2014: Shaping Up to Be Our Best Year Yet

hat a fantastic year 2013 was for the Microsoft Dynamics AX User Group. It was great to see the growth in AXUG®,, including events in Rome and Barcelona, along with the successful launch of the AXUG Collaborate site. With 2014 well under way, there is no shortage of great programs for AXUG Members to participate in and gain valuable knowledge to enhance their use of Microsoft Dynamics AX. At the start of each year, there are always a few topics Members are talking about: budgets, taxes, and forecasting the year ahead. So, with those items in mind, we decided to have the theme of this issue be finance. While finance is a broad topic, you will find great content for not only the many finance professionals who are AXUG Members, but also valuable content and updates for those that aren’t ever mistaken as “bean counters.” (I think I can use that term, as I’m married to one! -) The world of ERP software all started with accounting systems that were built to do more than just finance, so this theme is a great way to level set the year of AXUG programs, taking us back to the core in some instances, while at the same time looking to the future and all the new and exciting ways Microsoft Dynamics AX can support your business objectives. When it comes to topics such as budgets, taxes, and forecasting, AXUG provides many ways to network and share experiences with other Users. The Finance, Internal Control & Compliance, and BI and Reporting Special Interest Groups (SIG) are just one place where many finance professionals are furthering their knowledge. If you haven’t checked out some of the financerelated discussions on the AXUG Collaborate site at community.axug.com, you are missing out! Of course, we have many great AXUG Premium Partners who host webinars and showcase their products that also play vital roles to enhance your Microsoft Dynamics AX environment. Don’t forget: all AXUG webinars are recorded, so you can play them back at your own leisure. As we turn the calendar on a great year for AXUG, I want to personally thank the board of advisors who provides great leadership for us. We reorganize a new board each year at Convergence, so to the outgoing board members, a big thank you from me and the entire Microsoft Dynamics AX community. In the past year we saw a record number of webinars (147), 1,000 attendees at AXUG Summit in Tampa, and continued growth of AXUG outside North America with User group day at Convergence EMEA in Barcelona. All of these great achievements, plus the roll-out of the AXUG Collaborate site, took place under the direction of the 2013-2014 AXUG board of advisors, leaving large shoes for the new board to fill! I would be remiss if I didn’t quickly mention Convergence 2014 in Atlanta. If you happen to be lucky enough to be reading this magazine while at Convergence and are not an AXUG Member, I encourage you to get involved and join AXUG (www.axug.com/join-axug/). Tell us a little about Fluidigm. Fluidigm (NASDAQ:FLDM) develops, manufactures, and markets microﬂuidic systems to leading academic institutions, clinical laboratories, and pharmaceutical, biotechnology, and agricultural biotechnology companies in growth markets, such as single-cell genomics, applied genotyping, and sample preparation for targeted resequencing. Our single global instance of Microsoft Dynamics AX 2012 currently supports 42 Users worldwide. In order to take advantage of product improvements, we may invest in an upgrade in 2014 or 2015. What are you looking forward to as an AXUG Board Member? As I am relatively new to Microsoft Dynamics AX (two years), I am interested in strengthening my relationships with other end Users and decision makers to better understand how Microsoft Dynamics AX is transforming their businesses.

Paul Vaughan enterprise information services manager for Stupp Bros., Inc.

Tell us a little about Stupp Bros. Our company is in the steel fabrication business. We produce steel girders for bridges, oil and gas pipe, and beams and columns for commercial buildings. We have more than 100 licenses and 30 to 40 Users and upgraded to Microsoft Dynamics AX 2012 R2 CU6 in early February, with plans to upgrade another legal entity in March. What are you looking forward to with board involvement? I have always been impressed with how the board has constantly sought to bring diversity and possibilities to Microsoft Dynamics AX Users. I experienced this with my very ﬁrst AXUG Summit in Chicago and have watched that evolve throughout the years. I look forward to continuing that growth and helping AXUG remain a strong source for every Microsoft Dynamics AX User to turn to for the assistance and collaboration needed to get the most out of their respective implementations.

wamy Narayana, principal PM lead, has been with Microsoft for the last six years, starting with development for Microsoft Dynamics AX 2012 in the financials area. He also leads the development of the product’s public sector industry solution and supports the Customers participating in the Technology Adoption Program (TAP). AXUG® sat down with Swamy to find out what he finds most rewarding about his job, what his team did in the financials area of Microsoft Dynamics AX 2012 R3, and his take on the greatest ROI Users have with Microsoft Dynamics AX. AXUG: What do you find most rewarding about what you do? Swamy Narayana (SN): As a program management lead, I have a team that continues to influence the product in many aspects. I love getting feedback from Users as to how we can impact them and their organizations, and I like to see them delighted with what we have to offer. AXUG: Your team has been very busy getting Microsoft Dynamics AX 2012 R3 ready for general availability. What was your team’s greatest contribution to that release? SN: Right, we’re focused on releasing R3, and our team was responsible for quite a few changes in the budgeting area and accounting framework in this next release. AXUG: What can you tell us about the financial changes in R3? SN: R3 includes the features we did in CU6, CU7, and more. One of the big things you will see is that Management Reporter has become an integral part of Microsoft Dynamics AX functionality. You will see this in installation set-up components as well as launching from Microsoft Dynamics AX. There

have been many improvements, such as default report templates, side-by-side report layouts, and availability in all languages, making it very useful to all Users. All areas within ﬁnancials, GL, budgeting, AP, AR, etc., have been enhanced in the last 12 months. This includes one feature that is a very popular request/feedback item from Customers and Partners: the elimination of multiple vouchers when a product receipt for stocked items is posted. This will help accountants and ﬁnance managers to reconcile and identify accounts for further review very easily. The other common theme you will see across all areas is performance improvements. AXUG: How did you prioritize the list of what would go into R3? SN: We look at what we’re already building, various feedback that comes from Customers and prospects, and comments from Users via the Connect tool. There are three major sources for our product backlog: feedback from Customers, issues we are seeing through sustained engineering, and changes happening in the market place or our competitors. Once we have that list pulled together, we prioritize where we’ll put our focus based on the most value for our Customers without risking loss of any current functionality. AXUG: What kind of feedback are you receiving from those in TAP? SN: We showcase all of our enhancements through webinars to participants of TAP. These have had great feedback. R3 WHAT IT MEANS FOR WAREHOUSE OPTIMIZATION

hatever the goals are for implementing a warehouse management system (WMS), many companies and integrators fail to realize the importance of including lean material ﬂow principles as part of their WMS implementations. Companies implement a WMS with a variety of goals in mind. These can include replacing a legacy or proprietary WMS, improving inbound and outbound cycle times, increasing throughput, allowing for real-time data and visibility, increasing productivity to achieve ROI results, and/ or a combination of these goals or others. Microsoft Dynamics AX WMS now not only oﬀers all of the above, but is also fully integrated into the core Microsoft Dynamics AX ERP system, which removes the need for any type of interface between systems.

Don’t Optimize a Bad Process Everybody has heard the phrase, “Don’t optimize a bad process.” This could never be truer than in a WMS implementation. Implementing a WMS system is a substantial financial investment in search of quality results. Time and time again, companies remain inflexible in regards to reviewing storage media, warehouse layout, process time studies, and even moving product to ensure proper zoning of product with their WMS. With manual or automatic suggested putaway logic, Microsoft Dynamics AX WMS allows for the planning of the layout of product in your warehouse as well as much additional functionality ripe for additional optimization. The design phase of a WMS implementation should be based on a future vision of the optimal processes for your distribution center rather than the current process flows. The idea of configuring your WMS around the way your operation is running today is an idea that assumes that the current facility layout is optimal, SKU levels will remain stagnant, and both your inbound and outbound order profiles aren’t going to change over the next several years. This also assumes that the current slotting in your facility is optimal and the number of times you replenish forward pick locations is optimal. With the ability for defined shipments, Microsoft Dynamics AX WMS offers the opportunity for optimized replenishments and picking routes.

Optimizing Processes When thinking of optimizing future processes with a WMS, these are ﬁve commonly overlooked areas: » What is the ﬁve-year forecasted growth for the SKUs, velocity, and cube in the current warehouse?

feature » Is the warehouse slotted properly? Is the product located in the correct location based on order proﬁles, and do the forward pick locations have the proper capacity to accommodate an optimal days on-hand quantity? » Is there a clear understanding of order proﬁles both inbound and outbound? » Do I have the optimal material handling equipment? » Can relocating product in the facility improve a process with the implementation of a WMS such as Microsoft Dynamics AX WMS? The truth is, if you don’t know the answers to some or all of these questions before your WMS design sessions begin, you’re leaving savings on the table.

Understanding the Current Baseline It is important to understand where you are today so that you can strategically plan for your WMS future process. Gathering important large sets of data items, such as outbound orders, inbound orders, inventory snapshots, locations, and the item master data, is useful to understand the correct baseline. The analysis of this data produces several, often eye-opening, results for our Customers. These results typically include: » Outbound orders summarized by channel (e-Commerce, phone, etc.) » Delivery points by three-digit ZIP code » Grouping of SKUs together by velocity by unit of measure » Average units per line » Order affinity for SKUs » Ideal size of active/pick locations » Determination of whether a fixed or dynamic pick location is the best solution or a combination of the two Additionally, it is important to document current processes in detail and provide a time study for each activity. Until it is known where employees spend their time through observations and time studies, it is difficult to hone in on the pieces of that process that if reduced, could make the overall process more efficient. Let’s use a picking process flow as an example broken down by the percentage of time a picker spends performing a task. In this specific warehouse, the picker spends 52 percent of his time picking, 33 percent of his time traveling, and 12 percent of his time tearing off carton tops. This is sample data from an “each” pick environment with several hundred Users. A drop of a percentage point in any of these areas will mean thousands of dollars of savings per year.

This particular Customer picked off of paper and required the worker to remove box tops at the “each” pick face if the carton wasn’t already open. If the company moved the removal of the box tops to the replenishment activity, it would see increased overall savings in picking. Another procedural improvement that would result in significant savings is to direct the User on the proper travel path. There are lean components that can contribute to reducing the percentage of travel the picker is performing. These components include slotting optimization results from the material flow data study. Additionally, setting up the proper pick sequence in the WMS can assist in reducing travel.

Implement a WMS Along with Lean Concepts The picking example in the previous section is a simple example of why a WMS won’t completely optimize your warehouse operations. In that instance, a WMS will take the paper out of a picker’s hands, direct the User to the next location, and require the User to scan the location and/or item being picked. This alone will drive a certain amount of savings. However, the WMS won’t be able to recognize that the removal of the box tops should be a replenishment activity instead of a picking activity. Additionally, the WMS won’t slot the warehouse properly without some initial SKU and order analysis to slot SKUs and create an optimal pick path.

Summary A WMS such as Microsoft Dynamics AX WMS provides a systemic set of instructions to the User which alone will drive a certain amount of efficiency and tracking. However, without a proper slotting and procedural analysis, the WMS that you thought would optimize your entire warehouse can turn into a very expensive data collection tool. In order to not leave money on the table during your WMS implementation, perform a detailed slotting analysis and operational analysis before the WMS functional design sessions. These lean concepts will significantly increase your ROI when investing in a WMS. Mass BOM Updates 11 Replies I’m curious about something. I’ve only been working with Microsoft Dynamics AX for about nine months. Part of my job is BOM entry for new products. Sometimes we have a part number change that may aﬀect anywhere from 1-20,000 BOMs. If the number is relatively small, I can do them manually. If the number is a huge amount, however, we submit these to our IT dept for a mass update. To even begin the latter, it requires a lot of planning and prioritizing. So my question to you is this: Is there a way that I can change a single part number across several BOMs at once without involving IT? And if so, what about eﬀective dates, op sequences, and so on? 10 Replies I’m brand new to Microsoft Dynamics AX, and the company I work for is also just implementing Microsoft Dynamics AX 2012. What I’ve been asked to look into is how to configure Microsoft Dynamics AX to allow and disallow access to forms based on role. For instance, we don’t want a purchasing manager to be allowed to work with the Vendor Groups form under Setup on the Area Page, but we do want the accounts payable manager to work with that form. Both their profiles have the “Enable vendor process” duty attached which contains a privilege named “Maintain vendor groups”. What I’ve been able to figure out is I can modify the access level of the “Maintain vendor groups” privilege to “No access”, and that will restrict the Purchasing Manager from seeing the link on their Area Page, but this access level change appears to be global and is also having the same impact to the accounts payable manager. Hopefully the example is clear as to what the issue is and what I’m hoping to achieve. Just thinking aloud, but would something like this situation require creating a new duty without the “Maintain vendor group” privilege? Or can this be done through the AOT? Or can the privilege itself be configured to apply with specific roles only? Any help would be appreciated. Please let me know if further details are required, and I’ll try to answer them. Our technical people cannot explain or correct the issue. They have reported it to our implementation Partner and Microsoft. No result that I am aware of. But we are encountering some challenges around this topic. Please see below: Just as a quick summary of our challenge: We would like to have a centralized COA shared by all of our entities in our Microsoft Dynamics AX instance. - But we would like to have different rules by entity - As of now (information keeps changing), we are being told that if we share COA for all entities, we have to create rules by ledger/main account, and this rule for each ledger/main account has to be shared by all entities (if they are using this ledger/main account). So we are hoping to find a way to have a centralized shared COA but be able to create different rules by entity. MANAGEMENT REPORTER: READY FOR PRIME TIME by Nick Sercer

hile many consider Management Reporter (MR) to be a new product, Microsoft actually began its development in 2004. The original version of MR was released as part of the Microsoft Office PerformancePoint Server business intelligence suite in late 2007, with plans for a separate release to Microsoft Dynamics ERP. Microsoft shelved PerformancePoint Server in 2009 but continued with the release of MR (V2) to the Microsoft Dynamics AX community as a replacement for Microsoft FRx. In actuality, MR was always intended to take over the reins of Microsoft FRx, as is evidenced by the many similarities in the two products. The early versions struggled to match the capability of Microsoft FRx in some areas, however the current version, Management Reporter 2012, has been on the fast track with frequent updates since its May 2012 release and is seen by many new adopters as a true upgrade from Microsoft FRx. Several of the benefits of moving to MR from Microsoft FRx are listed below. These are just some highlights; there are many more benefits, and Microsoft continues to add new functionality with each update, so the gap will continue to widen. Check Your Work! While MR has enhanced features to allow you to find missing or duplicate accounts in your reports, it is always a good idea to be proactive to prevent inaccuracies in your financial reports. Try adding a (non-printing) check row at the bottom of your income statement Row Definitions. The row should include a range that encompasses all P&L accounts in the Link to Financial Dimensions column. Add a calculated row (OUT OF BALANCE) below it that will subtract your check row balance from your Net Income. If the balances match, you are golden. If not, you may need to update your report to include a newly added account or remove a duplicate. As a further suggestion, assign a BOLD or RED font style to your OUT OF BALANCE row to make it pop when there is a discrepancy in the report. If the row displays a zero balance, it will be suppressed and will not be visible when viewing the generated report.

This was difficult and sometimes didn’t produce the desired results. In MR, you can still utilize the (?) as a wildcard as you have before, but you also have the option to use an asterisk (*). For example, if you have accounts that can be either four or five characters in length, and you want to display all accounts that begin with 4, you can use 4* in your “Link to Financial Dimensions” column to display all accounts beginning with 4, regardless of the length of the ID.

AXUG: BI is definitely a topic of discussion these days. What’s a misconception people have about BI? Jonathan Oesch (JO): People tend to think of business intelligence in terms of it being a piece of software or a technology – and it’s really not. It’s not a tool, a framework, or even a platform. BI and reporting are a way to engage with data and tell a story, which then helps an organization figure out what to do in their business. The data is sitting there, waiting to give answers to your questions. It’s sitting there, yes, but it’s probably in an ERP or other system where the data structure is unfit for human consumption. The challenge is to change the structure of that data in such a way that the average business User can make sense of it. I also believe that BI and reporting are not ERP. ERP – or any source system of data – is meant to enforce a process on data intake and build a workflow around the things that a company does. Those rules of doing business, that process, that workflow, it’s a fairly static thing; it’s something an organization needs to think about and carefully consider because it will live in that format for a long time. BI is different. Data that ends up in a BI system helps an organization figure out what to do with the dynamic parts of its business: How are sales trending? What is driving that? How does that affect inventory costs? How do salespeople, vendors, and warehouse locations all contribute to the mix? BI needs to be nimble to react to the changes that will inevitably hit every company over time. AXUG: How does your flagship product, Jet Enterprise, help Users be nimble? JO: Jet Enterprise is a combination of a financial

reporting tool and a BI environment. The strength of our offering is the ability for us to take a User’s data – in whatever format it exists – and very quickly configure it in a way that allows the User to run his/her business. We really see BI and reporting as a data management challenge. Can you combine all the data sources you own? Can you organize it in the way that makes the most sense to your company? Simply put, we approach the challenge with the mindset of this: How effective can we make you at using your data? Speed is important to us, too – none of this is of any use if it takes forever to deliver. AXUG: What’s the implementation process like? JO: That is a touchy topic because delivery is where I think BI gets its black eyes. We’ve all heard those nightmare stories about the implementation that took 18 months and went way over budget. The key differentiator between us and our competitors is our thoughts around implementation. Our whole goal is to minimize the risk that occurs within a BI deployment over time. Most people come in and do a scoping exercise, and then go off and build the product that they think they heard the company describe. This doesn’t work with BI because when you come back six months later, finally ready to implement, the User’s business may have changed, and what was right six months ago may not be relevant now. We work with our Partners on our methodology, which treats BI like an Agile software development project. They come in and conduct an exercise to see what people do in their jobs and how they’d use the software – if you know Agile then you’ll recognize this as a “User story”. From those stories we develop a ranked list of priorities from the organization. When we have that list of priorities, we look at #1 and determine the amount of time it will take to develop. We then build that first piece and deliver it in a way that can be used by the business immediately. Then we start on the new priority #1, and you would be amazed at how often the order of the priorities on the list gets shuffled in the process.

Doing this means that the client is getting individual items of value that they can start to use right away. We like to say that we deliver fast and deliver often. It’s a really flexible way to do it instead of locking people in to what they asked for a long time ago. AXUG: This is a very different way to look at a project! When did you start this methodology? JO: In 2007 or so when the “Agile” method of software development came into vogue, we realized it was a powerful way to build software, giving a ton of visibility and flexibility into the project. It made so much sense on the development side of our business that we started to implement that process with our Partners – the people that bring our software to the Microsoft Dynamics AX community. We are now at a point where our Partners can deliver BI environments in a very rapid, very usable manner to their Customers. AXUG: What’s the biggest obstacle for Microsoft Dynamics AX Users regarding BI and reporting? JO: There are two main things. Microsoft Dynamics AX is a fantastic tool, and one of the reasons it’s so strong is how it normalizes the data: splitting it up into a seemingly endless array of tables and fields. This provides the flexibility to wrap the application around your business instead of the other way around. But, if you’re somebody who has to consume data, you don’t want to look through all the thousands of data points sitting in thousands of tables and fields to get to what you need. It’s an overwhelming challenge for 99 percent of the data consumers out there. There’s also the philosophical challenge of how an organization decides what data is most important and how they’re going to use it. The first one is easy to solve; that’s what our product does. The hard part is getting an organization to agree on what business terms

they’ll use, how to calculate certain metrics, and which hierarchies to put their data in. BI is less about technology and more about people, process, and methodology. To get all three to work together takes extreme communication and good planning. It’s not that people can’t do that, but more that they don’t understand how important it is. As soon as they realize the importance, maybe after a problem within their organization arises, the light bulb goes off, and they understand that a working BI environment is not something you can just throw a piece of software at and expect it to work. Once that realization occurs, everything becomes smoother. AXUG: What is your organization focused on for future innovation? JO: Jet Mobile. We have a suite of mobile solutions coming out that will deliver data in a way that Users want and need to consume it. For example, if a User is looking at data on a laptop in a hotel room, it will need to be displayed differently than if he/she were using an iPad on an airplane or a mobile phone on a golf course. We have solutions coming to display and distribute that information differently depending on what Users are viewing it on and how they want to see it. AXUG: What do you like most about the Microsoft Dynamics AX community? JO: The vibrancy of the people. Every time I go to Convergence or an AXUG Summit, I’m super impressed by the way people show up, ready to learn. I see it again and again, people coming to town willing to learn and change. I saw it again last year in Tampa, people came to the conference ready to learn and to trade ideas. Then they leave eager to bring that knowledge back to the office. I’ve worked with other ERPs in the past, and it’s just not the same there. AXUG

So You’ve Outgrown Budgeting in Excel by Noah Moseley n new budget implementations, I most often walk into a situation where a budget administrator has pushed Microsoft Excel® to its limits for budgeting: There will be 50 budget managers that all get their own Excel budget templates. The budget administrator has to make all of these budget templates and email them out to the budget managers, and all the managers inexplicably keep their Excel files until the day of the budget deadline before finishing anything. Managing that type of situation is a budgeting nightmare for anyone assigned the arduous task of managing a budget. Inevitably, all the other budgeting-with-Excel hurdles come with that same situation: Changes to budget templates require new Excel files to be emailed to all budget managers; all of the Excel budget files have to be consolidated into a single budget file; revisions to the budget require new Excel files emailed out to the budget managers; headache after headache after headache. This is why I have been implementing Microsoft Forecaster for clients for more than 10 years and still appreciate the control and flexibility that it provides as a budgeting solution. I have clients that email a notice to their budget managers that their budget input screens are available in Microsoft Forecaster, and

that they have one month to input their budget numbers and submit them for review. Their budget managers log into Microsoft Forecaster using a Microsoft Forecaster web page, select their input screen for their department or departments, enter their balances, and save the screen. The budget managers can come back later and change those numbers or add to those numbers at any time. Each time they save the web page, their balances are stored in the Microsoft Forecaster budget database and posted to the same account numbers used in their accounting system for actuals. At some point, the budget managers log into Microsoft Forecaster and submit their budget for review using Microsoft Forecaster’s built-in workﬂow option which sends an email to the next manager letting him/her know that the submitted numbers are ready for review. The next manager will then review the balances and approve or reject that department’s budget. The entire time, the budget administrator can log into Microsoft Forecaster and check the status (in progress, submitted, approved, or rejected) for everyone involved in the budget process for the entire company…all on one screen. Once the budget deadline arrives, the budget administrator sets

everyone’s access to read-only and gets ready for the budget review process. The budget administrator does not have to worry about combining everyone’s budget numbers into a single consolidated budget. That was done automatically by Microsoft Forecaster every time a budget manager clicked the save button on his/her input screens. In fact, the budget administrator can check the consolidated budget in Microsoft Forecaster at any point during the input process; there is no waiting for files to be emailed back and then consolidated. Microsoft Forecaster has done all of that work for them using roll-up definitions for all of the dimension, segment, and account codes. On top of this, Microsoft Forecaster comes with a lot of other great features to make budgeting easier. The solution has detail input screens to handle budgeting for payroll, new assets, and revenue. These come with any installation and are optional to set up, but most budget managers find them very useful. Allocations can be defined to spread budget balances across multiple segments or departments, and they process in seconds. Budgets can be input as local currencies and automatically converted to a reporting currency each time a budget manager clicks “save”. And changes to input screen calculations or

Minnesota Chapter Heads to North Dakota for September Meeting by Pat Ryan, chapter leader For several years, the Minnesota Chapter of AXUG® has made an annual trip to the Fargo, North Dakota campus of Microsoft. It is a trip that everyone looks forward to and is not limited to Minnesota Chapter Members – all AXUG Members are welcome! This year we met for two days of sessions and networking in mid-September. There were more than 80 Microsoft Dynamics AX Users in attendance – the largest turnout we’ve had to date. Outside of AXUG Summit, this was the largest AXUG-sponsored event of the year. Microsoft did an outstanding job of hosting us at their Executive Brieﬁng Center on the Fargo campus. Lunches were included, and we enjoyed a reception with dinner one night. Because we met at the Fargo campus, many Microsoft Dynamics AX engineers and product managers were available to give us a number of excellent presentations. The presentations were divided into two tracks: technical and functional. In all, there were more than 20 presentations given by Microsoft and Partners on a large
