W

hat a year we’ve had. Many positive changes have been made and progress is continuing to grow. The marketing team went from two to five talented thinkers, creators, planners and strategists. The new brand was officially a year old in November. We’ve been toying with the branding and perfecting elements of our visual identity. It’s an exciting time to work at BizSpace, with bullish growth plans and a stunning brand in it’s infancy.

There are many exciting things to look forward to next year with a focus on high quality 360 degree tours. That’s right we’re planning to start shooting sites from December and as you’ve seen on Yammer and the quality is amazing.

We’re also looking into creating video content, which will see our customers businesses showcased in powerful videos. There will also be brand refinements and much more. The aim of our marketing activity in the new year will be to support and arm you with all the necessary collateral and knowledge to make 2018 a stellar year. Back to ‘b.’, this is our end of the year edition, a lot of work and thought has gone into it and I hope you find the time to read about all the amazing things happening here at BizSpace. As you can see, we’ve also renamed the publication. More on that on the next page. Merry Christmas.

What a great year it’s been with lots going on. We’ve welcomed many new faces to the team, introduced our ‘Lets do Bizness’ networking events and seen our property portfolio grow. Massive congratulations to all our values champions and those who were nominated, its fantastic to see so many of you showcasing our brands values.

We say goodbye to Spaces and see the new name for our internal newsletter, introducing ‘b’. Its simplicity reflects what we stand for at BizSpace, make sure you let us know what you think.

paces is no more, so we’ve decided to change the name and continue it’s evolution. Whilst the name was great.

The lovely Regus have a coworking offering called Spaces and it would be unlike us to be a follower. So in keeping with our bold simplicity we’ve decided to break away from using the name and came up with ‘b.’.

We believe that ‘b.’ typifies our passion, our ethos and our values. At the end we’re all about being different and keeping things simple.

Our goal is to be the publication with the best internal newsletter, within our industry.

A publication that inspires all of us to keep pushing and developing ourselves.

As a company we’re different, we don’t do things the typical way, we do things the BizSpace way.

He has been a great help to both me and an occupier who is trying to have the power to his unit increased. Dan has been the main point of contact between the occupier and Northern Power Grid doing everything he can to help get the power increased within the occupier’s time frame. A big focus in the past year or so has been to increase direct debit mandates. I explained to Jamie that our lease customers are traditionally difficult to get on d/d and that we don’t fight that battle as hard because we can turn the numbers which we want as long as we get everyone else onto the system.

usinesses have been grappling with how to manage their environmental impact since long before the phrases ‘global warming’ & ‘climate change’ became part of everyday language.

Nowadays only the most irresponsible organisations fail to consider the pollution or carbon emissions generated by their activity.

So, what is BizSpace doing to look after the environment?

Well, take a cursory glance around the estate & your answer might be ‘not much’.

But you’d be wrong!

Firstly, consider the fundamental nature of our business.

Much of what we do is about breathing life into old buildings, many of which would offer no alternative use to society & would generate huge environmental cost.

‘Ah’, I here you say, ‘but most of these buildings are inefficient which can’t be good for the environment’.

And you’d be right!

However, we’re putting a massive amount of effort into addressing this challenge. During the last year alone we’ve completed 91 projects, investing almost £3 million on improvements which have a direct, positive impact on our carbon footprint.

These projects include the introduction of LED lighting & passive sensors at 34 different centres, with 20 more sites to be addressed during 2018, reducing electric consumption by 55%. Alongside this 14 centres have benefitted from major investment to their external fabric, where roof or window replacement has provided improved insulation which has significantly reduced energy usage. We’ve also replaced inefficient boilers & heating systems at 12 sites, delivering a positive result for the environment as well as our customers.

Projects such as these have enabled us to significantly reduce our gas & electricity consumption during the last 3 months by 17.7% & 2.3% respectively, which in the case of electricity means a saving of 470,000 kilowatt-hours compared to the same 3-month period last year.

‘Anyone can throw cash at something in order to get a result’, the sceptics might say.

But they’d be wrong!

Improving our green credentials doesn’t just come from spending money. Our maintenance teams are expert at ‘make do & mend’, constantly recycling furniture, wall art &

door locks, all items that would otherwise be thrown away.

We are continually seeking ways to manage waste throughout the estate by introducing more cardboard & food recycling, whilst ensuring our residual waste is incinerated to produce energy instead of going to landfill.

We provide facilities at a number of centres enabling customers to cycle to work (with more planned) & from next spring customers at Basingstoke will have free use of BizBikes during the day for a trip to the shops or just to support their keep fit regime. There is an electric car charging point at Wakefield & we’re currently reviewing options at other sites.

So now you’re thinking ‘BizSpace appears to be doing its bit, but you’ve got no control on what customers get up to’.

And you’d be right!

However, we have a few eco warriors within our spaces with some great stories to tell.

At Brixton we have Green Oil who produce bicycle lubricants made from plants & which biodegrade.

Swindon has 2 businesses who turn unwanted & broken furniture into stylish items for modern homes.

A customer at Chorley gives surplus cardboard tubes to his neighbour who uses them to protect the necks of the guitars he makes. We have companies specialising in loft & cavity wall insulation at Nottingham & Tyseley & a customer at Fieldhouse rescues unwanted items from pubs, that would normally go to landfill, & sells them on-line.

These are just a few examples of environmentally friendly activity taking place at our centres around the country & we have more & more customers aiming to make a positive impact.

Be under no illusion, we still have a way to go & we will be setting ourselves some ambitious targets to further reduce our carbon footprint over the next few years. By next April every centre will have an Energy Performance Certificate with a rating of E or above to ensure we comply with challenging new regulations & many of our 2018 projects will highlight our green credentials. But everyone can contribute & even the smallest actions can make a difference.

Remember, conquering nature is OK, but let’s try to avoid beating it to death.

ver the last few months we’ve been piloting our networking event ‘Let’s do Bizness’. The networking event is aimed at budding entrepreneurs and microbusiness owners. Rather than your typical networking event, our ‘Let’s do Bizness’ aims to move from site to site so that our customers get to meet their neighbours from other BizSpace centres.

Each region will host a networking event every month, this will be a round robin style event. The reason for this, is because each centre has a range of businesses in different industries, giving our customers the opportunity to meet and connect with other individuals. This is one of the many perks of our ‘Let’s do Bizness’ event.

The concept seems to be working at the sites we’ve trialled them at. We are looking to further enhance and refine them between now and the end of the year, readying us for a barnstorming new year. We’re so excited by the potential of ‘Let’s do Bizness’ and can’t wait for a national roll out. These events will form part of our plans to make BizSpace centres business hubs within the community.

By doing so you get right in front of those likely to attend your event. Swapping business cards will also allow you to start building a nice blackbook of contacts for your upcoming event.

Invite customers personally using our postcards or via email for that personal touch, generic mailers can help but the whole point of networking is to build lasting business relationship. Always remember your site is your baby.

ver recent months we have completed our annual 5 year strategic planning process. This entailed a review of our strategy and progress measured against last year’s plan. It entailed a presentation to our major shareholders in early October. This involved work over a 3 month period and many of the Leadership Team contributed to the process. The Strategic Plan was well received and gained continuing support for our plans and for our delivery achieved to date, in spite of heightened caution about the UK’s growth prospects for the next few years.

Our strategy is to build on the existing platform through a series of acquisitions, new build sites and development projects extending our already extensive portfolio of business centres across the UK. We intend to further capitalise on the change in working practices as a result of the increased demand by micro and small businesses for flexibility and simplicity all offered within a community of businesses. The UK continues to see growth in start-ups whilst entrepreneurialism is an increasing career choice which is expected to increase the demand for workspace offered under flexible licence terms.

We currently own 100 properties and are looking to expand the portfolio whilst improving the quality of the existing portfolio through targeted investment.

Our digital strategy should further improve the customer experience, improve business processes and allow us to make better decisions using the data we have more effectively. We have appointed Redleaf Communications to improve our brand profile and you should be seeing more about BizSpace in the press and media as we work on this during 2018.

Property Acquisitions – completions, pipelines and performance We have acquired 4 properties in the last 6 months which includes Poole, Cheadle, Coventry and Bury and there are a large number of identified potential acquisitions in the pipeline which are at various stages of review and assessment.

The acquisitions made to date have been successfully integrated into the existing portfolio and overall trading performance is ahead of the investment plan.

New Site Developments – completions and pipelines We have acquired 2 new site development properties, one in Bristol, acquired in June 2017, which has been fully refurbished and now looks very impressive, and is available for letting from December 2017, and another in Gloucester, acquired in November 2017. One of the two buildings in Gloucester requires refurbishment and is expected to be open in August 2018. In addition, there are several more potential new build projects in the pipeline.

owth Rent Roll (the annualised value of rent payable by all our customers) The Rent Roll was at an all-time high in June 2017 and is marginally lower in October 2017 following a couple of property disposals. November 2017 sales are looking very positive as this piece is being written and we expect Rent Roll to be at an all-time high by year end with the help of recent acquisitions and terrific sales. New sales for the last 6 months are running at a record high. We have experienced a higher number of leavers in recent months, in some cases with some encouragement from us, and this has offset the gain from new sales. However, the rate of leavers is expected to decrease over the next few months.

Cash Collection and Direct Debit The business continues to collect cash quickly, with a low level of problem debt each year. The percentage of customers on direct debit is steadily rising and was at an all-time high in October 2017.

Rate per sq ft Average rate per occupied sq ft of workspace is an important measure and this continues to be a success story; it achieved its highest level in August 2017, being driven by healthy renewal increases and the benefit of acquisitions.

We are pleased with progress in the last 6 months and are looking forward to making further acquisitions, developing new sites and investing in our portfolio throughout to 2018 to benefit our customers, our staff and all our stakeholders.

Occupancy Occupancy has been stable for the last 6 months and, as a result, is a focus for growth for the business as the benefit of the R&M investment across the sites creates workspace of a better quality and also better suited to the needs of our customers, for example smaller units and the newly developed “pods� concept.

Operating Profit We are on target to meet the budget agreed with our shareholders for 2017 which is a result of: (i) all the hard work from our committed Bizspace staff, (ii) increasing the Rent Roll through renewal increases and hitting new sales targets, and (iii) by managing costs across the portfolio effectively.

Wellness Week

As a company we have recognised that staff need as much support as possible in the work place, so we have introduced a long list of wellbeing schemes. In October we had our wellbeing week in head office where each day we introduced a new activity. This included a colouring wall, yoga, mindfulness, massages and personal safety. We had a great response to the activities with many employees, Chris Pryor our Marketing Manager to name names, who made the most of the massage, signing up for three that day‌. We are happy to say Chris and many others are now knot free and as a company we are harnessing the power to increase circulation, boost concentration, increase wellness and decrease stress levels. Together we can make the BizSpace workplace a better environment.

race Coleman, our Marketing & PR Executive, is the focus of this quarters issue #OutofTheOffice. Grace is an avid reader and follower of the litirary world from romantic novels to investigative journalism, her taste is eclectic. We delve a little deeper into her hobby.

What was the name of the first book you read?

Well I’m not sure the Hungry Caterpillar counts, so I would have to say Harry Potter and the Philosopher’s Stone. I remember reading it on a family holiday in Scotland when I was eight years old and I would read it to my cousin before bed. I have been a pretty big Harry Potter fan since and I enjoyed reading all the books from then on.

Let’s talk genre, which is your guilty pleasure?

I have to say I do love a romantic novel, I have read every single Nicholas Sparks book (author of The Notebook) which just shows the soppy side of me. I guess just like most girls I am a sucker for a Disney fairy-tale storyline. However, my main love is psychological/ true crime books, where journalists or psychiatrists analyse a real-life case, picking apart the mindset, life of the killer and the evidence. I guess I just find it fascinating how their upbringing, mentality and lifestyle has made them into who they are and understanding the reason they committed their crime. I have read the books on famous crimes such as Holly Wells and Jessica Chapman, the Moors Murders and Josef Fritzl.

If you could get into the head of an author or literary legend who would be and why?

As a Harry Potter fan, I have to say it J.K Rowling. I think she has such an extraordinary imagination, how she has created a whole new world and brought it to life in her books. Not only that, but she includes so many small details which makes it even more magical (excuse stating the obvious).

What book is in your handbag?

I have just finished reading the ‘Silence of the Lamb’s book by Thomas Harris. The book is just as good as the film, equally as nail biting, the characters are brilliant and I honestly found it hard to put down. Thomas Harris is another author I’d love to ‘get into the head of’ and find out the background story as to why he started writing the Hannibal Lector books.

Dean Koontz, Zadie Smith or Stephen Chbosky?

I would have to say Stephen Chbosky as he wrote the book ‘Perks of being a Wallflower’ which I loved! It is a great read as it is based on a boy who is coming of age and includes so many of today’s cultural problems: the struggle to be accepted and coming to terms with the reality of life and what it throws at you, along with a realisation of what has happened. It really highlights growing up and life in general.

This is how we flow.

veryday the marketing team recieve several requests for artwork and content to help promote BizSpace sites.

What you may not know is the processes that we go through to deal with these requests. Over the next couple of pages, we’ll explore the PR and creative proccesses.

33 b. December 2017

PR flow

Step 1 PR request received Request put into backlog.

Step 2 Gathering key details Call stakeholder to discuss PR request and gather further information.

Step 3 It’s time to write At this stage the press release is written.

Step 4 First draft First draft is then sent to the rest of the marketing team to proof.

Step 5 Time to double check

Sometimes more information is needed from the Centre Manger or better imagery. This will need to be chased via email or phone call. request

Second draft

If additional information, is added a second draft is written and proofed.

Step 7 Contact list created

List of newspaper/press contacts will then need to be gathered.

Step 8 Release the beast

The press release will then be sent in an email to the contacts.

Step 9 Time to pitch This is also followed by a phone call to pitch the press release.

The fun begins

The team has created a number of templates for your benefit.

However, if a template cannot be provided the marketing team will come together and work on creating a piece that is perfect for the request.

Day 3 Making sure we’re on the same page

Before the design process takes shape, we will often contact you to make sure we fully understand your request.

Mock ups and mash ups

We go through a number of concepts and ideas before the final design is agreed upon. There can be many versions before agreeing on ‘the one’.

Once the design is agreed, we then prepare the artwork for print, digital or whatever medium is needed. It can be a painful process at times. But we’ve set a standard that we want to achieve.
