Case Study Exclusive supplier of HCAs to a large acute hospital.

Challenge

With almost 500 in-patient beds, this large acute hospital is a designated cancer centre, responsible for all critical care services to its region, and operating a 24/7/365 Emergency Department.

Struggling to cover its daily requirement for healthcare assistants, the hospital was using a number of small, off-framework agencies. This range of support resulted in varying charge rates, disparate compliance checks and, ultimately, unreliable quality of service.

Outcome Once appointed as the exclusive contracted provider, TTM Healthcare addressed these issues in a robust fashion. We developed a fully vetted, suitably qualified and reliable panel of locum staff to maintain a consistent fill rate of 93% at cost-effective rates.

How we did it Smooth transition We worked strategically with the client to map the best possible process to transition from pre-existing providers, and to establish TTM Healthcare as the single contact for all locum support. We engaged with ‘non-TTM’ locums working within the hospital to inform them of the planned change. We invited each candidate to register with us, and facilitated them in every possible way in order to minimise any potential disruption to the delivery of services. Controlled bookings & spend The client’s allocation officer and their TTM Account Manager worked closely together to develop an efficient booking system that would track requests for staff at the start of each working day. All bookings are made via these designated individuals, ensuring tight control over bookings, minimising the risk of staff duplication, and facilitating close monitoring of agency spend.

Safe, compliant cover Through TTM Healthcare, and our in –house compliance division, the hospital now has trustworthy, standardised quality, training and vetting processes in place for locum staff, ensuring patient safety. All external compliance audits of our service have been passed, the most recent with zero recommendations. Commitment to excellent service TTM Healthcare’s account management structure designates one dedicated point of contact for the client, facilitating the rapid resolution of any issues that may arise. Quarterly service meetings with the hospital’s management team review performance and service provision. Any significant changes in planned usage and any other operational instructions are also communicated to facilitate our ongoing partnership.

Challenge

Our client is a large provider of a range of community and hospital-based mental health services in the Mid-West region.

Striving to provide additional direct cover to frontline services, but unable to fill short term gaps in their rosters, this mental health service decided to trial the use of temporary healthcare assistant grade staff. These locums would cover shortfalls traditionally filled by nursing qualified staff.

Outcome A very precisely resourced panel of relief staff, along with constant, communicative account management, maintained a consistent fill rate of 98% across 11 service locations.

How we did it Consultative Approach This was the service’s first time using an agency, and their first time engaging healthcare assistants. To ensure the exercise delivered exactly what was needed, TTM Healthcare met with all relevant stakeholders to gain an in-depth understanding of the service needs, its ethos, recurring staffing pressures and shift patterns, while also getting line of sight of the candidates’ specific roles, duties and responsibilities. Focused resourcing From this initial meeting, we developed a job description unique to the particular service. Our recruitment team set about identifying, screening, interviewing and making compliant those applicants with relevant experience working with a similar client group. We quickly built a relief panel to address daily on-site requirements and alleviate key pressure areas where extra support was repeatedly required. Consistency The service’s Account Manager ensured that the same candidates were deployed to the service on a consistent basis, which was a key issue for this particular provider.

The client benefited from having a consistent panel of suitably trained staff available to meet requirements at short notice, and the constant deployment of professionals already familiar with the service added even more value. Flexibility The use of locum staff has allowed our client a degree of flexibility that fits the ever-changing needs of a frontline service. For example, in instances where patients under its care have to travel off-site to another hospital or facility, the service has utilised TTM Healthcare staff to ensure the patient is accompanied by a friendly and familiar face. Roster management & on-call support Ongoing and open communication facilitated the development of an efficient booking system specific to this service which allows both parties to manage daily requests and weekly rosters, as well as ad-hoc requirements. Outside of our account management structure, the service also gained access to our 24/7/365 on-call service - an invaluable asset when an emergency or last minute requirement arises.
