Message from the Board


Focusing on powerful AIESEC experiences for a stronger brand

Truly refocusing on our core business meant cutting a lot of the campus events that had been a part of our organization’s portfolio for a long time. At first there was a lot of uncertainty around the potential financial consequences and whether this would directly enable us to deliver on the ambition of unprecedented growth in exchange sales. This focus shift would thoroughly shake up the business model we had had for many years.

For the future, we hope that our successors will continue in the direction that we have set and by doing so we believe that they can reach heights that seemed impossible only 9 months ago. Not only can they deliver another consecutive year of overall growth in realized exchanges but we also envision an equal increase in the number of active members in Antwerp and new innovations for quality improvement.

Finally we want to specifically thank every single member and team leader of our Local Committee for trusting our leadership and for helping us reach our goals. It has been an honor to work with all of you and we hope you will all continue your local and international AIESEC experience for many years to come.

Thanks to the perfect alignment with the end date of our EB term, we knew actually which exchange products we needed to focus on and we had a clear image of what our bottom line needed to be.

Towards the end of 2017, it became clear that both the removal of our non core-aligned operations and the implementation of OD were smart strategies… These supported us to finally start tapping into unused potential for our exchanges and in the end we achieved our collective dream to delivery more powerful AIESEC experiences for a stronger brand! It is with great pleasure that we conclude this adventure, having realized significant growth in the national driver product and setting new historical peak numbers in both overall incoming and outgoing exchanges.

This report serves as a summary of the term that started on May 1st, 2017 and ended on January 31th, 2018. Even before the start of our mandate as the board of AIESEC UA, we knew it was going to be one like no other. Following the timeline shift, two more drastic changes as part of the global direction of AIESEC were being implemented locally. This meant that we only had 9 months to make our term count and to create an impactful legacy.

Since then, the world has been changing faster than ever before. We believe that young people hold the key to a better future and they must learn to adapt quickly to solve problems. This is why AIESEC strives to peace and fulfillment of humankind’s potential.

AIESEC was founded after the second world war by students from Belgium, Denmark, Finland, France, the Netherlands, Norway and Sweden. Our fundamentals were shaped by the social, economic and political climate of the time.

In today’s context, ‘Peace’ does not exclusively mean avoiding war. Peace can symbolize a world that does not have conflicts that arise from cultural, religious, or other aspects of differences in humanity. Peace can also symbolize being in harmony with yourself. AIESEC strives to build a world where people can work towards their own understanding of peace, while respecting and understanding the views of others.

Through “Fulfillment of Humankind’s Potential, AIESEC strives for a world where people can be the best version of themselves.

Cross-cultural exchanges AIESEC provides an opportunity for young people to work or volunteer abroad in non-familiar environments. This allows them to step outside their comfort zone and expand their world view, while contributing to the community in which they are working. Living such experiences enables people to build a better understanding on how to communicate and capitalize on diversity in our increasingly connected world. AIESEC and the Sustainable Development Goals

AIESEC is one of the United Nations partners to reach these 17 goals. Our contribution is by promoting and driving youth participation in the implementation of the Global Goals for Sustainable Development. This not only by creating awareness of the Global Goals, but also by linking them to all of our Global Volunteer projects. Every young person choosing to go on a volunteering experience with AIESEC, also chooses to contribute to one of these SDG’s.

Annual Report

The Sustainable Development Goals (SDGs) are a collection of 17 global goals set by the United Nations. They cover a broad range of social and economic development issues, as you can see below. The SDGs are also known as “Transforming our World: the 2030 Agenda for Sustainable Development” or Agenda 2030 in short. The goals were developed to replace the Millennium Development Goals (MDGs) which ended in 2015. Unlike the MDGs, the SDG framework does not distinguish between “developed” and “developing” nations. Instead, the goals apply to all countries.

AIESEC is an organization that has offered me the chance to experience what I truly am capable of: 200 students over the course of six weeks gave me their trust and spoke to me in English about various current affairs happening in the world. They trusted me to show me their courage to speak in a language that is not their mother tongue. I had the privilege to make almost everyone step out of their comfort zone, including myself, and having a good, instructive time together. I have experienced how important and enjoyable healthy human contact and self development can be and what it means to have an influence on 200 young people, people of my age, in a very positive way. By teaching students in English I also was teaching myself: I am certain that both parties have learned positive skills we can put in practice in the (near) future.

Professional internship in a renowned company 6-18 months

Through the AIESEC global talent program, I did an internship for three months in Toronto (Canada). I joined the research division of Autodesk, as a research intern. The topic of the internship closely matched that of my PhD, and the whole experience was very enriching. Working abroad means meeting new cultures, both in the workplace and outside. For me, it also meant I could focus completely on my work, and it was a very intense (but relatively short) period. AIESEC helped me with the preparations, especially the visa procedure, which isn’t always obvious. The local chapter in Toronto welcomed me and provided support and fun activities. I had a very positive experience, and would recommend it to anyone wanting to enrich their professional and personal life.

In the history of AIESEC UA, Exchanges haven’t always been our one and only focus. For many years, we also focused on Campus Recruitment. However, we recently regained our focus on exchanges. And as you can see on the graphs, this paid out. We are proud to show that this year we reached our highest amount of oGV and iGT realizes in AIESEC UA history. On the following pages you can read about how our VP’s and their teams made this happen.

Powerful leadership experiences I have been a Vice President Outgoing Exchange for two consecutive years. Continuity in both knowledge and management made it possible to innovate and improve our current processes and strategies in order to reach the sustainable growth AIESEC in UA needs. As the Vice President Global Volunteer my three main focus points have been Value Delivery, University Relations and Integrated AIESEC Experiences.

We are currently working on the possibility for students to receive credits for a Global Volunteer project as an optional curriculum item. My last major focus is to turn every AIESECer into an AIESEC ambassador by combining a local and a global AIESEC experience. For the first year, a whopping 30% of our exchanges was such an integrated AIESEC experience.

The first focus point for my team this year was improving our customer experience. We are aiming to turn every AIESEC experience into an even more ‘powerful leadership experience’ by focusing on Value Delivery towards our Exchange Participants. This focus has paid off with an average Net Promoter Score (NPS) of 8,3/10. Moreover, 55% of our volunteering experiences were quoted as ‘completed experiences’, which means all Exchange Standards have been delivered. I am proud of this ranking because I know where we came from and how hard my team and I have worked for this. I feel comfortable about the foundations we have laid for the future. My second strategy was to extend our reach and to capitalize on our University Relations by collaborating more with the University of Antwerp.

My gratitude goes out to my members, the deadline for the Organization Development Model has been critical and challenging. I know every single team member has been putting in a lot of extra time - above and beyond the call of duty - and this has truly helped to ensure that we meet our benchmarks in a timely fashion. I am so happy to see our hard work resulting in such success and I feel comfortable about the commitment and motivation of my successors. Before I heard about AIESEC I never imagined myself being part of a student organization, I thought they were just distractions and that they would take too much effort. When I found out what AIESEC was, I realized that it was more than just a student organization and it was something I would gladly put effort in. Although I have only been in AIESEC for about eight months, I think that I have learned a lot at a fast pace, not just AIESEC related things but also skills like time management and working in a team. Our team accomplished a lot in this short period of time, like reaching our goal of 20 Global Volunteers before 31st of January for the OD model. We really pushed ourselves and were all determined to reach that goal. I think the LC culture is one of the main reasons we outdid ourselves performance-wise. The hilarious team buildings and generally awesome vibe within the LC made me extremely motivated and excited to push myself and reach the goals we had set. Most importantly, it made the whole experience a lot more fun!

Focus on Value Delivery From being a Team Leader I moved on to be Vice President Outgoing Global Talent and it was such a great opportunity. By focusing on the better profiles and pushing the opportunities from partners, we have sent 4 people on their first professional working experience abroad so far.

Nevertheless, there is some progress in the partnership but later than was planned. The first opportunities for KdG will be for October and I’m convinced Elisabetta, the new Vice President Outgoing Exchange will successfully deliver on them together with her team.

Joining AIESEC has been quite an experience so far. I have met a lot of amazing people, who I got to know better during team building activities, but I also got to do a lot of operational work, which changed my vision and mind about a lot of things. For example, there was this moment during our second education with the whole OGX team and we had to do cold calls, which is something I definitely hated to do before. Now this is still a bit terrifying, but I’ve overcome this fear with the support of my fellow members and VPs. Besides cold calls, we mostly had to help EPs find their perfect opportunity and make sure they have the best experience during their exchange by trying to complete the standards. I think the most stressful part of this was actually finding EPs who were interested in going on an exchange. It wasn’t always easy, but we always made sure everyone stayed motivated by supporting each other in every step of the way.

Providing all 16 standards As part of the core of the AIESEC operations, the Incoming Global Talent track is responsible for the facilitation and deliverance of international AIESEC trainees to companies in Antwerp. In this department, you have on one hand a business relation with companies. This relation includes sales/negotiating but these practices are mainly focused to build and more importantly retain a healthy partnership with our companies. On the other hand, you have a warm and human relation with the trainees. This aspect revolves mainly around their settlement in Antwerp and their social wellbeing. More concretely, this part exists out of a few very important activities: these start all the way from the beginning, when the trainee is accepted by the hiring company until the trainee departs Antwerp. These activities are grouped into 16 basic standards with the more important ones being: assist during visa procedure, pick -up when trainee arrives at central station, provide good quality & cheap housing, create a social environment where the trainees can thrive and feel at home and 12 more. To be able to provide all these 16 standards, for all our international trainees, this track needed (and still needs) a lot of time, dedication and education.

That is why my department existed out of 2 separate teams consisting of 3 members, with a team leader each. As the VP Incoming Global Talent this year, my main strategic focus points were: a different and more qualitative approach regarding customer relation management. This way we were able to build and retain strategic partner companies that hire multiple trainees from AIESEC and will remain doing so in the future. Additionally, the member/team-leader experience was changed to boost morale with the hoped and realized result that all trainees were handled more qualitatively in Antwerp. One of the more interesting things about this track is that you have the chance to meet and more importantly influence the lives of people from all over the world and to be able to see the change in a company's environment, after introducing them to people from other cultures.

Last year, I was tired, and I completely lost my motivation. I needed something new in my life. Something that would drag me out of the auditorium and put me back in a new and challenging environment. AIESEC always intrigued me: friendly people, cool events and of course interesting goals! So, it did not take long for me to decide that I wanted to join. And I immediately felt at home… Now, when I look back at the past 6 months, I realize it has been a roller coaster, but a really cool one! AIESEC has offered me more than I could imagine back then. Not only new faces, but also new stories. Not only new challenges, but also confidence and self-knowledge. Not only new friends, but also new family. It changed my worldview and made me proud of how much we have achieved together. You may ask how? Well, it’s simple… in AIESEC you are not just a member, you are part of the team!

Provide great experiences In AIESEC, we create the opportunity for youth, to go on a cross-cultural exchange abroad. For Belgium this means sending people abroad and welcoming trainees from all over the world to give them here a wonderful exchange. In order to provide great experiences, we need to create partnerships with companies who are interested in bringing different cultures into their company. It is the Business Development track who is responsible for starting partnerships with these companies. Last year, cold calling was used to fix a first meeting, however this approach was less and less efficient. Therefore, I reviewed the whole sales method at the beginning of my term, starting with our company's proposal. Together with my team leaders, we also changed our meeting structure and the cold call script. Furthermore, we looked into opportunities like contacting companies via LinkedIn and network events. All of this moved our focus from booking meetings to have meetings, to booking meetings with the right partners due to more qualitative research in advance. This term we also moved our CRM from Podio to Hubspot. It helped us to ensure better information flows over different terms, but also to do better and more qualitative follow up of our companies.

Now all the mailboxes are automatically linked to Hubspot, so no information gets lost and everyone can follow up each partner. A third goal that helped us to improve our sales was B2B-marketing. Together with the VP Incoming Global Talent, we collected some testimonials from trainees and companies and used this during our partner meetings. Last but not least, I focused on education of members and team leaders. It is very important that everyone of BD can present Global Talent in a clear and professional way to companies. Several info sessions and sales trainings did help to develop everyone into a real salesman/woman. This term has been a period with a lot of changes, but I am proud of my BD-teams, who survived this transition and showed that the new sales approach yield results.

25 Vincent Loos - Team Leader This year I made another big step in my personal development and the second big step in my career in AIESEC. While having learned so many professional and social skills last year as a team member BD and having met so many incredible young and driven people in AIESEC and the companies I have visited, I found it was time to step up and become team leader. Becoming a team leader made me more aware of my strengths and weaknesses. I made and still make mistakes, but I learn from them and grow stronger and become better by doing so. This way I contribute to my team, my track, AIESEC and to my own personal development. This year I also went on my first conference and it was an extraordinary experience, an eye opener. It was unbelievable to see so many motivated young people together for a weekend full of interesting, motivational and educational sessions, team building and fun. It really showed the magnitude of AIESEC and how it can bring people together and have an impact on society and the world. It really showed me that we are the future, that we can all make a difference and that what we do is not in vain but has a real impact. I thank everyone who advised me to enter AIESEC and all the people in AIESEC who helped me become who I am now.

Small yet significant changes During the past term, I feel like a lot of changes have been made. Both within the LC as within my own track: Marketing. Within the LC, we’ve managed to change the entire culture. The whole LC was hard working, striving to a common goal: ‘peace and fulfillment of humankind’s potential’. Next to that, in all my time within AIESEC, I have never seen an LC that is so strongly connected with a strong group atmosphere.

We had a strong exchange focus, which meant that we as a marketing team worked together a lot with the outgoing exchange teams. Together we changed our call script to EP's and went to travel fairs to attract new EP's.

Looking back on this experience, I have a lot of things to be thankful for. Firstly, I am very thankful for my EB. They will always be remembered as my amazing colleagues, the people who I could lean on and more importantly: my friends for In my own team, some small yet significant life. I learned to work together with new people and learned new skills like Photoshop and other techniques to improve the marketing of AIESEC UA. I think it is amazing to work in an organization like AIESEC. Although it is a big organization, you work in a rather small team. However, I still felt like I had contact with trainees in Belgium as well as with potential exchange participants. It feels like being part of the bigger picture, to make exchange and contribution to the Sustainable Development Goals happen. I think that is what makes AIESEC so special and different from other organizations.

29 Sophie Molinard During this past half year in AIESEC I have learned a lot about working together in a team that’s part of a much bigger organisation. I had the possibility to develop professional skills and use the theory I learned in books in real life. By working in Talent Management I felt like a real HR manager. It was nice to see that our track got taken seriously and that AIESEC is concerned about its members: after all, our job was to make sure that everyone developed the qualities that they thought were important and felt good in the group. Besides from learning, there were also fun activities like team building. My team and I had to think of activities to do during the team building, which was definitely the most fun part of our job.
