Dear Parent or Guardian: Summer and camp go together, and this year so do our brochures! We are combining our Sleep-Away Camp brochure (page 3) with our Day & Evening Camp brochure (page 29), so you will now find all the information you need in one book. There are two sections: REACH FOR THE SUN will help you find information on day & evening camps; SHOOT FOR THE STARS is where you will discover information about our sleep-away camps. Like Girl Scout camp—there is a lot of fun and adventure packed into this book! The Sleep-Away camp section starts on page three; there you will find information about our four fantastic camps nestled in the woods of Maryland and Virginia. Your daughter will not want to miss activities like swimming, kayaking, hiking, horseback riding, rock climbing, crafts, archery and more. Traditional activities like cooking outdoors over an open fire, singing songs and making new friends are sure to make her summer memorable. We encourage you to register early as many of our camps fill up quickly. You can mail the application in this brochure or apply online at: www.register.gscnc.org/residentcamp and use the access code: summer. Our on-line registration site opens on January 12. Remember, register early. The Day & Evening camp section starts on page 29 and highlights each camp’s theme, so it is easy to pick the experience that captures your daughter’s interests. From treasure hunts to circus tricks, your daughter will find that no two days of camp are alike. To register your daughter in a day & evening camp, contact the camp volunteer listed in this brochure. Each of our camps are operated by our dedicated, well-trained camp staff and enthusiastic volunteers who work hard to make sure that all Girl Scout camps are safe while providing your daughter with opportunities to imagine, discover and lead. Girl Scout camps offer a variety of exciting activities that are certain to fit your daughter’s interests while enhancing her Girl Scout experience with new friends and adventures. New This Year! Program categories are based on the grade your daughter is COMPLETING this year.

When your daughter unpacks her belongings and settles into her tent or glen shelter, she will be headed for the time of her life! Memories are sure to be made roasting marshmallows around a campfire, singing songs, enjoying meals in the dining hall with lots of friends, hiking trails, splashing in the pool or creek, testing mind and body in a rigorous challenge course, or getting creative with crafts. An extraordinary experience awaits girls when they gather at sleep away camp.

Our goal is to provide a safe environment where your daughter can gain skills, confidence and friendships as she has fun and creates lasting memories. We’re looking forward to helping your daughter discover the magic of sleep-away camp!

Let’s Get Started!

1. Choose a Camp We have four camps to choose from—each with its own unique features. Camp descriptions and quick facts appear at the beginning of each section.

2. Choose your Programs and Dates • •

Programs fill quickly, so have your daughter select up to six of her favorites to help increase her chance of placement. Use the Schedule-at-a-Glance on page 22 for a quick view of all programs.

3. Apply to Camp • • • • • •

Applications are accepted online or by mail beginning on January 12, 2009. Registration information appears on page 24. Deadline for lottery placement is 12:00 PM on March 2, 2009. At this time, applicants are randomly selected and placed in camp programs. All remaining open spaces are first come, first served beginning March 5, 2009. Interested in going to camp with a friend? You can link your registration with a buddy’s to get placed together in the same program at the same time! See page 25. Apply for Financial Assistance (Camperships), if needed, at the time of application. Funds are available to make camping available to all Girl Scouts regardless of economic situations. See page 24.

Parent Information Session Parent information sessions are geared toward parents who have never sent their daughter to a GSCNC sleepaway camp and have questions that they would like addressed PRIOR TO REGISTERING their daughter for camp. You will have the opportunity to meet some of the Camp Directors and learn more about our programs, facilities and staff at all four of our camps. Since lottery placement in camp is NOT first come, first served, you can wait to attend one of these sessions before applying to camp.

The website and voice-mail recording will be updated within 24 hours of the event. It is very important to check the recording prior to leaving your home for any updates.

If you apply via the internet your placement confirmation will be sent electronically. It is important that you set your computer to accept GSCNC as a trusted site by following the steps below. Setting GSCNC as a Trusted Site 1. In an Internet Explorer browser (or another browser), go to the Tools Menu 2. Click on Internet Options 3. In the window that opens, click on the Security Tab 4. Click on Trusted Sites below the green check mark to highlight it and then click on the Sites button 5. Type https://www.gscnc. org under where it says Add this website to the zone 6. Click Add 7. Transportation Camp begins on the bus! This is a low-cost, highly beneficial way for your camper to bond with other girls in her unit right from the start. Girls travel by chartered bus for a reasonable fee. Once your daughter has been placed in a program, you will receive a Parent Information Packet containing information about the bus stop, times of departure and arrival, check-in/check-out times at camp, and bus drop off/pick up times. Parents may also drive their campers to and from sleep-away camp.

Living Units Each unit accommodates 12–24 campers and consists of a unit house or shelter, latrines or flush toilets (depending on camp), washstand or sinks (depending on camp), fire circle and screened glen shelters or platform tents. Each tent or glen shelter contains cots with mattresses, mosquito netting and nightstands for four to six girls. Counselors are housed in a separate shelter in the unit. Most units do not have electricity. At night, the campers use their personal flashlights to find their way, and lanterns mark the location of the latrine, washstand and staff shelter. Girls are assigned to living units by age and program. They may share a tent or shelter with one friend as long as they are signed up as buddies for the same program and session. For more information on registering with a buddy, see page 25.

Meals Food service professionals prepare all meals except for cookouts. Campers are given an opportunity to plan a menu and cook outdoors or have a picnic at least once during their stay. Our food service staff can meet most special dietary needs. If your camper has special dietary needs, please specify this in writing on her health form. Vegetarian alternatives are available at every meal. For more information prior to registering, you may also contact Denise Viau, Camping Services Manager, at ext. 208 or dviau@gscnc.org.

A glen shelter is a wooden structure with four screened sides, a wooden roof and a wooden floor. The canvas curtains can be closed in inclement weather. Glen shelters can be found at all four camps.

Camp Staff Staff members are carefully selected from applicants throughout the United States and around the world. They are chosen for the maturity, program skills, and experience and are required to attend an intensive pre-camp training session given by GSCNC. Staff members are 18 years of age or older. A Health Manager is in residence at the health center. Specially trained staff members direct the pool, waterfront, challenge course, and other specialty areas.

Camp Facilities

Additional Facilities Facilities also include a dining hall and kitchen, camp office, health center, arts and crafts building, trading post (camp store), and central shower house. Winona, Potomac Woods and May Flather have swimming pools, while Coles Trip has river access.

Platform tents have wooden floors with a large canvas tent over a wooden frame. There is an extra roof tarp over the top of the tent. There are platform tent units at May Flather and Coles Trip.

Camp Winona A New World to Discover At Camp Winona girls have a new beautiful setting to discover with many brand new facilities! In its second year as a sleep-away camp, Camp Winona is a popular place for first-time campers and offers programming for girls who have finished grades K–11. Programs range from four days to one week and may focus on a specific interest, but all girls can participate in general camp activities like swimming, canoeing, arts and crafts, campfires with s’mores, and more.

Does your mom, aunt or female friend over 18 want to go to camp with you? Maybe you’ll want to bring a friend along, too? Then this is the program for you! Every morning, you will pick out activities you want to try—then participate in activities with everyone in the afternoon. Try out kayaking on the pond, splashing at the pool, creating arts and crafts, hiking around camp and more! Each adult may register up to three girls to attend the program with her. Girls must have completed grades K–11. Adults will stay in a cabin with the girls they register with and may share this cabin with one or two other camper/adult groups. Camp staff will stay in a separate cabin within the unit. Adults are responsible for the supervision of the girls they attend camp with. All girls who attend will need to adhere to camp guidelines at all times.

Registration: A link to the separate For Girls Only! registration can be found on the Resident Camp Registration Site. This online registration is different than registration for our other sleep-away camp programs, as information will need to be collected for multiple people. To receive an application in the mail, contact Gustavo Martinez at gmartinez@gscnc.org or ext. 253. Applications must be received by 12:00 PM on March 2, 2009 to be considered in the first round of placements. Placement will be done by a random selection of all applications received by this time and applicants will be notified by email of their status on March 3. If you are interested in applying for the program after March 2, contact Gustavo Marinez as indicated above to see if space is still available in the program.

Sleep Away Camps 2009

Junior Counselor (JC) Grade 11 The Junior Counselor program is for girls who have already completed the CIT program and would like to further enhance their leadership skills by learning what it’s like to be a camp counselor! JCs must leave camp on Saturday breaks; bus transportation is available at no cost. Girls who completed the CIT program during summer 2008 and have completed 10th grade may also apply for the Junior Counselor program. Information and an application can be downloaded from the sleep-away camp registration site under Important Downloads. Applications must be received by 12:00 PM on March 3, 2009 in order to be considered in the first round of placements. If space is available, girls may apply after March 3. If you would like an application to be mailed to you, please contact Gustavo Martinez at gmartinez@ gscnc.org or ext. 253. All Junior Counselor applicants will be interviewed and space is limited. Placement in the program is based on experience and is at the discretion of the Camp Director. Girls will receive a stipend for being a Junior Counselor.

Camp Potomac Woods Begin a Lifetime of Memories

Camp Facts:

From swimming to hiking to singing and eating s’mores, only a girl’s imagination will limit what she can do at Potomac Woods. She might go to camp with an old friend, but she will leave with many new ones! This is a popular place for first-time and seasoned campers and offers programming for girls who have finished grades K–11. Programs range from four days to one week and focus on a specific interest, but all girls can participate in general camp activities like swimming, crafts, cookouts and more. This camp is so diverse—with woods, marshlands, a riverbank and open fields—making it the ideal spot for a Girl Scout camping adventure! Junior and Teen Girl Scouts will have the opportunity to visit the archery range, where staff certified in archery instruction will lead the activity. All girls will have the opportunity to walk the Phillip Sutton Riverwalk and explore the new nature activities.

Registration Information How to Apply Online Applications must be submitted from January 12 through March 2, 2009 to be considered in lottery placement. Applications received by 12:00 PM on March 2 will be randomly selected for placement. Tech note: When applying online, please make sure your computer will allow “cookies” from gscnc.org.

1. Log on and create an account at register.gscnc.org/residentcamp •

This year’s access code is summer. If you applied for camp online last summer or you are a troop leader and have used our online system before for Training, Camping or Program registration, you can log in with your existing account. If you used the system last year, but your e-mail has changed, please sign in with your old e-mail address and click Edit Account to update your e-mail address. If you do not currently have an account, click on the Create an Account link, enter the required information and press Submit. The personal password you set enables you alone to view your account information.

2. Add a camper Once you log in, select the Create Camper link. Fill in the requested information and press Submit. If you are registering for more than one daughter, repeat this process for each camper.

If your daughter is registering with a buddy and is the second of the two to register online, enter the Buddy Code you got from your daughter’s buddy. The program choices made by the first buddy will appear. You must accept all of these choices in order to be considered for buddy placement. See page 25 for more information about registering with a friend. • Browse the entire catalog of available sessions. • Search by date, camp, program type or age level. However you choose your programs, your daughter is encouraged to make six program selections in order to increase her chance of placement.

4. Complete registration and checkout 3. Choose your programs There are several ways to select your daughter’s programs online. • Use Quick Selection and enter the program codes for your daughter’s choices.

Once you have made selections for each of your campers, proceed to checkout. You will be asked to: • Provide additional Parent/Guardian contact information and • Fill out the Campership form if you are requesting financial assistance.

Financial Assistance (Camperships) GSCNC attempts to make camping available to all Girl Scouts regardless of economic situations. Financial Assistance is available and administered by the Program Grants Panel, a volunteer group independent of the Camping Department. Assistance is given to as many girls as funds permit. Each girl’s need and the availability of funds determine the amount granted. Every girl is expected to earn and save as much as possible toward the total cost. Parents are asked to pay a minimum of $25.00 toward camp tuition.

To apply for Financial Assistance: The camper must be a registered Girl Scout. Requests for grants must be made when filling out the initial application. An option to request Financial Assistance is given during the online application process. Those submitting paper applications should complete the Campership/ Financial Assistance form on the back of the paper application (page 28). A separate request form must be submitted for each girl. In order to allow as many campers as possible to experience camp, grants will only be approved once per camper per summer. The Campership grant is credited to the camper’s account. Notification of the amount granted will be sent by mail or e-mail.

How to Apply with a Friend

Although mailed applications are considered at the same time as electronic applications, we encourage families to apply online. If you need assistance navigating the site, help is available by contacting the GSCNC Help Desk at ext. 228.

Girls applying as buddies must apply for all the same programs/dates and applications must be mailed together in the same envelope. See box at right for more information.

If applying prior to12:00 PM on March 2, 2009, a camper may link her application with one other girl as a buddy. As their applications are linked, both will be placed or both will be put on the waitlist. If your daughter chooses to attend camp with a friend (buddy), both girls must: • Be in the same program/grade grouping, (e.g., K–2, 3–5) • Apply for ALL the same camp programs and dates • Submit both applications using the same method—either online using a Buddy Code as detailed below or mailed in the same envelope

Please note: the buddy code can only be shared with one buddy. This requires good communication between both girls’ parents. Mailed applications (arriving in the same envelope) will be assigned a buddy code when received. Girls who would like to be linked as buddies after March 2, 2009 must register for the same program and dates, space allowing. After registering, please e-mail the camp registrar both girls names and request that they be linked as buddies.

Waitlist Notification

Girls with Disabilities

Due to the popularity of camp, some programs generate a waitlist. If you registered by March 2, 2009, and we are unable to place your daughter in a program, you will receive mailed and e-mailed notification by March 3 informing you of your daughter’s waitlist status. On March 5, you can log on again, choose from available openings, and register on a first-come, first-served basis. If you choose another program, your camper will be removed from all waitlists. If you choose to remain on the waitlist instead of logging on and registering for an open program, placement from the waitlist will be made if space becomes available.

GSCNC offers opportunities for girls with disabilities, including physical or developmental disabilities, to be included in our Summer Camps. They can join other girls their age for swimming, hiking, singing and other camp activities. Camp is available to ALL girls who: • Have physical and or developmental disabilities • Have special dietary restrictions • Require special medications or treatment (Epi-Pen, neubulizer, etc.) • Require injections (insulin, HgH, etc.) If your daughter has a special need, she is welcome to attend our summer camps. To ensure that your daughter is placed in a camp and program that best suits her needs, please contact us before completing your daughter’s application. Placement Confirmation If your application is submitted by March 2, 2009, (12:00 PM) placement confirmations will be mailed on March 3, 2009. Non-Girls Scouts are welcome to attend sleep-away camp! A $75.00 additional fee will be charged.

Cancellations and Refunds The $100.00 placement security deposit is non-refundable. The remainder of the camp fee (excluding the deposit) will be refunded if: • The camper withdraws the registration and GSCNC receives a written notification of the withdrawal at least five weeks prior to the session. • The camper leaves camp due to illness or injury and GSCNC receives a written request for a refund within two weeks after she returns home. The refund will be pro-rated on a per diem basis. • A program is canceled and no alternate program is available. If a camper leaves camp early due to homesickness or parent request, there will be no refund. No other refunds will be given.

Program Cancellation GSCNC reserves the right to cancel any program listed due to insufficient enrollment or other extenuating circumstances. Alternate programs or refunds will be offered.

Camp Policies Health History and Physical Examination Girls attending sleep-away camp must be in good health and have had a complete physical examination by a licensed physician within 24 months of attending camp. A Health History/Examination Form is included with the Parent Information Packet. Completed health forms are due to the Council office by May 15, 2009. The Health History portion of the form must be updated within six months prior to the start of camp.

Weekend Accommodations There are no weekend accommodations available for campers unless they are registered for a two-week program at Coles Trip or May Flather. All JCs and girls registered in the CIT Program at Potomac Woods or May Flather must leave camp on Saturday breaks. There are no exceptions, as there is no adult supervision provided.

Visitors To avoid interrupting camp activities and because camp sessions are short, there are no visitor days during the camp session. Due to limited parking, visiting is not permitted when you are bringing or picking up your daughter. If you wish to see the camp, plan to attend the Open House (See Open House, page 6).

Camp Behavior The staff and Director will do everything possible to help girls adjust to camp life. However, GSCNC reserves the right to send any girl home from camp who consistently exhibits unsuitable behavior, endangers the camp community, or whose actions towards others are unacceptable. The girl’s parent/guardian is responsible for picking her up from camp and no refund will be given.

This side of the application should only be filled out if you are requesting financial assistance. Campership requests are due at the time of application. Application and Campership form must be received by 12:00 PM on Monday, March 1, 2009 to be considered for our first round of placements. This form does not serve as an application for camp. You must also complete the form on the opposite side of this application.

Camperships provide partial funding to make the programs available to girls who would not otherwise be able to attend. Camperships are granted according to need and available funds.
