Since its foundation in 2006, PayMe, payroll outsourcing specialists, have managed their commitment to service while expanding exponentially. Ian Lindgren, Chief Executive Officer ,PayMe Australia Pty Ltd, comments, “I founded the company on the principles of personal service, rapid reaction and the broadest range of payroll options.” Prior to establishing PayMe, Ian worked for 21 years as an army officer managing the acquisition and implementation of information technology for the Department of Defence. After leaving the army he and his wife setup a management consultancy, contracting for the Department of Defence on a number of projects. They employed other consultants. “Our approach to managing our team of consultants drew an increasing number of people who wished to be managed and paid in the same manner as our consultants.” Ian realised there was a gap in the market when it came to

Challenge Rapid growth brought significant challenges to the organisation. With an old system that was very limiting, PayMe recognised the need for a CRM solution that would assist the in driving down the cost of business through efficiencies and generate business intelligence reporting. servicing the payroll and HR needs of consultants, contractors and small businesses, so he decided to establish a payroll company based on the principles that had served his consultancy so well. In its first year of operation PayMe’s yearly turnover was $AUD 600,000. For the financial year finishing in June 2010, turnover was nearly $AUD 100 million. Such rapid growth certainly brought significant challenges to the organisation. A significant proportion of those challenges stemmed from the information systems they initially had in place when PayMe was established. Lindgren says, “Packages like MYOB are good for a small business with simple and standard payroll. But we found it limiting. It couldn’t handle salary sacrificing, accounting for multiple companies within a single database, or assist us with driving down the cost of business through efficiencies and business intelligence reporting.”

Results ROI on the new system was achieved within 17 months saving PayMe $55k per year in audit activity. Due to the integration of Sage ERP with CRM, D-BIT and Outlook, they are able to conduct business rapidly and with the trust in their systems that they hold the same single source of accurate information.

A new system To achieve their business objectives of maintaining sustainable growth while meeting their commitment to quality service delivery, they went looking for a new system that would give them a complete 360 degree view of their business. “We wanted an integrated information systems environment that delivered ‘the same version of the truth’ in near real time for up to 10,000 outsourced employees and an unlimited number of companies.” After evaluating a range of products including MYOB’s Exxonet, HR3, Attached and a number of smaller players, PayMe selected an integrated Sage 300 ERP and Sage CRM, “We observed that most systems were very good at one or two activities, such as the provision of an accounting back end. But in order to give the appearance of an integrated suite of products they had purchased “bolt on products” that were not originally designed to efficiently integrate.” “The key advantage of Sage’s products is their ability to integrate combined with their depth of functionality.”

The benefits According to Lindgren, ROI on the new system was achieved within 17 months. “Overcoming the account keeping overhead linked with duplication has saved us $55k per year in audit activity.” He adds, “The major benefits, however, are due to the integration of Sage 300 ERP with CRM, D-BIT (their payroll system) and Outlook. This permits us to conduct business rapidly and with the trust in our systems that they hold the same single source of truth.”
