Leicester College Library Services for Staff Borrowing and Inter Library Loans You must present a current college ID card in order to borrow or renew items. If your card is lost or stolen, be sure to let us know immediately. You will be held responsible for any items loaned on your card if you do not inform us that it is missing. The due date will be stamped in each item at the time of issuing. (Note that because due dates may be changed by remote renewal, the stamp will not always reflect the actual due date). To check the due date of any item on loan to you, you may view your Library record online through the Online Library Catalogue which can be accessed via Sharepoint, Moodle and the college website. You will need to login to the Online Library Catalogue using your staff ID number with the prefix W. You may also request a printout of your record from the Library counter.

Interlibrary Loans

These may be borrowed until the due date set by the lending library NOT Leicester College Library.

Journal Loans

Current issues can be found on the journal shelves in each Library. These are for use in the Library only. Past issues can be borrowed, up to 5 at any one time.

Renewal guidelines:

Items from the general collection may be renewed in person at the Library counter using your staff ID badge, by phone, by email or remotely via Sharepoint, Moodle and the college website. You will need to login to the Online Library Catalogue using your staff ID number with the prefix W. Items may be renewed up to 4 times unseen as long as they have not been reserved by another user. After a fourth renewal you will need to return your items to the Library. To avoid overdue items, be sure to renew before the due date. You are responsible for returning and renewing items on time, even if the online system is unavailable.

Reservations

If you need a resource which is not currently available, you may reserve the item. When the item is returned, we will notify you by email and hold the item for 7 days.

Returns

Items can be returned to any of the college Libraries.

Overdue Fines

Fines are payable on all overdue items at the rate of 10p per item per day for standard loans and 25p per item per day for 7 day loans.

Lost Books Fines and Fees

When an item becomes 28 working days overdue you will be invoiced for the replacement cost of the item plus a £5 administration charge. If the item is subsequently returned you will be responsible only for the administration charge.

Preservation of Library Items

All items must be returned to the Library in the same condition in which they were borrowed. Charges will be incurred for items returned damaged. Items which are damaged beyond repair will result in replacement costs and processing charges being passed to you. Please do not ever write in Library books, even in pencil. Writing in books will result in charges being incurred.

If you come upon any Library resources you believe need repairing, please hand them to a member of the Library staff. Everyone's cooperation is required in order to keep the collection in the best condition possible.

Overdues, Bills and Notices

A reminder notice will be e-mailed to you 3 working days before your items are due. You will be sent 2 overdue notices before the items go to invoice. Notices are sent to your college email address.

Items are due on the date determined by the Library Management System. The Library sends these notices as a courtesy; items are due on the date indicated whether or not you receive any notices. Failure to receive these notices does not exempt the user from any fines that may accrue as a result of lateness.

Blocks Your account will be blocked, so that you cannot borrow or renew any items, for any of the following reasons:

You owe a total of £5.00 or more in fines and fees.

Any item on your record is more than 28 working days overdue.

This will include your learner account if you have one, as well as your staff account. Interlibrary Loan (ILL)

If the Library does not have an item you require or cannot purchase it because it is out of print, you can ask the Library to attempt to loan it from another institution via the Inter Library Loan service. There is no charge for this service. You can request journal articles, books and book chapters. You cannot request audio visual materials, digital materials, entire journals or items held by Leicester College Library either in electronic or hard format. Delivery time depends on the availability of items at other libraries and the shipping method used by other libraries. Requests for resources must be relevant to your course and there must be no outstanding fines or invoices on your Library account.

Articles and book chapters are delivered electronically in about 3-5 days. You will be notified by e-mail when the item has been received. Article and book chapter requests are limited per copyright restrictions - limit 5 article requests per journal title and limit 1 chapter per book title. The loan period for ILL material is determined by the lending library. Lending libraries can also restrict the holding location of the material ("library use only") and your ability to renew the item. The most common loan period is 3 weeks. You will be informed of the due date when you are notified that your item has arrived.

Please return all ILL items with the labels intact. Removing the label from an ILL item can cause a delay in removing the item from your Library account. It may also result in the item being lost or returned to the wrong lending library.

What happens if an ILL becomes overdue? Every effort should be made to return ILL materials on time. Overdue items jeopardize our ability to borrow items from other libraries. Libraries can restrict our ability

to borrow any material until the overdue item is returned. These restrictions can cause delay to other learners and staff who are trying to obtain materials through the Inter Library Loan service. If ILL materials are returned late, any overdue fines imposed by the lending library will be passed to the user. This can mean costs of up to £70 per item. In addition, an individual's Library privileges may be suspended until the overdue material is returned. (see ILL Policy)

Additional Services for Curriculum Staff Contact Library staff to: Request a Book Box

Staff can choose resources for use in the classroom during a lesson. These will be issued to the member of staff at the Library counter in a supplied ‘book box’. Staff are responsible for returning the complete ‘book box’ to the Library.

Project Collections

Lecturing staff can select stock from the Library (up to 20 items) to temporarily collate into one area for use by their learners in the Library only. These items will be non-loanable to all users for the duration of the project. Service available on request.

Suggest a Purchase

To suggest an addition to the Library's collection, please call or email one of the college Library staff. Alternatively, complete the suggestions form available from all Library counters or post on the ‘Suggestions Boxes’ on each of the curriculum pages of the E-Library in Moodle. Your suggestion will be forwarded to the appropriate subject specialist.

Library staff are also happy to notify staff of any new resources available from publishers and any new resources brought into the Library’s collection.

Schedule Library inductions and introduction to the E-Library workshops for all learners and curriculum staff and Library study skills workshops for your H.E. learners

Book any tours or workshops you require for your learners at least a week in advance as they can fill up quickly. You will need to attend all workshops and Library inductions along with your learners. Your presence conveys the value you place on developing strong Library study skills. Your learners will pick up on this.

Encourage your learners to attend the Library’s drop-in sessions. These are held each week and cover the basics of how to find and use the resources in the Library and e-Library.

Before attending a study skills workshop, make sure your learners understand their research assignment. Work with the Library staff to prepare the session and then actively participate in the session (i.e. ask questions, reinforce information, encourage learners to ask questions).

Library staff will also give 1:1 Library tours and E-Library inductions for staff, demonstrations of eresources and the effective use of the Library catalogue.

Reading list checking to make sure your reading lists are up-to-date and compliant with Library stock

Enrichment provision to link resources with your events or guest speakers (upon request)

Validation support for higher education courses.

Request a demonstration of electronic resources such as discipline-specific databases for department meetings
