Close Dates Ad Materials and Mail Lists – brass|CU is delivered in February, May, August and November. All ad materials and mail lists must be received by brass|MEDIA Inc. no later than 45 days prior to the first day of each delivery month for each issue. If subscriber supplied materials are received less than 45 days prior to the delivery date, brass|MEDIA Inc. will use good faith effort to include all material. However, brass|MEDIA Inc. reserves the right to utilize the Subscriber’s ad materials and mail list submitted for the previous issue if materials arrive after the Close Date.

The following guidelines are the acceptable formats for submitting your electronic files. All advertising materials must be delivered to brass|MEDIA Inc. as camera ready, high resolution files, as outlined in this document. Please follow these guidelines carefully. Call with any questions. NOTE: The time brass|MEDIA Inc. spends to design content or correct files that are improperly submitted may result in a chargeable expense to the customer and will be billed as outlined in the Subscription Agreement.

Submission • Files may be delivered directly to brass|MEDIA Inc. through the brassmedia.com file upload system or on CD or DVD. Other means of submission accepted upon request. • All ads must include a digital (PDF) or hard copy color proof :: Package all Mac fonts Mac files and fonts may corrupt and become unusable when transferred to a non-Mac environment. For this reason, it’s crucial that you package all Mac files and fonts in a Mac Stuffit (.SIT) file. After you have packaged all Mac files and fonts into a Stuffit (.SIT) file, you are ready to transfer them. For Mac OS 10.3-10.4 users, all you have to do is right click on the file or folder you want to stuff and select “create archive.” This will create a .zip file that will transfer to our system without problems.

Colors • Convert all Pantone colors to CMYK and name with CMYK values ::do not use Pantone names:: • Convert all RGB colors to CMYK. • For documents containing heavy black ink coverage, printing quality will be improved if you create a rich black in your color palette. The preferred build is 40% cyan, 40% magenta, 40% yellow and 100% black. • Do not use rich black or registration colors for text or graphics. • Do not use RGB, LAB or indexed color images in your document.

Images • Save all images as TIFFs at 300 dpi and actual output size. For example, if an image prints in the ad at 4” x 5” then save the image at 4” x 5” with 300 dpi ::Do not use JPG, PICT, WMF or BMP. These are low quality files and will not print as well as TIFFs:: • Include all images with any ad that is submitted. InDesign If using InDesign, use the “package” feature to create a folder with all images and fonts included, ready for submission. In InDesign, go to the file menu and click on “package” and follow the on-screen prompts. By using InDesign’s package feature many labor intensive tasks can be avoided. This feature will automatically find all images and fonts used in a document and put them into a folder so everything is ready to upload. Quark If using Quark, use the “collect for output” feature to move all image files into a folder with the Quark file. In Quark, go to the file menu and click on “collect for output” and follow the on-screen prompts. By using Quark’s “collect for output” feature many labor intensive tasks can be avoided.

Fonts • Include all fonts. • Fonts used in EPS files should be converted to outlines/paths. • Mac fonts must be packaged in a Stuffit (.SIT) or Zip (.ZIP) file on the Mac system before they are transferred. • PostScript fonts are required unless otherwise approved in advance. PostScript fonts are made up of two parts: printer/outline and screen/metric. Both are needed for proper output. • Do not use the style menu for creating bold, italics, or special effects like outline type or drop shadows. Instead, select the appropriate font in the type menu. Create these special effects by layering text boxes or by creating them in another application such as Illustrator or Photoshop, and then importing that as a graphic element into your layout.

Rules and Frames • Rules, borders or frames must be defined as 0.25 point or greater. If “hairline” is selected, it usually will appear on laser copies, but will be too light to be seen when imaged. • Avoid using bitmap frames. These frames may print incorrectly.

Below are terms and defintions used when setting up documents for advertisments in brass|CU : •

Page size/trim Set the document size to the page size dimensions.

Live area (.375” inside the page/trim size) All text and logo elements need to reside inside the live area.

Bleed size (.125” past page/trim size) If a graphical element extends to the edge of the page, extend that

element to the bleed size. This insures that the ad will bleed when it is trimmed.

::Non-bleed ads should be contained within the live area::

Accessing File Share

Final Checklist

To make ad submission easy and efficient we offer an online file share program where files can be uploaded directly to us.  Follow the steps below to access your file share account and upload your files. NOTE: Because sensitive material is being transferred, we can only give the username and password to our primary contact.

Below is also a final checklist that we hope will be a useful tool during your design process. By using this checklist we will be able to process your ads more quickly.

Two methods of downloading files are presented below.

“Get” to the right of the file you wish to download.

2) Save the file to your hard drive (remember to note
