Dear Athlete and Family, Congratulations on your performances at the Little Athletics WA (LAWA) State Championships 2017. Your achievements have automatically qualified you to nominate for the WA State Team to compete at the 25 th International Athletics Championships to be held in Gambang, Malaysia. The competition is only open to U14 and U15 athletes, who will compete against athletes from Malaysia and Singapore. The two-day competition will be held in Gambang, located on the East Coast of Malaysia, approximately 30 minutes from Kuantan. The WA State Team will depart on Wednesday 5th July and return on Thursday 13th July 2017 and the formal athletics competition will be hosted in Gambang on the 8 th and 9th July 2017. Athletes will be required to tour and stay with the team for the duration. Enclosed is detailed information for athletes and parents, to allow you to make an informed decision on becoming a WA State Team member and creating lifelong memories! To secure your position in the team a $300 DEPOSIT is required to be paid to Little Athletics WA by Monday 24th April 2017. Nominating athletes will automatically qualify for and be entered into events in which they achieved an individual medal in at the 2017 LAWA State Championships. If you do not wish to compete in an event you have qualified for, please inform the office immediately. Where events are not fully prescribed by athletes achieving automatic qualifiers, vacant event positions will be offered to other travelling team members in a priority allocation. To assist with the possible reallocation, please complete the athlete’s profile sheet with your PB’s from this season for events you wish to be considered for. The completed athlete profile is to be returned by email: admin@walittleathletics.com.au by 4 May 2017, or handed in at the information meeting and team uniform sizing meeting to be held on Thursday 4 May 2017. LAWA will not force athletes to compete in events they do not wish to participate in, however we strongly encourage athletes to select more than one event. We strongly recommend that athletes apply for a passport as soon as you have decided you will be travelling with the Team to allow sufficient time for processing. ABOUT THE COMPETITION AND THE TEAM EXPERIENCE You have qualified to represent WA in an Athletics competition. So what is the competition and what do you get out of it? The U14 and U15 International Athletics Championships is a competition between Singapore (co-ordinated by Singapore School Sports Council), Malaysia (co-ordinated by Malaysian School Sports) and Little Athletics WA. Alternatively hosted each year by Malaysia and Singapore, this is the 25 th year of competition. The competition this year will be held in Gambang, about 30 minutes from Kuantan on the East Coast of Malaysia. The venue is the Malaysian Sports School Pahang which boasts an 8-lane synthetic track. The grandstand will accommodate spectators and athletes with a view overlooking the competition arena. Whilst it is your athletics performance that has qualified you for the competition, do not go expecting the event to be at the highest level of international competition. This team tour is much more than just a competition. It is an experience that will contribute to the growth and development of young athletes. Each athlete will learn a great deal about themselves as people, how to manage living out of a suitcase, travel, sleeping in another bed, working with new coaches and team managers, learning to cope with different personalities, eating foreign food and not having to rely upon mum or dad to do everything for them. Athletes will learn to manage their competition preparation, pinning on competition numbers, remembering the correct shoes, making sure they have water and snacks, warm up routines and marshalling for events. Team management is there to assist, but with the number of athletes attending, the responsibility is put back on the athletes. This is an experience that will help the athlete to mature and develop, not only as an athlete but also as a young adult. The team tour will include time prior to competition to become familiar with the environment and conditions, whilst getting to know your team mates further. The time following competition is a time to relax and enjoy the cultural experiences Malaysia has to offer in the company of other athletes, who by now you will know much better. Returning home will be a little harder for you now as you depart the airport and say goodbye to new friends that you now have from many other athletics centres. Whilst we encourage parents to join us on the tour, we respectfully ask you to provide the athlete with the opportunity to grow, develop and to tackle new challenges as they present themselves. Don’t worry, we will contact you if there is a need to. Travelling supporters are invited to join us at the competition to spectate, and again at the Bukit Gambang Resort City (Water Theme Park) after competition to relax and mingle. You may find the athlete that departed, may not be the same athlete emotionally and socially that returns 8 days later and we make no apologies for their growing independence! PLEASE NOTE: If the athlete withdraws from the trip there will be costs incurred depending on when the withdrawal takes place. PASSPORTS If you are travelling on a passport other than Australian or New Zealand a re-entry visa MUST be obtained. Athletes MUST have their own passports as they CANNOT travel on their parents/guardian’s passports. We strongly recommend that athletes apply for a passport as soon as you have decided you will be travelling with the Team. We are required by our travel firm to hand in passport pages 4 weeks prior to travel to enable tickets to be issued. CYBER SAFETY EDUCATION As part of our Team Selection guidelines ALL athletes will participate in a WA state team MUST undergo compulsory Cyber Safety Education at least once in the season. Athletes failing to complete this education will forfeit their place in the team.

RULES FOR MEMBERS OF THE STATE TEAM TRAVELLING TO MALAYSIA

The following are the rules athletes must abide by if they wish to be part of the U14 and U15 State Team competing in Malaysia. Before an athlete can become part of the team, the athlete and Parent/Guardian MUST sign the form declaring that the Code of Conduct and Behaviour has been read and understood and agree to abide with ALL the following rules: 1.

Once the athlete is handed over to the Group Leader at the Airport she/he becomes part of the State Team and is under the sole jurisdiction of the Group Leaders. This responsibility remains with the Group Leaders until the hand over on the return to Perth airport.

2.

All laws of Australia and Malaysia MUST be complied with. This includes Customs, laws regarding carrying goods out of and into Australia and into and out of Malaysia.

3.

Neither the Board of Management nor LAWA will accept any responsibility in anyway for athletes who break laws of this or another country.

4.

The athlete agrees to follow all instructions given to him/her by Group Leaders and behave and dress in an acceptable manner as required by the Group Leaders.

5.

Attendance at training is recommended for all athletes especially those in a relay team, it is aimed at continuing fitness and event participation as well as fostering team spirit prior to departure.

6.

All medical expenses incurred by an athlete in Malaysia Will be paid by LAWA at the time and must be reimbursed to LAWA within 14 days of return from the trip. If the cost exceeds the $250 excess LAWA will claim on the LAWA insurance.

7.

Any Insurance claim on the travel insurance taken out on behalf of the athlete is the responsibility of the athlete and the Parent/Guardian to complete with the Executive Officer all claims are reimbursement only.

8.

Any tours arranged by the Association will be attended by all athletes.

9.

Smoking at any time is prohibited.

Alcohol at any time is prohibited. Being in possesion or caught drinking alcohol will result in a breach of the Code of Conduct.

11.

Neither the Board of Management nor LAWA will accept any responsibility in any way for body piercing or tattooing done whilst the athlete is on this trip.

12.

LAWA will not take any responsibility for athletes who take part in any illegal activity whilst in Malaysia.

13.

Rooms allocated to athletes are NOT to be changed.

14.

Boys are NOT allowed on the girl’s floors or in their rooms and girls are NOT allowed on the boy’s floors or in their rooms.

15.

Athletes are not allowed to visit parents in their rooms.

16.

Parents are not allowed to visit athletes in their rooms

17.

All rooms at The Zenith Hotel are air conditioned and athletes MUST NOT open any outside doors/windows. This is a request from the Hotel for safety reasons, both for the safety of the athletes as well as the other patrons at the hotel.

There will be a curfew of 9.00pm on the night before the first competition day the second night as determined by your Group Leader and 11.00pm once comp is over. This means that athletes must be in their allocated room by curfew time. Rooms are not to be left again until next morning when athletes go down to breakfast. Lights out at 10pm on curfew nights and midnight on other nights.

19.

The breaking of any of the above rules may result in a breach of the Code of Conduct behaviour. Breaches of the code of behaviour have been outlined in the agreement you must sign. Should an athlete be expelled from the team and sent home, Parents/Guardians will be notified to pick up the athlete at the Perth International or Domestic Air Terminal. Athletes will be sent home as an unaccompanied minor. The cost of this will be the responsibility of the Family.

ADDITIONAL INFORMATION AND RULES PLEASE READ CAREFULLY You have already received the General Rules that you MUST abide by to be part of the Team. These are the rules you have signed a form to accept. These rules will be strictly enforced. In addition to these rules we would like you to be aware of the following: 1)

Please make sure your name and home address is on the inside and outside of your case and carry bags. Athletes are allowed 20kg luggage, anything over this may incur charges. Athletes to take one back pack onto the aircraft.

2)

Athletes must be responsible for their Passports – not their parents. You will have your passport on the plane. Passport and Immigration forms must be handed to your Group Leader

3)

When you have gone through Customs formalities in Malaysia your Group Leader will collect your passport and white immigration form given to you from the Customs Officials. These will be kept for safe keeping by your Group Leader on arrival at the airport.

4)

Departure tax out of Perth and Malaysia, Comprehensive Travel Insurance is organised by LAWA and is included in your trip costs.

5)

Vaccinations are not compulsory to enter Malaysia. Please check with your family doctor.

6)

In your hotel room will be a mini-bar. We recommend you check your bar when you arrive and if there is still anything in it please inform your Group Leader and they will have the contents removed. If your room configuration is not individual beds, please let your group leader know immediately.

7)

DO NOT SHARE WATER BOTTLES WITH ANYONE We recommend you buy your water, cool drinks etc when out with your Group Leader, it is cheaper. Any room service, telephone calls etc are your responsibility and payment must be made daily. When making telephone calls to Australia, it is cheaper to ring your parents, giving them your room number and ask them to ring you back. You may purchase local international sim cards when we arrive.

Please do not open your bedroom door unless you are sure of who is outside. 11


If you have any worries or concerns, please ring your Group Leader or Team manager on the house phone. These numbers will be given to you by your Leader when you arrive at the Hotel. 10)

We recommend you take $350 to cover the meals not already incorporated into the cost of the trip. You will also need spending money, but that amount is up to your parents. Suggested Pocket money is $350.

11)

Please talk to your Group Leader about your money. Your Group Leader will have a safety box and will look after the bulk of your money while you are in Malaysia. You will do banking regularly whilst away with your group leader. We DO NOT allow taking out Travellers Cheques or credit cards.

12)

If you are taking medication you MUST give your Group Leader a letter from your Doctor with a replacement prescription in case you misplace your medication. If you are taking antibiotics, please check with your Doctor to ensure the antibiotic is suitable to be taken in hot climates. If you have any life-threatening allergies (e.g. nuts) PLEASE bring this to the attention of your Group Leader at an early stage and Let the Team manager know with an action plan. Most airlines require a doctor’s letter if carrying an epi-pen.

When leaving Malaysia please check your luggage carefully to make sure you only have your own possessions. Do not bring anything back for anyone else.

14)

Remember to check Customs regulations. You are not entitled to the adult allowance for duty free goods. Random searches are conducted by the Customs people at the airport on your return and if you are over your allowance amount penalties may apply.

The official uniform to be worn on the aircraft to Malaysia and back again to Perth will be:Track Suit –Supplied Polo - Supplied Joggers - provided by athlete (These must have laces) Socks - provided by athlete

Drinking water (Only bottled water to be used at all times while in Malaysia - this can be purchased while you are out with your Group Leader. It is up to athletes to make sure they have plenty of water at all times). Please bring a Cooler bag to keep drinks/lunches cold. Large strong plastic rubbish bag for putting your bags and gear in on Competition Day - in case of rain.

Note for Parents - Because of the rules regarding Centrelink Payments we strongly recommend that if you are a recipient of Centrelink Benefits in relation to your child, that you advise the Department of the period of absence of your child while they are in Malaysia.

TRAINING PROGRAMME FOR MALAYSIA

Please refer to the Pre-Departure Itinerary on page 5 of this booklet for details on team training sessions. Athletes are expected to maintain their own training regime outside of these team training sessions. The onus is on the athlete to ensure they are as well prepared to compete in Malaysia as possible, which will require athletes to conduct training independently in addition to the team training sessions. Should an athlete require any assistance or guidance with planning their preparation for the competition, athletes should speak with their Team Leader. LAWA will be supplying coaches for each discipline for all team training sessions. Personal coaches will not be allowed onto the arena during training. If an athlete has a personal coach, the athlete may ask their coach to provide them with a training program to follow for International training. Relay training will be conducted at team training sessions. Athletes selected for sprint relay teams (4 x 100m) are required to attend relay training. Failure to attend may result in you forfeiting your place in the relay. Athletes are to report to their Group Leader on arrival and before departure from the Stadium for each training session. The official competition uniform is to be worn at the Mini Competition only but not the track suit. Country athletes will be told by their Group Leader the dates they will be required to attend training.

MALAYSIAN CLIMATE Weather conditions in Malaysia will be vastly different from those you will be leaving in Perth in July. In addition to much higher temperatures, the extreme humidity will take its toll on those athletes who are unprepared for these conditions. The higher the humidity and temperature, the higher the risk of overheating your body to a dangerous level if you do not take certain precautions. As your heart must work harder to supply more blood to a greater surface area of skin in hot weather, a higher level of fitness is required. Partial acclimatisation may be achieved by an 8 to 12-week training period at an exercise intensity that produces significant sweating. This may be aided by training in heavier clothing than normal, ie: wearing of a track suit whilst training. However, avoid wearing clothing that is too tight and ensure that you drink water and take precautions to avoid excessive overheating. HERE ARE SOME DO'S AND DON'TS TO REMEMBER ABOUT TRAINING FOR AND COMPETING IN THE HEAT. 1)

DO drink small amounts of water frequently to replace lost fluids.

2)

DO improve your level of conditioning to a higher degree than normal.

3)

DO ensure that you perspire profusely during training.

4)

DO slightly increase sodium intake to compensate for sodium lost through sweat.

5)

DO eat fruit and vegetables.

ON COMPETITION DAY 6)

DO drink 1 - 2 glasses of cold bottled water 10 minutes prior to warm up, then 15 - 20 minutes after you start to exercise. Continue to drink the same amount at regular intervals to stay hydrated.

7)

DO NOT drink fluids containing sugar (ie. coke etc) they can cause bloating, cramping, discomfort and inhibit the sweating process.

DO wear your hat & sun cream, and use your towel to provide shade on field sites.

9)

DO advise a Group Leader IMMEDIATELY if you have a headache, experience nausea, dizziness or diarrhoea.

10)

DO NOT wait until you are thirsty before you drink - it usually is too late.

11)

Please ensure you buy bottled water and drink this at all times. When you are in Malaysia you must drink bottled water at all times. Water from the tap in Malaysia water is ok but just as a precaution we do prefer you to drink bottled water.

GENERAL INFORMATION ON KUANTAN Kuantan is the state capital of Pahang, Malaysia, it is near the mouth of the Kuantan River and faces the South China Sea. Kuantan is the ninth largest city in Malaysia. Kuantan was founded in the 1850’s. In the early days it was known as Kampung Teruntum POPULATION Kuantan population is approximately 607,778 and is composed of 55% Malay, 34% Chinese, 10% Indian and 1% other races. ECONOMY One of its major economic activities is tourism. Domestically it is famous for the production of handicrafts, batik, fishing and timber. WEATHER During your trip the weather should be warm with occasional showers. July average minimum is 22 and the maximum is 36. It will rain from time to time. You should take light clothing (preferably natural fibre). A shower jacket could be handy. MONEY Malay currency consists of the Ringgit which is worth 100sen. Currency notes issued in denomination M$1, M$5, M$10, M$20, M$50, M$100, M$500, M$1000. Coins come in denomination of 1sen, 5sen, 10sen, 20sen, 50sen, and M$1 As at April 2017 $1 Australian dollar was equal to approximately $3.35 Malay Ringgit but this may change by the time we travel.

A calculator might be of use. LAW Remember, although most laws are basically the same, the laws of Malaysia are what counts when you are in Malaysia. Some things are very different. As trafficking in illegal drugs carries a mandatory death sentence, do not attempt to carry an amount of forbidden drugs for yourself or anyone else. Check with your doctor if you have any special health 17


requirements, inform your Group Leader and also ensure this is noted on your medical form for LAWA.

FLUID REPLACEMENT Everyone involved in physical exertion is going to sweat no matter the season or temperature. Sweating is the body’s best mechanism for cooling itself during activity. As sweat evaporates, heat is transferred from the body and into the environment, so cooling the body. In hot weather, 1 to 2 litres of sweat can be lost every hour of exercise. When body fluid losses as sweat are high, the body becomes dehydrated. This creates problems as dehydration places extra strain on the heart and greatly reduces the body’s capacity to dissipate heat i.e. the body overheats. Both dehydration and heat exhaustion dramatically reduce sports performance and can be life threatening without fluid replacement. It is important to prevent them from occurring. Salt tablets should never be taken, as they are likely to cause dehydration and stomach cramps. Electrolyte drinks are not necessary for events less than 2 hours duration. If consumed, electrolyte drinks should be diluted, as they are too concentrated to be ideal for fluid replacement. It is important that you drink before, during and after exercise as you lose more fluid as sweat than can be replaced during activity, especially during the summer months. 2017 WA International Team Conditions of Participation and Code of Conduct The following information is important for your participation in the Little Athletics WA Team to Malaysia. Please read this information carefully. It is an important agreement between you, your Parents/ Guardians, Little Athletics WA and your fellow team members. Little Athletics WA International Team Members are responsible for representing WA, at all times, in the best possible way. The standard of behaviour of all team members reflects on the image of the team and Little Athletics WA. The following Rules apply to all athletes who participate in the trip. Any questions, or concerns regarding these rules please speak to your group leader before signing.

1.

Accommodation There is to be strictly no boys in girls’ rooms or girls in boys’ rooms AT ANY TIME. Any Athletes breaching this rule will be suspended from competition or team activities.

2.

Curfew Once team members have been asked to go to bed, they are expected to remain in their own room. The curfew time means QUIET in the rooms and when asked LIGHTS OUT. Disrespect of the curfew will not be tolerated. We stay in public Hotels and consideration for the other guests is paramount at all times. Any Athletes breaching this rule will be suspended from competition or team activities.

3.

Respect Team members are expected to show respect to the team management, other team members and towards any person they come into contact with in their role as a WA team member. Any lack of respect, abuse, sledging, bullying, teasing or harming of others will not be tolerated. Inappropriate or offensive language is prohibited. Any Athletes breaching this rule will be suspended from competition or team activities

4.

Phones/Mobile Phones/Electronic Devices Mobile phones or any other electronic devices must not be used at Team activities, at training, or competitions. Such devices must be put away safely. They are the responsibility of the athletes at all times. When travelling with the team IPad, laptops, notebooks etc. are not to be taken. Athletes using all other electronic devices when travelling athletes MUST comply with all airline requests for use of electronic devices. Failure to do so will result in confiscation of the devices by Team Management. All 27


Mobile Phones are to be handed into the group leaders at curfew each night. Any Athletes breaching this rule will be suspended from competition or team activities.

5.

Electronic Communication & Social Media Team members must ensure that any phone calls they make, text messages/photos they send, or comments/photos that they post on social media (e.g. Facebook, Twitter) show that they are a positive ambassador for the WA International Team and will not contain any inappropriate or offensive content or material that could harm the athlete, the team, the team image or Little Athletics WA. Any team member contravening this rule will be immediately dismissed from the team

6.

Alcohol/Smoking, etc. The use of Alcohol, cigarettes, or any other intoxicating or prohibited substances is forbidden, at all times. Any team member contravening this rule will be immediately dismissed from the team.

Breaches of the Code of Conduct Breaches of the Little Athletics WA Team Code of Conduct will be viewed as a breach of the trust that LAWA has with each team member, and disciplinary action will be taken accordingly. Continuous and/or serious breaches of the rules in the Little Athletics WA Team Code of Conduct, or incidents of any other behaviour that in the view of the Board of Management could harm the team or its image will result in the offending team member(s) being dismissed from the team, forfeiting all monies paid to that point in time. Athletes who commit a serious breach will be sent home immediately and at the parent’s expense. LAWA Team Management and Board of Management reserves the right to impose appropriate sanctions on athletes whilst travelling with the team of minor breaches of team rules. All athletes and Parents are bound at all times by the member protection Policy and our code of behaviour available on the LAWA website.

Little Athletics WA reserves the right to exclude any individual from the team who is not prepared to agree to the above conditions of Participation, Code of Conduct and Member Protection policy.
