Trips Policy & Procedures
Students at Rosebery School enjoy a wide variety of trips from compulsory subjects, enrichment opportunities and cultural adventures.
Each department leads visits that support the curriculum, such as Year 7 Art to Wisley, Year 8 History to Somme Battlefields, theatre trips for Drama and revision conferences in the Sixth Form.
We also run a number of extra-curricular trips which contribute to the wider development of our students, including Year 10 Ski Trip, Year 11 Geography to Iceland, Sixth Form trip to French Christmas Markets and our annual year group trips to see a production in the West End.
Our annual Activities Week gives students the opportunity to experience new and unfamiliar situations and challenges, often requiring them to collaborate with their peers. During this week, students can attend residential and/or day trips and participate in exciting onsite activities.
We work hard to select the best value and quality Tour companies to lead our trips, however acknowledge that in some circumstances, trips have short turnaround times. There are occassions where Tour companies are working towards their own deadlines for participant numbers and payment, which we need to adhere to.
This information pack is intended to guide parents/carers as their child embarks on the Trips Journey at Rosebery. Please note, this pack should be used as a guide, the details of which are subject to change. All trips launch with a letter detailing the activities and costs and is sent to parents/carers in plenty of advance.
For all questions, please contact our Trips team directly at: trips@roseberyschool.co.uk.
James Waight Educational Visits Co-ordinatorPlease discuss all trips and activities with your daughter before signing up
On all residential trips and those trips with limited availability, we will offer places via ballot to ensure the fairest process. If your child would like to attend, you will need to register using the link provided in the trip letter.
If you are successful in gaining a place, you will be informed by the set date, along with payment details. If we have not received a deposit by the set date, the place will be allocated to someone on the waitlist.
Those who are unsuccessful will be contacted and will remain on a waitlist You will be informed if places become available, these again will initially be offered by ballot and then on a first come, first served basis.
All residential trips will have an Information Evening held after school, before the trip. The meeting will last for approximately one hour and will provide parents with the opportunity to view the itinerary, confirm transport arrangements, meet the trip team and ask any questions.
We will always try to obtain enough tickets for the students, but this is not always possible. Tickets will be offered on a first come, first serve basis.
For all trips over £50 we will endeavour to create a payment plan. We will collect all payments via ParentPay. The payment plan is a guide, we do ask that you meet the payments on the relevant dates shown, however you are also able to make earlier payments.
Please note, once your child has been allocated a place, the deposit is non-refundable If a student withdraws from the trip at a later stage, tour operator cancellation charges will apply and there is a risk, therefore, that further payments will not be refunded if we cannot find another student to take the place.
If you are in receipt of any of the following payments and require financial support to fund a trip, please contact trips@roseberyschool.co.uk in confidence: Income-based Jobseekers Allowance, Income-related Employment and Support Allowance, Support under Part VI of the Immigration and Asylum Act 1999, The guaranteed element of State Pension Credit, Child Tax Credit (provided you’re not also entitled to Working Tax Credit), Working Tax Credit run-on - paid for 4 weeks after you stop qualifying for Working Tax Credit or Universal Credit.
Closer to the trip we may ask parents for:
• Up-to-date medical information
• Details on what medication their daughter needs to take
• Details of any medical conditions (including mental health conditions)
• Consent for staff to administer medications
• Emergency contacts
The school reserves the right to withdraw any student attending the trip whose medical conditions (including mental health conditions) cannot be supported. Please be aware that there may be scaled financial implications for parents/carers if your child is withdrawn from the trip under these circumstances. It is the parents’/carers’ responsibility to inform the school of any new medical conditions (including those related to mental health) from the time of the deposit being paid until the day of departure.
Inclusion on all trips is dependent upon acceptable attendance (91%+) and exemplary behaviour from launch until departure The school reserves the right not to take any student whose attendance is not acceptable or whose behaviour indicates that they may not be a good ambassador for the school. Please be aware that there may be scaled financial implications for parents/carers if your child is withdrawn from the trip under these circumstances.
If, at any time, you wish to withdraw your daughter from a trip, you are required to notify us in writing. We will acknowledge your cancellation within 72 hours of receipt of your letter, but you should be aware that a sliding scale of cancellation charges will apply.
We are unable to refund, swap or exchange trip places (not including residentials) 48 hours before the trip departs. All changes, refunds, swaps or exchanges must take place through the school and not between students and their parents/carers
