EVENT SPACES
Arrangements for food and beverage can be made with the Events Department at least fourteen (14) calendar days in advance. Food and Beverage Minimum will apply to each space located at the Clubhouse.

BLACK BEAR PUB
Warm, inviting, and full of character, the Black Bear Pub is the perfect spot for a pre-event gathering or an intimate celebration. With its rich wood interiors, vaulted ceilings, and expansive windows, the space offers a cozy lodge feel with scenic views. A polished full-length bar, flexible seating, and unique mountaininspired décor make it ideal for cocktail hours, club socials, or small private events.

CLUB ROOM
Bright and versatile, the Club Room is ideal for small meetings, club activities, or casual gatherings. Large windows bring in natural light and lake views, while comfortable furnishings and flexible layouts make it perfect for games, crafts, workshops, or intimate discussions.

EVENT LAWN
With panoramic views of the mountains and lake, the Event Lawn provides a stunning outdoor setting for outdoor ceremonies, receptions, and social events. The twin staircases add architectural beauty and serve as a perfect spot for memorable photographs.

LOWER PATIO
The Lower Patio offers a spacious, covered outdoor area perfect for casual gatherings, cocktail hours, or as an extension of an event on the lawn. With its wood-paneled ceiling, stone accents, and ceiling fans for comfort, this versatile space provides shade and shelter while still embracing the surrounding mountain and lake views.

BEVERAGE SERVICE
Bartender Staffing Fees
The Property Owner who books the reservation is responsible for the bartender fees of $30.00 per hour per bartender. Bartenders are billed based on the actual hours worked (setup + actual time the bar is open + breakdown), with a five (5) hour minimum. Big Canoe recommends one (1) bartender per fifty (50) guests. Staffing fees apply to Cash/Card bars and/or hosted bars.
Special Orders
Big Canoe will special order alcohol for an event. Special orders must be placed four (4) weeks prior to the event date. Last minute requests cannot be guaranteed. The Host will be charged the full amount of any special order, therefore unused portions of the special order, opened or unopened, will not be refunded nor can they leave the premises.


Payment
The Host must confirm final food and beverage plan no later than three weeks prior to the event. A final guest count is due seven (7) days prior to the event date. Events with final deposits outstanding as of 14 days prior to the event date, are subject to cancellation at the discretion of the Big Canoe Events Director. Final event charges will be invoiced within 5 days of the event date, with payment due within 10 days of receipt.
Prices and product availability are subject to change without notice. Prices are not inclusive of taxes and gratuity. Alcohol sales are available after 12:30 pm on Sundays. Alcohol service ends 30 minutes before the bar closes.
Only guests 21 and up with a valid ID will be serviced alcoholic beverages. During the event, Big Canoe event team reserves the right to refuse alcoholic beverages to an individual that appears intoxicated and or discontinue beverage service should it be deemed necessary. Shots cannot be served during events at Big Canoe.

$200.00 | serves 10 - 15 guests. Additional guests $15 each. Celebrate in style with our customizable Mimosa Bar, featuring chilled bubbly and a variety of fresh, seasonal juices. Guests can mix and match to create their perfect pour, with options such as:
• Fresh-squeezed orange, pineapple, cranberry, and mango juices
• Seasonal fruit garnishes: strawberries, raspberries, citrus wheels, and mint sprigs
• Classic Champagne or non-alcoholic sparkling options available


Bloody Mary Bar
$250.00 | serves 10 - 15 guests. Additional guests $15 each. Start with our house-made Bloody Mary mix, crafted with ripe tomatoes, zesty spices, and just the right kick. Then head to the garnish station—stack it high or keep it classic. Choose from:
• Fresh celery, pickles, olives, and lemon wedges
• Crispy bacon, shrimp skewers, pepperoncini, and cheese cubes
• Hot sauces, infused vodkas, seasoned salts, and more
Cash/Credit Card Bar - Individual drinks purchased by guests at the bar.
Table Side Wine Service - Additional $5.00 per person + package price.

CATERING WITHIN THE CLUBHOUSE
Big Canoe provides all food and beverages for events at the Clubhouse at Lake Sconti. No outside food or beverages are allowed except for wedding cakes and speciality desserts. All buffets, stations and displays are served for 120 minutes. Due to health regulations, left overs may not be removed from the property. Our menus are designed to offer you a selection of quality items, however, if you prefer to offer your guests something outside of these menus, our award-winning chef is happy to personalize a menu for you and your guests.
FOOD & BEVERAGE MINIMUM MENU PLANNING & TASTINGS
The Host agrees to meet a minimum food and beverage spend. In the event that the Food and Beverage minimum is not met, the client agrees to pay the difference between the actual amount spent and the minimum required.
SPECIALTY CAKES & ITEMS
Wedding and specialty cakes may be brought in at no additional charge. A cake cutting fee of $2,00 per person will apply.

BEVERAGE SERVICE GUIDELINES
Our menus are seasonal and are subject to change without notice. Pricing is guaranteed for 60 days except when noted. Menu “tastings” are held Tuesday through Thursday between the hours of 1pm and 4pm and on Saturday between 1pm and 3 pm by appointment. Tastings are for up to four (4) people. Additional guests will be charged to your lot number or deducted from your deposit, whichever applies. Tastings are not held on Friday or Saturday evenings, or on Sunday. All tastings must be scheduled at least one week in advance.
MENU SELECTIONS

Big Canoe, holds a Georgia Liquor License and provides top quality beverages and is responsible for the sale and service of all alcoholic beverages in compliance with state, county, and city laws and regulations. Due to these licensing regulations, no outside beverages may be brought into the property.
Only guests 21 and up with a valid ID will be serviced alcoholic beverages. During the event, Big Canoe event team reserves the right to refuse alcoholic beverages to an individual that appears intoxicated and or discontinue beverage service should it be deemed necessary. Under no circumstances is anyone allowed to leave the event venue with alcoholic beverages. Shots cannot be served during events at Big Canoe.
LINEN, CHINA, DECOR, & FAVORS
Big Canoe is pleased to provide traditional glassware, silver chafing dishes, flatware, and white banquet china. Specialty linens and serving items may be available to be rented for an additional fee. Wedding favors, place cards, centerpieces, floral, and all other decorations are the sole responsibility of the event host unless contracted through the Big Canoe Event Department. All décor must be confined to the specific room(s) reserved for your function and must be limited to tabletop or free standing displays that do not require fixation to ceilings, walls, or furniture. VENDORS & OUTSIDE SERVICES
as the guarantee. Clients will be charged for the guaranteed number or the actual number of attendees, whichever is greater. Event hosts are encouraged to employ the services of outside event vendors including coordinators, florists, bakers, DJs and/or bands, photographers, specialty linen providers, event design/lighting professionals, and transportation service providers. Big Canoe is happy to coordinate any and all of these services for the event host upon request. A list of recommended vendors can be provided upon request. All amplification of music must be confined to the specific room assigned to the event. Outside amplification must be concluded
CANCELLATION CLAUSE
If the Host desires to cancel the Event, you may notify The Big Canoe Event Director in writing of your desire to cancel your Event. If Big Canoe receives and accepts notice of your cancellation in the time period in the chart set forth below then you will receive a 100% refund of the security damage deposit in addition to a refund of Deposits paid minus the following amounts in the chart set forth below, amounts will be retained as liquidated damages by Big Canoe to compensate Big Canoe for the time and expense associated with the Event:

PRIVATE EVENTS GUIDELINES
Our mission is to deliver beautiful, well-executed events in a mountain setting like no other— supported by exceptional service and clear expectations. The following terms help ensure your event runs smoothly, safely, and memorably.
CONTRACTING DETAILS
Venue pricing includes use of space for a specified time-frame; catering,décor, beverage services, etc. are priced additionally. A rental reservation is considered confirmed and binding after the date, time, guest count and location are agreed upon and the following have been received by the Event Department:
• Signed rental agreement
• Non-refundable rental deposit
• Refundable security/damage deposit
SERVICE CHARGE AND TAXES
All room rental, food and beverage service, and enhancements are subject to a 24% service charge,in addition to applicable sales tax. It helps cover essential operational costs such as credit card fees, labor, administrative support, equipment maintenance, and other behind-the-scenes services that contribute to the success of your event. Additional tipping is entirely optional and at your discretion.
Additionally 7% sales tax, and 3% liquor excise tax will be added to the cost of all food, beverage, and other taxable services including the service charge.
VENUE RESTRICTION AND EXCLUSIVITY
Contracts are written for a set amount of time and exclusive use of specific spaces within Big Canoe. Big Canoe reserves the right to book multiple events simultaneously.
INSURANCE
The Host shall provide a Certificate of Insurance providing general liability coverage for the event in the amount of $1,000,000 (bodily injury/property damage), which shall name Big Canoe as an additional insured for the duration of the event.
LIMITATION OF LIABILITY
The Host agrees to indemnify and hold harmless the Association, its officers, directors, employees, agents, and members, present, past, and future, from any and all charges, claims, costs, causes of action, damages and liabilities (including but not limited to attorneys fees) for any and all injuries, to either person or property, suffered by me, my family members, employees, agents, servants, guests, invitees, any member of the Association or any other person which arise from or are in any way related to the above Function, activity, rental, or use of the Facility.
GUEST GUARANTEE
selections are not received 30 days prior, Big Canoe has the option to select the menu options according to budgeted amounts. The guaranteed number of guests is due to the Event Director seven (7) days prior to the event. After the final number has been confirmed, this number can increase by 10%, but can not decrease. If Big Canoe Event Department does not receive a guarantee by the deadline, the number of guests indicated in your signed contact will serve
OUTDOOR EVENTS
If your event is scheduled for an outdoor venue and there is a threat of inclement weather, the decision to move the function to the inclement weather venue must be made at least five hours prior to the event start time. If you are unable to be reached for that decision, Big Canoe will make the final event venue determination.
SECURITY
by 10:00 pm. The sound decibel may not be greater than 60 decibels 50 ft from the source of the sound.
Big Canoe assumes no responsibility for items brought into any Big Canoe Facility. Any Facility property damaged or removed from the building or surrounding areas becomes the responsibility of the event host. The Big Canoe Entrance Gates are staffed Monday through Sunday.
The Host further understands that any guest or vendor not delineated on the aforementioned list may be substantially delayed in entering the premises or may be denied entry. The Host assumes all responsibility for ensuring that, during the Function, the number of individuals does not exceed the listed capacity for the Facility.
BIG CANOE FRONT GATE
If you have vendors or outside guests for your event you are responsible for submitting them to the Gate or entering them into dwellingLive.
LOGO & PHOTO USAGE PERMISSION
Big Canoe’s logos and photos are for the sole and exclusive use of Big Canoe POA. Upon special permission the logo and/or photos may be used on brochures promoting events held at Big Canoe. All usage must be approved prior to printing by the Big Canoe Marketing Department. Under no circumstances are the logo and/or photos to be used as an implication of sponsorship or endorsement by Big Canoe. Usage of the logo and/or pictures without permission is subject to legal action.
GUEST CONDUCT
The Host assumes all responsibility for the actions and behavior of all persons present at, attending, or in any other way related to the Function and agree to be personally responsible for causing all such persons to comply with the Association's Declaration, By-Laws, and all Rules and Regulations related to the use of the Facility, parking lots and roads within the Big Canoe community.
SMOKING
Big Canoe Clubhouse is a nonsmoking and non-tobacco venue. Smoking and tobacco use (including vaping) is NOT permitted anywhere in the buildings. Smoking is permitted only in designated outdoor areas. This policy is strictly enforced and violation of this policy will result in the loss of Security/ Damage Deposit.

Being a Big Canoe Property Owner means more than just owning property — it’s about being part of a close-knit mountain community where nature, hospitality, and connection thrive. As a way of celebrating our property owners, current property owners enjoy discounted room rental rates (as listed in the chart on the following page) for events they host. Even better, there’s no food and beverage minimum required, giving you the flexibility to plan gatherings that reflect your personal style and vision.
Property Owners are responsible for covering any costs associated with their meeting or event, which may include—but aren’t limited to—food and beverage, staffing fees, linen rentals, housekeeping, security, and IT or A/V support.
