1. Introduction COMMITTEE APPOINTMENT Firstly, congratulations on being elected as a Sports Representative for your respective Faculty Society! I can say without a doubt that this is one of the best committee roles going around on Faculty Societies due to the sheer amount of opportunity you have in terms of organising the standard Inter-Faculty Sports teams, delving into external competitions (e.g. the Inter-Faculty Football Association competition) and all while getting involved with the running of the rest of the committee’s events! (e.g. social/business/ education/welfare portfolio events). You are in for a great year!

Next, we’ll go through the defined role and vision of a Sports Representative: SPORTS REPRESENTATIVE Objective: To promote the friendly competition between Faculties in Inter-Faculty sports, and encourage as many students as possible to get involved in the sporting activities and events of the respective Faculty Society. Roles and Responsibilities: -O rganise a team for Inter-Faculty Sport at every match and/or meet. -O rganise a team for other competitions when applicable (e.g. FacSoc vs College Frisbee, IFFA League). - Effectively communicate with the Guild Sports Representative. -S upport the work of all other portfolios in any way deemed appropriate by the President and his/her executive. •A s a Sports Representative, you will still be as much of a representative of your Faculty Society as everyone else on the committee, and thus it is important to keep the core mission of your Faculty Society in mind when conducting yourselves throughout the year.

2. Recruitment YOUR FACULTY SOCIETY SPORT FACEBOOK GROUP So you’ve got notice of the first competition/event and you need to organise a team! Follow these simple steps in order to maximise your recruitment reach and ensure you acquire the highest quality players (not just by skill, but by attitude). As a precursor, you should be promoting your Facebook Group at every twist and turn, ensuring all students that are interested can stay up to date with your Faculty’s Sporting related content.

2.1. Acquiring group members In an ideal situation, you will be given a separate email as a sports representative or access to your Faculty Society email. You need to effectively get people into your group in order for them to see the opportunities on offer. Here are a few methods: •U se your Faculty Society email to send out a mass-email to all of the new freshers and everyone else who has signed up to your Faculty Society on O-DAY/Club-carnival. • Plug sporting opportunities in your Faculty Society weekly newsletter. •P lace physical posters around your faculty (with permission from your Faculty office) which advertise your Facebook group (e.g. ECOMS Sport posters at Business School). 6 Faculty Society Sports Representative Guide


2.2. SETTING UP THE EVENT 1. A t the top of the page, next to ‘Write post’ there is a ‘More’ tab. Under ‘More’ select ‘Create Event’. 2. T his is where you can have a little bit of fun, however here are a few tips for each area: - Event Photo: A simple method is finding a related image to the subject matter for the event on Google, and then pasting your Faculty Society logo on the faces of all the players. - Event Name: You want to follow a standardised event name format so as to avoid confusion of the group members. E.g. for UWA InterFaculty events, I would use “Inter-Faculty (NAME OF SPORT)”. - Location: As simple as it sounds, input the location of where the event will be taking place. E.g. UWA James Oval. - Frequency: Set the accurate event starting time and if you don’t know when it will end, make an estimation. UWA Inter-Faculty Sports is typically 12:00PM to 2:00PM every Wednesday (subject to change). - Description: Essentially you want to make it concise and attractive to the reader. You need to be persuasive, relatable, approachable and organised to effectively communicate WHY people should take the time out of their day and attend the event. - Inviting people: Facebook can be troublesome and may not allow you to use the ‘invite all’ function to get everyone in the group, so you may need to have the ‘invite your friends’ box selected and then manually invite the remaining members of the group. EXAMPLES Start off with a bang and portray your excitement for the event. • State what the event will actually be (dodgeball? football? etc.). •S tate who is eligible to play (if applicable, e.g. mixed, men’s and women’s etc.). •L ist details of the event (e.g. kickoff time, food afterwards etc.) and entice people too come (e.g. free BBQ). • I f applicable: include details of how to register and how players can ensure their impending attendance is recorded (e.g. hit ‘GOING’ on event, register using link).

2.3. Setting up the group chat pon creating the event on your Faculty U Society Sport Facebook Group: - I deally, you will have at least a couple of people who will click ‘GOING’ on the event. -E ither way, you will create a Facebook group chat with the people going. Add everyone who is ‘GOING’ on the event, any of your friends who would be going and anyone who you are passively/actively recruiting to go to the event. -Y ou want to ensure everyone in the group chat are only people who are ACTUALLY GOING to the event, kick people who cannot attend and keep it focused for the event. -Y ou will want to create an individual group chat for each separate event. This reduces continuation clutter and keeps people continually focused on each new upcoming event.

2.4. Group chat usage on the day Use the group chat to keep people updated on the day of the event.

3. Executing the event ENSURING SUCCESS ON THE DAY So you’ve posted the event, recruited your team and you’re ready to go for the event. Here’s a few things to get you started: •E nsure you have your team kits (shirts) washed and ready to wear for the event. These can generally be found in your respective Faculty Society common room or by getting in touch with your executive. Remember when washing, do not mix whites with colours. •E nsure you arrive early (ideally 15-30min early). This is so you can make sure you get to the right venue, set yourself up for the event and ideally be there as a figure of authority representing your Faculty Society. •A common saying you will hear in commerce is that: “It’s not about what you know, it’s about who you know.” and this rings true for sporting related activities as it is advised to develop and strengthen your connections in fellow team members and other faculty representatives as not only will they possibly come in handy in the future (for events and broader future) but it’s also good fun. •F inally, make sure you message the group chat when you arrive and let your team know where to find you and make sure you get them set up with a kit. •N ext, once you’re set up with your team, the Guild Sports Representative and the UWA Sport Competitions Program Coordinator will generally round everyone at the event up, explain how the event will run and hand out the fixtures. • I f you have any questions throughout the event on the day, ask the Guild Sports Representative and they should be able to either help you or direct you to a solution.

3.1. team management • This section is very applicable when you have excess players and it is your responsibility to manage your team and ensure your team members come first. • I deally, you will substitute yourself out at times for a regular team member (when you can, unless you’re carrying then you can use your discretion to stay on the field). Otherwise, try and maintain regular rotations and try to ensure everyone who took the time out of their day to attend the event is receiving adequate playing time, so as to ensure their retention for future events. •F or any conflict situations (although rare), try and resolve it swiftly and hammer the point that UWA Inter-Faculty Sports is very much a social competition, and any other competitions your Faculty Society may be involved in are probably not at a professional level either. Poor sportsmanship is not tolerable in any circumstances, and you must deal with players whether it be from your team or other teams swiftly. If it is a problem within your team, deal with it internally. If the problem exists in a different team or from a spectator, inform the Guild Sports Representative or UWA Sport Competitions Program Coordinator immediately.

4. Player Retention CONSOLIDATING TEAM FOUNDATIONS So the event has just finished and you need to execute the final team development phase: adjourning! Essentially, you want to consolidate and ensure your relationships with your team members and everyone are solid and depart on good terms with the potential of keeping them retained for following events. A few tips and tricks to do this are: •T ake a team photo! Immediately after the event, assign one of yourselves as Sports Representatives to get a phone out and wrangle someone from a different team to take a good team photo for you guys! -W ith this photo, you will upload it to your Faculty Society Sport Facebook Group along with a recap of the event (can include results, any notable occurrences and a prelude to the upcoming event for the following week). •A fter you’ve done the team photo, make sure everyone has given their kit back for washing and remind them to come down the following week! The purpose of this guide is to cover the basics of conducting a successful year as a Sports Representative. Essentially, you can re-use these steps for each subsequent event while applying your own discretion and adaptations. Remember to stay positive and optimistic regardless of the situation and just be an overall good bloke/gal.
