QAP STRAIGHT TALK (continued)

Number 2 – Help Desk

I’ve taken a lot of calls here in the office to help people out with QAPx. But I am not always available. Whether that’s because of differing schedules, or differing time zones (especially for the good folks in Hawaii 6 hours behind me in Tampa town... Aloha my friends!), I want you to always get the assistance you need.

So, a faster way for you to get help is to call the QAPx help desk! I don’t think they are open 24/7 but they are open during all normal working hours (regardless of time zone!). You can find their number right under the “Help” section and if you’re feeling shy that day, you can even send in a ticket, and someone will get back to you ASAP. Next time you need help, give it a go!

Number 1 – Use the barcoded forms and let QAPx sort them into the right jobs

Drum roll please …… the number one QAPx time saver a lot of people don’t know about: Barcoded forms.

That’s right, you see that big barcode on the bottom of the customer forms like the Make Inoperative and Delivery forms? Well that little baby can save you a lot of time. Let me tell you how.

When you open one of the job forms on the Customer Forms tab, the system applies a unique barcode to

that form. It may look like the same barcode on each form, but it is not. That barcode knows exactly what job it was created for and that means that when it is uploaded back into QAPx (after printing and signing) the fancy whiz-bang technology in QAPx will sort it right into the proper job folder quicker than you can slice bread (or whatever the metaphor was that I was supposed to use….I’m not good at metaphors as my office mates will attest) anyway… What that means is you can upload a stack of barcoded forms from jobs completed that day, or that week, or for whatever timeperiod you like, and those forms could be mixed in any which way and they will be sorted and put into the right jobs every time. It’s a beautiful thing. And before you ask the question, I will tell you that it doesn’t matter what job you have opened at the time, just click on the (and this is important) “Upload Signed Docs” button from inside any job, whatever one you’re in at the time, and upload as many forms as you want. Sometimes it takes a minute or two to process, but it will do its thing and you will not have to sort anything. Just sit back and relax.

One final note on this feature, if it does choke when you are uploading, nine out of ten times it is because you have a sheet in your stack that is not barcoded, or, I’ve seen this too…. you reused the same barcoded form from another job. Take the bad sheet out of the upload and try it again. Well, that’s all folks. I hope you had some fun and learned some new tricks to help you work more efficiently in QAPx! If you think of anything else you wish it would do, drop me a note. I am keeping a running list of future enhancements and we will incorporate as many as we can as the software matures. Until next time, thank you for reading and thank you for taking care of the person behind the wheel!
