ROLE SPECIFICATION Administrator Context:

Morrison’s Academy is a co-educational independent school for children from the age of 3 to 18 years. A Nursery, large hall and the 45 acres of school playing fields are located on separate campuses a short distance from the main school. Set within the attractive market town of Crieff, Morrison’s looks out on stunning countryside and yet is only an hour’s drive from Edinburgh and Glasgow. The ethos of the school is shaped by high expectations, toleration, courtesy and respect for others, and regard for ethical and moral values. A combination of modern and traditional teaching and learning opportunities provide young people with the knowledge and skills to lead successful and well-balanced lives. In partnership with parents we encourage our young people to develop their full potential, academically and personally. Excellent pastoral care, concern for the individual pupil and a wide range of cocurricular activities also contribute much to our friendly, purposeful atmosphere and sense of community.

Role:

As part of the administrative support team within Morrison’s Academy, to create a friend, welcoming first point of contact within the School and to provide support and assistance to the Bursar and the administrative support team.

Qualifications:

Essential  A versatile, resourceful, reliable and enthusiastic individual with excellent communication skills and a ‘can do’ attitude  A co-operative and flexible approach to work and the ability to manage a varied workload.  PC literate and familiarity with MS Windows based applications (eg Word & Excel)  Experience of office procedures Desirable  Previous experience of working with young people in a school or other appropriate environment.  Experience of working as a member of a multi-disciplined team in a busy office environment  Experience of basic bookkeeping principles

Hours of work:

20 hours per week. These basic hours are normally worked between 08.30 and 13.30. There is the option of working Term Time Only plus an additional 3 weeks to provide holiday cover.

Leave entitlement:

Contractual leave entitlement is 28 days statutory holidays (calculated on a pro rata basis for part time employees). These are to be taken during scheduled school holidays.

Salary Scale:

Basic salary will be linked to point 15 on the Morrison’s Academy Support Staff Pay Scale. This is reviewed annually and currently equates to £17,455 (F/T) and will be paid pro-rata.

Receptionist / Front of House Administrator Principal functions of the role  As a member of the Reception staff, to ensure that visitors to the school receive a warm welcome and are treated with the utmost courtesy and that appropriate action is taken in accordance with their needs, including the provision of teas/coffees for visitors.  To answer calls that are directed to Reception in a courteous and timely manner in a fast paced, varied and rapidly changing environment where the workload can vary.  To participating fully in the School bus programme, specifically: • Dealing with enquiries • liaison with bus companies as required • liaise with the Morning Receptionist / Front of House Administrator and the Fees & Accounts Administrator regarding all changes to pupil requirements and transport costs to ensure these are added to the fee run / DDM system  To liaise with the After School Club supervisor and Fees and Accounts Administrator in order to keep accurate records of attendance to ensure accurate fees are issued.  To be responsible for collating and typing up information for the Weekly Staff Bulletin and ensuring it is distributed to all staff on a weekly basis.  To maintain the central filing system.  As a member of the Administrative team, to be jointly responsible for: • • • •

to assist with the periodical task of preparing bulk mailings and marketing material for dispatch. the timeous distribution of internal mail to the appropriate individuals or departments as required other local deliveries and collections such as banking and mail as required provision of refreshments as required for meeting room (OS14, Ferntower Hall and other rooms) within the Old School Building and to liaise with the Catering Manager to maintain sufficient stocks of tea, coffee, sugar and biscuits for office use.

 The Receptionist / Front of House Administrator shall comply with the individual responsibilities imposed by the Health & Safety at Work Act 1974 and the Management of Health and Safety at Work Regulations (1999) and to co-operate with Management to promote a positive attitude towards Health & Safety at Work taking all reasonably practicable steps to prevent personal injury or injury to others This role specification is intended to convey a broad outline of the position and responsibilities of the Receptionist / Front of House Administrator. It is not definitive and will be mutually reviewed and developed as the role evolves.
