ENROLLMENT, FEES, AND REFUND POLICY

Fees

All requests for refunds must be made in writing (email accepted). Refund of fees will only be given if requested at least 72-hours before the first scheduled class meeting. There is a $25 service fee for cancellations. No refunds will be granted after class start date. A complete refund (no processing fee) will be made if AAE cancels a class. Please carefully choose your classes.

All Guests 18 years of age or older may enroll in adult education classes with no residency restrictions.

Fees are based on a minimum number of enrolled Guests. Fee-based classes may be canceled, hours reduced, or fees increased if minimum enrollments are not achieved. No discount is given for classes missed for any reason.

Cash; Check; or, Credit Card (American Express, Discover, MasterCard, or Visa).

A bank fee applies on all returned checks.

Due to the fluid nature of unforeseen events (ex. pandemic) and/or natural disasters, an extenuating circumstances refund policy may apply for course refunds.

Automatic refunds (no processing fee) will be processed by AAE if a class is canceled due to the unforeseen event and/or natural disaster.

If a class is postponed due to the unforeseen event and/or natural disaster, and you are unable to attend the postponed class as scheduled, a full refund (no processing fee) will be granted provided Guests notify the AAE office within 72-hours of class postponement announcement.

If the class instructional platform is changed due to the unforeseen event and/or natural disaster (ex. face-to-face changed to online/distance learning, etc.) and a Guest has already attended the initial class instruction, but now wishes to cancel the class due to the change of instructional platform, a prorated refund will be issued and a $25 service fee will be applied.

Acalanes Adult Education does not permit the formal or informal auditing of classes. All Guests attending courses must be officially registered for the course(s) and pay the associated fees.

This policy ensures equitable access to educational resources, maintains accurate enrollment records, and protects the integrity of our academic program. It also ensures that all Guests benefiting from instructional resources contribute appropriately to their cost.

No exceptions to this policy will be granted.

Any individual found to be attending a class without official registration will be asked to leave the classroom. Instructors are empowered to enforce this policy in their classrooms.

Acalanes Adult Education Guests at the Del Valle Education Center

GENERAL EXPECTATIONS

Acalanes Adult Education Guests are expected to maintain a professional and respectful demeanor at all times. As role models for minor students, adult learners should uphold the highest standards of conduct, both inside and outside the classroom.

CAMPUS ACCESS

RESTRICTED AREAS

To ensure the safety and well-being of all Guests and students, Acalanes Adult Education Guests will have limited access to certain areas of the campus These restricted areas include, but are not limited to:

200-wing/High School Classrooms during school hours: Unless specifically enrolled in a class held in a high school classroom, Acalanes Adult Education Guests are not permitted in these areas during the high school's instructional day.

Designated High School Student Common Areas: Areas such as high school student lounges, or specific courtyards during high school lunch breaks or passing periods may be restricted to minimize interaction between adult and minor students. Fire Lanes and Restricted Access Areas: Access to designated fire lanes, such as those behind the 100, 200, and 300 wings, is strictly prohibited for parking or loitering at all times. These areas are for emergency use only.

PERMITTED AREAS

Acalanes Adult Education Guests are generally permitted access to:

Designated Adult Education Classrooms and Offices: These areas are specifically for adult learning programs.

On the Hill Cafe: Located in the 100 wing and available only during specific, designated hours for Acalanes Adult Education Guests. General Campus Pathways and Grounds: For transit to and from adult education facilities. Unnecessary loitering should be avoided, except when essential for transit.

CODE OF CONDUCT

INTERACTION WITH MINOR STUDENTS

Direct interaction with minor students should be kept to a minimum and always be appropriate and civil.

Avoid Unnecessary Contact: Acalanes Adult Education Guests should refrain from initiating conversations or contact with minor students unless it is in the context of an approved educational activity or an emergency.

Civility Boundaries: Maintain clear civil and respectful boundaries with all minor students. Do not offer rides, exchange personal contact information, or engage in any behavior that could be perceived as inappropriate.

Reporting Concerns: Any concerns regarding inappropriate behavior involving minor students, whether by other adults or minors, should be immediately reported to campus administration.

PARKING AND TRANSPORTATION

Acalanes Adult Education Guests should use designated parking areas. Loitering in parking lots, especially those used by high school students, is prohibited.

PROHIBITED SUBSTANCES

The possession, use, distribution, or sale of the following substances is strictly prohibited on campus property and at all institution-sponsored events:

Tobacco Products: This includes, but is not limited to, cigarettes, cigars, pipes, smokeless tobacco (chewing tobacco, snuff), electronic cigarettes (vapes), and all associated paraphernalia.

Illegal Drugs and Controlled Substances: Any substance whose possession or use is prohibited by federal, state, or local law. This includes, but is not limited to, marijuana (even if permitted for recreational use under state law, it is prohibited under this policy due to federal laws and institutional mandate), cocaine, heroin, methamphetamine, and synthetic cannabinoids.

Alcohol: The consumption, possession, or distribution of alcoholic beverages is prohibited.

Unauthorized Prescription or Over-the-Counter Medication: The misuse, sale, or distribution of prescription or over-the-counter medication is prohibited. Guests, faculty, and staff are expected to use prescribed medication only as directed by a licensed medical professional.

Paraphernalia: The possession of drug paraphernalia (e.g., bongs, pipes, syringes not for medical use) is prohibited.

Respect for Shared Spaces: Acalanes Adult Education Guests are expected to treat all shared campus facilities, including restrooms, with respect and keep them clean.

Technology Use: Adherence to the campus's acceptable use policy for all technology resources is required. This includes responsible internet usage and respect for privacy.

CAMPUS SAFETY AND SECURITY

Identification: Acalanes Adult Education Guests may be required to wear identification badges while on campus.

Emergency Procedures: Familiarize yourself with campus emergency procedures, including evacuation routes and lockdown protocols

Reporting Suspicious Activity: Immediately report any suspicious individuals or activities to campus administration.

VIOLATIONS OF RULES AND REGULATIONS

Failure to adhere to these rules and regulations may result in disciplinary action, up to and including removal from the adult education program and ban from campus

Open enrollment testing for the English Language Learner (ELL) program is conducted on a daily basis to accommodate the diverse schedules of prospective Guests This ongoing availability ensures that families can initiate the assessment process without lengthy delays, facilitating a smoother transition into academic support

To participate in these testing sessions, interested Guests are required to communicate directly with the office staff The office personnel are responsible for scheduling appointments, providing detailed information about the testing process, and addressing any questions or concerns that Guests may have It is essential for Guests to engage with the office staff to ensure proper registration and to receive specific instructions regarding the location, time, and necessary enrollment information for the ELL program This direct communication helps in tailoring the testing experience to individual needs and ensures that all logistical arrangements are handled efficiently
