INTRODUCTION This manual will provide step-by-step instructions for our web-based cookie sale module, known as eCookie. Please keep it handy for quick reference throughout the duration of the program. eCookie was developed exclusively for Girl Scouts of Utah. It is efficient, easy to learn, and eliminates duplicate data entry and manually calculating order forms. After reviewing this manual, you will be able to use eCookie to: • Enter individual girl sales • Allocate booth sale cookies • Run detailed cookie sale reports eCookie’s test site is designed for volunteers to practice how to use the program. It will not list troop’s correct girl memberships. eCookie’s live site is available in mid-January. It contains current girl/troop information that was obtained from Personify. Troops need to confirm the girl and troop information listed in Personify is current and correct prior to mid-January to ensure accurate data is featured in the eCookie live site. If information is not correct, contact your Volunteer Services Coordinator or CES Specialist for assistance. Both CCPRs and TCMs should export and save/print reports before access to eCookie is no longer available. Note: The word “Service Unit” means the same as “Community” in this manual.

COMMUNITY COOKIE PROGRAM REPRESENTATIVE INSTRUCTIONS eCookie Password Community Cookie Program Representatives (CCPR) must be issued a password in order to access eCookie. Once you’ve been assigned to your applicable Community, a password will automatically be generated and your user name, password and link to the log-in screen will be emailed to you. The subject line of the email will read “Girl Scouts of Utah - Welcome to Cookie Sales.” You will not be able to access the site until that time.

eCookie Log-In When logging in for the first time, you will be asked to enter the provided password, then enter and confirm your new password (one that you create), and enter a question/answer in the event you forget your password. NOTE: We recommend you write the link and your password in the section provided at the front of this manual. eCookie has its’ own unique link and password. (It is NOT your Cookie Booth login and password.)

All subsequent logins will automatically log you directly into your Community.

Assign Troop Cookie Mangers (TCM) to Troops After logging in, you should see your Community information screen. Click on “Troops” for a list of troops within your Community.

Click “Assign” at the far right hand side of the screen.

Assign Troop Cookie Mangers (TCM) to Troops (continued) The “Assign Troop Manager for Troop #XXX” box will pop up. Click on the drop down arrow and select the name of the respective TCM. If the person is not listed, contact the Cookie Program Manager.

Click “Save.”

The TCM name will then replace the assign button under the Manager column. Continue assigning TCMs in this manner until all troops participating in the sale have been assigned. 2014 eCookie Manual

Set Up Delivery Station(s) In the Community Information screen, click “Delivery Stations.”

Click “Add Delivery Station.”

Set Up Delivery Station(s) (continued) A window will open in which to enter your delivery station “Mail to”, “Deliver to” and “Special Instructions” information*. Once you have entered your information, click “Save.”

*NOTE: Station name MUST be formatted as: Community #, space, dash, space, location name. i.e. 674_ -_Council Resource Center Your completed delivery station information screen will appear.

Assign Troops to Delivery Station(s) In the Community Information screen, click “Troop Delivery Stations.”

Click “Assign” at the right hand side of the screen.

Assign Troops to Delivery Station(s) (continued) The “Assign Delivery Station for Troop #XXXXX” box will pop up. Click on the drop down arrow and select the delivery station.

Click “Save.”

Verify/Edit Troop Orders In the Community Information screen, click “Troops”, then click on the magnifying glass next to troop # you wish to verify/edit.

A listing of all registered girls within the troop will appear. Click “Order.”

Verify/Edit Troop Orders (continued) Go to the girl(s) you wish to edit, click on the number of boxes for the variety you wish to edit, enter new total(s) and click “Save.”

Verify/Edit Booth Allocations In the Community Information screen, click “Troops”, then click on the magnifying glass next to troop # you wish to verify/edit.

A listing of all registered girls within the troop will appear. Click “Booth Allocations.”

Rewards & Activity Credits Click on “Rewards & Activity Credits” in the left hand menu, a list of every girl in your Community will appear with her Activity Credit and Reward Level automatically populated.

Click “Export” to download the data into an Excel spreadsheet. If you want this information for individual troops, click “Troops” in the Community Information screen. Then click on magnifying glass next to the troop #.

Activity Report In the Community Information screen click “Activity Report.”

This brings up a report for total boxes sold, amount due, troop proceeds, girl payments, deposited amount, current balance, and total unpaid girl amount* for each troop. *NOTE: The “Girls Unpaid” section is not utilized by GSU.

Click “Export” to download data into an Excel spread sheet. 16

Enter/Edit Troop Orders In your troop screen, click “Order.”

Go to the girl for whom you wish to enter an order, click in the box under variety, enter total boxes for that variety, tab to next variety, enter total boxes, and continue entering order until complete. Hitting tab again will take you to the next girl’s order.

Once all the girls’ orders have been entered, click “Save.” To edit an order, go to the girl you wish to edit, click on the number of boxes for the variety you wish to edit, enter the new total and click save. NOTE: Red triangle in upper left hand corner of box indicates changes not yet saved. 18

Enter/Edit Additional Cases for Booth Sales In your troop screen, click “Order.”

In the “Additional cases for booth sales” row, click in the box under variety, and enter total cases for that variety, tab to next variety, enter total cases, and continue entering order until complete.

Once all booth sales cases have been entered, click “Save.” NOTE: Booth sale cookies are ordered in cases, not boxes. To edit an order, go to the variety you wish to edit, click on the number of cases you wish to edit, enter the new total and click “Save.” NOTE: Red triangle in upper left hand corner of box indicates changes not yet saved. 2014 eCookie Manual

Enter/Edit Booth Allocations In your troop screen, click “Booth Allocations.”

Go to the girl(s) you wish to allocate cookies to, click in the column under booth sales, enter total boxes.

Once you have allocated all booth sales cookies, click “Save.” NOTE: “Booth Inventory” equals total boxes available to assign. “Balance” equals unassigned boxes and should never be less than 0. To edit booth allocations, go to the girl(s) you wish to edit, click on the number of booth boxes, enter the new total(s), and click “Save.” NOTE: Red triangle in upper left hand corner of box indicates changes not yet saved.
