do not use the co-working shared space for meetings or for guests. Meeting rooms should be used to accommodate these needs and can be booked in advance using the member portal or app. Please speak to one of BLOCK Plymouth Team for any advice on this. All guests must sign in and out at reception for Fire Safety procedures. Your guest is your responsibility at their time on-site. The Client’s guests shall conduct themselves in a business-like manner, the noise level will be kept to a level so as not to interfere with other members and will abide by BLOCK Plymouth directives regarding security, keys and other such matters common to all occupants. No part of the office or Business Centre may be used for overnight accommodation.

↓ OFFICE EQUIPMENT

You shall not, without our prior written consent, store or operate in your office(s) or the business centre, large business machine, reproduction equipment, heating equipment, stove, radio, stereo equipment or other mechanical amplification equipment, vending or coin operated machine, refrigerator, boiler or coffee equipment

↓ MOBILE + VIDEO CALLS

Please ensure that when you take a call on your mobile phone or via Video conferencing in a public area that you keep noise levels reasonable. If you need to take a call of a personal/ private nature, please book a private meeting room via the member portal.

↓ SMOKING + VAPING

Smoking of any type i.e. nicotine, electronic, vaping or any other form, is prohibited in all areas of BLOCK Plymouth. There are designated smoking areas outside of BLOCK- see BLOCK Reception staff for the locations. Please ensure any cigarette butts are disposed of in the bins provided.

WIFI + NETWORK USAGE

All tenants are provided with access to the buildings shared Wi-Fi network, which is managed and maintained to ensure security for all users.

To protect the integrity and reliability of our network:

• Tenants are not permitted to install or operate their own independent Wi-Fi routers or access points within the premises.

• Please discuss any specific requirements with the site General Manager.

• Any additional Wi-Fi or networking setup must be formally approved in writing before installation.

↓ CCTV POLICY

We use camera recording for security purposes whereby signage will be clearly posted. This is for security for all staff, ten- ants and visitors of BLOCK Plymouth.

STAFF LEAVING

If any of your staff leave your business, please inform the BLOCK team so we can remove them from the access system.

POSTAL ADDRESS

You may use the business centre as your registered address subject to compliance with applicable law. our company address will be your Company name, followed by your office number, followed by: BLOCK Plymouth, Meville, Royal William Yard, PL1 3RP

HEALTH + SAFETY

In order to ensure that all BLOCK Plymouth tenants and guests have a safe and secure working environment, you, your employees and visitors must comply with all health and safety requirements set out by us, by law and as are otherwise applicable to BLOCK Plymouth.

↓ FIRE + RISK ASSESSMENT

Upon move-in please carry out a risk assessment and Fire Risk Assessment of your office and send to BLOCK Plymouth Reception Team. All tenants are required to ensure that their electrical appliances have a valid Portable Appliance Testing (PAT) certificate. This is a Landlord requirement and helps ensure the safety of all members. BLOCK cannot accept liability for any incidents arising from non-compliance.

SAFE —TY

Fire tests are carried out weekly on a Wednesday at 10:00am by The Royal William Yards Estate Management team. No action is required unless otherwise instructed. They will also facilitate a full evacuation drill at twice per year.

Upon hearing the alarm, please immediately leave by the nearest exit and make your way to the muster point; which is the large grassy area opposite Mils Bakery.

→ On discovering a fire, activate the alarm system by operating a fire alarm call point, it may also be advisable to shout FIRE repeatedly to alert fire trained personnel in the first instance whilst finding the nearest call point. Any person hearing the repeated shout of FIRE should operate the nearest call point if the fire alarm is not sounding in order to give the earliest possible warning to others.

Fire extinguishers are located on site and are only for the use of those people who have been given a recognised fire extinguisher training course. If you have had no training in the use of fire extinguishers, do not use them. Do not take any personal risks.
