Minor Skins Programme update

• Healthlink Notifications – unfortunately there was an error where notifications were being sent from PHO/Clinical-Triage side but were not received at practice. This has been identified and Karo pushed out a fix late last week so you should have now

• Minor Skins Dashboard – all cases sitting in your Skin Lesion Referral Dashboard are approved cases assigned to you as a GPSI. If the “Assigned To” column shows your name, and there is a “Recommended Next Step” then these are ready to be actioned. Please ignore the current “Status” column in the Skin Lesion Dashboard, we have been advised this is not updating and continues to show as “Awaiting Processing” which may be causing confusion. We are working on having this column updated/removed.

• Viewing Case Details – patient contact details, clinical lesion information, and other necessary information about each referral is available by accessing the patient’s ‘Current Skin Lesion Form’ via Halcyon. If the referral has come from an external practice, you may need to set the patient up in your PMS first as a casual patient. Once they are in your PMS, you can access their current Halcyon forms as you would with an enrolled patients.

• Declined/Hospital Referrals – These will not show in GPSI Dashboard. Only Approved Referrals show in the Dashboard. If a case is Declined or Referred to Hospital, the Referring GP will receive a Healthlink Notification confirming this.

• Action No Longer Required – If action is no longer required on a case in your dashboard (e.g. pt went private) please update this by accessing the pts current Skin Lesion Halcyon form, and where it asks “Is procedure still required?”, select “No”.

• Discharge Letters – manual discharge letters must still be sent by GPSI to the referring GP at this stage (but not back to the PHO). We are working on an automated improvement/solution for this step.

• Improvement Suggestions – We have received a number of improvement suggestions for the form and will be working with Karo on these for future improvements.

• Historic Claims – Any referrals predating 6th of February 2023 have been input to Halcyon for invoicing purposes. As a referring GP no further action is required. GPSI’s may wish to check patient notes to confirm surgery has already been completed. These should only show for as yet unpaid claim. Halcyon form may still need to be completed with outcomes for payment purposes.

The Network Services Team is happy to offer support in this process – they can come out to practices or connect virtually and support with troubleshooting or training as needed. Please do reach out for any help by emailing Network Services Admin nsadmin@wboppho.org.nz
