MSAA POLICY MEETING MINUTES January 15, 2022

In attendance: Paul P, Todd N, Don P, Mike A, Stacie M, Joe Z, John S, Tim F, Ed T, Dar A, Mike V, Roger E, Leanne B, Ryan, Bruce S, Rob K, Jeff M.
• MEETING CALLED TO ORDER AT 11:09 AM
o Paul prefaces with being new to running the meeting to be patient and if incorrect to call him out. o Did introductions around the room o Dar noted one the best attendance we have had to represent all of Minnesota o Paul brought the February 13th 2021 meeting notes and briefly went through them.
• PRESIDENTS REPORT:
o Still looking for full time President. Doesn’t necessarily have to be an archer to be President. Line up meetings and try to keep the Board updated on items going forward. Fielding phone calls as to what is going on with the MSAA. We have a lot of loose ends out there to tie up.
•SECRETARY REPORT:
o Still open to fill this position.
•TREASURERS REPORT:
o It has been a battle to get access to the accounts. We have 3 savings accounts and 3 checking accounts. o Checking accounts have $4032, $1650, and $6382 and Savings accounts have $3562, $501, and $45,939 both as of January 14th 2022. o Still need financial forms from 2021 indoor, 50M/900, Field, and 3D. o Bruce Strom, the new Treasurer was introduced and we are very excited to have him on board to take this over. Access for Bruce is in progress and all of the checks, books etc. were handed over to him. o CPA sent letter to get 1099’s sent out to those who have earned income in 2021.
• INDOOR VP REPORT:
o Shoot packets for Regionals are available to pick up at meeting. Depending on what is voted on at meeting, there will be inserts to take with you to add to shoot packets. Use the format that was emailed and sent in packets. This will make flighting and records easier to tally. o Ramping up for Indoor in Redwood Falls. MAA will be co-hosting with our indoor this year. o Members of MAA/MSAA Indoor Committee were established and are as follows: Todd Nelson, Rob Knutson, John Steinle, Paul Parsons, and Tim Wilson.
• OUTDOOR VP REPORT:
o Recap on 2021: 900/50M in Slayton. Everyone still likes the same weekend for both of these shoots. Some mentioned they were willing to host this shoot this year. Field Tournament was hosted by Saratoga in conjunction with the MAA. We will be voting on that again as well.
• PROMOTION CHAIR REPORT:

• BOWHUNTER VP REPORT:
o Talked to Charlie about the 3D. Numbers were inflated with not all shooters were MSAA Members. There were about 75 guests and some new members were made from a few guests. They were happy with the turnout.
• RECORDS CHAIR REPORT:
o Records for the past 2 years are available to pick up at meeting. Whatever has not been taken will take to Indoor and have on table for people to pick up themselves. Too expensive to mail all the awards. Had membership from 21 and not all addresses were on there? Some were mailed out. o Will submit a excel spreadsheet template for Regionals so it will be consistent and much easier to tally. o Paul is willing to step into President Position, however will not be able to handle all 4 positions at once.
• WEBMASTER CHAIR REPORT:
o The web hosting and Weebly web management system has been renewed for 2022 o 2021 Facebook Analytics as follows. Total page Likes 1900, Page Reach 17,735, Page Visits 2219, New Page Likes 134, Paid Reach 9,600, Paid Impressions 21,900, $80.00 Paid Spend. o 2021 Website Analytics as follows. 50,775 Page Views, 20897 Unique Page Views. o Looking forward into 2022, I will be working on getting records listed within the MAAA App. We will also continue our research into a CRM or Membership Management System to centralize and create a standard way of handling and managing membership information. Also, I will be looking into a different website system in order to update the web template.
o Todd made the motion to spend up to $200 on the app to add the records. John Steinle seconded. Motion Carried.
• AWARDS CHAIR REPORT:
o Todd Nelson is volunteering to be the Awards Chair for upcoming indoor tournament. Roger Eckert nominates Todd Nelson. Vote carried.
• CONSERVATION CHAIR REPORT
o Not present
• ARROW EDITOR REPORT:
o We are going to begin printing the arrow again. Asking for ideas for items to add to the magazine. Currently we are trying to put together a mailing list to figure out quantities. For the next edition we have results and notes from a few of the Chairs and need a few more. Would like to see a human interest piece for each issue. Todd gets the first one. o In the last versions there were registration forms included. Could we remove? Duluth requested not to remove them. o Paul added: Minutes and governor reports would be a great thing to add to Arrow. All positions have some sort of write-up. Possibly content about bow hunting, results, advertisements, Pope and Young scorers. o John Steinle added a “Remember when” type article. o Rob talked about club shoots adding flyers to the arrow could in order to have official records added. o Mike Vertina added to have Governors add a story about them. o Random Arrow comments. Membership form on back page, Send to old membership list i.e. 2020. Send Arrow to shops and Clubs.
• GOVERNOR AT LARGE REPORT:
o Roger Eckert. Youth hunt numbers have been dropping. Started as a recruitment and retention. DNR seems to play some games with the formats. Going to change format to apply directly to them. The whole camp will be open to the kids. In the future will ask the MSAA to promote a little better. Could add to the arrow.
• AUDIT COMMITTEE REPORT:
o Paul asked for volunteers for the Audit Committee. Cannot include people who would be able to write checks. Paul is on it as President. Todd Nelson and Mike Vertina volunteered. Duties to look through the financials.
• INDOOR TOURNAMENT COMMITTEE REPORT:
o Nothing at this time. Set up Indoor Tournament Committee. Todd Nelson, Rob Knutson, John Steinle, Paul Parsons, and Tim Wilson.
• OLD BUSINESS:
o Big Bear/Big Buck Award. No applications have been sent in. Wanted them to be measured around the first of the year. Need to award at the indoor. Had a few big ones. One shot at Camp Ripley. Dar is an official Scorer. Bernie and Rhonda Goebal are scorers as well from up North. Article for the Arrow and page on Website for MSAA Members who are scorers. Joe will post on FB as well.
• NEW BUSINESS:
o Membership dues increase from $20.00 to $25.00 for Primary member. Family Max to stay the same. Vote count YES=18, NO=4. Vote passes. o Shoot fee increase $5.00 for all age groups. Family max increase $10.00. Vote count YES=18, NO=0 Vote passes. o New Division “Modern Bowhunter” Vote count YES=4, NO=13. Vote not passed. o Shoot locations determined. – 900/50M Great River Archery Club June 11-12 – Field Saratoga Archery Club July 16-17 – 3D Elk River Sportsman’s Club August 6-7. Duluth put in as well. ERS won the bid. – Indoor 2023 o Positions to be filled. Position duties o Indoor topics discussed. Booths, would like to bring back booths and have stuff on display, for sale, MSAA merchandise, T-shirts, stickers, etc. Hosting club should find someone local to run that.
• OTHER BUSINESS:
o Todd Nelson made motion to pay Paul the Secretary salary from June of 2021 to current for the work that has been done in the absence of the secretary. Dar seconded the motion. Motion carried. o Next meeting will be April 8th at 5PM at the Redwood Lodge the Friday before Indoor while most of us will be onsite. o Mike Vertino made motion to adjourn meeting at 1452. John Steinle seconded the motion.
