Ashoka Arab World Terms of Reference (TOR) Project Officer Background: Ashoka is a global association of the world’s leading social entrepreneurs – men and women with system changing solutions for the world’s most urgent social problems. Social entrepreneurs are individuals with innovative solutions to society’s most pressing social problems. From its Regional Office in Cairo Ashoka Arab World creates a competitive, entrepreneurial, and globally integrated citizen sector and develops the profession of social entrepreneurship. Ashoka currently works with 80+ Ashoka Fellows located in Egypt, Jordan, Lebanon, Morocco, Palestine, Tunis, Libya, UAE, Kuwait and Saudi Arabia. Position Title: Reports To:

Employment: Working days:

Full time Sunday through Thursday (unless assigned to attend on weekends fulfilling work requirements). From 09:00 AM to 05:00 PM (unless assigned to stay later fulfilling works requirements).

DISTINGUISHING CHARACTERISTICS: The Project Officer helps the PM in overseeing the entire operation. Will help PM in managing day to day activities and is responsible for working with all teams to ensure efficient and timely implementation of project activities.

Assist Project Manager (PM) in day-to-day management of project activities. Work closely with teams to ensure efficient and timely implementation of activities. Assist in preparing annual work plans. Assist in developing implementation of strategies, in collaboration with the PM and relevant teams, to improve the availability, quality and utilization of project services among stakeholders. 1

reports as required for submission to the Regional Director for ongoing project implementation. Ensure adherence to controls and procedures in management of project resources. Perform word processing of reports and documents. Composes and types routine correspondance (lettres, faxes, memos, e-mail, etc.). Translate minor documents from Arabic to English and from English to Arabic. Prepare presentations as requested/guided by Project Manager & Team Members Maintain the filing system for the assigned team including organizing the system and daily filing. Compile, store, and retrieve team operations’ data, using computer. Coordinate meetings, type agendas, record, type and distribute minutes of meetings. Assist in the planning, preparation and implementation of workshops and training sessions. Provide secretarial support for workshops, training sessions and other team events taking place in Cairo or outside of Cairo. May assist in preparation of budget needs and periodic reports of his/her team. Follow-up with Administrator on Team travel arrangements. Follow-up with the Finance Department on payment requests and other financial matters related to the team. Other relevant duties as required.

Qualifications: Education: University Degree Skills:  Ability to work independently with minimal supervision.  Ability to work well with all levels of internal management and staff, as well as outside counterparts in a fast paced environment, sometimes under pressure, while remaining flexible, proactive and resourceful.  Ability to work under stress with flexible working hours  Ability to effectively and efficiently handle multiple, simultaneous and complex tasks and projects with high attention to details.  Ability to organize, prioritize and schedule work assignments  Knowledge of MS Office, including Word, Excel, PowerPoint and Outlook.  Advanced verbal and written communication skills in both English and Arabic languages Language:  Fluency in written and spoken English.  Proficiency in written and spoken Arabic.

At least three years of professional experience in the development field. Experience working in street children and/or education programming will be an asset. Experience working in international organizations will be an asset.

Work Conditions  We work normal office hours (9 a.m. until 5 p.m., five days a week) 50-60% of the time.  We work until 6 or 7 p.m. at least 20 % of the time.  During major events, we work until 8 or 9 p.m. (25 % of the time)  Sometimes, we work during holidays, if necessary.
