And where better to see the latest and greatest with Microsoft Dynamics NAV, including the new version? That’s easy: At the eighth annual NAVUG™ Summit in October. We’re even working on having hands-on opportunities with the mobile interface right in the ABC Computers Hub. Pretty cool, huh? Speaking of Summit, we’ll be awarding our first-ever NAVUG All Star Awards at the conference. These prestigious awards will recognize those in our community who are truly passionate about Microsoft Dynamics NAV and have shown a deep commitment to helping others in the community. I have three sessions: Web Services 101 – Connecting the World to Your Microsoft Dynamics NAV, Why We Upgraded to Microsoft Dynamics NAV 2015, and Why Executive Buy-in is More Important than Ever. What is one thing you’re looking forward to with being a presenter? Meeting new people and engaging attendees on the topics I cover. As passionate as I am about the content I speak about and feel I have a solid understanding of, I know I will learn new things from the audience and sharing experiences around the room. What is one thing you’re nervous about being a presenter? I always worry about equipment malfunctions. Last year, I learned the hard way that you don’t accept system updates when attempting to reboot your computer. And I should know better being a part of the IT community! I was 10 minutes late starting my presentation.

Life is sunny in the NorCal chapter of NAVUG™, with Matthew McGinley, IT director for San Francisco Bay Coffee, reporting in that 20 to 30 Members are active participants in the chapter. So far this year the group has covered upgrades, reimplementation paths, and business Intelligence (BI) topics at two great locations: the Public Library of Science in San Francisco and Rocket Farms in Half Moon Bay. “Great participants, presenters, and locations!” says Matthew. “The NorCal Members have been really spoiled with beautiful locations. At this last meeting, we had three Members present on BI. We were taken through definitions around BI, BI selection processes, implementations, and design, and we were able to see two demos of products that were implemented. We then finished with a tour of the robotic greenhouses at Rocket Farms.” “At all these meetings, we are able to meet a great group of people, discuss ideas, smile, laugh, and learn. I truly feel honored to be part of this special group!” adds Matthew.

Silverware Announces Merger with Gilbert & Associates

Silverware, a Phoenix-based Microsoft Dynamics NAV Partner, recently announced its merge with Seattle-based Gilbert & Associates. Both companies provide accounting software, business solutions, and services to retail and manufacturing clients throughout the United States. The companies will now operate under the Silverware name. “We have known Hub Gilbert and his team for more than 20 years, and during that time we have collaborated on many client projects,” explains Sara Silver, founder of Silverware. “The decision to join forces makes good sense, as it enables us to better support our current clients and expand our services.” The combined organization will now be 22 people strong and will maintain operations in both Phoenix and Seattle. The new organization will offer greater bandwidth to serve clients and provide access to Microsoft Dynamics NAV experts with a wide variety of skills and expertise.

ndustrial Revolution is a manufacturer and distributor of camping gear and is based out of the northwest United States. After years of creating a number of innovative products and acquiring strong distributor partnerships, Industrial Revolution has experienced massive growth recently. The company has been named to Inc.’s Top 5000 List of fastest-growing private companies in America for the sixth time and expects to see that rapid growth continue. Anita Rodgers is the vice president of finance at Industrial Revolution. “Our business has been and is poised for growth, which is exactly why we need an enterprise resource planning (ERP) solution that can adapt and grow with us,” Anita shares. “We’re expecting to take on more Customers and need to attend to their needs. Microsoft Dynamics NAV is foundational for our growth, and better yet, we’re able to add on functionality that helps us maintain that growth.” Before joining Industrial Revolution in 2014, Anita worked for large manufacturing corporations with complex operations that required large systems for each area of business, with those systems rarely being connected. “In addition to helping me stay close to the core business and to the Customer, I love that Microsoft Dynamics NAV is truly our ERP. Everything is seamlessly connected,” Anita explains. Industrial Revolution has embraced Microsoft

Dynamics NAV as it has helped the organization through its massive growth, and the company trusts it will help it grow into the future. Industrial Revolution is enhancing sales, customer service, and cost control with strategic add-on modules for inventory management and forecasting and is investigating potential customer relationship management (CRM) and freight management modules. Departmental budgeting and reporting has been an area of enhancement for Industrial Revolution that is already making a difference in overall cost control. “Before departmental setup, we had been constructing a high-level budget by account.” Anita continues, “But we’re big enough now where we need to focus on enhancing managerial control of costs. Managers can now budget their expenses directly and get feedback on their performance so we have better insight and control of what we spend and why.” Industrial Revolution also utilizes JET Reports to get the flexible reporting its business demands. “The number one reason our reports work so well for us is that we sat down with the relevant teams to gather their feedback first and then customized the reports to their needs,” Anita explains. “We make sure our ERP gets the right information to the right people to help things move forward. NAVUG: Vision for the Future Anita and the team at Industrial Revolution love the NAVUG™ website and daily Q&A emails. In fact, they were alerted to a potential freight module that could help estimate freight costs via a NAVUG daily digest email. “The emails make me think of issues or questions that haven’t come up for us yet,” Anita says. “It puts us at an advantage to see how other people are working through those challenges, even if we’re not going through the same challenges at that moment.”

“M

obile First, Cloud First” is not just a branding statement; it is a business initiative. Businesses today, whether this means you as a business owner or you as an end User, must consider that the world is changing and that it includes using the cloud. The cloud is a part of our world today both personally and professionally. Many folks don’t even know they are using the cloud – for example, online banking. Just because you don’t log in doesn’t mean it’s not in the cloud. Some businesses are ahead of the game. They make time to improve processes by using the latest technology and are willing to listen to their Partner. They are innovators or early adopters. Others are more cautious but follow suit. And last but not least, the laggards. The laggards are those who fight the norm and typically are very proud of how long they have kept a server in production. (You know who you are.) It’s time to cross the chasm! So why the cloud? Here are just a few thoughts to consider: » Ease of access to data and/or software » Reduce real estate/leasing costs by reducing footprint » Allow for anywhere, anytime access from any device » Make processes easier and improve employee satisfaction » Be agile in the middle of disaster » Access to the latest and greatest technology » Utilize the talent of IT staff for new profit-generating initiatives » Help with budgeting/planning (operating expense versus capital expense) Let’s start with the basics: public cloud versus private cloud. Both have great benefits, and one or the other may not be suited for your Customer or your business. But what is the difference? The private cloud provider typically owns the infrastructure and leases data center space. This can be referred to as co-location or a managed service provider. The infrastructure is most often shared at the virtual server host and storage level. Keep in mind that some providers offer dedicated servers. The services can include managed services and can have a fee for additional services limited by the infrastructure it is built on such as restoring a database or backing up month end. The public cloud provider usually offers a pay-as-you-go model and doesn’t require a long-term commitment. The infrastructure is provided and can include licensing and software. You can have a Partner provide managed services or support you on an as-needed or self-management basis. Microsoft Azure and Office365 are considered public cloud. Some businesses may choose to have a hybrid model. A hybrid model is when some resources (servers/ applications) are left on-premises while others are in the cloud. In many cases, the resources still talk

to each other. For example: Your financial system is on-premises connecting with your payroll system managed by a third party provider. There are three types of cloud services: » Infrastructure as a Service (IaaS): This is a type of cloud service in which a third party vendor hosts the infrastructure, but you can put whatever you want on the virtual machine. » Platform as a Service: This a type of cloud service in which a third party vendor hosts the infrastructure and manages additional services associated to the applications such as SQL, security management, updates, etc. » Software as a Service: This is a type of cloud service in which a third party vendor manages all resources associated to the software, and you pay a monthly fee. Office 365 is an example of this service. Below is a visual to help explain how much or how little is involved with each type of cloud service:

So, how do you get started? Evaluate all the applications you have running today. This is important because not all applications work in the cloud. Versioning or old code may be a problem. On a positive note, you may also find out your software is now offered as a SaaS model, and you no longer have to pay for a staff to manage internal servers or software renewal fees. To get your feet wet, you could start off by moving a few applications to Microsoft Azure. An easy costsaving switch would be websites or your active directory. Microsoft offers a plethora of great information and a free Azure trial (http://azure.microsoft.com/enus/pricing/free-trial/), so you can build your own server, wreck it, and start over! You can even download a calculator to determine how much it would cost to convert from on-premises to Azure. Now let’s say you LOVE working with Azure and you have found many other uses for it, such as: » SharePoint site for your internal or external use » Backing up your network » Hosting your Microsoft Dynamics ERP system » Dev test environment for your Microsoft Dynamics ERP system » Demo environment for your products » Enterprise mobility suite Your next step is to then determine how you want to pay for the use of Azure. There are three options: Pay as you go, open licensing, and enterprise agreement. Each has its own benefits. One option to consider is that Microsoft has many Partners who have the Cloud Platform competency. One of these great Partners could help you deploy your whole environment and teach you best practices. You could make a business decision to manage the environment yourself or continue to use them as a service provider while remaining on Azure. Hopefully you now feel comfortable enough to start the cloud conversation, or at least you are intrigued to see how you could improve processes and save money for your business. Most people think that Microsoft Dynamics NAV supporting mobile integration is something new. In fact our HandApps family of apps has been making Microsoft Dynamics NAV mobile for more than 15 years. The biggest difference is that today Microsoft has embraced a “mobile first” mindset, and Microsoft Dynamics NAV has evolved into a much more open platform. With the introduction of web services in Microsoft Dynamics NAV 2009, the possibilities became endless with regards to interfacing with mobile, web, and cloud apps. We use web services to ensure our sales, inventory, and stock management mobile apps are tightly and correctly integrated with Microsoft Dynamics NAV. We also use web services when hosting solutions for Customers or building custom, private-label apps. As Microsoft Dynamics NAV has become more open, we’ve been able to provide our Customers with better mobile solutions in less time and at less cost.

Our company makes regular use of both the web services and the RapidStart package functionalities available in Microsoft Dynamics NAV 2015. These tools open up our environment, enable efficient updates, and create valuable integrations across multiple platforms. Our entire wholesale web portal is based on the web services architecture and allows Customers to view their accounts without the need to call us, saving our Customer service department precious time and money. Additionally, we rely on RapidStart packages to update ship-to address information for many of our large national retailers when they change distribution centers or add/remove locations. With the introduction of Power BI, Microsoft Dynamics NAV data can be exposed using a variety of options to provide detailed reporting and analysis. On top of that, there are several other methods in which we could utilize Microsoft Dynamics NAV across business processes with all of the built-in mobility options included with the system. We have never found Microsoft Dynamics NAV to be a roadblock when researching new mobility solutions.

he excitement around mobile has reached a feverish pitch. It seems that everywhere you look today it’s about the next great app or mobile innovation. Every aspect of our lives is being touched and revolutionized by this technology, and your business should not be left out. Microsoft’s new “Mobile First” push makes it clear that the company is making mobile a priority, and so should you. But as the old Elvis song says, “Fools Rush in (Where Angels Fear to Tread)”. So before starting any enterprise mobile projects, there are a few things you need to know.

Develop a Mobile Strategy Planning is key. You should clearly identify the business case for mobile in each area of your company and the goals you want to accomplish through this technology. While your ERP might now have a tablet-friendly interface, that doesn’t mean you should buy everyone iPads and call it a day. Just because something can be done via a mobile device does not mean that it should. Your sales reps in the field might surely benefit from a mobile sales app, but does it make sense for the AP clerk to be entering invoices via a smartphone? Mobile solutions are a tool that can help your business, but only if applied where they fit best and where they can have maximum impact. A clearly defined strategy will ensure you don’t go off-track.

Focus on the Benefits While having the latest and greatest gadget might be cool, it doesn’t necessarily translate into improvements for your business, your customers, or your employees. For each functional area identified in your mobile strategy, list out the benefits you want to achieve. If, for example, mobile is applied to route sales, then the benefits might be: » Eliminate data entry errors of handwritten invoices » Reduce back office staff expenses » Shorten collection times due to faster invoicing » Eliminate costly price errors with automated price updates Going through this process will let you set your goals for each part of your mobile strategy and help you prioritize what to do first.

Don’t Confuse FEATURES with BENEFITS FEATURE

The ability to create an invoice via a smartphone or tablet.

Reduced order entry staff, saving tens of thousands of dollars a year in salaries and other expenses.

The ability to capture a signature or a payment at the point of sale.

Accelerates collections, cuts account receivable aging, and reduces payment disputes.

Access to current item stock level by location.

Up-to-date information makes your sales reps smarter, helps them sell more, and makes them better able to service the customer.

You’d be surprised at how easy it is to confuse features and benefits. For example, the fact that something runs on an iPad or Android or hardware X is not a benefit. That is a feature, no matter how much the sales rep tries to make you believe that it is a benefit. The hardware that software runs on is not something you should base a decision on. Hardware eventually becomes obsolete or breaks down. A universe of manufactures makes tablets, laptops, smart devices, and rugged handhelds, all with basically the same abilities. The important thing is that the software has the features you need to reap the benefits you seek. Pick based on your needs and goals first, and don’t worry about the platform.

Know Your ROI In my opinion, calculating return on investment is one of the most important parts of any decision, and yet it is often the most overlooked. If you spend half a million dollars on a mobile solution that saves you $5,000 a year, it will take 100 years before you get your money back. On the other hand, I’ve had Customers spend less than $50,000 on a mobile solution that saves them more than $200,000 a year (every year). In their case, the solution paid for itself in three months, and the ROI was 300 percent in the first year.

Choose Wisely While it may seem that Apple invented the smartphone, the app store, and the entire concept of mobile computing, the reality is that it’s been around for decades. UPS, FedEx, Coca-Cola, and hundreds of thousands of other companies have used mobile tech for route sales, delivery confirmation, inventory management, point of sale, surveys, and more for a very long time. The difference between today and 20 years ago is that costs are significantly less, choices are significantly more, and integration options into systems like Microsoft Dynamics NAV are significantly better. However, some rules of thumb for selecting a solution haven’t changed: Features and Functions Determine if the solution being proposed has all, or substantially all, of the specific features you need to achieve your project goals and desired benefits. Identify as many feature gaps as possible, and sort the must-haves from those you can live without. Get an analysis, even if you have to pay for it, of what it will take to add the must-have features that are lacking. Compatibility Confirm that the proposed solution integrates out of the box with your specific version of Microsoft Dynamics NAV. Integration to Microsoft Dynamics NAV can mean different things, and it’s important to determine as clearly as possible how it is defined. This is where costs can quickly get out of control, so be sure you know what you are getting into. For example: » Is the integration a standard part of the solution?

software vendor or by a third party? » Who will support the integration into the future? Flexibility A solution for the long term needs to change as your needs change. Start with a solution that is feature rich (80 percent to 90+ percent fit) and a vendor that is willing to work with you to enhance the solution as your needs evolve. This approach will always be the least costly and will enable you to get up and running the quickest. Maturity and Commitment Once upon a time if a version number was 3.0 or above, you could conclude the product had been on the market for a good while. Unfortunately, this is no longer the case. Today many companies have no problem accelerating their version numbering as a marketing tool. So how best to vet potential vendors? » How many years have they been in business? Five or more years is a good rule of thumb. » Are they a dedicated mobile solution provider? You want a vendor where mobile is NOT a sideline business. » Is Microsoft Dynamics NAV a primary market for them, or are they new to this space? Every year dozens of new software companies enter the Microsoft Dynamics NAV channel only to disappear after a year or two. Narrowing your selection to long-term players will help ensure project success. Implementing mobile technology will transform your business. Companies of all types and sizes are already seeing the benefits. Now is the time to engage with the right Partner and start the process of developing your mobile strategy. NAVUG Richard J. NAVUG: We’ve been fortunate to have you present at NAVUG Summit. What’s your favorite topic to present? Tom Blaisdell (TB): Inventory costing. It’s the area I work in the most, so I have the expertise and can add the most value.. I like presenting as it gets me back into the classroom setting, which is what I liked from my Navision days. I missed seeing Partners come for two-week trainings, and it’s nice to go to Directions and reconnect with those people after 16 years. The relationships that I’ve made in that presenter role really are cool. Now that I’ve been presenting at NAVUG Summit, I’m developing those relationships with our Customers as well. The consistency and being able to develop relationships – working together to learn and grow and expand our knowledge – are great. I learn as much from our Customers as they learn from me.

NAVUG: How does your team work with R&D so you’re up to speed with what will be included in product releases? TB: Our European support team is larger than the U.S.-based team, since a majority of our Customers are based in Western Europe. That said, the engineers in Europe tend to be more specific, and our most experienced engineers take on special features. They then host internal training sessions so we can ask questions and get up to speed. Our U.S.-based team supports Canada, the United States, and Mexico, so with that broad of a support area, it’s a little bit more difficult for us to specialize. We’re just like everybody else to some extent in that as things come out, we’re trying to pick things up and learn and leverage the knowledge our colleagues have.

NAVUG: I was just going to ask your favorite part about your role. I would guess that it’s the relationships? TB: I started out in public accounting and was a CPA for six years where I had some interaction with clients. However, what I love about software support is the day-to-day interaction and helping somebody resolve an issue and move them forward. There’s this instant gratitude from helping them, and it’s what drives me and adds a lot of personal satisfaction to my role.

NAVUG: Looking at future releases, what do you think will be most popular with Users? TB: There are some baseline finance features and more standardized reporting tools to meet U.S. and Canadian reporting requirements as we’re trying to fill some gaps with the U.S. market with the next release. These features have been very well-received and helpful for our North Americabased Users since some of the historical features in Microsoft Dynamics NAV have been Europeanbased, given the product’s lineage. I like it because it’s trying to take the best of breed from other ERP products and bringing that to Microsoft Dynamics NAV.

NAVUG: What are you working on right now? TB: My big focus right now is to maintain the knowledge I have in the finance area. Costing is the big one I deal with all the time, in addition to currency, consolidation, project accounting, and fixed assets. The main thing I’m working on is improving the supply chain process and warehouse side, getting in and finding out how it works in Microsoft Dynamics NAV and specific industries so I can better help our Partners and Customers.

NAVUG: Are there “historically” Microsoft Dynamics NAV things that have gone to other ERP products? TB: Dimensions has been a strength from the beginning. Other products look at that and wish they could do that. Microsoft Dynamics NAV was also the first to move into the web client and be able to use multiple platforms. Flexibility has made the product strong and is its greatest strength. It was really smartly designed from the get-go.

NAVUG: Have you had any “aha” moments over the years with your event presentations? TB: I don’t know if I can say one, as there are many at each event. It’s more of the general realization that when you get people together, they learn from one another as they’re willing to share information with each other, which adds to the community’s strength. It’s the developing of relationships that lead to shared knowledge not just at the conference, but after the conference as well. The relationships that you build help you do your job better and move forward. The more knowledge people have, the more productive, happy, and efficient they’ll be. And that goes for everybody in an org, which in turn shows a greater ROI to management. That’s the thing that always amazes me. I saw that collaboration and communication first with the Partner community, and now I see it on the Customer side. There is tremendous value in sitting down with a Customer that is having similar issues and solving the problem together. It’s pretty neat after all these years to see both of those groups continue to build and grow. They’re very positive, optimistic, and excited about what’s coming in Microsoft Dynamics NAV, and there is a passion behind the product. That’s pretty cool. NAVUG: Indeed it is! Is there anything else you’d like to share with our readers? TB: Keep up the passion! Along the way there can be bumps in the road as the product changes and transforms, but as I see the greater vision coming through, the future of Microsoft Dynamics NAV is pretty cool. There are good things to come, and I look forward to catching up with friends in Reno! NAVUG

Warehouse Management: The Move to Mobile Whether you’re trying to incorporate more mobility into your Warehouse Management System (WMS) or you’re undergoing complex integrations and customizations, read on to learn more from these fellow Users’ experiences.

Steve Sirulnick is the database administrator and developer at Monin, running a very complex (and mobile) WMS system that integrates with Lanham EDI, E-Ship, and AFP granules. He and his team have recently upgraded to Microsoft Dynamics NAV 2015.

NAVUG™: Joe, what kind of pain points are you experiencing with your paper-based solution? Joe Flynn (JF): We are short on real estate, and paper is tying us down. We also don’t know immediate inventory counts until a task is completed. Knowing where our products and materials are within the warehouse as they float around in transit is critical to our business, and we’re struggling without that insight. We’re also forced to do physical inventory by our auditors, but with an RF system, it would eliminate that task because of its ability to do cycle counting. NAVUG: Steve, what kind of pain points do you recall before your warehouse went mobile? Steve Sirulnick (SS): Prior to mobile, there was a huge issue with order accuracy and inventory management efficiency. Our business was growing by leaps and bounds, and we were not able to keep up with the consistent growth given our processes prior to WMS. Our processes to date were manual and required more physical manpower to execute. Physical space was also at a premium as we were not able to effectively manage our bins. Similar to Joe’s pains, we didn’t have good insight into how long it took to process an order and track our inventory. NAVUG: How do you think mobility could help or does help your overall business strategy? SS: At the time, our strategy was to optimize our efficiency and accuracy given our volume without the need to increase our staff. After implementation, we immediately recognized our efficiency, and accuracy dramatically improved even though we had to adopt additional business processes. Since this was so successful, we leveraged the technology to include our manufacturing facility. JF: We did have an RF set up with our last ERP system, but when we tried to attach it to Microsoft Dynamics NAV, there were issues with our devices. Once we get set up on a new RF system, I know it will help keep our employees more productive and our overall warehouse workflow in check. NAVUG: Can you explain how it will make your employees more productive? JF: With more insight, it’s really easy to weed out the unproductive employees. It simply keeps them accountable and more proactive. For example, they could be in the middle of picking an order, and you can Q2/Q3 2015 | 27


give them an alert for another task on their device. This way, they’re never sitting idle, and we can keep them engaged and driven. From a manager’s perspective, I can know where everyone is and what they’re doing. That control is very important in a warehouse. NAVUG: How do you think the next generation of workers has changed the warehouse? JF: Years ago, it was easier to give an employee paper, but now it’s easier to give them a handheld device. The younger generation entering the workforce is tech-savvy, and they are expecting mobility from their employers now. This is a big reason we’re moving to RF at the beginning of next year. SS: I agree, in addition to giving employees more mobility in the warehouse, they’re also looking for a more intuitive interface. As Joe points out, next generation warehouse workers adapt to the technology a bit easier and are able to work with our technical teams to help identify problems.

Their current understanding of technology allows our information technology department to focus on data issues rather than how to use a handheld device. NAVUG: With that in mind, where do you see the warehouse headed in the next few years? JF: In the warehouse now, older technology is still being used, but I believe with the popularity of smartphones and wearables, that’s where the technology is headed. Soon, we’ll catch up with the consumer market and offer up an easy-toprogram (and maybe inexpensive) mobile device for warehouses and one you can wear on your wrist. SS: Something we’re already seeing with Microsoft Dynamics NAV 2015 is the ability to leverage order processing and put that into the sales teams and customers’ hands immediately. Customers can also open their tablet and order directly through Microsoft Dynamics NAV because of the web services and web client. I think we’re at a good place for warehouse management, but for us, I would love to see integration with affordable voice-directed devices to keep workers more productive by just using a headset. NAVUG: What would you say is the number one benefit of mobility in the warehouse? JF: Efficiency! And that’s a hard sell when you’re trying to convince the boss. There are no real numbers, and the ROI isn’t guaranteed on such a huge financial cost. But in the end, mobility keeps employees more productive, managers more in control, and the warehouse in check. SS: Totally agree with Joe on that one, and insight is another big one for us. Having the information at our fingertips helps us run smoother operations while meeting our customers’ demands. NAVUG: Any advice for Microsoft Dynamics NAV Users who are trying to get more mobile? SS: There are a lot of factors to consider. It’s good to really understand the User interface, but you also need to know what Microsoft Dynamics NAV processes you’re trying to automate. Recreate the whole process through the Microsoft Dynamics NAV web client to help Users troubleshoot problems when they arise. Mobile systems are driven by the User, and business processes have to be solid, otherwise warehouse management or any mobile process simply won’t work. NAVUG

WHAT YOU NEED TO KNOW

S

upply chains are growing increasingly complex thanks to a number of factors such as globalization, the rise of e-commerce, and Internet-savvy consumers who expect instant, on-time delivery on every order. Consequently many distributors today are exploring process improvement initiatives in areas such as warehouse management systems (WMS) to maintain their competitive edge and increase customer service without incurring additional head count or long-term expenses. Whether they are investing in WMS for the first time or upgrading existing systems, businesses are recognizing the many benefits these systems bring to the table. With visibility into real-time inventory, they can increase their on-time shipments and fill rates, optimize warehouse space and labor resources, and boost customer loyalty – all at the same time. A variety of mobile devices – including tethered scanners, wireless handheld devices, tablets, wrist-mounted and voice-activated scanners, as well as wireless printers – can be used to help organizations monitor inventory on a real-time basis. This article highlights many important and sometimes overlooked factors to be considered when adding mobile devices into your warehouse operations.

Understand Your ERP and WMS Software Capabilities The ability to access and update data in the ERP system in real time is key. Stay away from “store and forward” systems that provide updates in batch mode. Without the ability to access data interactively in real time, your handheld device isn’t offering many benefits – it’s basically just replacing paper. You’ll also need to be sure your warehousing software is compatible with the ERP system, and that the devices you buy will work with these systems. Keyboards are often overlooked in this regard. Be sure your keyboard is the right one for the kind of data entry you’ll be doing. Will you need to use decimals, alphanumeric, straight text, or some combination?

Know Your Warehouse’s Wireless Infrastructure Limitations Understand your warehouse’s limitations when it comes to wireless infrastructure. Warehouses that stock soft goods such as toilet paper or cloth items, for example, will find that these items actually absorb radio frequency waves. Consider hiring a specialist to conduct a warehouse survey to see where the dead spots are. He/she can do a scan test or warehouse survey that will measure signal strength from various wireless access points and can then tell you how many wireless access points you need, what type is best, and where/how to position them.

Familiarize Yourself with the Ins and Outs of Mobile Devices Everyone knows warehouse mobile devices need to be rugged, but the implications of a damaged device go beyond just the physical unit. Do you have a spare device, and if so, how much time will it take out of your warehousing schedule to set it up properly? Time is also a major issue when it comes to battery life. If your device has a battery life of four to six hours, can you get a full shift out of it? And if so, will you have enough battery life for the next shift? Generally you should have at least two to three batteries on hand for each device. If your warehouse runs on a 24-hour clock, adequate back-up battery power is paramount. You’ll need to double-check the scanning distance capabilities for specific devices as well. Some new devices let you configure the distance, but many have fixed scanning distances. You don’t want to have to step back from the bins or hold the scanner three feet away from something you’re holding in your hand just to accommodate the fixed scanning distance of your mobile device. Related to warehouse environment, what is the temperature in your warehouse? Using mobile devices in cold storage areas can result in numerous issues such as shortening the battery life. If you are storing frozen goods, are the mobile devices certified for use in that temperature range? And lastly, you may want to consider whether the IT department should be responsible for configuring all the mobile devices. Given the specialized nature of these systems, we often suggest that the device vendor take this responsibility.

Barcode Considerations To ensure your barcodes will scan well, you’ll need to pay attention to the physical nature of the barcodes. What is the quality of the paper they are printed on? If there is a lot of moisture in your warehouse, it could affect the life of the barcode labels on the bins. Another good idea is to have a human-readable alphanumeric code on the label along with the barcode. The alphanumeric code can act as a back-up that can be keyed in if the barcode isn’t readable by the scanner. And when it comes to barcodes, size matters. Consider how large they need to be in terms of their proximity to the scanner, and if you have alphanumeric information on the labels as well, you’ll need to determine how large the barcodes need to be in order to be visible from stacked bins.

Walk Before You Run Now that you know some of the points to consider when implementing a WMS, you’re probably thinking it’s time to get going with this initiative. Wrong. Before you jump into the deep end, you should stop and think about what functionality you really need

(versus want). What is the problem you’re trying to solve? We usually advise customers to give some thought to where their company falls within the four levels of warehousing outlined below. If you’re just getting started, consider starting small and building on these levels in a sequential manner. » Level 1 – Four-Wall Inventory Control - In this level, companies simply track what goes in and what goes out with the use of tethered or wireless wedge scanners. By scanning receipts and shipments in this way, businesses can improve accuracy, ensuring that customers get the right product. This type of warehousing system can answer questions such as, “Is this the right item?” “Does it have a barcode? If not, should I create one?” “Is it the right unit of measure (UOM)?” This type of implementation enables companies to record shipping details in a consistent manner in the business system rather than relying on manual systems and depending on human memory for all the details. » Level 2 – Fixed Bin Inventory Control - In addition to scanning items when they are received and shipped, in this level, every item is pre-assigned to a fixed bin or bins. This is valuable when doing directed picks or physical inventory. For example, if Item A goes to Bin 1, you will always know where to put it, and when doing a directed pick, you’ll know where the item is. This also expedites physical inventory since you’ll have easy access to information on the quantities of items in each bin. » Level 3 – Directed Pick and Put-Away with Floating Bin and Forward Pick - This level provides additional software-guided instructions that greatly improve efficiency and accuracy. For example, with the Floating Bin feature, when it comes to the Put-Away process, the computer will choose the right bin in the right zone that is empty. It

will direct warehouse personnel to fill bins that already have product with like products. Or if there’s no pre-existing bin for a product, it will direct warehouse personnel to start filling a new bin. This level also facilitates wave picks in which items will be picked in aggregate and brought to a shipping area where the system will then create a second pick list for each sales order to be picked from the aggregated items. Dynamic movements that involve moving items from one bin to another are also included in this level of WMS. » Level 4 – Tracking Individual Items Anywhere in the Warehouse - In addition to all the features in the first three levels, WMS in this category can track individual items by serial number or lot number. This level of specificity is critical for certain industries such as tracking food shipments (in case of recalls) or paint (in order to be able to match paint colors in future shipments). WMS in this category can also accommodate “license plating,” which involves assigning license plate numbers to collections of items. This enables companies to move products in the warehouse with fewer scans since they just need to scan the license plate number rather than every individual number. Distributors today can reap great efficiencies by using mobile technologies in the warehouse to gain visibility into real-time inventory. If your firm is considering implementing or enhancing its WMS, be sure you are focused on what you really need, and know that you can start small and build on the system in a sequential manner. ynamics NAV Addons is an awardwinning global developer for addons and utilities for Microsoft Dynamics NAV. Dynamics NAV Addons has been working with Microsoft Dynamics NAV since 1995. In addition to having products that appeal to a broad audience, special care is given so that all of the software products are easy to sell, easy to buy, easy to install, easy to use, and easy to support. NAVUG™: When and how did Dynamics NAV Addons get its start? Bob Cole (BC): The company started with a few of us veteran Microsoft Dynamics NAV people complaining about the gaps in an otherwise great product. Since we put in the time to create robust products to solve the most common issues that Users asked for, we decided to start offering our solutions to the channel – and things took off from there. While the organization has been around for six years, we’ve been working with the product since version 1.0 in the mid ’90s. NAVUG: Tell me a little more about your addons. How many do you actually offer? BC: Our add-ons are built to apply to the most common issues and are mostly “horizontal”, meaning they have broad appeal to a wide range of industries. Lately we’ve had great success building robust interfaces to best-of-breed cloud applications so that Users can take advantage of huge functionality housed in web-based applications, yet have all the data flow seamlessly back and forth from Microsoft Dynamics NAV. We currently have 15 add-ons, and our developers are working on number 16. We are

truly international, and we only work with the Microsoft Dynamics NAV product. NAVUG: What are your best-selling add-ons? BC: The first is Easy PDF Email & Fax, which is far and away our most popular – so much that many Microsoft Dynamics NAV resellers package it into their standard offering. It allows Users to convert sales or purchasing documents in Microsoft Dynamics NAV and attach them to an email and hit send. It handles automated sending, batch sending, and manual sending, and it creates a complete audit trail of everything sent. So for example, we have a Customer who sends out statements, but also wants to include a promotional flyer about an event they have going on next month. This addon automatically attaches both documents in one email and sends it. Another big seller is Dimension Management, which allows Users to change dimensions on posted documents and transactions and apply new dimensions to posted documents and transactions, and more – of course it keeps a complete audit trail. Imagine not having to repost a document if you make one small mistake! And this really helps clean up data for reporting and BI. We’re also building connectors from Microsoft Dynamics NAV to best of breed (BOB) web-based applications. A good example of a connector to a BOB application is Easy Ship. Many companies want to ship their products and need to ship via UPS, FedEx, UPS Freight, or LTL carriers. We can connect them to a web-based shipping app that has a strategic partner relationship with 40 different carriers. All the carrier updates are done for the User in the cloud, so there are no more service patches, uploading rates, or other frustrating


compliance issues. We control the package creation, pass the data to Pacejet for registration with the carrier, and return tracking numbers (ProBill Numbers) and charges. AR & Collections Manager is another one that’s specifically designed to aid in collections. Since AR collections are such a problem with so many organizations, it’s easy to show the Customer how they can increase their cash flow by tens or even hundreds of thousands of dollars by allowing them to manage, organize, and track overdue accounts. NAVUG: Tell us more about number 16 that’s in the works. What will that simplify for Microsoft Dynamics NAV Users? BC: Number 16 will be a connector to the most popular travel and expense management solution, Concur. Users can use Concur’s mobile and web-based travel and expense tracking, along with managerial approvals, which will then automatically get sent to Microsoft Dynamics NAV for AP processing. NAVUG: What do your clients like most about you and your addons? BC: The simple fact that we solve problems in Microsoft Dynamics NAV that help keep their processes simple and easy. It helps both in the sales process for new Customers as well as selling additional products to existing Customers. I know for a fact that Easy Ship and AR & Collections Manager have closed several deals for Partners. And since we are Microsoft Dynamics NAV people ourselves, we know the TLC it takes to make the Customer experience a great one.

That’s why we have objects for new versions right away, as well as professional install and User guides. NAVUG: What are the plans for Dynamics NAV Addons over the next year? BC: Our business model has proven successful, so we continue to keep adding functionality to the existing products while putting out a new add-on every six months or so. We are great at listening to our Partner community, so if you have suggestions, let us know! NAVUG: What’s a good tip for Microsoft Dynamics NAV Users to keep in mind when managing their own add-ons? BC: First and foremost, they need to make sure it handles their business requirement. Then they need to have trust in the people that develop and support the add-on. And if they have a good relationship with their Partner, they need to be involved as well. NAVUG: How long have you been a NAVUG Member, and what are your favorite things about the community so far? BC: We just signed up recently as full Members. I love watching the daily conversations come through on Collaborate. It’s amazing how helpful the community really is. In addition to working closely with our clients on new features and add-on ideas, I can see NAVUG being a great research tool for us as well. By the time this issue prints, I’ll have given a presentation to the Northeast chapter out of New York, New York, about Dimension Management. In the next year, I hope to get more involved with NAVUG and do more presentations at chapter meetings. NAVUG

f you’ve already decided that going mobile is the right path to take for your company, then this article will help you avoid some of the typical implementation pitfalls that can stop the project before it gets fully implemented, or stop it because the process of keeping it alive is difficult and expensive. It does not matter if you are implementing a mobile solution for your salespeople, for the staff in the warehouse, or for some other area in your company. The generic problems facing any mobile solution are the same: » Getting the mobile software installed and updated with new releases » Keeping up with new releases of Microsoft Dynamics NAV » Supporting the end Users effectively » Addressing problems with the network » Getting the Users on board This article will explore these challenges and tell you how to address them.

Managing the Software and Settings on the Mobile Devices If you want to have a smooth-running mobile solution with very little downtime, you absolutely need to automate the process of getting the devices ready for use as much as possible. To do this, you need a device management system that allows your IT department or solution vendor to automate the tasks related to installing the necessary software and making device configuration changes from a central system. Every mobile device comes with a default configuration from the factory. In many cases, you want to change these settings to your own default settings. The tasks to automate are many and include: » Setting up the network connection » Adjusting settings that affect the battery consumption » Adjusting settings that affect the barcode reader » Synchronizing the time and setting the correct time zone » Changing regional settings to show numbers and dates in the correct format » Installing software After making sure that all mobile devices have the same settings and run the same software, you need to take care of one last thing: Ensuring that the normal Users do not have access to the settings of the device. This way the devices stay configured correctly, and this is critical to keep the solution alive and the calls to the help desk down to a minimum. Most device management systems have a way to “lock down” the devices and control which programs the Users are allowed to access. If you have a device management system to control your fleet of mobile devices, it will be simple to deploy new software releases or make system changes. And most importantly, it can be done remotely so you don’t have to send the physical devices to the IT department to fix a problem.

Handling New Releases of Microsoft Dynamics NAV In the (good) old days, there would be several years between each major release of Microsoft Dynamics NAV, and companies could implement many customizations and have time to get the benefits of them before being hit by the cost of having to upgrade in order to use the next version of Microsoft Dynamics NAV. Many of these companies are now stuck on older versions of Microsoft Dynamics NAV because the cost of upgrading, and the risk involved, are simply too high. In the past, mobile solutions were often implemented as customization projects, and they tried to solve some of the problems not addressed in the standard product. Today, Microsoft Dynamics NAV is a very strong product, and new features are added continuously. My advice is to keep as close to standard as possible, and put yourself in a position where you can upgrade if you want to. The mobile solution should not hinder you. In my opinion, the main objective of a mobile solution is to give Users access to the data stored in Microsoft Dynamics NAV and allow them to enter the data they would normally enter using the Microsoft Dynamics NAV client. When implementing a mobile solution in your Microsoft Dynamics NAV environment, make sure to find one that makes as few changes to the standard Microsoft Dynamics NAV objects as possible and uses standard features as much as possible. This will make the task of upgrading it to work with the latest version of Microsoft Dynamics NAV much easier and a low-risk operation. In fact, the task of keeping up with new releases of Microsoft Dynamics NAV should be the vendor’s problem, not yours.

Supporting the End Users The Users of a mobile solution are, by nature, more mobile and further away from the people supporting them. This means that it is very important to have a way to help Users in the field and in real time. If you have already made sure to have a device management system available to manage the devices, you will be happy to know that most of these also offer a way to remote control the mobile devices. This allows the supporter to see what is happening on the mobile device and prevent the situation where the User tries to explain an error that happened hours ago to a supporter that will have to spend a lot of time to understand the problem and interpret what the User is saying. Remote assistance saves time, and the Users know that help is available quickly if needed. This builds trust between the Users and the solution. If there is no trust, the solution will not be used.

Network Problems Wireless networks are great, no doubt about it, but with any wireless technology, there are problems. They are affected by things such as other networks nearby or by certain items blocking the wireless signal. The point is that the wireless network can be affected by things that are out of your control. As a result of this, getting 100 percent and stable network coverage in your entire area of usage can be very difficult. It is much easier, Q2/Q3 2015 | 37

and much less expensive, to get to 90 percent, or to simply focus on getting the network perfect in smaller areas. If you want to have a mobile solution that runs smoothly all year long, you need to ďŹ nd a mobile solution that can work oine. Oine solutions typically only need to communicate at the beginning and end of a work process. This means that the work can be performed without a network connection, making the solution unaected by a bad connection in the usage area. I am a strong believer in the oine approach because it simpliďŹ es the implementation and maintenance of the mobile solution. In my experience, simple is always good.

Implementing a mobile solution often requires a big change in the work processes performed by the Users. If you come from a paper-based process, there will also be a new technology to master for the Users. For some this can be a big change and can cause some resistance, especially if the new hardware and software are diďŹƒcult to use. The best way to transition to a mobile-enabled work process is to start simple. Don’t enable everything at once. Let the Users master the basic operations before you start to work with the more advanced ones. And give the Users time to play around with the new solution in a test environment, giving them hands-on experience before real use. This will maximize the chance for success when you enable the solution in your production environment. The mobile solution is just a tool to enable your employees to be more eective. They need to be comfortable with the solution before you will get the maximum value out of it.

The question and answer period. While the basics are taught, it’s the day-to-day nitty-gritty that these questions address.

How has what you’ve learned helped you in your career?

Keeping in step with technology makes me a valuable asset to my company and peers.

What do you value most about professional development?

The excitement of learning something new or a new way to do something, as I’ve always loved learning and sharing what I’ve learned. But even more, I find a lot of value when that learning can be applied to create a more efficient end-User experience, be that for a report, process, or procedure.

What types of learning opportunities do you recommend to fellow Microsoft Dynamics NAV Users?

My personal favorite is webinars, followed by YouTube videos put out by MVPs and Microsoft Dynamics NAV Partners. I like webinars as they are usually shorter and thus a better fit. I also like the webinars and videos because I can access them anytime. Plus, I can run them side-by-side with the project I’m working on and can follow along step by step. Yes, YouTube! That’s where I found step-bystep instructions on installing demo versions of Microsoft Dynamics NAV 2013 R2 and Microsoft Dynamics NAV 2015. We now have a demo Microsoft Dynamics NAV 2015 installed on a spare PC. We’re hunting and pecking our way around in the new RTC. But the best experience I’ve had and recommend – attending NAVUG Summit!!! Learning and networking are the best!

AVUG™ Members had the chance to join in on a virtual “town hall” meeting with the Microsoft Dynamics NAV product team in April. The panel consisted of Marko Perisic, director of program management, Jonathan Davis, program manager, and Brian Nielsen, small business financials manager. A special thank you to the product team for sharing their insight and to our NAVUG Members who asked thought-provoking questions during the call. Enjoy a brief summary below and find the webinar recording on www.navug.com. Q: Microsoft has a goal to take Microsoft Dynamics NAV from 100,000 to 200,000 Customers in five years. What will these new Customers look like? Marko Perisic (MP): The SMB market is extremely varied. There are so many different players, requirements, and solutions. So for this reason, we’re not limiting ourselves to a specific vertical. Our goal is to keep Microsoft Dynamics NAV extremely flexible and easy to build on. If we want to win in the SMB market, we have to win all-up, without segmentation.

Q: Do you plan to continue the simplification of Microsoft Dynamics NAV C5 for the rest of the world? Jonathan Davis (JD): For those unfamiliar with Microsoft Dynamics NAV C5, we released a Danish-only product in 2014 that was tailored for the smaller side of the SMB market. It’s a simple version of Microsoft Dynamics NAV. It simplified invoice pages and inventory adjustments, and it fits that market, allowing Users to be self-reliant. Replicating this for all country versions is a bigger challenge than we can take on. We’re not quite there to support all countries. With that said, we’re still focusing on simplification and trying to move those from the low end to the standard product. For example, I’ve heard that the cancel and correct button for the sales invoices would be nice to have in standard Microsoft Dynamics NAV. MP: Something good to mention here is that we’re focused more on a role-appropriate experience. Beginners like simple experiences with their mobile devices, and advanced Users seek the complexity of the product. We’re going to create the right experience with that persona. You’ll see this as a huge theme across the product for years to come in respect to an organization’s size.

Q: What’s the future for business intelligence (BI) in Microsoft Dynamics NAV from a mobile perspective? MP: With Microsoft’s mission of mobile first, cloud first, BI in Microsoft Dynamics NAV from a mobile perspective is a major focus of ours. We are very mindful that mobile is central to the ability to deliver BI services. All investments are with mobile in mind. Power BI goes across all devices and platforms, so when it comes to BI, that’s going to be our platform. Q: Can you expand on what the plan is for Power BI? It seems like a fantastic embedded solution. How does it fit in with everything else that’s already available? JD: Power BI is an amazing opportunity. The more things that come out of that team, the more impressed we are. The latest Power BI is available for all Microsoft Dynamics NAV Users to experiment and try out at www.PowerBI.com. You can see the new interface, and since it’s a service now, it’s very easy to access. Microsoft Excel is still an authoring vehicle, and you can do data manipulation in Excel and visualizations with Power View. When you upload to powerbi.com, it will decompose that workbook and create a series of reports. Then finally, you can pull that together into a dashboard. It works great with Microsoft Dynamics NAV 2015 today. But me explaining it doesn’t do it justice. Try it out for yourselves to see what it looks like! Q: Can you expand on the idea of upgrades becoming updates? MP: There are multiple pain points that I mentioned in my last article for NAVUG Magazine, but the biggest pain point is a massive platform shift. The upcoming releases aren’t going to be major architectural changes. We’re exploring ways to formalize the customization model so that it’s not a complete overhaul. Every solution can be modified; we need to ensure that we can do the same thing with Microsoft Dynamics NAV but still preserve its capabilities. work for CK Power, a family-owned business with 130 employees. We manufacture power generation solutions and sell generators, industrial engines, transfer switches, and parts. We have a complete service center with three locations: St. Louis, Missouri (main branch), Overland Park, Kansas, and Cunningham, Kansas. We have 22 technicians with 20 of these techs being in the field as we service engines and generators. We also have an engineering and production facility at our main branch in St. Louis. As the service department administrator for CK Power, my primary duties include managing service contracts and all billing. Our service department is rapidly growing, and we needed to scale our systems and processes in order to be able to handle the additional business more efficiently. There was too much paperwork out in the field, and it was taking too much time to transcribe the technicians’ written notes to an electronic system. The techs were making too many trips into the office to deliver paperwork and pick up new assignments, and that resulted in unnecessary unbillable time. On top of that, trying to collect time cards from technicians proved challenging. After researching several options, we decided to integrate ExpandIT Mobile Service with Microsoft Dynamics NAV 5.1. This enabled us to implement a web-based application for assigning service jobs to technicians and allowed the techs to complete their paperwork online. It eliminated numerous trips to the office to collect paperwork and gather assignments. The technicians could stop in once a week or less, depending on how many parts they needed to gather. The ExpandIT Mobile Service implemented a planning board feature that shows where all technicians are throughout the day as well as the status of their jobs. This enabled our dispatchers to more efficiently schedule additional jobs. We also implemented a web-based application for collecting time. The technicians can enter their time on their laptops or through an app on their phones. This serves as a substitute for their time cards. The time gets entered on a daily basis. Our IT department integrated this electronic time tracking with Microsoft Dynamics NAV, allowing time to be directly entered onto the lines of the corresponding service orders. As a result of the implementation of ExpandIT, 95 percent of our paperwork issues (lost, illegible handwriting, paperwork not turned in timely, etc.) have been solved. We are able to invoice the day after a job is completed, which enables more timely billing for customers. Overall, our team has become far more efficient. When Kinsey’s, an outdoor hunting distributor, implemented Microsoft Dynamics NAV six years ago, the company realized the base reports were very vanilla and not customizable to its business. About three months into the implementation project, Kinsey’s came across Jet Reports and has never looked back. Instead of having the IT department write a custom SQL or Microsoft Dynamics NAV report, Kinsey’s uses Jet Reports as a self-service reporting tool for its Users. Mathew Ealy shares, “It’s been a lifesaver to get data out without having to fight with the system. Reports are now self-service. It’s easy enough to train the managers so they can pull and adjust their reports without constantly bombarding IT with requests.” Jet Reports allows Kinsey’s to track daily sales and profit margins for any and all of its divisions. Users can see a daily report to make sure costs are aligned with retailers who adjust their prices based on distribution price increases, keeping Kinsey’s profitable. Jet Reports also helps Kinsey’s monitor its call center to see how many sales orders are being made and how many calls are converted into sales. Because of this real-time and accessible insight, Kinsey’s can identify trends in product categories and go after an upswing much sooner and before its competitors. “It’s been a game changer to be able to spot fluctuations and identify trends before they happen. This way we can buy heavier and have inventory on hand when our customers need it. We’re a much more proactive business now with Jet Reports in place,” Mathew says. Kinsey’s likes Jet Reports so much that the company recently purchased Jet Enterprise to help with the big picture, business analytics. Jet Enterprise is a complete business intelligence and data warehouse automation solution that enables Users to create dashboards and reports quickly, without having to know the underlying Microsoft Dynamics NAV data structure. “Jet Enterprise has freed up our IT department tremendously. IT spent most of their time just writing reports for sales; now with Jet Enterprise, the people who need the reports can pull them on their own,” Mathew shares. “After just a 30-minute video, they’re ready to go.” With this data in hand, Kinsey’s sales teams can convince larger customers that there is a market for its products, and they’re missing out if they’re not carrying them. “We’re now able to prove in the numbers that there’s demand,” Mathew concludes.

Phoenix Mecano is a global manufacturer with a very complex supply chain spread across many locations worldwide. With this extensive international supply chain, the challenge of long lead times is just the beginning. The differing business models of its two U.S. sites – one that has high volume/low variant demand and one that has low volume/high variant demand – present even more challenges to the objective of having the right part at the right time in the right quantity. When Paulette Enfante and Chris Howes joined the team at Phoenix Mecano in 2008, they walked into a default situation that wasn’t tailored to the company’s specific needs. “Microsoft Dynamics NAV was in place, but no one was trained properly, and it wasn’t customized for our varying supply chain” Chris says. Chris and Paulette teamed up with Lanham Associates to help streamline their inventory management with Lanham AFP (Advanced Forecasting & Procurement) and shipping operations with Lanham E-Ship. “After proper set-up, we saw good results quickly, such as having the stock we needed at any given time,” Paulette shares. “We could also reduce our inventory and improve cash flow. We ended up learning more about what we needed to stock, saving us money.” Lanham’s AFP solution allows Phoenix Mecano to effectively manage inventory for both of its U.S. sites, such as seeing results like more than 90 percent of inventory on-hand categorized as moving and held without a financial reserve against the inventory value. The company also saw inventory write-offs due to obsolescence or excess stock reduced to less than one percent of annualized inventory value in 2014. With better insight into its inventory using Lanham AFP, Phoenix Mecano can forecast to meet customer demands, make proper decisions that will save operational time and resources, keep cash available to make other investments since it’s not tied up in inventory that’s not moving, and reduce risk by not holding as much stock to be liable for. Chris shares, “We used to meet monthly about our inventory risk to discuss how much excess costs we were accruing, etc. Now we meet quarterly, and there are no issues.” “The service from Lanham as a whole is outstanding,” Paulette concludes, “but the accessibility to the top-level technical members of the organization, especially through events such as Summit, is remarkable. You can have conversations with the very individuals who are developing the program.”

Equisys Peter Anton, IT manager at Airtech Advanced Materials Group Add-On Solution: Zetadocs Zetadocs User Since: 2012

Airtech Advanced Materials Group is the world’s largest manufacturer and supplier of vacuum bagging and composite tooling materials. Before Airtech implemented Zetadocs, it struggled with its cabinets of files and inefficient processes. With five locations worldwide, Airtech also struggled with visibility across each site. Peter Anton shares, “Our business was growing, but our real estate was not. There was just no more physical room for cabinets to hold all our files, and it was simply holding us back.” Three years ago, Airtech came across Zetadocs and immediately loved its ease of use and intuitive interface. “As with any change, it’s difficult to get everyone on board, but Zetadocs was and is so easy to use. It didn’t take much effort for our employees to change their mind about going paperless,” Peter recalls. As one of the first to implement Zetadocs 4.0, Airtech took its time setting up each location and changing processes along the way. “We learned a lot about our processes and just how much paperwork drives our business, so we took time to clean that up as well,” Peter says. Now that Airtech has gone paperless with Zetadocs 7.0, the entire company is visible to all employees, and its virtual file cabinet is creating a ton of benefits. “We no longer have to spend hours looking for files. All our inner-office communication is seamless and so much quicker.” Peter continues, “For example, if the quality assurance department wanted to find information about purchasing, they can go right into Zetadocs instead of requesting it from the purchasing department.” Additionally, the quality of data is much more accurate and can be depended on when making important business decisions. “The biggest key benefit is that everyone has access to the same data, and it keeps us on the same page,” Peter explains. “Papers no longer get lost, and approvals go through the system quickly. It makes our lives so much easier!” The ease of use really speaks for itself since Airtech hasn’t had to call for technical support from Equisys now for more than two years. “The software is bulletproof and seamless,” Peter concludes. “It’s so simple to use, and the interface between User and the machine is always the same. No matter what department you’re in, you use Zetadocs the same way.”

Journey Microsoft Dynamics NAV 2015: RapidStart Services story by Holly Kutil, American Ring

J

ust for today, I am enjoying the little things. Things like seeing the new desktop icon on my computer for Microsoft Dynamics NAV 2015! Isn’t that just a beautiful sight? Nothing brings me more joy today than seeing that icon! We are well on our upgrade journey that began back in October, immediately following NAVUG™ Summit; all documents, work orders, instructions, and people are in place. Microsoft Dynamics NAV 2015 has been installed on our new server, and we have begun to export our tables from Microsoft Dynamics NAV 5 and import them into Microsoft Dynamics NAV 2015. Our Partner helped get the packages ready and the columns set for each. I took on the task of reviewing, cleaning, and exporting the tables on my own. RapidStart is a great tool available in Microsoft Dynamics NAV 2015, and I would not hesitate to use it again. By making sure the columns and data were correct, it was a piece of cake to use and move the information over into the new Microsoft Dynamics NAV environment. That being said, it was a long job and took me the better part of the week (40 hours) to review and move the information over. Just to give you an idea of the amount of detail involved, we have 17,453 Customers, 1,434 vendors, and 41,702 items. My IT skill level and training are minimal. My skillset is around the accounting environment, and I have learned on the job over the past 35 years. As far as Microsoft Dynamics NAV, all training has been through NAVUG and our Partner, Western Computer. My biggest concern was errors in the information I was uploading, but RapidStart has that covered: After importing the information, it will show you any errors in red, and you have the opportunity to adjust them or delete them. It will even tell you what the actual error was that kept the information from being uploaded. We are now ready to start training our steering team that we put in place at the beginning of the project. We have members from each department on the team, and they will work in the development of the new Microsoft Dynamics NAV environment and will be trained to train the rest of their teams. On a side note, the steering team will remain intact after the project completion and will work on developing an ongoing program to improve our productivity with Microsoft Dynamics NAV and available ISV solutions. We will continue to meet quarterly with our Western Computer team to plan, forecast and budget the upcoming quarter, years, and decades. Someone once told me if you fail to plan, you plan to fail. We do not plan to fail! So just for the rest of today, I am going to sit back and bask in the joy of the Microsoft Dynamics NAV 2015 desktop icon and call it a day. On my desk right now are… A coffee cup, an SSD drive to install in a PC, a Microsoft Dynamics NAV upgrade assessment (moving from 2009 R2 to 2015), Microsoft Dynamics NAV 2015, Hyper-V 2012, and Office 365 notes, and an external hard drive with the newest version of Windows 10 preview to install.

My top goals for the rest of 2015 are… 1. Work – Microsoft Dynamics NAV 2015, Office 365, and a new VM server. 2. Home – remodel our kitchen. The new cupboards are in; painting walls and installing flooring are yet to be done. What I do when I’m not at work… Read, play with my dogs, snowmobile, and garden. We weren’t familiar with NAVUG before Convergence this year as there are not a lot of groups to support Users in Canada. We went to a NAVUG benefits session and liked the idea of Users helping Users. We implemented Microsoft Dynamics NAV last year, and we weren’t getting the full benefits and were working through obstacles on a daily basis. Since Convergence, we’ve been asking questions on www.navug.com and getting answers. We also noticed that if the same person responding to our questions has valid answers, we are able to build trust with those people online. This gives us more confidence in whom we can turn to and trust in the community.

HELPING US CHANGE WITHOUT CHANGE

NAVUG has helped us focus on how we change Microsoft Dynamics NAV without changing the infrastructure of our system. We have a unique business manufacturing, selling, and distributing waste containers, with particular challenges in manufacturing. It’s been really helpful to see what other companies do with Microsoft Dynamics NAV.

THE BEST PART(S)

NAVUG helps us realize what we should be doing. We use the online forum and read the community bulletin every day. If we don’t know what to do, we ask fellow NAVUG Members. As newer Users, it’s nice to know everyone’s been where we are at one point. We have a good Partner, but we don’t always want customizations. It’s also good to see that other people are having the same issues we are, and that we aren’t alone. We don’t want to ask stupid questions, but everyone else is going through the same thing, so it’s okay! We also love the webinars and training sessions, including one about an overview of the NAVUG website. There were cool things we didn’t know were there!

SEE YOU IN RENO!

We’re looking forward to NAVUG Summit, seeing people face-to-face and learning more all-up. We only know what we know, and we haven’t spent enough time to learn beyond. Convergence was an eye-opener, and we’re hoping Summit will be as well. We’re already identifying a good team of people to go with us to Reno. Our logistics manager is a very technical person and is very excited about technology. If we’re going to spend the money on the system and the event, we’re looking for ROI. We want to make sure that the team that goes is able to come back and share with the rest of the team.
