Preface This Annual Report serves as a documentation of the overall performance of our committee for the Hall in the year 2013 to 2014. It is a key to the development of both the Hall and the Association. This report includes the summary and the evaluation for all activities, teams, sub-committees and programmes of the Hall. In this year, we are determined to establish various sub-organizations, systems, and most importantly, values of the Hall. We understand that, it would be difficult for the Hall to develop sustainably if it lacks a clear goal, effective mechanisms and an efficient long-term plan. Therefore, in this session, we have modified some traditional activities, added new events and sub-committees and devised a brand new hall orientation. With this Annual Report, we hope to provide a comprehensive picture for our successors as a suggestion on holding Hall functions and lead the Hall. We believe that, with determination, vision, passion, and common goals with our hallmates, the Hall could become a prominent one in the hall community. Also, its role as a non-residential hall could become a valuable asset of the University.

Hall Orientation An orientation is essential to a hall, and it is what makes a hall different from other clubs or societies. We believe, a hall’s member shall possess some characteristics that are in common with his hallmates, and to make this become true would be the most important goal of a hall’s students’ association, in considering a hall’s direction, development and what have to be done in providing hall education. This is the first year Lee Chi Hung Hall Students’ Association, HKUSU, establishes and publicizes an orientation of the Hall, which is “True and Dare”. ‘True’ means being honest and treating others wholeheartedly, whereas ‘Dare’ means having the courage to try, to persist and to work to the best of one’s ability. We make promoting them as the utmost concern in organizing every activities and molding our Hall atmosphere. For instance, in raising its publicity, we have put it as part of our hall decorations, publication works, souvenirs and speeches in events like high table dinners and orientation activities. Moreover, to ensure this is put into practice instead of a mere slogan, elements of “True” and “Dare” have been put in different sections/ activities of our events. Details of it can be referred to in event reports in the following pages. Although our performance in promoting this orientation, internally or externally, is far from outstanding, we laid a foundation for our successors to build on. In this year, most of our hallmates have noticed the existence of “True and Dare”, and joined the activities which we emphasized these values. Also, we have continuously promoted these values to external parties. In general, most hallmates’ view on this establishment is quite positive, while a few are indifferent on having an orientation or not. It would indeed be a long and difficult path for “True and Dare” to be developed as a strong and distinctive hall orientation, and live long in all our hallmates’ mind. In the coming future, we sincerely hope all our successors will walk on this path, uphold, promote and protect these values, and treat this as a long-term goal; while every hallmate could treat “True and Dare” more seriously, and see them as essential qualities they should aim at having.

Evaluation a) Merits i. It was the first time we present badges to our hallmates and the process was generally smooth and successful. ii. iii. iv.

The video made is interesting and made the guests feel less bored. The time management was good and the flow of the event was smooth. The use of both Cantonese and English in the MC scripts ensured every participant understands what happened, and have made the event grander.

b) Demerits and improvements i.

Some hallmates did not understand they should proceed to SCR directly and they came to Hall instead when the Cocktail Session was in progress. Improvements: The executive committee should notify hallmates about the arrangement when the hallmates pay the deposit or when they call the hallmates by phone.

ii.

Some hallmates did not understand the melody, rhythm, or lyrics of the hall song. This made them not to sing loudly and proudly in the Ceremony. Improvements: A session of practice of hall song should be held as early as possible, in order to avoid such undesirable situations. Besides, more than one practice session can be held to reach more hallmates.

iii.

All of the badge recipients were chosen by the executive committee. The procedure in choosing recipients was not democratic enough. Improvements: A prize can be set up, which the recipient is chosen by the nomination and voting of hallmates.

iv.

The arrangement of the queue and seats for Guests was chaotic. Improvements: The seating plan should be made as early as possible, and the PIC should make it known by every helpers.

v.

Not all members of the executive committee understand what were their duties during the ceremony. Some of them have done too much while some of them have done too few. Improvements: The PIC should plan the event more in detail and instruct his colleague clearly. Also, other members can be more aware of their duties and act spontaneously when unexpected incident occurs.

Two prizes, namely the Outstanding Contribution Award and Long Service Award were introduced and given to hallmates. The former one is for executive committee members and captains of our cultural and sports teams of the past year; while the latter one is for graduates of 2013 that served the Hall for a long time.

A total of 13 participants have participated in the competition and make used of their creativity which matches the aim of the competition. b) Demerits and improvements i. The form of submission is not well explained and hence some are hard to access (i.e. difficult to see by drawing). Improvements: The online submission method should be the same e.g. only electronic copy is allowed. ii.

A total of 38 votes counted in the voting period which is a bit less. Improvements: More publication in terms of the voting period and try to use both online voting and voting box at hall to increase the number of votes.

Some participants got hurt during beach game. Improvements: Prepare enough first-aid pack and be aware of sharp objects on beach

Most of the participants were slept during sunrise. Improvements: Remind the participants to wake up earlier before sunrise

Freshmen commented in the evaluation meeting that the camp is of the right length. OCs contributed actively towards designing games. “Little Architect”, a new game invented for the camp, was said to be fun and team-building. Freshmen reacted positively towards the Sociology game. “Running Man” was said to be more fun than regular HKO.

b) Demerits and improvements i. “Sound of Silence”, a new game invented for the camp, was hampered by the lack of open space, which was unforeseen in the Pre-camp where fewer people were involved in the game. It was also suggested that the meaning of this game is obscure. Improvements: The game can be replaced by other games in darkness. Debriefing should be improved to make meaning behind the games clearer.

“Infected Game” did not run smoothly as the computer programme used to calculate marks were compiled based on incorrect information. Improvements: All elements of games should be tested out in future camps to avoid unknown errors.

iii.

There was no oral briefing for the details of “Dilemma game”, some OCs were confused as to how to run the game and had to read the instruction in the OC booklet on site. Improvements: Brief all OCs, especially for games that are particularly complex and involve many people.

iv.

Some Freshemen had to leave in the middle of the camp, which reduces the time available for them to build bonding with their fellow groupmates and Jobamas. Improvements: Organize orientation nights before the orientation camp to allow more time for the Freshmen to know each other. Evaluation a) Merits i. The high table dinner was conducted in a successful and memorable way. ii. Helpers were helpful and responsible. iii. Evaluation was given to potential 19th executive committee members. b) Demerits and improvements i. Miscommunication happened between executive committee members and the helpers. Improvements: Earlier briefing should be done. ii.

Some hallmates were noticed very late so that the planning of HTD was affected. Improvements: We should notice hallmates earlier and clearer about the event.

Some hallmates might feel bored as they had already participated in many times of HTD. Improvements: Buffet or Chinese cuisine should be considered.

Hall Teams 1. Basketball Team (Men’s) Team Captain: Lam Chung Fan, Felix a) Summary  Team Training started from mid-September and inter-hall competitions began in mid-October.  There are 18 teammates in the team while 7 of them are current hallmates.  5 of the teammates are participating in a league outside HKU with alumni.  Result of inter-hall competition: Our hall won one game and lost another two.  6 uniforms with names and 4 uniforms without names are brought. b) Evaluation  Since there are only 7 current hallmates in the team, effective training for inter-hall competitions cannot be started in summer holiday.  Since one of our team members is very competitive that he is also a member of the University’s basketball team, he dominate In the first match, morale of the team members is quite low but it was improved in the second game.

Badminton Team (Men’s & Women’s) Team Captain: Chan Yiu Keung, Joseph a) Summary  Team training was organized by team captain twice a month.  There are 7 teammates in the men’s team while 5 of them are current hallmates.  Result of men’s inter-hall competition: Our hall won one game and lost another two.  There are 6 teammates in the women’s team while 5 of them are current hallmates.  Result of women’s inter-hall competition: Our hall lost one and another one will be held on 11th March.  No uniform was designed and hall tee is worn during the competition. b) Evaluation  Some of the core members will be graduated this year, experienced freshmen need to be recruited.  Since the team practice is not very systematic, it may not improve team members’ performance in the competition.  More matches should be held in order to gain on court experience for team members.  New team uniform has to be purchased.

Handball Team (Men’s) Team Captain: Chan Wai Chung, Henry a) Summary  Team training was organized by team captain twice a month.  There are 10 teammates in the men’s team while 4 of them are current hallmates.  Result of inter-hall competition: Our hall lost one and another one will be held on 11th March.  No uniform was designed and hall tee is worn during the competition. b) Evaluation  3 freshmen are new to this sports, this is a good motivation to encourage more other freshmen to join  Since every training does not have enough teammates to come, formation cannot be practiced.  More matches should be held in order to gain on court experience for team members.  New team uniform has to be purchased.

Dragon Boat Team Captain: Ng Siu Lung, Bryce a) Summary  We participated in the 12th Hong Kong Dragon Boat Short Course Races on 30th June 2013 at Stanley Main Beach.  There are 22 teammates in the team while 4 of them are fresh graduates.  3 trainings were offered by Dragon Boat Club, HKUSU before the competition.  Result of competition: 4th in the post-secondary institution entry (plate).  New team uniform was designed.

 The team captain will be graduated this year, a new team captain need to be recruited.  Most of the members really have passion on volleyball. 3. Football Interest Group Team Captain: Chan Jason Chun Ho a) Summary  There are 30 members in the interest group.  The training was held once per month.  The members include hallmates and alumni.  There is just one freshman in the interest group. b) Evaluation  Since most of the members are alumni, courts from HKU are not recommended to book.  Participation from freshmen was unexpectedly low, new measures may carry out to attract more freshmen. IV.

Sports Association Council Affairs  This year, sports secretary/sports captain from hall are still official observer in the sports association council.  Squash is still removed from Inter-hall Sports Competitions.  Table tennis and badminton are retained in Inter-hall Sports Competitions.  Tennis combined Inter-hall and Inter-faculty competition together.

a) Summary  Team Training started from mid-September and inter-hall competitions began in mid-October.  There are 26 teammates in the team while 15 of them are current hallmates.  Result of inter-hall competition: All won in pool competition while entered quarter final.  1 friendly match was organized with Lee Shau Kee Hall.  3 tea gatherings were arranged for recruitment and practices.  Practices were held before the competition. b) Evaluation 

The aims of the team were to strengthen intra-team relationship and encourage inter-hall competition participation and aims were achieved.

Team spirit was enhanced during competition period.

Video recording in competition and friendly debate facilitated the evaluation afterwards.

Experienced team mates were recruited, therefore, the standard and quality of the team were raised.

c) Recommendation for further development 

Team captains and cultural secretary can set aims and direction of the regular practices, especially on how to link those more competent ones and less skillful ones.

Current to freshmen ratio is a concern which indicates the importance of regular practices or gatherings during holiday.

Put more effort on recruiting freshmen to join the team as the large proportion of team mates is current team mates.

2. Drama Team Team Captain: Wong Cho Kwan, Kimmy; Poon Wai Sum, Sharon; Sze Ki Ki a) Summary 

40 members in drama team.

Interhall competition: no prize in interhall competition which was held on 7th April 2013.

Preparation time before competition is around 2 months.

Regular meetings among different sub-team, directors, team captains and cultural secretary are held frequently.

4. A capella Group Team Captain: Yim Ka Wai, Michelle a) Summary  A cappella group was formed this year to provide an opportunity for hall mates to develop their interest and talent of music.  Three groups were formed each semester.  Each group had around 5 to 7 persons.  Regular practices were held every week or biweekly.  One group joined an a cappella competition organized by organization outside HKU on 15 November. b) Evaluation 

Close relationship was built within small groups.

However, the relationship among the whole group was not close.

Can try to link different small groups together to strengthen their friendship, for example, one practice to be held for three groups together every month.

9.

Welfare Programme  Hall product The file designed by the winner of hall product design competition was produced and distributed on registration day and information day to attract university freshmen. Hall hoodie was also designed for hallmates.  Recreation The old green pool table cloth was replaced by a new one and some small pool equipment was purchased. A dart broad has been put in hall to provide hallmates with dart game to play.  Hall facilities Pigeonhole was renewed in October to provide hallmates with a small private drawer to put their personal belongings. Secret angel game was introduced to promote the usage of pigeonhole. Instructions and regulations for hallmates using pool table and kitchen were stuck on pool table and refrigerator respectively to remain them use the facility correctly.  Hall decoration This year, we got a new blue sofa from cedars to replace the old broken one. Two new carpets were purchased for hall and was placed at the area outside Karaoke Room.  Welfare pack In orientation camp last year, we provided welfare pack containing products from Event Elite, a sponsorship welfare company, to hallmates. 10. Information Technology Programme  Karaoke Room A new karaoke system has been installed. However, after the re-opening of the karaoke room, the use of it is not in high demand. It is hoped that the re-opening of the karaoke room can be publicized to all hallmates later through different means including the Facebook page.

Only a few participants discussed the issue actively in the gathering. The active members sometimes dominated in the discussion, thus limited the dimension of the issue discussed.

The number of active members should be increased.

The activities hold by the sub-committee could be more comprehensive, in order to arouse more hallmates’ interest and attention on current affairs.

The critiques released by the sub-committee should be increased.

12. External Affairs in Union Council I.

Major External Affairs Hong Kong University Students’ Union Council, Session 2013 has 15 Ordinary Council Meetings and 11 Emergency Council Meetings in total. I have also been appointed as a member of the University Affairs Committee. University Affairs Committee (UAC) a) Catering services There were seven catering contracts have been offered, and some of them are new caterers. Committee members have expressed their concern on how to let more students know there is such a change, and the committee decided to use the bulk email to notify all union full members, and there is suggestion that photos should be included to have a clearer understanding. The bulk email has been sent on the date of 22nd August, 2013. b) Wi-Fi services Survey on 100 different students, they listed out five places with highest report rate they are Run Run Shaw Podium, Haking Wong Podium, Main Library, Happy Park, and the University Street. But after the meeting with IT Services, they tell that the location provided is not so exact, as there may have several router serving one places, which makes IT Service’s work tougher, they promised that they could improve those five spots in one semester if they can have clearer locations.

c) Shuttle Bus Service The first problem is that there are more than twenty dental students living in Lung Wah Street Residential College (LWSRC), but it is not easy for them to travel from LWSRC to Prince Philip Dental Hospital (PPDH), as there are no one-way buses for them. The second problem is that the first and second year medicine students have to take the common core course, but the shuttle cannot satisfy the need of students, so they request more frequent buses from Sasson Road Campus to Main Campus on Wednesday afternoon. The Estate Office has arranged some special trip from LWSRC to PPDH, or they can have a free travel pass when they are taking the second trip. Also, special trip for medicine students on Wednesday is arranged, there are 4 trips on Wednesday afternoon. d) Future development of Main Building The University has informed the Executive Committee with a concrete planning of Main Building. It has up to 50 percent is reserved for teaching and learning purpose. And only the Vice-Chancellor office and part of CEDARS office will be moved to the Main Building, which only takes 27 percent. e) Examination papers Many students have reflected that they can’t get back their own papers under the current policy, which stops them learning from their mistakes. Also, the current Exam-base provided by HKU Library can’t provide all the past papers student needed as some year’s papers are missing. We requested the University to enhance and complete the Exam-base service and provide students their own examination papers on request. We agreed that to send an email to Prof. Amy Tsui, the Pro-Vice-Chancellor who is handling Teaching and Learning, and all Deans. And from the reply of Prof. Amy Tsui, she has directed our request to the Registrar, and she will see the possibility to take forward.
