Travel •

Anyone who has the sole use of a vehicle provided by UWESU or who travels more than 5000 business miles a year are defined as non-casual users. Reimbursement for travel will be in accordance with prior agreement. Casual users are defined as anyone whom does not fall within this remit.

Casual users will be reimbursed at a rate of 45p per mile regardless of engine size.

Payment at the rate of 45p per mile will only be made where the round trip is less than 80 miles. For journeys greater than 80 miles, payment will be £29 plus the mileage at 10.5p per mile or the mileage at the casual user rates, whichever is the lowest amount.

Travel by private bicycle will be reimbursed at the rate of 20p per mile.

When travelling by public transport, where possible, tickets should be purchased in advance. Where it is economically viable, frequent train or coach travellers should be issued with a respective discount card.

It is your responsibility to ensure that your vehicle is insured for business use and to meet any additional premiums should any apply.

If flying, seats will be in economy class and a member of staff nominated by the General Manager should purchase the tickets.

Payment for all other expenses associated with travel, such as rail tickets, car parking costs and taxis from station to venue, will only be made when receipts are provided or an explanation supplied where this is impossible.

When UWESU vehicles are used, fuel will be reimbursed on production of a receipt. Mileage will therefore not be paid.

Subsistence •

UWESU will reimburse, on production of receipts, the cost of meals, which are not provided, at the following rates:

Breakfast up to £5.00 when the outward journey begins before 06.30 or when staying away from home.

Dinner up to £10.00 when travelling between 18.00 and 21.00 continuously or when staying away from home.

An allowance of £7.00 will be paid for each day away from the normal place of work or study for a continuous period of 7 hours or greater, between the hours of 06.30 and 18.00 when a meal is not provided.
