The Redd Group (publishers of the Village Voice) recently launched its Central West Jobs website, affirmation that digital is the way of doing things, including job applications. Most employers now encourage applicants to file by email and the same rules and conventions apply - but there are pitfalls. Firstly, is your email account name appropriate? Nobody wants to know you are ‘hot2trot@hotmail. com’. If your email address is not business appropriate, get a new free email account, and preferably one using your name. And always include a pertinent Subject Line in your emails. For example; ‘Re: Job Application for Sales Assistant Position’. Use only real words; the personnel manager is not your BFF, and LOL’s, ROFL’s, BTW’s and emoticoms are unprofessional and irritating. Don’t send out multiple emails applying for several jobs at once. This makes you appear uncommitted to the job, as well as lazy. Customise your emails to suit each company and addressed to a specific person, if possible. Writing the email should be just like writing a standard cover letter. Begin the email with ‘Dear Mr/Ms/ Mrs’, or if the name is unknown to you, ‘Dear Personnel

Manager’. The date and time is not necessary, nor are the typical address lines included on a cover letter. For the content areas, copy/paste your cover letter into the email message, or write directly into the email body. attach your CV to the email as a PDF, keeping in mind PDF’s cannot be edited by standard software once you’ve attached them. And make sure you include your signature at the bottom of the email. Email signatures can be customised, and should include your full name, email address and mobile number. Personnel managers will often print out messages for later use, so don’t rely on them noting the sender information on receipt. When writing an email application use professional, standard grammar and correct spelling. Briefly state the message’s intention, list the most important details about your experience, and attach your CV. Always proofread your email several times before sending. It’s easy to click ‘send’, but not to take it back. Finally, remembering that the basic rules of the interview, cover letter and resume also apply to emails will enhance your professional appeal and create a good ‘foot in the door’ first impression.
