MOTIVATION
Dear IFMSA and Blue Family,
When I was a child, my dreams were vast and varied. I imagined myself as an astronaut exploring the stars, a writer weaving tales of wonder, and even a scientist uncovering the mysteries of the universe. But, like many young girls in my country, I eventually settled on a more practical answer when asked what I wanted to be when I grew up: a doctor. It was a response that felt almost automatic, shaped by societal expectations and the dreams of those around me. As fate would have it, I am indeed on the path to becoming a doctor, and I have never regretted this journey. However, it wasn't always easy to embrace this path wholeheartedly.
In the early days of my medical studies, I often felt overwhelmed and uncertain. But then, something happened which took a turn. I joined BMSS Bangladesh as a Local Committee Associate and began working as the LEO Assist It was through this role that I discovered a world that would change my life forever the world of exchanges The more I delved into SCOPE, the more passionate I became about its mission and the profound impact it could have on individuals and communities I wanted to share this incredible experience with as many people as possible

I started organizing workshops on various exchange topics, such as SCOPE 101, Academic Quality in Exchanges, Intercultural Learning within Exchanges, Conflict Management & Problem-Solving within Exchanges, Sustainability within Exchanges, and Ethics within Exchanges These initiatives fueled my belief in the power of exchanges to bring about positive change and inspired me to continue my journey as the Local Exchange Officer the following term "Exchanges Week 2023" was one of those moments that solidified my vision and reassured me that I was on the right path This was just the beginning of a greater journey that I was yet to fully comprehend
While working at the local and national levels in my NMO, I encountered IFMSA and was captivated by the opportunities and diversity it offered Attending RM and GA confirmed that SCOPE was where I truly belonged The knowledge and experiences I gained from these IFMSA meetings expanded my perspective and deepened my commitment to the Exchange Community Meeting incredible individuals like Smartie and other dedicated souls who were building the Exchange Community made me feel at home I realized that this was the cause I had been searching for, and I was ready to dedicate myself to it wholeheartedly as the SCOPE RA AP
Serving as the SCOPE Regional Assistant for Asia Pacific this term has been the most rewarding experience of my life Being part of the SCOPE International Team and Regional Team inspired me to take the next step and apply for the position of SCOPE Director It's not an easy thing to dream, and when you do, there is a reason For me, the reason is my own blue family Personally, I never would have considered it if my closest people didn't think I was worthy of it But they do they encouraged me, cheered for me, and I can't let them down
There has been a few firsts this term that I had the privilege to accomplish along with my dear SCORE Buddy, the SCORE RA AP Abhishek. We managed to do the first ever AP NEO NORE Training Camp, ended up having an APEx with 300+ members from all across the

regions and the most heartwarming of it all? The first ever TNET in our beloved AP, also the first ever outside GA This TNET in Pre APRM wasn’t an easy task to do but as they say, when you want something wholeheartedly, things do end up in your favor The wholesome feedback from the participants made it all worth it We made history together and this is just the beginning
Starting from the most eventful times before GAs to achieving voting rights to celebrating together after achieving the 100% of it is definitely one of the most thrilling experiences one can ever have I never knew the people whom I saw on screen only could become a family, a dear one, with whom when I finally met in person could make me feel like maybe everything does happen for a reason Everything needed to be as it is to come to where I am now But this can’t be the end of it just yet I do believe there is a lot to do for the people, the ones who dedicate their time and energy behind a cause that we all believe in Exchanges do transform lives, we do keep our visions high because deep down we know the structured exchange program and everything behind it to maintain its quality is something we all wish to cherish We do believe in the 9 steps of AQ, we know we are doing it for the people when we start tackling the late CAs, the database issues This belief led me to try my best to host incomings in my NMO for the first time because it was thought to be almost impossible before Now I dream of implementing SCOPE Initiatives in my NMO as well Once you start realizing the magic of the SCOPE, you cannot stop This motivation letter might not be able to convey the whole emotions that I feel for this standing committee, but I will always be grateful to the people whom I got to meet through this beloved Standing Committee who made me a better leader, a better person I focused on my region this term, and got a perspective of it But to reach the bigger goal, I need to think of the bigger picture, all the 5 regions. The position of SCOPE D will provide me just that. I am well aware of the responsibilities that are expected of me but considering my academic pressure next term and my capability to handle things, I took the decision to stand before you as a candidate for the SCOPE D. This step itself makes me proud of my growth from last year. Totini of 2 years back wouldn’t have thought of this but now she can. And she stands proudly before you all, hoping to earn your faith and the opportunity to serve you.
Inspired by IFMSA's vision and driven by my own experiences, I genuinely and humbly believe that I can contribute to the growth and success of my organization and Standing Committee in my role as the SCOPE Director for the upcoming term. In my capacity as a TO, I will leverage my organizational and management skills, meticulous attention to detail, and my ability to offer guidance and support in Exchange-related discussions and challenges in my beloved region. I am confident that my leadership background and unwavering commitment to IFMSA's values make me a fitting candidate for this role

PLAN OF ACTION
This Plan of Action is based on SCOPE Regulations and SCOPE Strategy 2022-25, AM23 and MM24 NEO Report Analysis and Baseline Assessment following IFMSA Strategy and Bylaws. My Action Plan consists of the following:
SCOPE INTERNAL WORK: Preparing the ground for the term
Powerpact beginning-The Handover:
To ensure a proper reception (and subsequently, a proper delivery) of handover, I would like to work on the following-
● Creating a personal checklist for the handover process, including feedback, questions about responsibilities, and tips and tricks for preparing for the upcoming term.
● Coordinating the handover for the incoming SCOPE IT and developing handover skills among SCOPE IT members

● Facilitate the connection between the new and former IT members during the SCOPE IT handover to provide better insights into the IT environment and allow space for addressing queries
SCOPE IT Working Framework:
● SCOPE IT Framework from the previous term will be evaluated and formulated.
● Creating a checklist of ongoing projects or tasks that need to be continued into the 2024-25 term, along with establishing a realistic timeline to complete them
● Collect recommendations and feedback from the outgoing SCOPE D and SCOPE IT regarding pending tasks, administration, and other aspects of SCOPE, and incorporate them in a practical and realistic manner
● Curating the following timelines and tracking sheets upon suggestions by the SCOPE Strategy SWG, for the implementation of the strategy:
○ Main timeline and tracking sheet to be used as a guiding document for the terms 2022-25
○ Specific timeline and tracking sheet for the term 2024-25 that would be adopted by the SCOPE IT and incorporated in their AWP
○ Creating a strong plan to actively promote the strategy among NEOs, SCOPEnguins, and IFMSA members
○ Towards the end of the term, work on the implementation of the SCOPE Strategy depending on the progress, monitoring and evaluation of the strategy, followed by passing down recommendations to the SCOPE IT 2025-26
Internal Work Regulation and Mental Health:

Application Form - TO 2024/25
● A video will be created at the beginning of the term with the IT stating why they started this journey to overcome the overwhelming feeling at different phases of the term
● With SCOPE GA, continuation of the regular mental health watch of the team, self-reflection and team reflection meetings
● By November 2024, the SCOPE IT 24/25 AWP will be built on the SCOPE Strategic Plan 2022-2025, GHF, SCOPE IT 23/24 AWP, results of previous NEO Report Analysis and Baseline Assessment Analysis, SCOPE initiatives, and recommendations from the previous SCOPE ITs
● The internal work of the SCOPE IT will be aligned with the external work of SCOPE with the help of the LSR and SCOPE EAA
● Take a set of preventive measures to avoid mental breakdown and burnout, by encouraging work-life balance, setting realistic deadlines, a supportive communication environment, etc
● Create a dedicated space for casual conversations, sharing memes, and fun activities. This can be a place where members unwind and connect on a personal level
● Organize interactive feedback sessions every two months where the SCOPE IT can openly discuss their workload and mental health in a safe environment Include icebreakers and team-building activities to make these sessions more engaging.

● Something old, something new-SCOPE IT Structure and the way forward:
● Explore the possibility of continuous soft skills development of the IT throughout the term in monthly IT OLMs. A separate agenda point based on the capacity building can be dedicated in the first 30 minutes of the OLM
● I plan to continue the existing IT structure, ensuring proper handovers and prioritizing motivated, capable members with regional and gender representation for sustainability and credibility
Sustainability: Securing SCOPEnguins' Legacy, Avoiding Extinction like Dinosaur
Empowering NEOs:
In the journey to connect with SCOPEnguins locally, I've discovered that the real heart of our mission lies in nurturing deep relationships with NEOs. For this, I would like to:
● Form NEO Competency Model and explore the possibility of organizing it twice the term keeping in mind the different timelines of NEOs’ terms
● Encourage inter-NMO collaborations through the NEOs worldwide group.
● Create a tracking sheet for the NEOs to check whether they have gone through the existing resources in the NEO Folder which is to be moderated by the RAs
● Encourage a healthy competition among the regions by offering a special shoutout on social media for the first region to achieve maximum VR for both GAs.
● Along with NEO reports and baseline assessment, a poll to be opened during the beginning of the term in the regional groups for voting on the much needed resources in the NEO/LEO folder that is to be added or updated.

SCOPE Alumni-the Cameo we all appreciate:

● Establishing a consulting board comprising SCOPE Alumni, including former SCOPE IT members
● Make an internal database of SCOPE Alumni to constantly keep in touch with the ongoing activities
● Engage Alumni in providing their expertise to members in the form of the following, including but not limited to:
○ Training in workshops as external trainers
○ Mentoring sessions
SCOPE Strategic Plan 2025-2028:
Along with GA, creation of the SWG for the SCOPE Strategic Plan 2025-2028 at the beginning of the term.
○ Opening the call for having members from both SCOPE IT and general members having motivation for SCOPE and exchanges
○ Keeping in mind the regional diversity to better cater to the needs of each region.

● Creation of an operational plan for SCOPE Strategy for the Evaluation of Strategy 2022-2025
NEO Report:
● Continuation of the minimum number of questions possible and open questions to be limited for each section
● All questions (excluding identification) should have a specific outcome and action point, with an analysis of the actions taken to be shared within six months
● All the data collected by the NEO Report should be analyzed and shared with the NEOs and the conditions that did not change drastically from one GA to another should only be included in one of the GAs’ NEO Report.
● With RAs, work with NEOs to incorporate Global Surgery topics into their national CB efforts. Provide materials and support for these initiatives, targeting 20% NEOs to report inclusion of these topics in the NEO report to adhere to the SCOPE Strategic plan 2022-2025
● Include a specific question on national and local CB efforts on UHC in every NEO report. Offer guidance and support for NEOs to effectively address UHC in their activities
Resources:
● Going through all the resources along with the SCOPE IT, list down the short term and long term impact of it and update accordingly

Application Form - TO 2024/25
● Work with SCORE IT on creating a new LEO Handover Manual, updating and enriching the current NEO Handover Manual, and promoting their usage among the LEOs and NEOs by May 2024.
The nightmare of Late CA:
● For the Late CAs along with SCOPE RAs, develop a long-term action plan aiming to greatly decrease the amount of Late CAs, that is:
○ Reminders on the Server and WhatsApp group 2 weeks and subsequently 1 week before deadline to send the CAs for each month of the season
● Continue with the General NEOs Working Calendar to centralize all the important deadlines and opportunities for a better management of the term.
● Constantly reminding the NEOs of the penalties of late CAs according to the regulation 10 3 3 2
Activation & Active Status:
● Support RAs to proactively reach out and activate the SCOPE inactive NMOs
● Develop comprehensive "Welcome to SCOPE" materials for newly activated NMOS, facilitating their quick integration into SCOPE.

● Support NMOs in maintaining active status & conduct a thorough analysis to identify the underlying causes of inactivity and loss of active status, and implement targeted strategies to overcome these challenges effectively.
Monitoring growth:
● To keep in track whether the newly activated NMO is getting their VRs and actively participating in the activities.
● Ensure a moderate number of questions for the Baseline assessment for the NMOs
Transparency:
● Thoroughly following up on IT AWPs, sharing progress, and ensuring transparency for accountable outcomes
● Periodic reporting on all SWGs progress, as well as the SCOPE strategy progress
● Continue to share meeting minutes of the SCOPE IT OLMs.
● Institutional memory maintenance and data sharing through well-documented SCOPE sessions in GAs and RMs
Database:
● Creating a group consisting of SCOPE D, DBMA, RAs and the NEOs to discuss the database issues This might help others using the relevant information
● Ensure the capacity building database is updated at least once each term to maintain current and relevant information.
● Collaborate with the EB and SCORE Director to update the database, focusing on resolving key malfunctions for regular use and user-friendliness

SCOPE Regulation:
Application Form - TO 2024/25
● Assigning SCOPE IT members each portion for revising regulations, updating RCPs, and aligning SCOPE Terms and Conditions with the latest improvements and updates to ensure compliance with regulations for exchange students
● Maintain the reporting mechanism within the IT to document any instances not covered by SCOPE Regulations, and propose appropriate RCPs for them Conduct regular discussions among the IT members regarding SCOPE Regulations to ensure clarity and compliance
Budget:
● Promote through the RAs to plan an OSD for the NEOs on the SCOPE Budget Plan and a budget analysis (and revision) before AM voting rights procedures and contracts fair
● Work together with the VPF Support Team on the creation of a session on Finances in Exchanges
● By August 2025, conduct at least two sessions about IFMSA financial opportunities, such as Rex Crossley Awards and grants, in an international context.

● Collaborate with the VPF and Support Team to integrate financial planning and fundraising into SCOPE agendas, ensuring at least one session on budget management for NMOs at each GA and RM by August 2025.
Greener Exchanges:
● Encourage NMOs to organize activities on environmental impact and greener exchanges, aiming for at least three NMOs to implement these by June 2026, by providing resources, support, and emphasizing their importance through campaigns and discussions
● Strongly promote only E-Posters for Exchange Fairs
● Encourage NEOs to initiate and organize GH and Global Surgery advocacy activities at local and national levels
Accessibility: Let's Showcase Our SCOPEtacular Offerings to the World!
SCOPE Initiatives: with LSR, GA and RAs:
● Identifying the unintentional SCOPE initiatives carried out by NMOs and ensuring they are informed about the correct legal processes to formalize these activities Many NMOs unknowingly conduct these initiatives outside the formal guidelines, even though they are essentially the same as the approved methods This is to make the NEOs aware of the proper legal channels to legitimize their efforts.
● Together with the LSR, continue the work on IFMSA-IADS implementation to have all 6 of the SCOPE Initiatives updated
● Continued promotion of the SCOPE Initiatives Manual.

PHEx: With SCOPE GA, DBMA, SCOPH Director and SCOPH General Assistant for Exchanges:
● Keep track of progress on all 53 PHEx projects through regular follow-ups
● Update the PHEx Handbook to the adopted official IFMSA corporate brand
● Plan five engaging activities by August 2025 on all platforms to explain PHEx duration, criteria, and benefits for long-term sustainability by using webinars, online sessions, infographics and visual campaigns, Case Studies and Success Stories
Visa Issues:
The MM24 NEO Report Analysis shows in all regions, the external problems including not being able to attend GAs and RMs are related to visa issues Hence, these are my action points to combat it:
● Include visa issues in ShIC spaces on External Affairs and during GAs, RMs and in an online setting so the NEOs can have more tools to reduce the VISA Issues within their NMOs

● Collaborate with RAs to ensure timely and properly formatted Invitation Letters for NEOs, while also working together to reduce late CAs through monitoring and support
● Actively promote the IFMSA Support Letter Request Form which provides timely and accurate support letters which may help mitigate visa rejection risks by demonstrating organized and official support for the members' participation in international meetings. This documentation aids visa officers in understanding the purpose and legitimacy of the trip, potentially increasing the likelihood of visa approval
Social Media and SCOPE Campaigns:
Despite having abundant resources, I've identified a need for stronger promotion Here's how I plan to address this:
● I will organize quarterly live sessions in the SCOPE Facebook Group to engage Exchange Enthusiasts and promote our resources effectively
● I intend to review insights shared by SCOPE IT and the SWG regarding our SCOPE Strategy and draft a comprehensive social media strategy
● Ensure that the campaigns are decided during the beginning of the term upon a baseline assessment and exploring different engagement and evaluation methodologies.
● Explore the possibility of collaborating with existing external partners with the help of the LSR to learn from their social media strategy and campaign methodologies
Travel Agency Vs SCOPE: Breaking the age old debate with Academic Quality and Capacity Building

Regional Initiatives:
Ongoing: Promote the implementation of PRETs in all regions, propose TNETs for Pre-RMs, and establish NEO-NORE/LEO-LORE Weekends to increase knowledge and collaboration If it’s not feasible to do it physically, online is much appreciated.
GAs and RMs:
● Include a series of preparatory sessions called 'Road to SCOPE Sessions' before each GA/RM, which would include Introduction to SCOPE as well as discussion of the agenda, relevant RCPs, and other relevant basic sessions
● Preparatory sessions for Exchanges Fair in order to have smooth conduction of the fairs Promoting the greener exchanges there
● Preparing and supervising the preparation of SCOPE Sessions Agendas, keeping in mind the IFMSA priorities and the current Exchange scenarios globally/regionally
● Selecting well-balanced sessions teams on the basis of gender, levels of experience regional (sub-regional for RMs) and promoting peer-to-peer learning within the sessions team
● Being open to feedback from session participants during daily reflections and representation forums

Advocacy and External Affairs – Elevating SCOPE: Credibility through Outreach and Strategic Collaboration
Along with LSR and EAA:
● Include more Exchange topics for policy documents
● Follow up on IADS collaboration for the SCOPE Initiative regarding dentistry student
● Follow up on Surgery Handbook
● Encourage NEOs to initiate and organize GH and Global Surgery advocacy activities at local and national levels
● With RDs and RAs to develop external work in their own regions and find regional external representation opportunities
● Promoting Allo EAA meetings for an individualized approach, training and planning on Advocacy strategy for each NMO
● With RAs, train NEOs on utilizing Endorsement Letters and Policy Documents, and guide them in developing National Policy Documents and Exchanges Endorsements

Collaborating with the Team of Officials:
As a member of the Team of Officials, I am committed to breaking down barriers between the SCOPEnguins and the Team of Officials To accomplish this, I would:
● I will uphold cooperation, open-mindedness, and empathy while improving Team Dynamics through open communication, constructive feedback, and team-building activities
● Commit to attending all TOMs and Online meetings related to the TO work
● Collaborate with other TO members in aligning our efforts to work on the IFMSA Strategy
● Explore inter-Standing Committee Collaborations, for opportunities including but not limited to Workshops, Sessions in IFMSA meetings, Campaigns, Contributing to external opportunities, etc
Collaboration with SCORE and Regional Directors:
● Coordinate efforts on shared initiatives including database management, academic quality, external affairs, voting rights timelines, and RCPs in collaboration
● Update and enhance common resources like flyers, manuals, and educational activities such as the Exchanges Profile Book and the Global Health Within Exchanges Guidebook
