I

t is time to start looking to the future: a different future, granted, but nonetheless the only future we have. Increasingly, we are finding that those working in the industry have shifted their focus from the conditions of and following the pandemic, and started to think what changes will need to be made in order to ready their business for new ways of working. This is very sensible and can range from the balance of aircraft types in a fleet to the IT solutions that will support paperless, no-touch working practices. After years of steady change, we have had to make a step change in the way things are done. Fortunately, the developers and vendors of software solution for aviation have shown themselves to be well up to the challenge, from evolving, updating and even repurposing their solutions in readiness for the post-COVID world, to remote management of implementations, mergers, takeovers and collaborative partnerships. This has resulted in very exciting new ideas but, of course, there are some functions that will not change. Cargolux has written a case study showing how, with a new software solution, it has taken control of the repair shops and can now see where each job is in the process, can see what remains to be done and can, if need be, shift priorities to ensure that urgent jobs,

often AOG related, can jump to the front of the queue. In this Part 1 of the article, you’ll see what drove the change and the implementation. In another case study from Viva Air Colombia, you’ll see how a new digital documentation solution has not only improved the production and management of documents but has also delivered benefits across the business. Predictive maintenance has definitely moved from the ‘nice to have’ category to become essential for business efficiency. The white paper from IFS introduces the IntelligentEngine as used by RollsRoyce to help achieve that OEM’s goal of engines that support 100 percent availability. An area that has also become increasingly important is the use of contractors in MRO and engineering but sometimes the process of finding the right contractor for the job has been fraught with uncertainties and delays. Rusada signs up Spirit AeroSystems for ENVISION In mid-July 2021, it was announced that Rusada’s ENVISION software has been chosen by Spirit AeroSystems to manage its growing maintenance, repair, and overhaul activities. ENVISION will be used by Spirit AeroSystems (Spirit) to support its maintenance facilities in Wichita and Dallas where it offers component MRO, on-wing repair, and aftermarket engineering services across an array of aircraft. Spirit has signed up for 8 of ENVISION’s modules, as well as its recently released maintenance execution app, ENVISION Tasks. The software will be deployed by Rusada’s North America Client Services team, who will work closely with various stakeholders at Spirit to ensure a successful rollout. The agreement further expands Rusada’s presence in North America, where it already supports a number of operators and maintenance providers, as well as several government entities. AEROTEC & CONCEPT acquires ADSOFTWARE solution to support their CAMO operations In early July 2021, AEROTEC, the aviation manufacturer and PART 145 facility based in Toulouse, announced that it had chosen ADSOFTWARE software solution to support the business’s growing activity. AEROTEC is certified to carry out maintenance on avionics equipment, flight instruments, airplane and helicopter changes, aeronautic beams and support systems and equipment. Its capabilities cover multiple types including but not limited to ATR, Cessna, Dassault, Beechcraft, Hawker and Airbus Helicopters. AEROTEC also holds a CAMO certification and represents several international manufacturers. The decision comes after several years of using a competing solution that revealed itself to be lacking in robustness and features. The switch to ADSOFTWARE was decided in June 2021 after months of discussions, demonstrations and analysis. With ADSOFTWARE solutions, AEROTEC will manage a fleet of three Beechcraft for CAMO and MRO activities. The features offered in AIRTIME’s module will be key to implement and follow best practices. With this contract ADSOFTWARE welcomes another company based in the European aviation hub that is Toulouse, France; namely ATR and ENAC. ADSOFTWARE offering was the most competitive, with features and tools

that compete directly with the biggest names on the market but at a much lower price point. In early August 2021, Helidax announced that it has selected ADSOFTWARE to replace its current continuing airworthiness and maintenance management system in order to support its growth. The project started immediately and covers the implementation of CAMO and MRO solutions as well as training and additional developments specified by Helidax. Helidax makes its 36 H120 and 18 FENNEC aircraft and the associated flight hours available to the French Ministry of the Armed Forces under two contracts: the first of a unique kind aims to maintain high availability of the fleet for pilot training armies while reducing operational costs, the second paves the way for the ministry’s new aeronautical MCO policy by entrusting overall responsibility for fleet management to a single service provider. In this context, the software chosen will play a crucial role in achieving the objectives set. At the end of a detailed selection process, ADSOFTWARE was able to meet all the specifications set out by Helidax. At the beginning of September 20-21, Helidax announced that it has selected ADSOFTWARE to replace its MRO and CAMO management software and accompany its growth. The project started immediately and covers the implementation of the CAMO and MRO management solutions, training and additional developments specifically requested by Helidax. Helidax puts its fleet of 36 H120 and 18 AS550 at the disposal of the French Defence Ministry through two contracts: the first contract is a pioneering agreement that aims at maintaining a high level of fleet availability for pilot training while reducing operational costs, the second contract assigns the comprehensive fleet management responsibility to a unique provider; illustrating the new MOC approach of the Ministry. Andy Graham joins QOCO Systems as Chief Commercial Officer & Partner At the beginning of August 2021, Andy Graham joined the QOCO Systems team as a Chief Commercial Officer (CCO). Andy brings to QOCO Systems diverse and solid experience in the aviation industry. Working with all the teams, Andy will be reporting directly to QOCO’s Managing Director, Markku Nyman. Vistair supports Qantas Engineering document management In early September 2021, Vistair Systems, a leading provider of aviation document and safety management solutions, announced the expansion of its relationship with Australia’s flag carrier, Qantas, and will provide a document management service to support both flight operations and engineering. Oriental Air Bridge signs with TRAX eMRO In late July 2021, Nagasaki-based Oriental Air Bridge announced that it has inked a deal with TRAX to implement the web-based eMRO system to manage maintenance activities on its fleet of Bombardier Dash 8 aircraft. The airline operates charter flights throughout southern Japan in addition to scheduled services between Nagasaki and remote islands and between Fukuoka and several destinations. ReMAP conducts analysis on Fleet Earning Potential with CBM In the context of their project, ReMAP is analyzing the areas in aircraft maintenance where condition-based maintenance (CBM) improves Fleet Earning Potential. Fleet earning potential (FEP), is the amount of earning that a fleet is capable of generating, depends on three elements: Mission capacity: Number of flights an airline is capable of scheduling given the aircraft planned ground time (impacted by fueling, passenger onboarding, maintenance…) Operational unreliability: An airline’s ability to operate those flights (impacted by the weather, air-traffic control, the technical state of the aircraft, etc.) Cost: Cost of operations (fuel, personnel costs, maintenance…) Since all the three components are impacted by maintenance, ReMAP is analyzing how CBM, through diagnostics and prognostics for systems and structures (PHM, SHM) can increase fleet earning potential in three different ways. In early August 2021, Air Europa Lineas Aéreas (AE) — known for their modern fleet, breakthrough technology, and commitment to sustainability — announced that it had successfully implemented the TRAX eMRO and eMobility aviation maintenance software. Pedro Macías, Air Europa’s Maintenance Director, thanked TRAX for all the help and support received during the implementation of its software, which, as he explained, has resulted in a radical change in the conception and execution of all maintenance activities, having a positive impact on all of them, both purely operational (planning, execution of tasks, management of the supply chain, etc.) and financial, relating to cost control. SR Technics Selects ULTRAMAIN MRO suite for state-of-the-art Paperless Operations

At the beginning of August 2021, it was announced that SR Technics Malaysia Sdn. Bhd. Had selected Ultramain Systems to provide state-of-the-art paperless MRO software and related implementation services. The ULTRAMAIN v9 Unity MRO suite will be used by SR Technics to perform paperless maintenance execution across their seven component overhaul lines. Once implemented, SR Technics Malaysia will use ULTRAMAIN Mobile MechanicTM to digitally sign electronic task cards thereby eliminating costs associated with printing, scanning, and archiving paper-based work instructions. In early September 2021, Ultramain Systems took the opportunity to reflect on their partnership with Japan Airlines (JAL) and congratulate them on reaching two years of operational use of ULTRAMAIN Mobile Mechanic and ULTRAMAIN ELB for paperless line maintenance and electronic logbook. iva Air is a low-cost carrier (LCC) based in Colombia. It’s a great company that started flying nine years ago and has continued to prioritize safety and efficiency throughout its development. We have been working with Vistair and DocuNet since March 2021 on a digital document system for Viva Air.

A NEW DOCUMENT SYSTEM FOR VIVA AIR

The digitalization project for documentation was implemented at a time of growth and development for Viva Air, with an expanding network of 16 destinations across Colombia, Peru and the United States. Despite the industry challenges brought on by the Covid pandemic, Viva Air is moving swiftly through its recovery process and has now exceeded pre-pandemic activity levels by 30%. As we continue to scale, running a highly efficient airline is a key priority. DocuNet has contributed to this in transforming how we handle, leverage, and consume operational data, streamlining engineering and flight data onto one platform. We have been highly impressed with both the level and speed of service provided. The transition from the previous software used at Viva Air was really easy and the training that Vistair delivered was simple. In addition, control of flight operations and engineering content is now straightforward with DocuNet and it provides

PAIN POINTS AND CHALLENGES BEFORE DOCUNET

Prior to using DocuNet, we were using multiple systems for maintenance and operations which was costly and inefficient. We also had issues with connectivity, so the ability for a solution to offer online and offline capability and be available across all platforms, was a very important consideration. The other challenge that we used to experience prior to DocuNet was support. As we have multiple systems, it was more time consuming and inefficient contacting multiple suppliers. Now, everything is provided by one vendor, Vistair, who delivers great support so that we are able to reduce the time our team spends trying to manage all the different problems that might happen in Operations every day. When we started the process to improve documentation at Viva Air, there were several different options and possibilities that we considered. In the end, we decided that DocuNet was the best option for us because the App is really useful when working with mobile devices and it is also possible to use the same application on a computer, which is great because it is then almost the same whether you work on a computer or on a mobile device, on any platform. Furthermore, the speed of the application is excellent and that is important: some applications work very slowly but DocuNet works fast as well as working online or offline.

The use of forms is another capability that fitted with Viva Air’s original brief and this is another factor that heavily influenced the decision to implement DocuNet. Plus, of course, the price. When we put together a package using all elements of the application to replace all of the various applications that we had been using previously with just one application, that really was what we had been looking for.

One of the main challenges faced by Viva Air during the implementation process was the time to completion. We were replacing a number of different software solutions, which added complexity as we were trying to end some contracts and start a new one. It generated some limits on the time for implementation and so we really appreciated the great support from Vistair during the implementation process. With that support, Viva Air completed the implementation in record time which allowed us the chance to make all the necessary changes in just one month or so.

There is one library for Maintenance, replacing the software we were using before, and now we get easy access to all the Airbus documentation in the different formats in which Airbus provides them (PDF, XML, Multimedia). Now, maintenance has access to all of the information that they need to do their job. For example, all the diagrams on everything; the engines and the different aircraft systems. We also have a library for Operations and that library is divided into documents for pilots and for flight attendants.

So now, all the Airbus manuals in the different formats, our own company manuals and forms, Engine and Component manuals, plus presentations, videos and all the different information that pilots and flight attendants need to give them immediate access to the documentation required to do their jobs, these are all in one place (figure 2). There is a lot of value, for Viva Air in being able to replace the OEM tools that we were using to now use only the one application with which we can do everything. For Viva Air, as a low-cost carrier, it is a priority to embrace safety in everything that we do and to achieve high levels of effectivity. One of the very important things that we want to do with DocuNet is to increase our productivity, save time and try to make our work both better and easier. It’s also really important for a company like Viva Air to invest in new technologies that allow us to improve our capabilities and what we are doing. Now, we are planning to use DocuNet not only for maintenance and operations documentation. The solution offers an opportunity to start to manage all of the forms in the business; there are many things that we can include during a flight for

It did not take long for him to find the position where he felt he could contribute the most to the success of the company. Having a strong background in IT (teaching Java programming in the university) and having focused heavily on business studies, Ville has always felt comfortable working with and aligning the needs of business and IT. Within aviation, aircraft maintenance and airline operations are the two areas where Ville has gathered the most experience. His career has taken him from Finnair, to Emirates and now to QOCO Systems Ltd as a Senior Partner since 2015 and he says that, honestly speaking, he stumbled into aviation, but has loved the journey from the start. Aircraft IT: Your name, your job, and the name of the business? Ville Santaniemi: Ville Santaniemi, Senior Partner, QOCO Systems Ltd Aircraft IT: How did QOCO Systems Ltd get started? VS: QOCO Systems was established in 2009 by my colleague Ilari Neitola, CTO/Chairman of the Board. He wanted to combine his two main interests , aviation and IT. Ilari saw opportunities to improve maintenance planning activities through software combining information from multiple sources with an easy and user-friendly interface. He thought that the

best opportunity to drive the change was becoming an entrepreneur and that is when QOCO was established. Ilari ran the company successfully for many years delivering IT solutions for both the aviation and railway industry. In 2015 QOCO’s ownership was reorganized. This

inety-eight million terabytes of data sounds like an awful lot but that’s what, according to an Oliver Wyman MRO Survey, the global fleet of commercial aircraft could generate per year by 2026. There is now a huge interest among the big aviation players — the OEMs, the airlines and the maintenance, repair & overhaul (MRO) operators — not just in gathering data but using it, with predictive maintenance and health monitoring systems now one of the key applications they are looking at. Due to the pandemic, the commercial aviation industry is going through major disruptions, and airlines, OEMs and MROs alike need to adapt their business models, which includes capitalizing on new technologies to introduce time, resource and cost efficiencies. In particular Digital Twins, but also Artificial Intelligence, IoT and more, are all part of the lexicon and now key components of the new generation of predictive maintenance solutions designed to make business processes more agile and adaptive. These technologies are all about gathering key data insights that are paving the way for predictive maintenance to make even greater

FAST-FORWARD TO THE ROLLS-ROYCE DIGITAL BLUE DATA THREAD — MEET THE INTELLIGENTENGINE Predictive maintenance as a term isn’t new — as far back as the 1990s, the IFS Maintenix team at IFS worked with the US Navy to crunch through engine health monitoring data to model and predict the failure of engine components. Accelerate to 2020, and today Rolls-Royce is using artificial intelligence (AI) forecasting, supported by IFS, to help airline customers to automatically update predicted maintenance deadlines for every life-limited component inside their engines—a key part of the Rolls-Royce Blue Data Thread strategy, a digital information thread connecting every Rolls-Royce powered aircraft, every airline operation, every maintenance shop and every factory. This is all part of the Rolls-Royce vision for the IntelligentEngine which is, “a form of cyber-physical service where the physical engine, the services that surround that digital engine and the Rolls-Royce digital capability are indivisible,” explains Nick Ward, VP Digital Systems, Rolls-Royce. “The IntelligentEngine forms a digital twin of a physical engine, with both connected by data. It is contextually aware of its own operating conditions, the environment it’s flying in, the rest of the fleet it is part of and it is consolidating that information to make smart decisions to maximize availability, while minimizing maintenance costs and disruption.”

GOING FROM PHYSICAL TO DIGITAL — MAXIMIZING THE POWER OF THE DIGITAL THREAD

operations. US Bureau of Transportation statistics show in the last full year of uninterrupted airline operations, 2019, US airlines reported 302 domestic tarmac delays longer than three hours, compared with 202 in 2018 and 193 in 2017. Rolls-Royce has a fundamental mission that every Rolls-Royce powered aircraft flies on time, every time with an availability as close as possible to 100%. That works for the airlines that own the aircraft, Rolls-Royce as the OEM and passengers themselves. This is where the confluence of predictive

maintenance incentives comes together for all parties involved in flying any given route. “The Blue Data Thread contributes significantly to Rolls-Royce’s strategies to eliminate unplanned failures,” says Nick Ward. “A jet engine is an incredibly complex example of high-engineering but being in-tune with the specific maintenance requirements and performance allows Rolls-Royce to accomplish feats like powering an A330 to fly the equivalent of to the moon and back 50 times between overhauls.”

Unlike some other OEM predictive maintenance initiatives, the Rolls-Royce Blue Data Thread is a two-way movement of data. The engine supplier is collecting data from multiple sources, such as engine health monitoring and information from airline maintenance management systems, contextual real time engine flying condition and other data sources including MRO data from Rolls-Royce engine facilities. This is where IFS has provided strategic support on multiple levels. IFS Maintenix has automated the sharing of the data critical for Rolls-Royce to re-life its engine parts, but also took a broader scope to allow airlines and Rolls-Royce to collaborate and share much more information about the work which happens on their engines: for example, which engine parts have been switched or inspected and even if any other aircraft systems have been impacted by engine behavior. The result of this two-way exchange is an even more complete picture of engine performance; a higher resolution digital twin and a way to deliver these digital insights to improve physical part use while in-service.

AIRLINES REALIZE MORE BENEFITS THAN THEY BARGAINED FOR — DAY TO DAY IMPROVEMENTS AND SUSTAINABILITY BOOST

Participating airlines were confidently expecting to see certain results from the IntelligentEngine and the Blue Data Thread initiatives in terms of overall engine performance and cost. However, what perhaps wasn’t anticipated was the weaving of new predictive maintenance results non-intrusively into day-to-day processes. “A Rolls-Royce Trent engine can, on average, fly around the world over 1,000 times between significant engine events. Through multi-variable forecasting, IFS is able to map the data on how an

airline expects to fly a particular engine and combine it with Rolls-Royce data on expected part life to provide a very accurate predictive maintenance deadline right down to individual part numbers,” continues Ward. “Previously airlines may have spent weeks trying to piece together updated deadlines, but now accurate maintenance information is presented to airlines on a daily basis and is seamlessly consumed by their maintenance scheduling engine. Initial anecdotal reports show huge progress to extend the lifecycle of engines and components, increasing the time taken to first engine removal by 48 percent. “When you have this level of monitoring and data exchange, it indicates a step change in predictive maintenance. So many engine components and their details are being dynamically monitored that past preventative maintenance approaches are a thing of the past. With this level of tracking, most failures are detected on an individual level before they are likely to occur, well before planned maintenance cycles. Rolls-Royce has extreme faith in its predictive analytics strategy with a goal of zero false predictions and 100% success rate.” More effective maintenance will also translate into sustainability benefits. As the aviation industry moves towards a greener future, digitalization and predictive maintenance are important elements for the engineering side of the industry and both IFS and Rolls-Royce have made strong sustainability commitments as part of their long-term business planning. The Blue Data Thread program aligns perfectly with these priorities. By reducing the need for maintenance interventions, part replacements and overhauls, manufacturing use of energy and resources is reduced and the emissions footprint of part and engine logistics is minimized.

GETTING UP AND RUNNING FAST — DATA SHARING A KEY FOCUS AREA

From a technical perspective, airlines can be up and

running on the Blue Data Thread through the IFS Maintenix plug-in in a as little as two months. This requires a quick technology installation and is then a case of specifying key modelling information such as engine utilization. It’s the accessibility and sovereignty of data which can bring up potential roadblocks. Airlines running other maintenance management systems need to make sure they can extract, store and analyze critical data profiles from their supporting software. Some airlines running legacy maintenance software on their aircraft may not be able to provide enough of the data required to feed the Blue Data Thread and a digital twin of their engine. Those airlines that can, may have some data security reservations about certain lines of data, for example details around part leasing and ownership. This is why IFS and Rolls-Royce have designed the ability to give airlines granular controls to manage the level of data lines specific for each airline taking part. Underpinning the bilateral transfer of data from manufacturer to airline and back again is the need for an interface/dashboard to parse the aggregation of data points. The delta between data and information is the ability to translate raw data into actionable insights and meaningful information.

At this point in time, airlines are facing a digital imperative as never before. But in order to make their operations more efficient, maximize engine life and minimize delays, they need the data backbone to make that happen. IR: We saw airlines and MROs shy away from going electronic. Our industry revolves around the ‘dirty fingerprint’ copies. We learned that it was essential to explain how and why delaying their digital transformation would impact their operations internally and with their vendors. The efficiencies gained with modules such as our paperless task cards, and the FAA’s approval of electronic signatures allows airlines and MRO’s to see a rapid ROI with our product. Aircraft IT: Thanks for joining us, Stephane and for sharing with us how Cargolux has implemented the TRAX eMobility Shop Control application. We have a few questions that we’d like to go through, so, to set the ball rolling, let’s get straight to the first one of those. Can you start by telling us a little bit about your business case for implementing the app and how you’ve seen it maximizing your operation? Stephane Kastler: Thanks for the opportunity to share our experience. The shop control app is used in our shop environment. In Cargolux we have ten back shops which support the airline and the maintenance organization, and their mission is to repair many 747 components for the fleet. At the same time, they also support the hangar and the line operation directly. So that’s the position we have grown to in the last few years. We repair about 10,000 components every year. That’s a lot of components, many of which are needed urgently or are required on an AOG basis. However, with so many components traveling through the different shops, we need to be able to track them and their progress. With the increase of our fleet and the rise in the numbers of components that we are repairing, it has become very clear that we need to have a system which shows us an overall priority and progress tracking status on the parts that we are repairing. That is what the Shop Control app does for us. We are coming from a situation where components were coming off wing in need of repair, and we would just send them to the shop. The shops receive a lot of components and they have to figure out the priorities as well as figure out what needs to be done on those components. This creates a large backlog of parts for them, and with a large backlog comes issues of space, of priorities with other elements of the organization, etc. That had become a major problem for us. At the same time when you have these ten thousand components which each sometimes requires a very small action in each of several different shops, it starts to be very difficult to know where you stand with all these components. So, some time ago we decided that we need to create a system – a process let’s say – which could control the inductions of our parts into the shops system. We also need to control the induction of parts into our ten shops, and once the part is inducted into the system, we have to make sure that it has the right priority and that we can track it in real time. That’s basically what the Shop Control project was for. The Shop Control app gives us a way to decide when the part needs to be sent to the shop for repair, when is it needed, and when it has been released. We can track in real time what is happening to that part and that’s extremely critical. By doing this we manage the parts, manage the parts ‘in process’, reduce turnaround time, and we are able to take the right decisions and to repair the right part at the right time. That is where the added value is, of course. The turnaround time is immediately linked to the number of parts that need to be held in stock. So, the better we are in turnaround time the better we are supporting the airline.

Aircraft IT: That was very clear, thank you. How, then, do you think that the maintenance digitization has impacted your profitability? SK: What we are looking at in Cargolux is to have the best way possible for mechanics to focus on their core job which is to maintain and to repair the airplanes. We are trying to remove non-value-added time away from the work of these mechanics and that is what digitalization is doing for us. It is simplifying our processes and it is also bringing to the mechanics the right information at the right time in a real-time format so that we are able to cut down on some

cumbersome processes. We are cutting down, for example, white boards which we used to have not too long ago in the different shops. They are now replaced by screens which display real-time information. Digitization is also bringing a lot of opportunities which were just not possible before. A good example is task cards. We still have paper task cards today but soon they will be transferred to digital (figure 1). Interestingly, when a mechanic is doing a task and signing off on the paper task card, this process is not controlled. Somebody may have to come and check if this was the right mechanic with the right skill that has been stamping that task and confirm if he was authorized to do that. There are a whole lot of manual processes implied in the background of that manual stamping. Now that we are working digitally, we are able to control the task card. We issue the task on the iPad and only a mechanic with the right skill and a

The system performs what is in effect an automated QA which replaces a very cumbersome manual process that was in place up to now. It is error free whereas we never managed to get there with a paper process.

Aircraft IT: Again, thank you for that very good description. Now, what has been the response of your employee team to the introduction of this app and the adoption of new technology as part of your efforts to mobilize your maintenance operation? SK: It has been extremely good. Not only because technicians can see something nice in appearance, but because it is immediately making their life simpler. They now have access to real-time information which means that they don’t have to go in the system and look for it or call somebody to look for it. It is also creating data which provides them with an oversight of the situation of their shop or team. They don’t have to go and look at all these components to check the status on a regular or weekly basis. It is on the screen right in front of them and it is always up to date. We have removed all that manual work of creating the status, which was the case up to now. This solution also provides good visuals. If the status is bad, it is red and will show red from the time we decide we need to pay attention to the component. It provides easy visual management for everybody across the organization to see how we are doing. So, from the technician to the vice-president, they can come to the shop and see a screen with reds, and know that there might be something that we need to look at today. Aircraft IT: Can you describe some features they’re using and how they aid your team members and the company? In particular, how is the dashboard high level overview such as the shop indicator detail window helping with your managers for following the KPIs? SK: The shop control app is now implemented in every one of our shops and is used daily. The Shop Work Order window (figure 2) displays specific Progress details for the chosen Work Order. I will demonstrate the features that they are using on the screen later, in Part 2. It is a simple but effective system, and it is also very easy to understand, so it only needs a couple of hours’ basic training. With a given situation, you click and enter the information and quickly see it. You don’t have to print the task out, you don’t have to print paperwork to sign, and it’s all traced in the system. “It was impressive how fast TRAX developers became familiar with the shops, our processes, how all our shops are working, and all aspects of the MRO environment. It was just a pleasure to work with TRAX on that.” The dashboard is extremely critical. It has proved to be very beneficial to have KPIs (Key Performance Indicators) which are compiled in a live format like this: we have come from a situation where we used to manually compile our KPIs. That was done maybe weekly or monthly, so we were already looking at something which had expired. We were looking at what we had been doing in the last week or in the last month and then trying to see if we needed to take corrective actions. Now it’s live, it’s in front of you, it’s up to date at any time, and this is extremely valuable because then we can take the actions which are necessary at the earliest point in time. This is extremely critical for a shop environment because the stock issued today is the stock shortage in terms of parts needed for tomorrow or the day after. If you have a component that is being held in the shop due to a dependency, and if it is not escalated, then this component keeps on being delayed which will ultimately create a stock shortage. If instead you react a few days in advance of the situation then you are in a much better position and not faced with zero stock.

Aircraft IT: Thank you for that very clear explanation. Now, drilling down into that, did your end users find the training to be helpful and the product to be intuitive and easy to learn? SK: Yes, definitely. The training time was quite short and the user guides are very easy to understand because, basically, the app is intuitive, as I’m going to show you later, in Part 2. what you would expect from such a software nowadays. There is a modern feel to it, and you get right to the function and information that you want with no questions asked. We have had very limited feedback or a very limited number of questions put to us because it was just a good implementation. Aircraft IT: That’s great, thank you. So how would you describe the implementation project support? SK: The implementation of the project and support from TRAX was great. First of all, what I really appreciated was that they were really open and interested in developing something new. The shop control project that we had at Cargolux was an idea which was already a few years old. We were more or less stuck with the development of the real-time software which was linked to that project because it was a difficult tool to set up. Yet TRAX was really interested in developing an app. It was impressive how fast TRAX developers became familiar with the shops, our processes, how all our shops are working, and all aspects of the MRO environment. It was just a pleasure to work with TRAX on that. A huge added value of having an app developed by TRAX is that they access the database and pick up the information that is already there and they just make a new tool out of it. This is a huge advantage because when you do something in the system in one location then you find it back on the shop control window, it’s just all integrated and that’s what makes the added value of the Shop Control application.

Aircraft IT: That’s very interesting, thank you, and did your end users find the training to be helpful and the product to be intuitive and easy to learn? SK: Yes, definitely. The training was quite short. The user guides are also very easy to understand because basically the app is intuitive, as I’m going to show you later, in Part 2. It is state of the art and what you would expect from such a software nowadays. It has a modern feel to it, and you get right to it, no question about it. We have had very limited feedback or a very limited number of questions put to us because it was just a good implementation. Aircraft IT: Do you see opportunity for further process improvements? SK: Yes, there is. Right now, the Shop Control app is the application which is controlling the flow of work orders or repair orders in our shops (figure 3). There are already a lot of ideas coming from the shops themselves. One of the two greatest possibilities for improvements is to expand the support to the hangar or to the line. We do repair components in the shop, but we also work on work orders or task cards or projects which are directly linked to the airplanes we have in the hangar, or the airplanes that are on turnarounds on the line. So that would be a first potential improvement. A second improvement will be to continue to build on the Shop Control app and make the process in the shops fully digital, because right now we are at a stage where the management of the shop work orders is digital, but the shop work order itself is still a paper package. The Shop Control app already has the prime features to make that package digital and that would be Figure 3 a very interesting next improvement. Aircraft IT: How has the Covid-19 crisis affected your organization and how has this software helped you? SK: Specifically, at the start of the Covid crisis (because now we’re getting accustomed to it, obviously), it was a big shock for us because in the cargo industry there was a dramatic increase of operations. The cargo airplanes picked up the freight left by the passenger belly market and also, they had to pick up all the PPE for the various countries. So, we had a dramatic increase in our operation and at the same time we had a dramatic change of working conditions in all our environments. We were affected by quarantine, and we were affected by leaves (vacations) when our employees had to take care of their kids because the schools were closed, etc. So, we really had to focus on that. At our core we had to completely refocus ourselves on just primary operations. For the first six months we did not do any project development or ‘nice to have’ extra things in our duties. We just purely focused on operating and tried to get the

airplanes flying. And in that context when you have a software which is supporting you, which is freeing you from doing all this work of analysis such as “where is my part”, “what is the status of my part”, etc., this is invaluable because you just get right to it, get to the point and get your job done. That was clear.

Aircraft IT: What has the greatest business achievement been to date, and why? CJ: Gaining the trust of early collaborators especially during a post COVID 19 pandemic-infused business environment. Equally, being able to raise an initial seed from our investors I think is key in ensuring that we have the resources in place to deliver this platform to our early collaborators on time. Aircraft IT: What have been your disappointments and what have you learned from them? CJ: We should have started a little earlier than we did as we spent too much time debating whether we start off with Blockchain or not. This knocked us off by a few months, especially during the stage when we were talking to our early collaborators. Let’s be honest: it has taken a while for the paperless revolution to catch up with Aviation and despite the progress that has been made, we are still reviewing an enormous volume of scanned

T

his article is about an online platform that is specifically tailored to meet the MRO demand for contracting manpower via streamlined and automated sourcing. StaffNow represents the existing processes in a digital way — saving time and effort for all parties involved. Aircraft IT met two professionals from Lufthansa Technik Base Maintenance and StaffNow’s CEO to discuss the advantages of using the platform for sourcing of contractors and related activities. AircraftIT: Please tell us about yourself and your job position. Svetla Stoeva: Staff Agency is the name of the unit within Lufthansa Technik (LHT) Base Maintenance Division which I headed for the last ten years. It was responsible for the supply of temporary manpower, the so-called aircraft technician contractors, for a network of locations — Malta, Sofia, Budapest, Shannon and Puerto Rico. What my team did was set the priorities among these locations in terms of contactors, ensuring one and the same conditions with vendor companies (contracting agencies) are in place, and facilitating the processes related to sourcing of contractors and their onboarding. This business unit has been a center for many innovative ideas and their implementation within Lufthansa Technik Base Maintenance. A business-changing idea we had in 2019 was to digitalize the department and to automate as many processes as possible and this is when we started to look for a specialized tool that could meet our needs. Luca Jelic: I’m part of the Central Quality team of Lufthansa Technik’s Base Maintenance Division and our job is to ensure that whoever joins LHT as a lateral hire, be it on a temporary or a permanent basis, meets our training and qualification standards. By having implemented said standards throughout the above-mentioned locations, we make sure that both permanent and temporary staff are adequately qualified for their job. Maintaining that level of quality requires us to perform a thorough qualification check of anyone who is supposed to work in one of our facilities. AircraftIT: What are the challenges you have faced when sourcing for contractors to support the operations for the above-mentioned facilities? Svetla Stoeva: There are a number of pain points that every player in this business has experienced. For the contractors — lack of transparency of what the job offer conditions are, long recruitment processes and unutilized time, and very complicated requirements in terms of qualifications and skills (documents that need to be provided). For the MROs — long recruitment processes, no single channel for sourcing and lack of access to the right contractors at the right time. For the contracting agencies — very complicated requirements in terms of the documents that contractors need to present, no single channel of communication and tons of unnecessary calls and emails between MROs and

The Production Department at our MROs will often place urgent requests, with a start date in less than 24 hours which could not be addressed by the standard manual recruitment process. Luca Jelic: I fully support what Svetla says. Our biggest pain point was a lack of transparency and streamlined communication on all sides. Due to the sheer amount of email and phone communication, we weren’t always clear on the status of a contractor’s application, while our qualification requirements weren’t always clear to the agencies. This led to a lot of unnecessary discussions. Since aircraft maintenance is a highly regulated field of work, EASA and FAA regulate the education, training and experience each technician (including contractors) must possess in order to be involved, hands-on, in aircraft maintenance. In addition, Lufthansa Technik, like every other MRO, has its own specific requirements. These requirements are quite complicated for a person outside of our organization to understand. There has been significant confusion among contracting agencies and contractors about what is needed in the way of documentation to possess and present, in order to be accepted for work. That’s why we needed to put this in a clear and understandable way and in one place for all these professionals to refer to. We needed an online tool in order to introduce clarity and transparency. We needed a tool which would also facilitate and shorten the time for reviewing contractors. AircraftIT: How was StaffNow selected and what are the advantages of using it? Svetla Stoeva: When comparing our needs with the tools available on the market, it became obvious that none of them could be the answer to our needs. Most of the available tools were purely job posting platforms for CV collection. No tool or platform covered the aircraft technician requirements set by EASA/ FAA let alone our specific Lufthansa Technik ones. The decision was taken to build this platform from scratch combining the extensive industry knowledge we have accumulated at the department I lead, with the IT possibilities at the hands of a long-term IT partner — edataconsulting.

Communication is faster and all the information is readily available online where everyone from our company can log in and access it. With the platform we now can clearly display to our applicants what we require from their side and what we offer them as a job opening in return. Processes are automated and positions are filled with a few clicks of a button. There is a real-time track of fulfillment progress (figure 2). We no longer have to communicate manually every request and every detail to every separate agency. We do not lose time in forwarding information and clarifying with each applicant. It is all there and available.

Luca Jelic: I remember that after a really hectic winter season, we were just about to start developing an internal online solution to cater for our needs. Luckily enough, somebody pointed out that StaffNow was trying to tackle the exact same issues that we were facing. That’s why we came together with the StaffNow project team to discuss the pain points and possible areas of optimization in terms of contractor application and quality evaluation. The platform is built in such a way that an evaluator from Quality has all the required information in one place (a contractor profile) to take a decision on a candidate’s suitability. In the past, the process was rather manual, tedious and lengthy, taking up to two weeks in some cases. The process was not centralized, so each separate local quality team evaluated contractors at a different pace. Very often, they had to consult each other and exchanged emails back and forth. We lacked a shared space for contractors’ documentation, leading to duplication of documents on local hard drives. With StaffNow, processes are centralized and evaluation and feedback take minutes (figure 3).

documentation in case it is just a matter of uploading that in order to be accepted. Feedback on what is missing also serves as an incentive for the contractors to maintain their paperwork and experience up-to-date.

Additionally, there was a substantial confusion and frustration in the past among contractors when our department rejected them because the reasons for a rejection were not clear. Via StaffNow, rejected contractors now receive a constructive feedback and detailed explanation as to why they have been rejected. There is also an option to request contractors to provide more

AircraftIT: How have operations at your department changed since the introduction of StaffNow? Svetla Stoeva: StaffNow has provided transparency and speed for every party. Lufthansa Technik Base Maintenance MROs can now enjoy a faster and more precise selection of contractors. Literally, they get the right contractors at the right time. Since all the information about a contractor is readily available in StaffNow and is prechecked, contractors for the MRO operations are ensured, even in urgent requests, often in less than 24 hours. As a real-life example I can point out that the needs for NDTs (highly skilled aircraft technicians) are met 100 % with the introduction of StaffNow. NDTs are really rare and difficult to find and we were always short of them before. With StaffNow the manual processes were automated and minimal human efforts are required. And we speak here about processes of various departments and locations running for sourcing of contractors. Luca Jelic: StaffNow has eased the communication and the efforts of quality engineers in terms of evaluating candidates for their suitability. comparable to our requirements. We work with standardized processes and templated profiles. StaffNow has been a major change for our organization. Following the introduction of StaffNow for our division, we changed the structure of the Central Quality Department — we now have one central team consisting of only two quality engineers who evaluate candidates for a network of facilities even across different continents. While in the past every facility used different channels, different models of evaluation and different practices, with StaffNow we use common sets of rules and standards. Contractors accepted in one of our facilities are automatically accepted in the rest. Communication efforts are massively reduced. StaffNow allows us to set KPIs and track performance. I like to think of StaffNow as a tool largely for aircraft maintenance quality teams when it comes to evaluation and acceptance of contractors. Quality teams can now enjoy the power of digitization (figure 4).

AircraftIT: What is the StaffNow principle? How does it work? Andres del Pino: StaffNow has three types of users: MROs, contractors and contracting agencies. Contractors self-register, create a profile and upload the required information and documents (diplomas, certificates, licenses, etc.) per template. We, at StaffNow, review the profile and verify the information as valid and full. MROs post job offers whenever they need contracting manpower. The offer is immediately visible to all registered contractors. From this moment onwards, technicians with the requested qualifications start to apply. If a technician’s qualifications are different than the required ones, application is automatically prevented. At the time of the application, a contractor selects the agency which will represent him for that job offer. Then review and acceptance

Once everyone ‘agrees’ to the deal, a match takes place and then only the travel and start activities remain to be arranged. AircraftIT: How easy is it to work with StaffNow? How much training needs to be provided to people operating with it? Svetla Stoeva: StaffNow is quite intuitive to use. Colleagues involved in contractor sourcing needed very little training and became confident with the functionalities quite fast. It is mostly just twisting your way of thinking in terms to think digitally — pressing the ACCEPT button rather than writing a confirmation text by email. Luca Jelic: Of course, there was some period of adjustment at the beginning. However, the platform is very visual and quite accessible from a user experience (UX) point of view, which is a big plus. After a quick adaptation, colleagues from Quality agree that it is great to have everything in one place. To be honest, we never had to do a formal training. It was rather just some clarification questions that the StaffNow team answered and everyone was in the loop. The StaffNow team are always available for questions and respond with no delay. Furthermore, they listen actively when it comes to improving user experience to make our lives easier. This is highly appreciated. Now all Quality teams throughout Lufthansa Technik Base Maintenance network speak the same language. Andres del Pino: In fact, we are constantly working on improving the interface and the features offered by the platform. We keep on listening to the needs of every individual user and constantly improving. This way we bring to our users the platform they really need, collecting the feedback of the people who are using the platform daily. AircraftIT: What is Lufthansa Technik’s standpoint on digitalization in general? Svetla Stoeva: We feel the spur for digitalization in every department of Lufthansa Technik. The management is promoting this trend by placing a whole program. Looking back at the Staff Agency department, it was difficult to imagine how processes could be automated and digitized. Having a partner with

the IT knowledge and background of edataconsulting is literally transforming our work environment. With StaffNow we have entered a new era in contractor’s sourcing; the classic structure of having one department dedicated only to contractor sourcing is gone. We have now one platform instead of one department. Luca Jelic: Digitalization is a very popular word at Lufthansa Technik and was so even before the pandemic. Speaking directly for my department, it was great to have someone listening to our needs and offering us something like StaffNow. Digitalization is also a mindset change, which takes time. However, I am personally happy to have the support of Lufthansa Technik to go for it and try out new things and the technical knowledge of StaffNow to make it happen. AircraftIT: What is on the StaffNow’s roadmap? Luca Jelic: There is an ongoing communication between Lufthansa Technik Central Quality team and the StaffNow team. We share our needs and exchange ideas. Our immediate plans include the optimization of the onboarding processing after a contractor is approved on the basis of the documents but prior to the start of work on the production floor. There are a number of trainings and instructions that contractors have to pass prior to their assignment. We would like to have them organized and provided digitally prior to a contractor’s travel to a target location. This will alleviate the efforts of Lufthansa Technik trainers and will save time and cost for contractors respectively. Basically, our idea is to use digital tools as much as possible to minimize the on-site time for onboarding. Andres del Pino: The StaffNow team is continuously developing new functionalities for the platform. We have a lot of plans and ideas and additionally we constantly listen to our users and adjust functionalities based on their feedback and needs. StaffNow is an independent company and the platform is meant to be used by all MROs just out of the box, without the need to perform adjustments. With our current MRO users, we are building further functionalities which will automate the onboarding processes after a contractor has been selected (such as online technical interviews, online trainings prior to commence of work, English level verification, etc.). All these new functionalities are available to all MROs registered in StaffNow. Our big goal is building a hub for the industry — all job requests in one place with full details and transparency, all aircraft technician contractors in one network with full and verified profiles.
