Packages are available to weddings with over 120 guests.

Plated dinners are only available if you have under 200 guests. If you are over 200 guests, we require a buffet dinner.

Packages are “as is”; you cannot remove items to lower the price. If you have customization needs, you will not qualify under a package.

FAQ

Where are you located?

3500 Bishops Dr, Middleton, WI 53562.

Our property sits on the shores of Lake Mendota looking across to the Madison Skyline and Capitol Building.

What is the capacity of the space?

The lakeside pavilion can host up to 300 guests.

Is there parking on site?

Yes, we do have complimentary parking on site. Should a guest need to leave their car over night, we do ask that they retrieve it on Sunday morning.

Do you have bridal suites?

Yes! We have a space for both sides of the wedding party. They are located in our member locker rooms.

Is the tent temperature controlled?

The tent is not temperature controlled.

However, we do open up our tent sides to allow lakeside breeze into the space on warmer days and keep the sides closed on cooler days. Should temperatures be cooler, we do have a heater we can add on to make the space a bit warmer.

What furniture is included?

Both ceremony and reception chairs are provided for the day and set up by BBCC staff. In addition, all guest, gift, dessert and card tables are included. Should you wish to add standing cocktail tables, there is a rental fee.

Does my wedding include a golf round?

Due to board rulings, we, unfortunately, cannot guarantee a round of golf for the wedding party with out a membership.

What time can our vendors start set up?

We only host one wedding a weekend, what that means is that décor can be dropped off on Friday. Saturday, your vendor team can arrive anytime after 11 to start the set up process. Saturday night, the only things we ask you to take with are cards and gifts and any personal items. Sunday come back for décor.

Do couples tend to hire a wedding planner?

We welcome the opportunity to work with all vendors, including wedding planners. If you choose not to use a wedding planner, our expert wedding team has years of experience planning weddings and events of all sizes, and will be able to guide you through the planning process.

Rain is in the forecast, now what?

While rain is never in anyone's plans we do always prepare for that summer afternoon shower. Should rain be in the forecast, we work with you to execute how you would like your ceremony to be. If possible, we can wait the storm out and shift the timeline around. If this is not possible, we would move ceremony to the tent

Do you require special event insurance?

We do not require event insurance. However, you are responsible for any damages caused by your guests.

Package Policies

Confirmations & Payments

A $2,000 deposit, signed agreement and a credit card on file will confirm your wedding at Bishops Bay Country Club. Six months prior to your wedding, a second deposit of $2,000 will be required. Both deposits will be credited to your final invoice. Payment for all known costs is required one week prior to your wedding. Payment is due for any remaining charges at the end of your wedding if choosing to use a different form of payment other than the credit card on file, please inform Events Manager.

Damages

Groups or individuals holding events at the Club agree to be responsible for damages to Club property and for the conduct of their guests and vendors. In the event that an unreasonable amount of cleanup is required after your function, there will be a labor charge of $30 per hour per employee needed to complete the work. Under no circumstances are guests allowed on the putting greens, driving range, golf carts or the golf course.

Cancellations

In the event of a cancellation, all deposits are non-refundable. In addition, if the wedding is cancelled within 30 days of the event date, couples will also be responsible for paying 50% of their expected event costs, including charges for food, beverage and facility fees.

Guarantee

Event attendance must be estimated at the time of the booking. A final guarantee is due to the banquet manager by noon ten(10) days prior to your event. Payment for all known costs is also due at the same time. If your final guarantee of attendance is not received by this time, the expected number of guests on the event contract will be considered the final guarantee. If your attendee count decreases after the final guarantee is submitted, you are obligated to pay for the amount guaranteed. If your attendee count increases after the final guarantee is submitted, we will do our best to accommodate the change but may need to substitute an entrée selection to accommodate your additional guest(s). An additional charge of 25% will be added to all food changes placed after your guaranteed count.

120 guests is the minimum amount to qualify for our packages. If your guest count is under 120 guests, you will be charged for 120 guests regardless of your final count.

Decorations

The hosting party is responsible for bringing and putting up any decorations. Any hanging décor that relies on attaching to the structure of the pavilion must first be approved by the Events Manager. Set up may be done the Friday before the wedding; pick up of items can be the Sunday following the wedding. If there are any exceptions to this, the Events Manager will notify you. Bishops Bay staff is not to be used to help decorate. We will however provide decorating services and/or coordinate rental items for you as an extra charge. Bishops Bay is not responsible for damage to rental items as this will be an additional charge to your event.

All floral, photography and entertainment services are the hosting party’s responsibility. All entertainment must be preapproved by Bishops Bay Country Club before a contract is signed. If they are listed on our recommended vendor list, no pre-approval is required.

Package Policies

Specialty Charges

We will gladly set all food service place settings on the tables; however any additional decoration or table set up is $3.00 per guest.

All food & beverage items are subject to a 22% service fee (gratuity) and Wisconsin Sales Tax of 5.5%.

All credit card transactions will be charged a taxable 3% convenience fee.

Meal Selections

If choice of entrée is offered, you are responsible for identification in the form of color coded place cards or some other method must be provided and pre-approved by the Events Manager no later than ten days prior to your event. Plated meals are only available to weddings with under 200 guests. Over 200 guests we require a buffet dinner.

One Entrée is included with the Package price. $3 per person upcharge for two meal choices, $6 per person upcharge for three meal choices. We limit selections to a maximum of three.

Menu Tastings

Through your package, a menu tasting is included for two people. You can have others join you for your tasting however additional fees for the extra food will apply. Tasting are available Tuesday—Thursday at 5pm and are by appointment only. You will receive three entrée selections & four appetizers. If you have selected a buffet dinner, you’ll select 3 entrées & three side choices from the buffet menu. Any additional items will be charged according to their price on the menu and subject to availability. Alcohol is NOT included in the tasting however can be purchased at current club prices. This includes any signature drinks you are considering.

Food & Alcohol Regulations

Due to Health Department Regulations and Club Policy, food consumed on the premises must be prepared at and by Bishops Bay Country Club. Wedding cakes and desserts are an exception to this. However, the baker must be a licensed business or individual. Health Regulations prevent us from allowing guests to take extra food home. It is Bishops Bay policy that tabled food (including buffet & tabled appetizers) can only be out for a maximum of 2 hours.

No one under the age of twenty one is allowed to consume alcoholic beverages. There are NO exceptions. The Club reserves the right to refuse service to anyone who cannot provide valid proof of age or anyone who appears intoxicated. The Club may refuse service to any person or group of people who, in the opinion of management, poses a threat to themselves or others. Any guests that aggressively speaks to or gets physical with staff will be expelled; no exceptions.

All alcohol consumed on property must be purchased through Bishops Bay Country Club. Bishops Bay Country Club does not allow shots, on the rocks or neat pours of liquor.

Closing Policy

Bar service and all entertainment ends by 11:00pm. There is no exception. All club guests must vacate the premise by 12:00am. One hour is allowed for all entertainment to take down and remove their equipment.

Miscellaneous Notes

No pets are allowed with the exception of service animals. Companion pets are not allowed. You can have your pets participate in your day however they cannot be kept in the clubhouse or the lakeside pavilion. All menu prices are subject to change up to 30 days prior to your event.

The below policies are in addition to the policies listed within the packages. When selecting the A La Cart option, additional policies apply

Minimum Spending & Fees

When choosing the a la cart option, you will have additional fees & a minimum spending requirement on food & beverage in addition to the facility fees.

Weddings May through September—$8,500 food & beverage minimum spending

Weddings October—April—$6,000 food & beverage minimum spending.

If you are holding a ceremony in addition to your reception, a $900.00 ceremony fee applies. Separate ceremony chairs are also required.

Menu Tastings

Menu tastings are available with the a la cart option. There is a $150 charge for a tasting for 2. You can have additional people join however additional fees will apply. Tasting are available Tuesday—Thursday at 5pm and are by appointment only. You will receive three entrée selections & four appetizers. Any additional items will be charged according to their price on the menu and subject to availability. Alcohol is NOT included in the tasting however can be purchased at current club prices. This includes any signature drinks you are considering.

Specialty Charges

If you choose the blank slate option, a $3.00 per guest moving fee will apply.

We will gladly set all food service place settings on the tables; however any additional decoration or table set up is $3.00 per guest. Additional décor services needed from the Events Manager need to be pre-arranged at least 30 days prior to your event.

Bride & Groom rooms are available for $75 per room. Members will still be accessing their lockers in these spaces.

A cake cutting fee of $1.00 per guests will be assessed when applicable.

All food & beverage items are subject to a 22% service fee (gratuity) and Wisconsin Sales Tax of 5.5%.

All credit card transactions will be charged a taxable 3% convenience fee.

If you want additional staff above and beyond what our normal staff par levels are, there is a $40 per person per hour fee. Minimum of 4 hours per staff member.

If you want to rent a dance floor or chandelier, you must go through an approved vendor.

Additional fees could apply based off your needs. Please see Event Manager for specific fees.
