OrgSync WHAT IS ORGSYNC? OrgSync is an online community that improves communication, information sharing, collaboration and reporting within the Office of Student Life and student organizations. Each student organization has a portal, which is a central, online location for student leaders to more efficiently manage their organizations and members. Organizations are part of the larger campus community and administrators have the ability to oversee and manage their activity. Prior to arrival on campus, each new student is invited to register on OrgSync and has access to important resources that allow them to discover programs and organizations on campus. OrgSync makes it easier for students to engage in campus life and manage their co-curricular involvement. In order for OrgSync to be an effective management tool for the Office of Student Life, the following elements must be fully updated at all times: Organization Officers and Administrators Organization Profile and Contact Information

Advisor’s Role on OrgSync It is important that each student organization Advisor is an administrator on their organizations’ OrgSync portal for the following reasons:  Ensure that the organization’s contact information is updated.  Receive biweekly newsletter and additional important communications from the Office of Student Life (all contact lists are derived directly from OrgSync).  Ensure a seamless transition between student organization leaders, by remaining a consistent contact and administrator as leaders switch in and out of their roles. In order to become an administrator on your organization’s portal, follow these steps:  Create a personal OrgSync account by visiting www.orgsync.com.  Join the respective organization as a member.  Have a current administrator follow the steps on page 4.

Updating Profile Contact Information and Advisor Information You must be an administrator of the organization to make the following updates.  Go to your organization’s portal.  Click on your profile tab (1).  Click on the small “edit” icon in the upper, right corner (2).  You will be guided through updating the organization description,

Updating People Administrators, Officers, Members You must be an administrator of the organization to make the following updates.  Click on the “People” option on the left toolbar (1).  Choose a member to update (2).  Click “Edit” under their profile (3).  Click “administrators” and/or “officers” to update their

status (4).

Additional Helpful Tools

OrgSync offers many additional tools that can benefit student organization management. Each organization can decide the extent to which they will use the tools based on their organization needs. These tools can be found on the left-hand toolbar within the organization’s portal. PEOPLE Browse profiles of members in your organizations. Manage administrator/officer statuses.

COMMUNICATION This module allows for numerous ways of storing contact information and also communicating with members. The different ways include: contact books, discussions, email lists, news, SMS/texting, polls, and messaging.

CALENDAR View all of your organization’s events on one calendar. You can also view the community-wide calendar, which shows the events that have been made public to all community members. EVENTS Create, track, and promote all of your events and who attended. Select events to appear on your organization’s calendar.

FILES Digital cabinet of important documentation that can be customizable to who has access to files/folders. Store an unlimited number of organization and committee files and documents and share them in folders with privileged-based access.

FORMS Take any paper form and create online forms that will conveniently allow student organizations to fill out and submit applications, registrations, surveys, assessments, and nominations. View, manage, approve, and export students’ submitted forms.

PHOTOS Upload and share organization photos to help build a stronger organization by sharing pictures and memories.

PAGES Design and build pages that can be shared with your organization or publicly on the web with a unique URL.

TO-DO LISTS Create To-Do Lists where projects can be managed and specific Tasks can be assigned or claimed by members with access to view the To-Do Lists.

TREASURY Track your expenses and invoices throughout the year to keep track of your budget.

VIDEOS Embed and share videos and other widgets to enhance your organization members’ experience.

WEBSITE With the website builder, you may create a website that automatically syncs with your organizations OrgSync account (as news, events and more are created in your account and made public, your website will immediately reflect the changes. You may integrate your site with almost any tool within OrgSync.

Messaging Members All messages will be sent to the email address that is listed on the members’ individual OrgSync Account.  Click

on the “Communication” option on the left toolbar (1).  Click “Messaging” on the drop down menu.  Click the “Lists” tab (2).  Choose who you would like the message to be sent to:  All Organization Members  Administrators  Alumni  Members  Officers

 Enter the subject of the message.  Enter and edit text.  Click the green “Send” button on the

bottom left.

Creating To-Do Lists Create as many to-do lists as you’d like and assign tasks to members.  Click on the “To-do Lists” option on the left toolbar (1).  Click the green “Create A List” button in the top, right.  Enter title of list (2).  Choose the audience for the list to be public (3).  Click the green “Submit” button (4).

Creating Tasks Within To-Do Lists  Enter new task (1).  Choose the due date and time for the task (2).  Choose the priority level of the task (3).  Click the small “plus sign icon” next to the blue text reading “Assigned  Click a member/s that you would like to assign the task to (4).  Click the green “Add Task” button on the right (5).
