The Congress

The European Association for the Study of Obesity (EASO) and the Czech Society for the Study of Obesity (CSSO) are delighted to invite you to participate in the 22nd European Congress on Obesity (ECO2015), which will take place in the wonderful city of Prague from 6-9 May 2015. The ECO2015 Organising Committee and the EASO Secretariat have developed a programme structure that offers significant delegate exposure – with all poster sessions, catering and a major social event taking place within the commercial exhibition, which is located close to all auditoria and will act as the ‘hub’ of the congress. A diverse scientific programme and a strategic marketing plan will help to attract a high number of expert delegates.

Supporting the ECO is a strategically important decision for exhibitors and sponsors. The objectives of the ECO are: • To provide an annual forum for the dissemination of information about research advances in the field of obesity • To identify, debate and promote innovative preventive and treatment strategies to reduce the prevalence of obesity and its associated burden of diseases • To provide networking opportunities for experts in the field of obesity research and management

The ECO2015 Scientific Programme Prague is a reason in itself to attend the congress, but we will also put in huge efforts to create an excellent scientific programme, augmented by networking and socialising opportunities. The programme will be informative and practical, integrating the many different aspects of obesity, including surgical interventions. Featuring traditional style plenary and review sessions, plus workshops, case studies, debates, controversies and training sessions, the programme will highlight critical themes that are relevant to the delegates from across Europe and beyond. ECO2015 will offer obesity practitioners with the practical tools they need to make a difference in their daily practices, and will inform researchers of the latest developments and opportunities in our field. As ever with the ECO, the programme will give maximum opportunity for interaction between delegates and experts and more opportunity for researchers to present their findings and to develop collaborations. The best and most relevant abstracts will be incorporated into Review Sessions and workshops, so that delegates form an important and prominent part of the programme. Abstract Submission will open in October 2014 and we encourage the submission of abstracts under eight key scientific themes: T1: Integrative physiology and organ cross-talk T2: Adipose Tissue Biology T3: Nutrition, behavior and Lifestyle T4: Obesity and Mental Health T5: Early Life T6: Society and Environment T7: Public Health and Prevention T8: Clinical Management

The ECO is the most important annual obesity related congress in Europe. The Host Associations

Established in 1986, EASO is the leading European scientific- and practicebased professional membership association in this field, with networks in over 30 countries. It is in formal relations with the WHO Regional Office for Europe and is an active member of EU Commission initiatives including the EU Platform on Diet, Physical Activity and Health and the Joint Programing Initiative on Healthy Diet Healthy Lives. EASO facilitates and engages in actions that prevent and combat the epidemic of obesity. It contributes to high level European and National scientific consultations, hosts the annual European Congress on Obesity (ECO), has dynamic and active topic specific Task Forces and Working Groups, and coordinates obesity education across Europe. Mission: EASO considers obesity to be a health, research, and societal priority. It promotes the study of obesity as well as facilitating and engaging in actions that reduce the burden of unhealthy excess weight in Europe through prevention and management. The main task of the Czech Society for the Study of Obesity is to assemble physicians and health professionals involved in obesity management and research and to represent their professional interests. The aims of the association are to organize pregradual and postgradual education in obesitology, to support research in obesitology and to develop guideliness on obesity management. The association helps to promote scientifically based knowledge on obesity prevention and obesity management in professional and lay press and in the other mass media. The association collaborates with organizations participating on obesity prevention and obesity management, represented by professional associations, non profit and commercial organizations interested in obesity, nutrition, dietology and related topics. CSSO is member of the European Association for the Study of Obesity and of the International Association for the Study of Obesity.

The ECO2015 Scientific Programme The scientific quality, dynamism and influence of the ECO are unquestionable and ECO2015 will be no different. To view proceedings and to listen to podcasts from recent ECOs, visit the EASO website – www.easo.org The scientific programme has been developed by a committee of leading experts and comprises 8 tracks as outlined below. In addition to scientific sessions (plenary lectures, review, oral and poster sessions) based around these tracks, there will also be EASO Task Force Workshops, Local Workshops and Meet the Expert Sessions. Commercial Exhibition The exhibition will be a focal point of ECO2015 and will be located as close as possible to all ECO2015 auditoria. The exhibition hall will incorporate the poster exhibition, all catering points, delegate lounges and the delegate internet cafe. The scientific programme will be structured to maximise opportunities for delegates to visit the commercial exhibition – with the welcome reception, all coffee and lunch breaks, and poster sessions being held in the same area. Only registered congress delegates will be granted access to the commercial exhibition. Space at the Commercial Exhibition will be sold on a first come, first served basis, with Major and Principal Sponsors taking priority – stands are priced according to size (per square metre) and type (shell scheme or space only)

The manual will contain final information on the ECO2015 exhibition opening times, information on build and dismantle plus costs and booking arrangements for stand services such as additional electricity, furniture, lighting and catering etc. You must refer to this document as it will contain final information. General Terms and Conditions The details in this document are correct at the time of printing. The organisers do not accept liability for any changes that may occur. All commercial participants must adhere to the EASO Sponsorship Guidelines and the organisers reserve the right to accept or decline all offers of sponsorship and applications for exhibition space. The acceptance of sponsorship and/or the allocation of stand space does not mean that the information provided by the commercial participant is endorsed EASO or by the local organisers. EASO Sponsorship Guidelines are available via. www.easo.org (meetings section). It is the sponsor’s and/or exhibitor’s responsibility to adhere to any laws applicable in the country where the ECO is being held. The organisers accept no responsibility whatsoever for any transgression of such laws by sponsors or exhibitors at ECO2015. The law of the UK shall be applicable to the whole contractual relationship between the organisers and sponsors/exhibitors. Any disputes which should arise as a result of the agreements are subject to the adjudication of the competent court of jurisdiction in the UK. For reasons beyond their control (such as war, strikes, lockouts, riots or any such civil disturbances, any acts of God, including but not limited to earthquakes, floods and droughts and any other cause or circumstance of whatsoever nature beyond its control that have an impact on the arrangements, timetables or planning of a scientific meeting), the ECO2015 Organisers have the right to immediately alter or cancel the congress or any of the arrangements, timetables, plans or other items relating directly or indirectly to ECO2015. The participants shall not be entitled to any compensation for damages that result from such alteration or cancellation. Furthermore, with the exception of any wilful damage or gross negligence committed by ECO2015 Organisers, the ECO2015 Organisers shall not at any time be liable for any direct or indirect damage suffered by the participants, including consequential and immaterial damage, caused by failure to comply with any provision of this document. The commercial exhibition will be held in an area which will also include the poster exhibition and all catering and will be in close proximity to all lecture halls. The organisers reserve the right to amend the floor plan should it be felt that such an amendment would benefit the congress as a whole.

Payment Schedule A deposit of 50% of the expected total fee for is requested upon application. Applications received without 50% deposit will not be processed nor stand space assigned. Confirmation of your sponsorship item or stand space reservation will be sent upon receipt of this deposit. An invoice for the balance due on the sponsorship item or stand space rental fee will be sent in January 2015. The amount of the invoice is due within 30 days of receipt. If full payment is not received in due time, the assigned stand space may be re-assigned and the deposit forfeited. Sponsors will not be permitted to hold sessions and Exhibitors will not be allowed to occupy the assigned stand space unless the relevant fee has been settled in full in advance of the congress. Payments (in € Euro) must be made by either: • Direct bank transfer • Credit card All payments must be made in € Euro Cancellation In exceptional circumstances the Organisers will be prepared to consider cancellation of their Contract with Sponsors and/or Exhibitors, but only if the following conditions are complied with: (a) That the request for cancellation received in writing and is submitted by registered post (b) That the request is received at least three months prior to the opening of the Exhibition (c) That the Organisers are able to re-let the cancelled space in its entirety (d) That the reason given for the request of the cancellations is, in the opinion of the Organisers, well-founded. (e) That the Exhibitor agrees that the Organisers shall retain 25% of the contract price if the cancellation is accepted more than six months before the opening of the Exhibition, 50% of the contract price if the cancellation is accepted between six and three months before the opening exhibition and 100% of the contract price if the cancellation is accepted within three months of the opening of the Exhibition Signing of the ECO2015 Sponsorship/Exhibition Booking Form indicates acceptance of these General Terms and Conditions.

The enclosed provisional exhibition floor plan has been designed in accordance with the regulations of the congress venue and with the intention of maximising each individual stand’s exposure to the participants of ECO2015. The organisers must approve all Space Only stand designs. Exhibition space will be allocated to major and principal sponsors and then sold on a first come, first served basis. In return for a hyperlink from your company logo on the congress website, the sponsor is required to provide a reciprocal link from their website to the congress website – www.easo.org/eco2015.

Specific Terms and Conditions of Exhibition Contract RULES OF PARTICIPATION In accordance with the organiser‘s contract with the Prague Congress Centre, each exhibitor is, and will be, obliged to adhere to all of the rules and regulations outlined in the General Conditions and Safety Rules. These General Conditions and Safety Rules are valid throughout the course of the exhibition and govern the ways and means of the use of the Prague Congress Centre, as well as all facilities and equipment related to the event. Each exhibitor is responsible for making his/ her representatives and employees familiar with the content of these conditions. The exhibitor will be liable for any damages resulting from the exhibitor‘s failure to acquaint his/her representatives and employees with the rules. If any confusion concerning the application of these rules arises, the Congress Secretariat is entitled to make the final decision.

Exhibits must stay within the borders of the display, portable objects must not be taken out of the stand (for example in order to demonstrate some function of the exhibit or other).

FIRE PREVENTION AND SAFETY RULES

Any part of section of the exhibited goods that could potentially be dangerous (such as sharp protruding instruments) must be secured.

Exits, passages, corridors, emergency exits, staircases etc. within the exhibition area must not be blocked under any circumstances.

Placement of various objects in a way which obstruct the visitors‘ view is forbidden.

Fire-extinguishers, hydrants, water taps, etc. situated in front of, in close proximity to or behind stands must always be visible and easily accessible. Flammable materials - including jute, crepe paper, paper board, mats, etc. must not, under any circumstances, be used in the construction of the stand, or as a part of the equipment or decoration therein. If woven materials are used to decorate the stand, they must first be impregnated with a fireresistant substance. Exhibitors are forbidden to store flammable materials (including packing, wrappings and containers) in or behind the stands. Neither are exhibitors allowed to set fire to flammable materials without written permission of the Congress Secretariat in advance. Without written permission of the Congress Secretariat, it is strictly forbidden to demonstrate any kind of appliance that works on the principle of open fire within the exhibition area. Individual requests for permission to demonstrate such appliances is not obligatory in cases where the appliance is a part of a special set for which the Exhibition Management has already issued written permission. The Congress Secretariat reserves the right to extend, or otherwise amend the conditions of the issued permission regarding this regulation. Storage or use of containers with liquid fuel in buildings or in enclosed spaces (such as offices or caravans) is forbidden. If such a container should be used within the exhibition area, it must be placed in an open area and safety valves must be used. Each exhibitor is obliged to obey any instructions issued by the Congress Secretariat, or by the fire guards in matters of the use of appliances and equipment, demonstrations, storage etc.

Exhibited goods must not be covered during the opening hours of the exhibition. The Congress Secretariat has the right to remove any such covering without being held responsible for any damage this action may cause. The exhibitor must not remove exhibited goods from his or her stand during the exhibition. This is permissible only with a written consent of the Congress Secretariat. All stands must be identified by numbers identical with those on the plan of the exhibition. Those exhibitors who mount their stands themselves must be sure to place their exact number on their stand. Written approval from the Congress Secretariat is necessary for the following actions: using sound amplifiers, live musical productions and installation of portable objects not approved by the regulations of the congress. Advertising of goods and services which are not included in the exhibition program or of companies and organizations who have not ordered any exhibition area, or have not applied as sharing companies, or their participation has been rejected, is strictly forbidden. Exhibitors are not allowed to: • place posters on columns, walls, partitions, stands, etc. inside the building or outside their rented area • distribute their promotional materials anywhere else than on their stand, or to distribute publications of disturbing, political or dangerous character • exhibit or use a trademark, name, etc. contradictory or offensive to other exhibitors or visitors Exhibitors using elevated podiums when building their exhibitions should be aware of the following: • the size of the podium must not exceed the size of the stand • it is necessary to inform the Congress Secretariat in advance about elevated podiums

The exhibits and material composition of the stands must be approved by the Fire Department, the Prague Congress Centre Management and by the Congress Secretariat. In case of any doubt, please contact the Congress Secretariat. All stands will be inspected by representatives of all three authorities.

All the exhibition walls and ceiling grids must be finished on both sides and must be to the satisfaction of the relevant authorities.

No packing material or any other kind of material may be stored either between or behind the exhibits.

Any other potential issues or problems, not defined by these rules, will be resolved by the Congress Secretariat.

GENERAL CONDITIONS AND INSURANCE

INSURANCE

The exhibitor is obliged to follow the Congress Secretariat‘s instructions concerning the construction and furnishing of the stands including safety and cleaning as well as dismantling of the stands, exhibits and other items (including decorations).

The Congress Secretariat insures the exhibition area against force majeure. However, these measures do not cover the risks involved with the material brought to the stand by the exhibitor. The exhibitor alone is responsible for securing this coverage. Each exhibitor is responsible for his/her own exhibit, packing and construction of the stand. The Congress Secretariat refuse to accept any responsibility whatsoever for the insurance of these objects. The Congress Secretariat will request the exhibitor to arrange for his/her own insurance with a third party.

Exhibitors are not allowed to fix anything, or cause any damage, to the floors, walls, ceiling or other parts of the building (i.e. by using nails, screws, glue or other means). Exhibitors are not allowed to affix (in any way) their expositions, or any parts thereof, to parts of the exhibition hall. It is forbidden to use the following items in the exhibition halls: • highly flamable or explosive materials, gas and dangerous materials • goods offensive by their scent or some other way, or appliances producing unpleasant sound or light Any confusion regarding the above will be clarified by the Congress Secretariat.

Exhibited goods must be placed in such a way so as not to obstruct (or to obstruct as little as possible) the view of the exhibition hall or the neighbouring stands. It is forbidden to display exhibits or to distribute goods which could disturb other exhibitors or visitors. Distribution of goods that could (or do) cause harm to visitors or exhibitors or damage the floor of the exhibition hall, the exhibition hall itself or the Prague Congress Centre equipment is also forbidden.

Both the exhibitors and their contractors involved in the set up of the stand are obliged to provide a certificate which proves that they have third party liability insurance coverage for the period of the set-up, exhibition itself and dismantling. The insurance coverage varies depending on the size of the booth. Should this provision be ignored and the exhibitor fails to verify the insurance coverage or fails to provide documents stating verification, the Congress Secretariat has the right to prevent the exhibitor from entering the exhibition area until the provision are fulfilled.
