Challenge

Our client is a leading voluntary organisation dedicated to empowering citizens with intellectual disabilities, and their families, to lead fulfilling lives at the heart of the community. The organisation runs 68 different residential, respite, and day services across six counties in the Midlands.

While the organisation employed their own team of committed and hardworking staff, and a supporting relief panel, they found that they still struggled to meet some of their last minute and short-term staffing needs. Temporary staff called in at the last minute could be disruptive to the cosy, homely atmosphere of their services.

Our approach TTM Healthcare met with service managers to gain an understanding of their short and medium-term support needs, the organisation’s roster patterns, and all their mandatory training and compliance requirements. Armed with this knowledge, we set about the identification, recruitment, selection and training of a panel of staff. Importantly, each selected applicant made a commitment to being available at short notice to support the service in an emergency. Once fully trained and compliant, in line with the client’s own specific set of standards, we then organised for the staff to be inducted into the specific services in which they were likely to be deployed. Our inductions mean that staff really hit the ground running; already familiar with the residents and the environment, they can be a real help right from the first moment of their first shift. 12 Social Care and HCA Ireland

Highlights

100 fully compliant, qualified contractors inducted into 68 services across six counties, with one dedicated Account Manager guaranteeing consistent placements to minimise disruption.

Part of the team: having listened to the client’s concerns, we made sure to consistently place the same staff in the same services to minimise disruption to daily life. This meant that, before long, the panel became familiar faces to the service users and a real part of the team. Our locum workers loved getting to know residents and service users who, in turn, began to look forward to their arrival on shift.

Success

Account management: our client really valued their dedicated Account Manager, secure in the knowledge that there was one designated person tasked with understanding and meeting their needs.

The TTM model of consistency was a resounding success. We are now the client’s lead recruitment partner with a panel of almost 100 locum staff working in a variety of ways in order to meet the needs of the service. This can range from staff being rostered on a full-time, part-time or consistent relief basis in specific services.

Fill rates exceeding 95% inspired trust in service managers that we would have staff available when they needed them most. This was often at short notice or out of hours; these requirements were ably managed by TTM Healthcare’s On-Call Team. 13 Social Care and HCA Ireland

Highlights Building a team i. The team at TTM: TTM Healthcare introduced the client to their appointed Account Managers – the key team members who would be their first point of contact for all requirements going forward. Outside of office hours, our Account Managers are supported by experienced co-ordinators, on-call 24 hours a day. ii. The team of agency workers: the service was anxious that new staff be integrated as seamlessly as possible. TTM recruits were a key new part of their staff, and would not be treated any differently to direct employees, which helps to guarantee consistency and commitment from the agency staff. Roster system Together, TTM Healthcare and the organisation devised a roster system that sat easily within the service’s existing way of working. – Service managers complete their rosters one week in advance

A team of compliance officers monitors all staff placed with these services, ensuring all stipulated certifications are fully up-to-date and compliant with HIQA standards. Consultation & feedback As well as soliciting feedback and comments from the organisation’s managers, structured appraisals are scheduled for all agency staff assigned to their services on a regular basis. This helps TTM Healthcare to continuously improve our service.
