Record visitors expected at Show case All of the signs indicate that the Document Management Showcase at the Novotel in Hammersmith will be the best attended Showcase yet. Even in its heydays of 1990 and 1991 pre-registration was never so popular as it is this year. ( Invitation/registration forms have been sent out with the February issue of the Business Equipm ent Digest (36,000 circ.), with the Society of Archivists Newsletter (1500 circ.) and as a direct mailshot from our own database (7,500). 99% of the above are end-users. At the time of going to press (only about 1 week after the B.E.D. and the Newsletter were mailed out) we have already received registrations for approximately 200 visitors, almost all of which are end-users. The trade invita­ tions have only now, in this magazine, been distributed (2,700 circ.). The only slightly negative aspect to report is the number of imaging/microfilm companies th at are not prepared to speculate a little for the opportunity to accumulate a lot. This will almost certainly be the prem ier imaging exhibition in the UK this year, and yet there is still space left for any enterprising companies that decide that they would like to take advantage of all the promotional effort that has been put into making sure that there will be visitors in abundance. In order to keep everything in perspective, however, we must point out that there are still many forward looking companies who are supporting the show. So, even as things stand, there will be plenty for the visitors to see, whether their interest is in optical disk, microfilm or a combination of both. The opportunity for using COM (Com puter O utput Microfilm) as a cost-effective technology in modern document managem ent systems can easily be missed. One reason for this is th at it tends to conjure up the image of an old-fashioned technology being decimated by the rise of optical disk systems. Yet two years ago a report by A ndersen C onsulting on the future of the COM m arket showed that, far from being wiped out, it was expected to grow by 10% over the next 5 years. This prediction has been substantiated by the likes of MRData M anagement, who find their COM business has been steadily increasing, despite the existence of optical disk based COLD (Computer O utput to Laser Disk) systems.

Until very recently COM was limited to data and did not include pictures or diagrams. Now, modern COM systems can not only handle images direct from the screen, but also take as input TIFF image files as well, providing an easy interface with electronic document imaging systems. An exam ple of th is is illu s tra te d by a b u reau in G erm any th a t is a custom er of Agfa. The b u reau provides services to a major motor m anufacturer who needs to send out new information about parts to the dealers, daily or weekly. Paper drawings of parts are sent, by the subcontractors th a t m ade them , to the motor m anufacturer. The m anufacturer would then send these paper drawings to the bureau with a parts number translation list that showed the m anufacturer’s part number and the corresponding subcontractor’s part number. There could be more than one subcontractor m anufacturing a part, and hence a range of subcon­ tractors’ part numbers for a single m anufacturer’s part number is possible. Until a few months ago the bureau produced the fiche in the traditional way of source document microfilming, by manually photographing the parts lists with the drawings, because it was not then possible to use COM for im ages. T his was labour intensive and time consuming, as they had manually to find the drawings to match the parts lists, film, cut and jacket it. The fiche was then copied for distributing to dealers. More im portant than the cost of the process was the turnaround time. This was 6 weeks, when parts were changing daily and weekly.

To understand what is happening we need to go back to basics. The fundamental business problem is that many organisations are paper bound, with 95% of all infor­ m ation still provided on paper. Paper does have its advantages, a) It can be read by the naked eye. b) It is relatively cheap, c) People of widely differing skill levels are able to use it. d> Flexible methods can be used to record on it, and e) It is readily altered, erased or copied. However, accessing paper files can be tim e consuming. Apart from just retrieving a correctly placed file, there is the frustration of trying to locate a missing one. It may be lost, misfiled or someone else may be using it, and so cause delay. This can have negative consequences for an o rg an isatio n , such as poor custom er service, slow response to new business enquiries, poor cash flow and so on. Then there is the space it takes up and the vulnerability to destruction, as there is no backup copy. For archiving one advantage already mentioned is the stability of the technology. Ignore this and you may find yourself w ith a m edium , in years to come, th a t you cannot read. A nother advantage is th a t expensive digital storage can be freed up by archiving data to the lower cost microfilm system. Then there is the problem of the time to access offline optical disks. For example, documents belonging to a file stored on optical disks are likely to be spread over a number of platters, therefore the file is split. Whilst in a retrieval mechanism, this spread is of little consequence, but once out of th e system and on th e shelf, retriev al becomes potentially inefficient, requiring several disks to be manually loaded to satisfy a single demand. Using workflow software, the documents to be taken offline (shelved) can instead be collated into files and output to COM for long-term, co-ordinated archiving and speedy retrieval. So, while a top-down hierarchical strategy will migrate d ata to th e m ost cost-effective storage m edium , it should be remembered th at COM images can equally be passed back to a com puter system via m icrofilm scanners. FEATURES OF BOTH CAMERAS INCLUDE:

A 16mm and 35mm camera head. All functions are controlled through a personal computer. Both cameras also feature AUTOMATIC EXPOSURE CONTROL SYSTEMS with eigl>t photocels next to the camera lens which electronically select the background density of the document and adjusts the required light level for the desired density of the negative. The light level is continuously monitored from six discreet areas of the drawing, but only the brightest area is selected to control the lights. This takes just one tenth of a second. A digital EXPOSURE METER is displayed via the personal computer VDU. This allows the operator to see at a glance the background density th at the original document will be filmed at. The m eter can be preset using the personal computer. Additionally, the film transport and mask are variable using the personal computer. Film transport is variable from 22mm to 55mm and the film m ask is variable from 22mm x 32mm to 45mm x 32mm.. REDUCTION RATIOS range from 7.4x up to 30x, maximum plan filming size is 1350mm x 960mm and the maximum book filming size is 1189mm x 841mm. Focusing is fully autom atic.

The images were scanned at 2000 dpi gener­ ating a 18.5MB file from each fiche. This resolution was selected to create a reasonable file size for optimum d igital colour p rin t qu ality and at th e sam e tim e provide maximum storage on Compact Disc. The latest drum scanners offer even higher scan resolutions. In some cases higher scan resolutions may be selected but this would tran slate to larger file size, which would mean less maps can be stored on a given storage media. D epending on th e m ap size, type font and im age contrast, the scan resolution (dpi) can be adjusted to balance the storage needs and desired output. When larger scale projects are planned and attempted, it is recom m ended th a t the scan levels, storage needs, access, final display and p rin t needs are reviewed relative to colour image quality vs. file size. As higher and faster compression/decompression routines become available, performed software or hardware based, this in turn will provide alternatives in scanning the micro­ fiche and providing more compact digital storage and faster image access. 16

Trade N ew s Graphic Data captures history G raphic D ata ( UK) Ltd, the Bedford-based m icro­ graphics and document m anagem ent specialists, has begun work on a m ajor microfilm contract w ith the O riental and India Office Collections of the B ritish Library. G raphic D ata h as been ask ed to m icrofiche th e L ib ra ry ’s e n tire collection of an cien t A rabic m anuscripts, some dating back as far as the seventh cen tu ry . The collection n u m b ers some 15,000 m anuscript titles which will be transferred to 60,000 fiche - a total of almost 5 million pages! The project is being funded by the King Faisal Centre in Riyadh, Saudi Arabia as part of a worldwide scheme to locate all A rabic and Islam ic heritage m aterial including books, m anuscripts and periodicals - and make them more accessible to regional Islamic commu­ nities. Graphic D ata has installed a dedicated team in the British Library’s building near Blackfriars Bridge in London for the expected three year duration of the contract. Four operators are working on G ratek 988 SRC microfiche cameras in the main operations room, su p p o rted by o th er sta ff and a com prehensively equipped darkroom. DIRECT MICROFILM SERVICES QUALITY SERVICING OF MICROFILM EQUIPMENT

D uring the course of the construction, Rob Burke, Document Control M anager, estim ates th at they will generate in the region of 300,000 A0 prints and 1.5 million A4 documents. “We have a design team of six different consultants around the country, who supply us with CAD generated negatives, together with specifica­ tions,” he explained. “On average we require thirty copies off each drawing to send to the trade contractors. Sime Malloch hold the original negatives and we fax them our instructions. Once there is a new revision of a particular draw ing, Sime Malloch microfilm it onto 35m m a p e rtu re card for arch iv al purposes. Documentation is put onto microfiche. "We put a lot of pressure on our suppliers because we need the work turned round within twenty-four hours.

Sime Malloch, part of the UDO Group, was awarded the contract to implement a comprehensive reprographics co n tract for th e new S co ttish E q u itab le pic headquarters. The project, which is on a 20 acre green­ field site on th e o u tsk irts of E dinburgh, is being m anaged by Lehrer McGovern International. It will provide 30,000 sq metres of office space for 1,400 staff, who will be relocating from St. Andrews Square in the Spring of 1996.

The largest manufacturer of microfilm jackets in the world is the NB Jacket Corp. of Puerto Rico (part of the Bell & Howell Group). During 1994 the NB Jacket Corp. have taken over the jacket manufactur­ ing operations of Kleer Vu Plastic Corp. of Brownsville, Tennessee and the Microseal Corporation of Zion, Illonois. This m eans that the manufacture and sale of over 80% of the world's jackets are concen­ trated within the Bell & Howell Group.
