Once your offer has been agreed we will confirm the offer in writing to you via e-mail.

Contact Alphabet City, to arrange an appointment to view a selection of properties that meet your criteria. Alphabet City will chauffer you to the property to carry out the viewing. A lettings consultant will accompany you on the viewing, and will be able to answer any questions that you may have.

You will also receive a web link to complete your references online with Maras (www.maras.co.uk) a leading professional referencing agency.

Make an offer Secure your property before it’s gone Once you have chosen the property you wish to reserve don’t delay. If you like the property the chances are so will someone else. Inform your property consultant that you are interested in the property and that you wish to secure the property.

You will need to provide the following details so an offer can be put forward to the landlord: • Full names of all applicants • Employment / Student details • Special requirements • Offer price • Preferred move in date You will be required to pay a Fee of Intent to secure the property which is the equivalent of one week’s rental. Once the Fee of Intent has been paid no further viewings will be carried out at the property. You will be required to pay for references for each applicant moving into the property. . Note: The Fee of Intent is non refundable should you change your mind or not wish to proceed Agreed offer offer for any reason.

You can only proceed to the next stage if your references are acceptable. If for any reason you do not pass the references you will be able to either provide a guarantor or pay rent in advance to proceed. This is normally 3–6 months. Should you not be able to provide a guarantor or pay rent in advance you will unable to proceed further with the property transaction.

Independent credit reference When you receive the web link to complete your online credit check application you will be required to provide the following information:

Full Name & Personal Details Rental share you will be paying Place of residence for the last 3 years If you are currently renting a property to provide your landlord’s details Employment details, including a name & contact number for a member of staff in HR who will confirm your position Bank details Personal reference details Next of kin details in case of emergency

Completion Time to enjoy your new home You will need to arrange an appointment to come into our office to sign the Tenancy Agreement and all other relevant move in documents before you can collect the keys to your new home. When you come to sign the Tenancy Agreement you will need: Two forms of ID • Passport • Recent utility bill or bank statement Your bank details Your current contact details including • Mobile number • Work number • E-mail address If you haven’t already paid your move in balance you will need CLEARED FUNDS ONLY available *We recommend that you allow at least 30 minutes for completing the move in process. Once you have completed the move in paperwork you will receive a brochure containing all of your tenancy information. We recommend that you keep this information throughout your tenancy for your records.

Tenancy Agreements Tenancy Agreements used by Alphabet City are produced by Pain Smith Solicitors, so you can rest assured that they conform to all current legislation. PainSmith Solicitors, Who Are They? PainSmith Solicitors only practice in the complex field of Landlord and Tenant law. Working solely in this area they have practical experience and knowledge of the field that is unmatched elsewhere in the legal sector. Widely acknowledged as leaders in the field, PainSmith are accredited to the Law Society, Lexcel and are Investors in People accredited and therefore demonstrate the highest standards in practice and client management. Assured Shorthold Tenancy Agreement Alphabet City will produce the Tenancy Agreement prior to move in and will e-mail a copy for you to read over in advance. A copy will be forward to all tenant(s) and /or guarantor(s) relating to the contract. A standard tenancy agreement is for 12 months with a break clause at 6 months, with a 2 month notice period. Should you require alternative arrangements please speak to your lettings consultant who will be happy to assist with your personal requirements.

Tenancy agreement and your guarantor If you have a guarantor standing surety for you, they will need to sign the relevant sections of the Tenancy Agreement prior to you moving into the property. If this has not been completed prior to the move in date, you will not be allowed to move into the property. We can only accept the signed original documents from the guarantor.

What are Deposits? Deposits are a sum of money, normally equal to 4 to 6 weeks rent, paid to your landlord as a bond, to ensure that you meet your obligations set out in the tenancy agreement. It will be returned at the end of tenancy subject to the following:

Alphabet City provides a Termination of Tenancy Guide for tenants, that outlines the move out procedure at the end of your tenancy. Follow it to ensure that the transition between the end of your tenancy and subsequent return of deposit is dealt with speedily.

Tenancy Deposit Schemes What is the Tenancy Deposit Scheme? The scheme is a consumer protection measure to prevent landlords wrongly withholding part or all of a tenant’s deposit. Tenancy Deposit Scheme Registration Alphabet City will register your deposit if we manage your tenancy. If Alphabet City does not manage the tenancy, your landlord will be responsible for registering your deposit with the appropriate tenancy deposit scheme. Deposits will be registered once you have moved into the property. You will receive a copy of your Tenancy Deposit Scheme certificate which is proof that your deposit has been registered. The certificate will contain a unique registration ID which you will be able to use online to view your certificate on the company website.

Inventory An inventory will be provided by an independent inventory clerk. The inventory will include details of all furniture, fixtures and fittings and the decorative order of the property as well as stating the condition, and cleanliness of the property. A copy of the report along with photos taken prior to move in will be forwarded to the tenant(s) and landlord for their records. A copy of the CD containing the photos can be obtained from Alphabet City at a charge of £5.00.

Impressive Cleaning Once you have received a copy of the inventory you have 10 working days to respond in writing should you not agree with anything mentioned in the inventory report. These comments will be forwarded to the inventory clerk and the comments will be put on file and read in conjunction with the check out report at the end of the tenancy during the inventory check out. If Alphabet City does not manage the tenancy you will need to forward your comments directly to your landlord.

Cleaning Prior to moving into a property the property should be professionally cleaned. The cleaning that is undertaken at the start of a tenancy is very thorough and completed to a professional standard, and as such you have a lovely sparkling clean property at the start of your tenancy. Therefore please ensure that the property is handed back to the same professionally cleaned standard at the end of your tenancy, as stated on your inventory check in report. Fair wear and tear is taken into consideration.

EPC, Energy performance certificate The EPC provides an energy performance rating from 'A' (highly efficient) to 'G' (least efficient). Because ratings are standard, you can easily compare the energy efficiency of one property to another. Ratings are influenced by type of property, its age, layout, construction, heating,

Utilities It is the tenant’s responsibility to set up all of your utilities at the property which will include: • • • • •

You should contact all relevant utility companies prior to move in and inform them of the following information: • • •

NOTE: Estimated running costs are based on assumptions about a property (i.e. the number of occupants and how long it is heated during the day). However, average fuel prices from the date the EPC was produced are used, which could be up to ten years old. Actual running costs will vary depending on current fuel costs and tenant use. You will receive a copy of the EPC for the property prior to signing the Tenancy Agreement. Should you wish to review this prior to this point please refer to the marketing material for the property

We will ask you to complete a utility form with your details which we will pass on to a third party company called Hallmark. They will then process your details with Southern Electric for both the gas and electric as appropriate, and also register your details with other appropriate suppliers and your local borough for council tax. Please note that currently we cannot set up telephone accounts. Should you wish to set up a telephone account you will need to arrange this personally.

Insurance It is in your best interest to protect any valuable items you may have in the property such as your laptop, I-Pod, digital camera and mobile phone etc against damage and theft. Only the landlord’s possessions and property are insured, so if your items were to be damaged or stolen they would not be covered.
