Welcome

We are grateful for the opportunity to plan your special function. It is our goal to offer the most unique experience available in Burlington, North Carolina.

In this packet, you will find menus that are prepared to help you plan a wonderful event. Our Club purchases the freshest meats, seafood, fruits and vegetables available. Our team will help provide you and your guests with a personal experience that will be remembered for a life time.

We pride ourselves on our impeccable service, attention to detail, and our skilled Club professionals performing with gracious hospitality to ensure your event is highly successful and personal to you.

CATERING GUIDELINES

Room Reservations

To confirm your event, a non-refundable deposit is required. The amount of the deposit is determined by the room rental fee. For non-member events, we ask for the room rental to be paid as the deposit at the time of booking. If the function is a member event, the deposit will go towards the charges incurred at the event. In the event of a cancellation, the deposit is non-refundable unless another event is subsequently booked in the same room for the same time.

Room Rentals

Your selected room is reserved for the exclusive use of you & your guests. All other areas of the club are designated “For Members Only”. Every effort will be made to have the reserved room available for decorating as early as possible. If the reserved room is being used for an earlier function, the room will be available to you a minimum of two hours in advance. The room rental fee includes banquet tables, chairs, all china, glassware, silverware and standard linens to the floor. Food and Beverage Charges All food is priced per person unless otherwise noted. All prices are subject to change. The prices listed are base prices, a service charge of 22% will be applied to all food, beverage and rental sales or an hourly labor charge (whichever is greater). The current NC sales tax will be applied to all charges.

CATERING GUIDELINES

GUARANTEES&MENUSSECTION

Anapproximatenumberofguestsshouldbegivenatthetimeofinitialbooking.Your final guest count must be called in to the Catering Office 5 business days to the function.Ifaguaranteeisnotcalledin,theoriginalapproximatenumberorthetotal guest served, whichever is higher, will be charged. If the actual number of guests exceedstheguarantee,themenupricewillbeincreasedby25%perperson.Allmenu changesshallonlybepermissibleupto7daysbeforetheevent.

ALACARTESERVICE

A La Carte dining is available for parties of 12 or less. Selections must be from the existing menu. It is required that choices be called or emailed 5 days prior to the function. Limited menus with choice of three (3) entrees are available for parties of twenty (20) or less. Menu cards are required for these events. Parties of 20+ must orderfromthebanquetpackage.

ENTRANCESandEXITSofRENTALITEMSandBANDS

We cannot guarantee your first choice in time and day for a drop off and pick up of your rental items. A finalized time and day for rental drop offs can be made 14 days prior to your event. This includes tents, chairs, linens, tableware, etc. A guaranteed timeforbandsetupandbreakdowncanbemade14dayspriortoyourevent.

BUFFETSERVICES

Alamance Country Club offers full breakfast, lunch and dinner buffets for all occasions. The minimum required number of guaranteed guests for buffet functions isthirty(30).Formoreinformation,refertobuffetoptions.

Food safety is our first priority at Alamance Country Club. Due to food safety concerns,buffetitemsarenoteligibletobepackedupandtakenhomeafterservices rendered.

CATERING GUIDELINES

ROOMSETUP

All rooms will be set according to contracted specifications. Room setups must be given to the club no later than 7 days before the event. If no set preference has been indicated or established, then the room setup will be at the Club’s discretion. If a host or hostess chooses to use specialty linens or dinnerware not provided by Alamance Country Club, the host or hostess assumes all responsibilities related to those items.

ROOMASSIGNMENTS

To accommodate events of various sizes, the club reserves the right to change rooms based on guaranteed attendance and room set up specifications. If and when this situation occurs, we will make every effort to give advance notice and will move the party to a suitable and comfortable room. For more information on rooms refer Room Rental Page.

Gift, cake, and registration tables are provided by the club upon Request. Alamance Country Club is not responsible for monitoring gift tables.

RENTALITEMS

Alamance Country Club offers a limited number of event enhancements that may be rented for a fee. These include: hurricane globes, pillar candles, votive candles, and mirrors. Alamance Country Club has audio and visual equipment for rent as well. For more information refer to Enhancements section.

BILLING

All purchases and services are charged directly to the member or host. The charges will appear on the member’s monthly statement. The sponsoring member or host will be responsible for all guest charges and fees. Credit Cards are subject to a 3.9% convenience fee. Cash is not accepted. For billing questions, please contact the event coordinator.

CANCELLATIONPOLICY

In the event of a cancellation, 72 hours prior notice is required. In the event of a cancellation between 24 and 72 hours, fifty percent of the booked functions cost will be billed to the members account or loss of deposit. If cancelation of the event takes place less than 24 hours of the event there is a 100% cancellation fee of the booked function cost, unless circumstances are out of host’s control such as inclimate weather, natural disaster, an act of God, or terrorism.

CATERING GUIDELINES

OUTSIDEDESSERTCUTTINGFEE

Desserts may be brought in (day of) from outside vendors. A dessert fee of $1.00 per person will be charged for all desserts not provided by Alamance Country Club. Cakes may be received the day of (up to 2-hours prior to events), unless other arrangements have been made ahead of time with the Event Coordinator.

DECORATIONS

Alamance Country Club does not offer any decorations or decorating services. Third party arrangements must be made by the host/hostess for each function. No decorations may be used that cause damage to the walls, ceilings, floors or any other part of the club. The member or host/hostess is responsible for the removal of all floral arrangements or special decorations prior to their departure after the event is finished. We ask every host to use dripless candles, command strips, and avoid glitter for décor purposes.

*No fixtures, wall decor may be removed without approval.

*All decor should have prior approval from the Events Coordinator. No confetti or glitter.

FOODSTATIONS

Any food station requiring an attendant/carver will be charged a fee of $75 per hour. This includes all our action stations.

BARPOLICY

Alamance Country Club charges $100 per bartender. We recommend one bartender per 50 guests. Outside liquor will not be permitted. If outside alcohol is found, the event will be shut down. This includes flasks, airplane bottles or any other outside alcohol by any guest of the event.

If you wish to extend bar hours past 5 hours, there will be an additional charge at the end of the event for $200 per hour you wish to keep it open.

There will be a Corkage fees for wine or beer not purchased by the club.

According to North Carolina Law, minors will not be served under any circumstances.

CATERING GUIDELINES

CLUBHOURS

Alamance Country Club food and beverage facilities are open Tuesday through Saturday 7am- Midnight. Only club management approved functions can be booked for a Monday. Times will be by discretion of staff

DAMAGES

Alamance Country Club shall not assume responsibility for damages or loss for any merchandise or articles brought into the club or any items left unattended. Any damage to the club by guests or hired vendor, such as bands or florists, will be billed to the members account or host/hostess of the event for the replacement or repair cost.

Any prohibited decor will also be assessed a fee (See decorations).

POINTOFCONTACTCLAUSE

To help Alamance Country Club better service each event, we ask that any changes or decisions made for the event within 72 hours of the event be made by a designated point of contact. Call our event coordinator at (336) 639-5373.

FORCEMAJEURECLAUSE

No party shall be liable hereunder for any failure or delay in the performance of its obligations under this agreement if such failure or delay is on account of a Force Majeure Event. A Force Majeure Event shall mean any causes beyond a party’s reasonable control, including labor disputes, civil commotion, war, riots, fires, floods, earthquakes. inclement weather, governmental regulations or controls, pandemics, epidemics, local disease outbreaks, public health emergencies, quarantines, casualty, strikes, the unavailability of labor or materials to the extent beyond the control of the party affected, embargoes, civil strife, acts of terrorism, or acts of God, in addition to any and all other events, regardless of their dissimilarity to the foregoing, deemed to render performance of the Agreement impracticable or impossible under the law, in which event the nonperforming party shall be excused from its obligations for the period of the delay.

Our staff will create a menu card to highlight your custom menu for your plated dinner.

For plated dinner events, our staff will design and print a name card for each of your guests to highlight what they will have for dinner.

SOUND SYSTEM $150

We can provide the technology if you will be giving a presentation and need to enhance sound for your event or Bluetooth your music from your cell phone.

SPECIAL LIGHTING $75

We can provide and set uplighting that enhances the ambience of your event with various colors.

SPECIALTY LINEN prices vary

The Club provides standard white and ivory linens. * We offer a limited assortment of colors & patterns to be decided prior to event. To enhance your décor, we can assist you with providing various colors and fabrics for table linens, napkins, chair covers, chair sashes, table runners, and table overlays.
