Introduction Introduction to Synapshot by XCPT Synapshot is an innovative tool for patient care planning and digital asset management. This drag and drop based dental software provides users with the ability to manage their digital asset inventory by utilizing searchable digital ID tags. This software also configures multiple customizable user accounts for use in multi-doctor, multi-workstation practices. Direct access to supported devices for image import ensures superb patient and referral communication with Synapshot.

Introduction  1


New Features Synapshot introduces several new features that are designed to streamline the system of digital asset management in your practice. Synapshot consolidates all digital images and miscellaneous files relating to patient management, which organizes the information database of your practice. In addition, Synapshot configures multiple customizable user accounts for use in multi-doctor, multi-workstation practices.

Innovative Patient Care Planning Synapshot offers a complete ground-up redesign of the classic XCPT v1.19 care planning module. Annotations can be placed on digital images to simulate surgical procedures. The enhanced version of care planning in Synapshot allows for quicker and less obtrusive message conveyance to patients, improving your bottom line. All care plans are created and developed within the Care Plan window of Synapshot.

SynapshotClip Tool The SynapshotClip tool is the preferred method of image import using Synapshot. SynapshotClip takes a screen clip of any image and places it onto a care plan as a background or foreground image. This tool uses hotkeys to quickly capture any image from any digital imaging and practice management software.

Drag and Drop Synapshot works in conjunction with Windows Explorer, enabling users to drag images and other files from their directory locations and patient management software directly into Synapshot. Any image or document that has been dragged and dropped into a patient folder is automatically tagged and cataloged in that folder. Copy and paste functions also remain prominent in Synapshot.

Digital Asset Management Synapshot provides each user with the ability to manage the digital asset inventory of their practice. The streamlined nature of Synapshot’s digital asset management system decreases the overall file size footprint, providing users with more available disk space.

Device Management Synapshot enables direct access to many supported devices for image import and acquisition. Import files directly from scanners and digital cameras with the touch of a button. Wireless import from Wi-Fi compatible cameras is also supported.

Customizable Doctor Profiles The Profile component in Synapshot maintains fully customizable configuration information based on a particular doctor, workstation, or installation. Workstation activation is handled via profile for management of software patch distribution. The use of Profiles is especially effective when applied to a practice in which several doctors share several computers. By using Doctor Profiles, each doctor can instantly bring up his own profile settings and preferences with a single click when opening Synapshot.

Ribbons Synapshot features ribbon-style navigation that is similar to that of the latest versions of popular word processing and presentation software. These quick access ribbons replace traditional dropdown menus and contain several groups of buttons. Double-click any tab to minimize the ribbon, creating more usable space within the software window.

QuickStart Guide Introduction A successful execution of the QuickStart Guide ensures that all components of Synapshot have been properly installed. Each step guides the user through several key points of the software, which provides a basic understanding of the software and how it should be operated. Install Synapshot Synapshot can be downloaded and installed using the Synapshot web portal. In addition, such resources as documentation and tutorials can be accessed via this method. 1. Open Internet Explorer to myxcpt.xcptonline.com. (Google Chrome users: read the italicized text below this section.) 2. Enter the Log In credentials (username, password) provided in the welcome letter in the appropriate fields at the top right corner of the Internet Explorer window. Click the Log In button. 3. Click the Synapshot 2 link located in the My Software section located on the left side of the window. 4. Click the link setup-Environment.exe located in the Downloads (right) window to download the software. When prompted to run or save the file, choose to Run. (A warning message may appear. Click Actions, click More Actions, and click Run Anyway.) * 5. The Synapshot Environment Setup Wizard screen appears. This application determines whether your system software is up to date and capable of running Synapshot. Click Next to begin software installation. 6. A window reading “Synapshot requires Microsoft .Net 4.0…” may appear. Click Yes to download and install this software. The software downloads and installs in the background. This may take several minutes. When installation is complete, you will be prompted to restart. Restart the computer. (If the software is not necessary, the progress bar will read “Completed” and the next step is to click the Close button. Do not restart.) 7. Open Internet Explorer to myxcpt.xcptonline.com and login as explained in step 2. Click the Synapshot 2 link located in the My Software section located on the left

side of the window. 8. Click the link setup.exe located in the Downloads (right) window to download the software. When prompted to run or save the file, choose to Run. (A warning message may appear. Click Actions, click More Actions, and click Run Anyway.) * 9. The Synapshot Setup screen appears. Click Next to begin software installation. 10. Read the License Agreement and if you fully agree with the terms, click I Agree to continue. 11. Confirm that all “Select components to install” checkboxes are checked and click Next. 12. Verify that the directory location into which the software will be installed is correct. It is recommended that the default directory location is used. Click Install to install the software. 13. Click Finish to complete software installation. A desktop shortcut has been created and Synapshot is installed. 14. Double-click the desktop shortcut to open Synapshot. A License Verification prompt appears. Enter your UserId and Password (from step 2) and the License Key issued in the welcome letter. Click Login to complete verification and run Synapshot. 15. An orange Synapshot Workstation Activation screen appears for a few moments, followed by a “License Verified” and a “Workstation Activated” window. Click OK in both windows to open Synapshot. (If you do not see either of these two windows, please contact technical support at 800-962-2846) 16. In the Synapshot application, click the Settings button located on the Tools ribbon to open the Profile Manager. 17. Open the Network Settings tree node and click Email, Network, and Proxy Settings. This opens the Network Settings menu. 18. Enter your email address and email password in the EmailAddress and Password fields. Email setups may differ by email provider. The default setup works with Gmail. If you use a different email provider, consult this helpful website for settings information: https://motorola-globalportal.custhelp.com/app/answers/detail/a_id/42565/~/milestone---common-email-settings. 19. Settings are saved automatically upon closing the Profile Manager. Synapshot is now fully installed and ready to use. *Steps 4 and 8 will be slightly different for Google Chrome users. Click the dropdown button (to the right of the Discard box) and select Keep. When the file has finished downloading, click the button for setup_0.exe to run the installer. When the Windows Security Warning pops up, click Run.

Create a New Patient & Start a New Care Plan 1. Click the Start button located on the far left of the Home ribbon to open the New Care Plan window. 2. Enter the patient name, email, and phone number in the appropriate boxes on the right side of the New Care Plan window. 3. Click Add to create the new patient. The new patient now appears in the patient list located on the left side of the New Care Plan window. 4. Select the created patient and click OK to open a new care plan for the created patient.

Acquire Images SynapshotClip Tool The SynapshotClip tool is the preferred method of image import using Synapshot. SynapshotClip takes a screen clip of any image and places it onto a care plan as a background or foreground image. The SynapshotClip MiniPanel minimizes to the taskbar. To show the taskbar when it is hidden: 1. Open the taskbar: 2. Right-click the circular SynapshotClip icon. 3. Click Show MiniPanel.

Place a Background Image using SynapshotClip This technique merges an image to the care plan background. This is useful when importing from digital imaging software from which image files (.jpg, .bmp, etc.) cannot be exported. 1. Open a new care plan in Synapshot (or use the care plan from the previous section). 2. Double-click the SynapshotClip desktop icon to open the SynapshotClip application. The SynapshotClip tool (above) at the top of the screen. (This step is not necessary if SynapshotClip is already open.) 3. Open the digital imaging software or other image from which the image will be taken. Locate and open the image.

4. Click the small orange Background button located on the bottom right of the SynapshotClip window. A crosshair appears on the screen. 5. Click, hold, and drag the mouse crosshair around the desired area of the image and release the mouse button. The clip has been acquired. (This also saves the image in the Image Album.) 6. Return to Synapshot and the image has been centered as the care plan background and has been marked for radiographic orientation. (Note: only place one background image on each care plan.)

Place a Foreground Image using SynapshotClip This technique places an image to the care plan. This is useful when importing from digital imaging software from which image files (.jpg, .bmp, etc.) cannot be exported. 1. Open a new or existing care plan in Synapshot. 2. Double-click the SynapshotClip desktop icon to open the SynapshotClip application. The SynapshotClip tool appears at the top of the screen. (This step is not necessary if SynapshotClip is already open.) 3. Open the digital imaging software or other image from which the image will be taken. Locate and open the image. 4. Click the small white and green JPEG button located on the bottom right of the SynapshotClip window. A crosshair appears on the screen. 5. Click, hold, and drag the mouse crosshair around the desired area of the image and release the mouse button. The clip has been acquired. (This also saves the image in the Image Album.) 6. Repeat as necessary to acquire multiple images. Multiple images are organized on the care plan. 7. Move and resize the image(s) to the desired location and size on the care plan.

Place Images using the SynapshotClip Hotkeys SynapshotClip hotkeys can be used to copy a paste an image from the Windows clipboard onto a care plan. Hotkeys are keyboard shortcuts that perform a specific function when pressed. (Control+Alt+Delete is an example of a commonly used Windows hotkey.)

Clip a Specific Region 1. Open a new or existing care plan in Synapshot. 2. Double-click the SynapshotClip desktop icon to open the SynapshotClip application. The SynapshotClip tool appears at the top of the screen. (This step is not necessary if SynapshotClip is already open.) 3. Open the digital imaging software or other image from which the image will be taken. Locate and open the image. 4. Press the Region Clip (Alt+X) hotkey. To do this: hold the Alt keyboard key, press the X keyboard key, and release both keys simultaneously. A crosshair appears on the screen.

5. Click, hold, and drag the mouse crosshair around the desired area of the image and release the mouse button. The clip has been acquired. 6. Return to the Synapshot care plan. Right-click anywhere on the care plan and select Paste. 7. Move and resize the image to the desired location and size on the care plan.

Clip a Window 1. Open a new or existing care plan in Synapshot. 2. Double-click the SynapshotClip desktop icon to open the SynapshotClip application. The SynapshotClip tool appears at the top of the screen. (This step is not necessary if SynapshotClip is already open.) 3. Open the desired window to clip. 4. Press the Window Clip (Alt+Z) hotkey. To do this: hold the Alt keyboard key, press the Z keyboard key, and release both keys simultaneously. The clip has been acquired. 5. Return to the Synapshot care plan. Right-click anywhere on the care plan and select Paste. 6. Move and resize the image to the desired location and size on the care plan.

Drag and Drop an Image from a Folder on your Computer, Network, or Digital Imaging Software Drag and drop is an easy method for importing images when using this software. 1. Open a new or existing care plan. 2. Browse to the location of the desired image in Windows Explorer or your digital imaging software browser. 3. Drag the file thumbnail onto the care plan. (This also saves the image in the Image Album.) 4. Resize the image. Press the – (minus) keyboard key to shrink the image. Hold the Shift key and press + (plus) to enlarge. 5. Drag the image to the desired location on the care plan. For more image acquisition techniques, consult the Image Preparation chapter of this guide.

Care Planning Number Teeth 1. Open an x-ray image. 2. Open the Control Panel by clicking the Control Panel button located on the Home ribbon. 3. Click the first tooth in the sequence and click the Play button located on the bottom left of the Control Panel. 4. Click the appropriate teeth in ascending numerical order. Click the Fast Forward button to skip a tooth. Click Stop to stop tooth numbering. 5. Individual tooth numbers can be placed by dragging and dropping the corresponding tooth number from the Control Panel.

Place Crowns 1. Open the Control Panel by clicking the Control Panel button located on the Home ribbon. (If the Control Panel is still open after numbering teeth, be sure to click the Stop button.) 2. Click, hold, and drag the Crown icon located in the Parts menu of the Control Panel onto the desired tooth within the Control Panel on which to place a crown. The crown appears centered directly beneath the corresponding tooth number on the care plan. 3. To move the implant, crown, and tooth number as a unit, create a selection box around the group. (To create a selection box: click, hold and drag around the region of interest.) Drag and drop the selection box to the desired location on the care plan.

Place Implants 1. Open the Control Panel by clicking the Control Panel button located on the Home ribbon. (If the Control Panel is still open after numbering teeth, be sure to click the Stop button.) 2. Click, hold, and drag the Implant icon located in the Parts menu of the Control Panel onto the desired tooth within the Control Panel on which to place an implant. The implant automatically aligns itself to the corresponding crown on the care plan. 3. To move the implant, and tooth number as a unit, create a selection box around the group. (To create a selection box: click, hold and drag around the region of interest.) Drag and drop the selection box to the desired location on the care plan.

Place Anatomical Landmarks 1. Click the Mandibular Nerve Draw tool and trace the Mandibular Nerve lines on the care plan. 2. Repeat as desired with the Sinus, Gum, and Bone lines using the appropriate drawing tools.

Galleries 1. Open the Care Plan Galleries by clicking the Galleries tool button located on the Home ribbon. 2. Browse through the contents of the Galleries to locate useful annotations and procedure labels. 3. Place these annotations by dragging and dropping onto the care plan.

Note Editor 1. Click the Note Editor tool button located on the Care Plan toolbar to open the Note Editor. 2. Enter any necessary text and click the OK button located on the bottom left corner of the Note Editor to place the note. This text box can be dragged, dropped, and resized.

Save a Care Plan 1. Click the Save Current Plan button located on the Home ribbon. This function saves the open care plan in the appropriate patient folder. 2. The Close Current Plan button saves and closes the current care plan.

Communication Print a Care Plan 1. Open the desired patient care plan. 2. Click the Print tool button located on the Home ribbon. This opens the dialog with the default printer. Alternatively, open the main menu and select Print > Print. 3. Choose any desired options (depending on the printer being used) and click Print.

Add a New Contact 1. Click the Contacts tool button located on the right side of the Home ribbon. 2. Right-click in the Contact window and select New. 3. Enter all applicable information and click OK.

Edit an Existing Contact 1. Click the Contacts tool button located on the right side of the Home ribbon. 2. Right-click any contact name and select Edit. 3. Alter the contact information as desired and click OK.

Email a Care Plan 1.

Open the desired patient care plan.

2. Click the Email Care Plan tool button located on the Home ribbon to open the Email Message window. The active care plan filename appears in the attachment box. 3. Click the To…

or CC…

button to open the Email Contact menu.

4. Highlight the contact name (hold the Ctrl key to select multiple) to whom you wish to send the email and click the To -> button. Repeat as desired for the CC -> list and click OK. 5. Enter an email subject and body text in the appropriate boxes. 6. Click OK to send the email from the default email address.

Email a File 1. Click the Email tool button located on the Home ribbon to open the Email Message window. 2. Click the To…

or CC…

button to open the Email Contact window.

3. Highlight the contact name (hold the Ctrl key to select multiple) to whom you wish to send the email and click the To -> button. Repeat as desired for the CC -> list and click OK. 4. Enter an email subject and body text in the appropriate boxes. 5. To include a file attachment, click the ellipsis button to open Windows Explorer. Browse to the location of the desired file thumbnail(s), and drag and drop the desired file thumbnail(s) into the Attachment box. 6. Click Send to send the email from the default email address.

In the event of any errors or software bugs, please report them so that we can continue to improve Synapshot. If the software locks up and SynapshotClip is running, simply press the Alt+D hotkey. This opens the email message window. Check the Attach Screenshot box and click send. This sends an error report to fogbugz@xcptllc.com.

Audio and Video Record an Audio Note 1. Open the desired care plan. 2. Click the Record button located on the Care Plan toolbar and speak clearly into the microphone. 3. Click the Stop button to end the recording. 4. Click the Play button to listen to the most recently recorded audio note.

Play a Recorded Audio Note 1. Select the patient folder into which the audio note was recorded. 2. Open the Documents window. Each audio note is organized and labeled by its exact date and time of recording. 3. Double-click the desired audio note thumbnail to play it. 4. The audio note opens and plays within the Video window.

Attach Video to a Gallery Item 1. Open a new or existing care plan. 2. Click the Galleries button located on the Home ribbon to open the Galleries. 3. Right-click the desired gallery item and click Edit. (For this example, we will be using m1, located at the very top of the Diagnostic gallery.) This opens the Gallery Editor. 4. Open the Concise Educational Video dropdown list. 5. Select the desired video to be attached to the gallery item and click Save. 6. Drag and drop the edited gallery item (m1) onto the care plan and close the Gallery window. 7. Right-click the gallery item (m1) that has been placed on the care plan and click Play Video. The video plays in Windows Media Player. The video is now permanently linked to the gallery item (m1).

Menu Bars Home Ribbon The Home ribbon features basic file management options, Mobile Browser Window buttons, scheduling, printing, and emailing.

Care Plan Group The Care Plan Group contains tools for creating, saving, and closing a care plan, as well as creating a new patient. The Care Plan group is essentially where a care plan begins and ends.

Start Button Click the Start button to create a patient and start a new care plan.

New Patient Tool The New Patient tool enables the creation of a new patient folder.

Save Current Plan Tool The Save Current Plan tool saves the active care plan without closing.

Close Current Plan Tool The Close Current Plan tool saves and closes the active care plan.

Acquire Images Group The Acquire Images group provides the user with access to Windows Explorer, copy and paste functions, and the ability to acquire a screen capture from any open software application.

Search Tool The Search tool opens Windows Explorer to the default Synapshot image folder. Drag and drop these image thumbnails directly into patient folders.

Copy Tool The Copy tool copies the selected area to the Windows clipboard.

Paste Tool The Paste tool pastes the current selection onto the active care plan.

Screen Clip Tool Click the Screen Clip button to copy a screenshot into the Image window. Use the dropdown menu to instantly create a screen capture of any open window on the desktop (e.g. practice management software, web browser, scanner software). A screen capture appears in the Image Editor. All screen captures are stored automatically in the selected patient folder. Crop the region of interest to bring the desired section of the screen capture to a closer view. Consult the Image Preparation section of this manual for instructions on importing patient from digital imaging software.

Explore Group The Explore Group provides access to the Patient Browser and the Image Album that is attached to the selected patient folder.

Image Album Tool Open the Image Album for the selected patient. A gallery of all patient images appears in a separate window. Double-click a thumbnail to open it in the Image Editor window.

Control Panel Tool Open the Control Panel by clicking the Control Panel tool button located in the Annotations group of the Home ribbon. The screen position for the Control Panel is fully customizable. The Control Panel enables the user to easily number teeth and place implants and crowns onto patient images. Using the tools in the Control Panel can help a treatment coordinator or doctor highlight recommended procedures or treatments. Once teeth have been numbered, implants and crowns can be placed in the exact location of the tooth number. The crown is automatically centered on the location of the tooth number, while the implant is lined up to fit flush with the crown. These items are docked to one another and can be moved separately or as a unit.

The crown appears centered directly beneath the corresponding tooth number on the care plan. 3. To move the implant, crown, and tooth number as a unit, create a selection box around the group. (To create a selection box: click, hold and drag around the region of interest.) Drag and drop the selection box to the desired location on the care plan.

Galleries Tool The Galleries tool opens the Gallery Editor, which contains such commonly used annotations as grafts, lifts, and medical alerts. For a full description of the Gallery Editor, consult the Care Planning chapter of this guide.

Communicate Group Send an email in any one of the three following formats. For instructions on sending emails, consult the Basic Walkthrough section of the QuickStart Guide. To send an email to a contact who does not use Synapshot, open the Main Menu and click Send > Email Care Plan as Jpg.

Email Tool Send an email to any of the existing contacts in the Contacts tab of the Patient Browser.

Email Care Plan Tool Send a care plan to any of the existing contacts in the Contacts tab of the Patient Browser.

Email Care Plan as Jpg Tool Send a care plan in .jpg image format to any of the existing contacts in the Contacts tab of the Patient Browser. This is useful when emailing care plans to referring team members who do not use Synapshot.

Recent Care Plans The Recent Care Plans window contains a list of recently opened files. Click any filename on the right side of the Main Menu dropdown to open it.

Settings The Settings button opens the Profile Manager, which controls such settings as user preferences, workstation activation, device management, and default colors.

Exit Close and exit Synapshot. Be sure to save all work before exiting. The Exit button is located on the bottom right corner of the Main Menu dropdown.

Quick Access Toolbar Quick Access Buttons The Quick Access Toolbar contains several commonly used command buttons that merit easy access. 

Save: Save the current file, overwriting the original copy.

Refresh: Reload the contents of Synapshot.

Undo: Reverse the most recent action.

Customizer Menu The Quick Access Toolbar Customizer allows the user to personalize the appearance of the main toolbars via the dropdown menu’s two options: 

Show Above/Below the Ribbon: This option moves the Quick Access Toolbar from the top left corner of the Synapshot window to the space below the ribbons.

Minimize the Ribbon: Minimizing the ribbons provides more space for the Mobile Browser and Media Browser windows. Click any of the tabs to drop down and show that ribbon. The ribbons can also be minimized and maximized by double-clicking any of the tabs.

Mobile Browser Windows The Mobile Browser Windows are fully customizable in appearance and location. This section covers all functions and controls of the components of each Mobile Browser Window.

Patient Browser The Patient Browser reads the patient folders and databases for easy patient navigation, allowing for patient management and the management of patient properties. The Patient Browser is easily searchable and is organized alphabetically. For instructions on moving and customizing the Patient Browser, consult the Mobile Browser Window Manipulation section of this chapter.

Patient Browser Patients View Quick Search Bar The Quick Search Bar allows the user to instantly find a patient folder by typing the first few letters of the patient’s last name. Similar names drop down in a list. Click the name of the desired patient to open the folder of that patient. A full description of the Quick Search Bar Right-Click Menu is available in the Appendix.

Patients List Each patient folder contains all files for that particular patient. This can include treatment plans, images, sound clips, documents, and all other applicable file formats. Click any patient name to open the documents view for that patient folder. The option to start a New Care Plan appears.

Patient Browser Documents View The Patient Browser Documents view is visible when a patient has been selected from the Patients list.

Patient Care Plan Thumbnails Tool Show all patient Care Plan thumbnails in the Patient Browser window. Double-click to open any Care Plan.

Patient Info Tool View all pertinent patient folder information, such as patient name, directory information, and PMS identification codes. Any updates are automatically saved in the patient database.

Patient Documents Tool Open the documents list for the selected patient. Double-click any document to open it in its appropriate application.

New Care Plan Tool Create a new Care Plan for the selected patient. The care plan is automatically saved in the selected patient folder.

Synapshot Home Tool Close the active Care Plan and return to the original startup view of Synapshot.

Component Inventory Browser The Component Inventory Browser contains all annotations for patient care planning in Synapshot. These annotations are dragged and dropped into the Care Plan window of the Media Browser. The Component Inventory Browser top tabs provide access to Implants and Crowns. Mobile Browser Window Manipulation The Mobile Browser Windows include the Patient Browser, Component Inventory Browser, and Treatment Schedule toolbar. These browsers are fully customizable in appearance and location. Customize the appearance of the browser windows using the drag, drop, and resize functions. Some browsers cannot be docked. This is indicated by the presence of the thumbtack.

Move the Mobile Browser Windows The Mobile Browser Windows are moved by dragging and dropping. The blue area indicates the target position within Synapshot. Use the Docking Points for more intricate window placement.

Show the Mobile Browser Window as a Standalone Window Double-clicking the â–ź button opens the mobile browser window as a standalone window. This allows for a larger media browser window. Double-click the top tab to revert the browser to its original position within the Synapshot window.

Show Hidden/Blocked Tabs Use the Slider tools to move horizontally between the tabs within the browser, as all tabs cannot fit into the Mobile Browser Window when it assumes certain dimensions.

Minimize the Mobile Browser Window Click the thumbtack icon to minimize the browser. To open a minimized browser, double-click its ribbon icon. When left idle, the Mobile Browser Window automatically minimizes when the thumbtack faces sideways. To revert to standard maximized view, click the sideways thumbtack icon. The Mobile Browser Windows cannot be moved while the thumbtack is sideways.

Mobile Browser Window Components Docking Points Docking points can be utilized in order to achieve proper screen position when dragging and dropping Mobile Browser Windows within Synapshot. It is a good idea to tinker with the layout of the Mobile Browser Windows in order to achieve the most efficient desktop workspace. The cluster (right) docking points dock the mobile browser window within the current blue window. The center tile in this cluster opens the Mobile Browser Window in a standalone window that hovers over Synapshot. The satellite (left) docking points dock the Mobile Browser Window on the targeted side of the Synapshot window.

Image Preparation Acquire Images After starting a care plan, there are many simple ways to import your patient’s images (CT scans, x-rays, photos, charts, etc.) into your patient file. Synapshot will import images in any file format. There are several different methods for importing images and folders to Synapshot, depending on the source and nature of the file in question. Due to the variety of technology available on the market today, some problems may arise as a result of conflicting software interfaces.

SynapshotClip Tool The SynapshotClip tool is the preferred method of image import using Synapshot. SynapshotClip takes a screen clip of any image and places it onto a care plan as a background or foreground image. The SynapshotClip MiniPanel minimizes to the taskbar. To show the taskbar when it is hidden: 4. Open the taskbar: 5. Right-click the circular SynapshotClip icon. 6. Click Show MiniPanel.

Place a Background Image using SynapshotClip This technique merges an image to the care plan background. This is useful when importing from digital imaging software from which image files (.jpg, .bmp, etc.) cannot be exported. 7. Open a new care plan in Synapshot (or use the care plan from the previous section). 8. Double-click the SynapshotClip desktop icon to open the SynapshotClip application. The SynapshotClip tool (above) at the top of the screen. (This step is not necessary if SynapshotClip is already open.)

9. Open the digital imaging software or other image from which the image will be taken. Locate and open the image. 10. Click the small orange Background button located on the bottom right of the SynapshotClip window. A crosshair appears on the screen. 11. Click, hold, and drag the mouse crosshair around the desired area of the image and release the mouse button. The clip has been acquired. (This also saves the image in the Image Album.) 12. Return to Synapshot and the image has been centered as the care plan background and has been marked for radiographic orientation. (Note: only place one background image on each care plan.)

Place a Foreground Image using SynapshotClip This technique places an image to the care plan. This is useful when importing from digital imaging software from which image files (.jpg, .bmp, etc.) cannot be exported. 8. Open a new or existing care plan in Synapshot. 9. Double-click the SynapshotClip desktop icon to open the SynapshotClip application. The SynapshotClip tool appears at the top of the screen. (This step is not necessary if SynapshotClip is already open.) 10. Open the digital imaging software or other image from which the image will be taken. Locate and open the image. 11. Click the small white and green JPEG button located on the bottom right of the SynapshotClip window. A crosshair appears on the screen. 12. Click, hold, and drag the mouse crosshair around the desired area of the image and release the mouse button. The clip has been acquired. (This also saves the image in the Image Album.) 13. Repeat as necessary to acquire multiple images. Multiple images are organized on the care plan. 14. Move and resize the image(s) to the desired location and size on the care plan.

Place Images using the SynapshotClip Hotkeys SynapshotClip hotkeys can be used to copy a paste an image from the Windows clipboard onto a care plan. Hotkeys are keyboard shortcuts that perform a specific function when pressed. (Control+Alt+Delete is an example of a commonly used Windows hotkey.)

Clip a Specific Region 8. Open a new or existing care plan in Synapshot. 9. Double-click the SynapshotClip desktop icon to open the SynapshotClip application. The SynapshotClip tool appears at the top of the screen. (This step is not necessary if SynapshotClip is already open.) 10. Open the digital imaging software or other image from which the image will be taken. Locate and open the image.

11. Press the Region Clip (Alt+X) hotkey. To do this: hold the Alt keyboard key, press the X keyboard key, and release both keys simultaneously. A crosshair appears on the screen. 12. Click, hold, and drag the mouse crosshair around the desired area of the image and release the mouse button. The clip has been acquired. 13. Return to the Synapshot care plan. Right-click anywhere on the care plan and select Paste. 14. Move and resize the image to the desired location and size on the care plan.

Clip a Window 7. Open a new or existing care plan in Synapshot. 8. Double-click the SynapshotClip desktop icon to open the SynapshotClip application. The SynapshotClip tool appears at the top of the screen. (This step is not necessary if SynapshotClip is already open.) 9. Open the desired window to clip. 10. Press the Window Clip (Alt+Z) hotkey. To do this: hold the Alt keyboard key, press the Z keyboard key, and release both keys simultaneously. The clip has been acquired. 11. Return to the Synapshot care plan. Right-click anywhere on the care plan and select Paste. 12. Move and resize the image to the desired location and size on the care plan.

Drag and Drop an Image from a Folder on your Computer, Network, or Digital Imaging Software Drag and drop is an easy method for importing images when using this software. 6. Open a new or existing care plan. 7. Browse to the location of the desired image in Windows Explorer or your digital imaging software browser. 8. Drag the file thumbnail onto the care plan. (This also saves the image in the Image Album.) 9. Resize the image. Press the – (minus) keyboard key to shrink the image. Hold the Shift key and press + (plus) to enlarge. 10. Drag the image to the desired location on the care plan.

Import an Image from Digital Imaging Software using the Screen Capture Tool Some digital imaging software systems do not offer sufficient image export controls. The Synapshot Screen Capture tool places a copy of any open application window into the Image window. 1. Select the patient folder into which the screen capture is to be imported. 2. Click the Screen Paste tool dropdown menu windows.

3. Click the digital imaging software (or other desired source) icon in the list. This copies that window into the Image Editor. 4. Click the Rectangle Selection tool button located on the Image Editor toolbar. 5. Click, hold, and drag the mouse cursor around the desired area of the screen capture. 6. Click the Crop tool button to eliminate all space on the image aside from the selected area. 7. Open the Image Folder tool dropdown located on the far left of the Image Editor toolbar and choose to Save the new image.

Copy and Paste an Image into Synapshot 1. Browse to the location of the desired image in Windows Explorer or your patient management software. 2. Right-click the desired thumbnail(s) and select Copy. 3. Open the desired patient folder in the Patient Browser. 4. Right-click any empty space within the Patient Browser Documents window and select Paste. All files are automatically sorted by type.

Import an Image from Digital Imaging Software using Standard Screen Paste 1. Open the desired image in the digital imaging software (or other desired source). 2. Press the Print Screen (PrtScn) key located on the top right area of the keyboard. 3. Open the desired patient folder. 4. Open the main menu and select New > New Image to open the Image Editor. 5. Right-click within the Image window and select Paste. If the Paste command does not work properly, press the Function Lock (F Lock) key on the keyboard and start over at step 1. 6. Click the Rectangle Selection tool button located on the Image Editor toolbar. 7. Click, hold, and drag the mouse cursor around the desired area of the screen capture. 8. Click the Crop tool button to eliminate all space on the image aside from the selection box. 9. Open the Image Folder tool dropdown located on the far left of the Image Editor toolbar and choose to Save the new image.

Save an Image to the Image Gallery Images can be saved to a patient gallery via drag and drop. 1. Open the Patient Browser and select the desired patient. 2. Click the Patient Documents button located on the top row of the Patient Browser.

3. Open Windows Explorer to the directory location of the files to be saved in the Image Gallery. 4. Click, hold, and drag the file thumbnail(s) into the white area of the patient browser. The files dragged and dropped into this field are now included in the active patient gallery.

Image Album The Image Album provides access to the full collection of images located within the selected patient folder. The Image Album button is located on the Home ribbon. A full description of the Image Album rightclick menu is available in the Appendix.

Send an Image to the Image Editor 1. Select the desired patient folder. 2. Click the Image Album button located on the Home ribbon. 3. Double-click the desired image to open it within the Image Editor.

Select File Thumbnails in the Image Album Select Multiple File Thumbnails Selecting multiple files works similarly to the technique used in Synapshot v1. 19. 1. Click once on each file thumbnail targeted for selection. Each selected file thumbnail is highlighted. 2. Right-click one of the selected thumbnails to bring up the menu of tasks that can be performed on all selected items.

Select a Group of Files 1. Click, hold and drag to create a selection box around a cluster of file thumbnails. All included file thumbnails are highlighted. 2. Right-click one of the selected thumbnails to bring up the menu of tasks that can be performed on all selected items. 3. To deselect any single object, click it a second time.

Delete Files 1. Click each item targeted for deletion. A selection box may also be used when deleting multiple items. 2. Right-click the selected item(s) and select Delete.

Open an Image in the Image Editor 1. Select a patient in the Patient Browser and open the Image Album. 2. Double-click any desired thumbnail. The image is opened in the Image window. 3. Repeat steps 1-2 as necessary.

Image Editor The Image Editor is the site for image preparation prior to patient care planning. All image files that are opened in the Image Album are viewed in the Image Editor.

Image Editor Toolbar The Image Editor toolbar provides the necessary tools to prepare an image for and send an image to care planning.

Image Folder Tool The Image Folder tool provides access to basic image file management functions. The dropdown menu displays the following options: 

Open: Open Windows Explorer to the default image folder and manually open an image file.

Close: Close the active image without saving.

Save: Overwrite the active image file and continue editing.

Merge Tool The Merge tool glues the selection to its current position on the background image. For further alterations to be made to the image, the selection must be merged with the background image. Otherwise, the unmerged selection disappears when the next tool is chosen.

Crop Tool The Crop tool enables the user to enlarge the region of interest and cut out unnecessary space on an image for care planning. To crop an image in the Image Editor: 1. Open an image in the Image Editor. 2. Click the Rectangle Selection tool. 3. Click, hold, and drag over the region of interest. 4. Click the Crop tool button. 5. Right-click the image and either Set as Care Plan Background or Send to Care Plan as an annotation.

1:1 Tool Clicking the 1:1 tool button restores the image to its original aspect ratio. The original size may be larger than the Image window.

Stretch Tool The Stretch tool expands the image to fill the entire Image Editor window, regardless of its original size and aspect ratio.

Fit Tool The Fit Image tool expands the size of image to fit the Image Editor window, while maintaining its standard aspect ratio.

Selection Tool The Selection tool puts the Image Editor into a mode in which it is ready for the selection of the next object or tool. The Selection tool enables users to work with one layer of the image rather than the image as a whole.

Rectangle Selection Tool The Rectangle Selection tool creates a rectangular copy of the region of interest. The rectangle tool is useful when cropping an image.

Ellipse Selection Tool The Ellipse Selection tool creates a round copy of the region of interest.

Freeform Selection Tool The Freeform Line tool creates a custom copy of the region of interest. Click, hold, and drag to draw the selection area.

Rotate Right Tool This Rotate tool rotates the image or region of interest 90° to the right.

Rotate Left Tool This Rotate tool rotates the image or region of interest 90° to the left.

Vertical Flip Tool This Flip tool flips the image or region of interest 180° vertically.

Horizontal Flip Tool This Flip tool flips the image or region of interest 180° horizontally.

Magnification Tool The Magnify tool works like a magnifying glass for the purpose of discovery and diagnostics in the Image Editor. After clicking the Magnify button: click, hold, and drag the magnification window anywhere on the image to create a mobile magnification window. Some selections are not viewable, as all selections must be merged with the background image in order to be viewed. Otherwise, only the selection outline appears.

Zoom In Tool The Zoom In tool magnifies the image or region of interest by 25%. Pressing the + (plus) key performs the same task.

Zoom Out Tool The Zoom-Out tool shrinks the image or region of interest by 25%. Pressing the – (minus) key performs the same task.

Zoom To Tool Use the Zoom-To tool to focus in on and magnify a specific section of the image. 1. Open an image in the Image Editor. 2. Click the Zoom-To tool button. 3. Click, hold, and drag across the region of interest. The selected area fills the Image Editor.

Resize Tool The Resize tool opens the Adjust Image window, which enables the user to manipulate the size and interpolation of an image. If a selection has been made, the resize tool adjusts only the region of interest. The Adjust Image window contains the following adjustments: 

Image Size: Height and Width values can be set to any value up to 10,000. Checking the Maintain aspect ratio box preserves proper scale for the image.

Slider Bar: Use the slider bar to quickly increase or decrease the size of the image without entering specific numbers.

Interpolation: Interpolation refers to the image quality correction that is made when an image is enlarged. Interpolation reduces pixilation and distortion by three methods: Resample interpolation resamples the image and makes the necessary image correction to maintain proper aesthetics. Normal interpolation offers standard image correction when enlarging. Bicubic interpolation is the most extreme and in-depth image correction. Bicubic interpolation takes up the most disk space.

Contrast Tool Adjust the color intensity from gray (left) to vivid (right).

Brightness Tool Adjust the relative darkness of the color from dark (left) to light (right).

Care Planning Synapshot by XCPT offers a complete ground-up redesign of the classic XCPT v1.19 care planning module. Annotations can be placed on digital images to simulate surgical procedures. Care Plan Window The Care Plan window is the site of treatment planning within Synapshot. This window also functions as the software’s built-in web browser upon clicking the Synapshot Web tool located on the Tools ribbon.

Care Plan Toolbar Use the Care Plan toolbar to draw anatomical landmarks, place text boxes, magnify, draw shapes, and place audio notes in the care planning process.

Mandibular Nerve Draw Tool Draw the mandibular nerve on a care plan. For full instructions on drawing the mandibular nerve line, consult the Draw Anatomical Landmarks section of this chapter.

Record The Record button starts the recording of an audio note. For full instructions on recording and playing audio notes, consult the Record and Play Audio Notes section of this chapter.

Freeze Toolbar Use the Freeze Annotations tools located on the Bottom Toolbar to lock such objects as tooth numbers, implants, abutments, and crowns to the background image. This prevents the user from inadvertently moving annotations that should be immovable within that phase of a care plan. The Freeze Toolbar also contains tools for adjusting rotation and transparency via a slider tool.

Lock Annotations Select a single annotation and click the corresponding Freeze tool to lock and unlock a single annotation. To lock multiple annotations, create a selection box to highlight all desired annotations and click the Freeze tool to lock and unlock. When the selected annotation(s) has/have been locked, a lock icon appears on the tool icon.

Freeze Numbers Tool Use the Freeze Numbers tool to lock any and all tooth numbers to the background image.

Freeze Implants Tool Use the Freeze Implants tool to lock any and all implant annotations to the background image.

Freeze Abutments Tool Use the Freeze Abutments tool to lock any and all implant annotations to the background image.

Freeze Crowns Tool Use the Freeze Crowns tool to lock any and all crown annotations to the background image.

Hide Objects Tool Select an object (or select multiple objects) and click the Hide Objects tool button to hide the selected object(s). Click elsewhere on the care plan to reveal the hidden objects.

Image Adjustment Slider The Image Adjustment Slider located on the right side of the bottom toolbar is a quick and simple way to adjust transparency of an image or selection in the Media Browser. If a selection has been made, only the region of interest is altered by any image adjustment actions.

Open an Existing Care Plan 1. Open the Patient Browser and select the desired patient folder. 2. Click the Care Plan Thumbnails tool button located on the Patient Browser Documents toolbar to open the patient documents list. 3. Place Orientation Markers Left and Right indicators are placed automatically, but can also be placed manually. 1. Right-click the care plan and select Orientation > Left. 2. Drag and drop the L marker to its proper location. 3. Repeat the first two steps using the Right (R) marker.

Draw Custom Annotations The color and font of any custom annotation can be adjusted using the Properties option in the right-click menu.

Draw Anatomical Landmarks Draw the mandibular nerve line, sinus line, bone line, and gum line on an x-ray using the four Care Plan toolbar buttons. 1. Click the Mandibular Nerve Draw tool button. 2. Draw the first blue line segment in its appropriate location. 3. Click the Mandibular button again. 4. Draw the second line segment in its appropriate location. 5. Repeat these four steps using the Sinus Line, Bone Line and Gum Line drawing tools.

Draw an Arrow 1. Click the Arrow tool button located on the Care Plan toolbar. 2. Click and hold on the desired location of the pointer end of the arrow. 3. Drag the mouse pointer to the desired starting point of the arrow and drop.

Galleries The Galleries are fully customizable collections of commonly used medical graphics. The Galleries tool button is located on the Home ribbon. The six icons located on the top of the Galleries window flip between categories of gallery items.

Place a Gallery Item 1. Click the Galleries button located on the Home ribbon to open the Galleries. 2. Browse the gallery categories and find the desired gallery item. 3. Drag and drop the item onto a care plan to place the gallery item.

Attach Video to a Gallery Item 8. Open a new or existing care plan. 9. Click the Galleries button located on the Home ribbon to open the Galleries. 10. Right-click the desired gallery item and click Edit. (For this example, we will be using m1, located at the very top of the Diagnostic gallery.) This opens the Gallery Editor. 11. Open the Concise Educational Video dropdown list. 12. Select the desired video to be attached to the gallery item and click Save.

13. Drag and drop the edited gallery item (m1) onto the care plan and close the Gallery window. 14. Right-click the gallery item (m1) that has been placed on the care plan and click Play Video. The video plays in Windows Media Player. The video is now permanently linked to the gallery item (m1).

Add a Gallery Item to Favorites 1. Click the Galleries button located on the Home ribbon to open the Galleries. 2. Browse the gallery categories and find the desired gallery item. 3. Right-click the gallery item, click Favorites, and click Add. The added gallery item now appears in the Favorites (far right button) gallery. 4.

To remove this item from Favorites, right-click the item, click Favorites, and click Remove.

Create a Custom Text Box A custom text box can be placed on a care plan using the Note Editor tool. Individual sections of text can be customized as in many popular word processing applications. The Note Editor Toolbar tools are listed from left to right:

Bold, Italic, Underline, Strikethrough, Align Left, Align Center, Align Right, Font Color, Background Color, Font Style, and Font Size. 1. Click the Note Editor tool button located on the Care Plan toolbar. 2. Enter the desired text in the body text box. 3. Perform any desired adjustments using the Note Editor Toolbar. 4. Click OK to place the text box. This text box can be moved and resized. 5. Once a note has been placed, it can be edited using the Edit Note command located in the right-click menu. Click OK when finished editing to apply changes or press Cancel to revert to the original version.

Record and Play Audio Notes The process of recording and playing audio notes is simple and intuitive. The audio controls are similar to those used in most modern recording devices. The software automatically saves all recorded files in the selected patient folder in mp3 format with date and time properties.

Record an Audio Note 5. Open the desired care plan. 6. Click the Record button located on the Care Plan toolbar and speak clearly into the microphone. 7. Click the Stop button to end the recording. 8. Click the Play button to listen to the most recently recorded audio note.

Play a Recorded Audio Note 5. Select the patient folder into which the audio note was recorded. 6. Open the Documents window. Each audio note is organized and labeled by its exact date and time of recording. 7. Double-click the desired audio note thumbnail to play it. 8. The audio note opens and plays within the Video window.

Annotation Manipulation Synapshot features drag and drop style annotation manipulation. All annotations can be accessed within the Component Inventory Browser.

Selection Boxes The selection boxes, also known as “bounding boxes,” are the means by which annotations are manipulated the software. There are several terms associated with selection boxes that should be known by all users: 

Control Points: The control points are the eight purple squares located along the perimeter of the selection box. The control points resize and manipulate the selection box.

Rotation Point: The rotation point is the purple circle located in the center of the selection box. The rotation point can be moved to change the axis of rotation when altering annotations.

Gripper Point: The gripper point is the purple circle located at the outside end of the rotator line. The gripper point turns the annotation on its rotation point.

Rotator Line: The rotator line connects the rotation point with the gripper and is only visible when either of those two items is being utilized. (not shown in screenshot)

Place an Annotation on a Care Plan 1. Open the desired patient care plan in the Care Plan window. 2. Locate the desired annotation in the Component Inventory Browser. 3. Drag and drop the desired annotation onto the image.

Move an Annotation 1. Click the annotation to open its selection box. 2. Click, hold, and drag within the selection box. The proper appearance for the mouse pointer when moving an annotation is the pointed finger. 3. Drop the annotation at the desired location.

Rotate an Annotation Rotate an Annotation on its Center Axis 1. Click the annotation to open its selection box. 2. Toggle the Rotation tool button located on the Freeze Toolbar. 3. Profile Manager The Profile component in Synapshot maintains fully customizable configuration information based on a particular doctor, workstation, or installation. Workstation activation is handled via profile for management of software patch distribution. The use of Profiles is especially effective when applied to a practice in which several doctors share several computers. By using Doctor Profiles, each doctor can instantly bring up his own profile settings and preferences when opening Synapshot.

Open the Profile Manager Open the Profile manager by clicking the Settings button located on the Tools ribbon or on the bottom right corner of the Synapshot Main Menu.

User Profile Browser The User Profile Browser allows for the manipulation of the configuration settings based on particular users. As with the Mobile Browser Windows, the User Profile Browser is fully adjustable in screen position and appearance. The Configuration and Profiles menu located on the left side of the Profile Manager is a dropdown tree view outline expressing a hierarchical collection of variables.

XCPT Configuration Window The XCPT Configuration Window located on the right side of the Profile Manager displays the contents of each tab in the dropdown tree. The location of this window corresponds with the location of the Media Browser in Synapshot.

XCPT Configuration Window Components 

Ellipsis Buttons: The ellipsis buttons enable users to browse for a specific directory location for an item in the Specifications window. Directory locations can also be entered manually.

Dropdown Tabs: The dropdown tabs enable users to choose from a list of options.

Configuration The Configuration window contains the basic structural information for all XCPT software. This includes such information as paths and directories for patient folders, paths and directories for graphics and annotations (stamps), and software version information. Any changes made in the Configuration window are saved using the Update button located on the bottom right corner of the window. Options 

AutoSave: Toggle AutoSave on/off.

XcptState: Set the startup size of the Snagit application.

MailTheme: Adjust the color scheme of the email window.

The license information for each registered doctor is stored in the Doctor Profiles list. This information is controlled by the software and cannot be changed manually. 

KeyCompany: The company name contained in the user key.

KeyName: The name of the license key owner.

Alias: An alternate name can be implemented for display purposes.

KeyNumber: The key number relative to the number of users on the license key.

LicenseID: The internal ID of the license.

LicenseKey: The license key is provided automatically by Synapshot Dental.

Version: The format version of the license key.

BaseDate: The initiation date for the license key.

Expiration: The license key expiration date.

Workstation Settings The Workstations list contains a profile for each networked workstation. This list enables doctors to use laptops remotely and sync information later. 

ActivationStatus: Confirm that the workstation has been activated. This field reads “Pending” until the activation process has been completed, at which time the field reads “Activated.”

ActivationCode: The software automatically provides an activation code for each applicable workstation.

ActivationDate: The exact date and time at which the workstation was activated.

Save The Save tool saves the current configuration and settings.

Copy, Cut, Paste The Copy, Cut, and Paste tools perform standard Windows clipboard functions.

Networking Guide Set up a Network Connection Synapshot enables its users to share files and photos over a local network connection. We suggest that the network is set up by an experienced network administrator. If you are in need of assistance with this or any step in the process, please contact our 24/7 Help Desk at 800962-2846. Before you begin setting up your network, be sure that the software is fully installed and functional.

Create a Network Folder 1. Create a new folder named XCPTV2 on a mapped network drive*. *For instructions on how to map a network drive, consult the Map a Network Drive section of this chapter below. 2. Inside this folder, create folders named Inbox, Inventory, and Patients. 3. Take note of the letter designated to this mapped network drive (our examples assume S:), as it will be used in the next steps.

Configure the Network Folder with Synapshot 1. Open the Profile Manger by opening the Synapshot main menu and clicking the Settings button. 2. Click Configuration on the User Profile list located on the left side of the Profile Manager. 3. Highlight ImportFolder located in the Paths and Folders section of the Base Configuration window located on the right side of the Profile Manager. 4. Web Browser Right-Click Menu 2 This menu is applicable when clicking any links or foreground images. Open Link: Open the linked web page in the current window. Open Link in New Tab: Create a new tab within the current browser and open the linked web page within. Open Link in New Window: Open a duplicate of the current web browser and open the linked web page within. Save Target As…: Save the selected link as a new file. Print Target: Open the dialog with the default printer. Show Picture: Show an image that is hidden or minimized. Save Picture As…: Save the selected image as a new file. Email Picture…: Attach the selected photo to an email in the default email application. Print Picture…: Open the dialog with the default printer. Go to My Pictures: Open the My Pictures folder within Windows Explorer. Set as Background: Set the selected image as the background image of the active desktop. Cut: Remove the selected image from the page and copy it to the clipboard. Copy: Copy the selected image to the clipboard. Copy Shortcut: Copy the selected shortcut (with the embedded link) to the clipboard. Paste: Paste an item from the clipboard. Add to Favorites…: Add the current webpage to the list of Favorites. Care Plan Window Right-Click Menu Merge: Merge (glue) the selection or selections to the care plan. Send Back: Move the object one level closer to the top layer. Bring Forward: Move the object one layer closer to the background. Tooth Numbering: 

Start >: Start tooth numbering at a specific number.

Stop: Stop tooth numbering.

Edit Note: Open the Note Editor box. Rollup/Rolldown: Maximize and minimize a custom text box. Copy: Copy the region of interest to the clipboard.
