Reflections, Wishes, and Dreams

s I write this, it’s the final quarter of 2015; where, oh where, has the time gone? While some of you are focusing on those New Year’s resolutions, others may be looking at this time as a huge black cloud looming overhead because this is the time to prepare year-end analysis. There is certainly nothing festive in those three words! As I reflect on all that 2015 offered both personally and professionally, I am inspired by those wishes and dreams for each and every one of our AXUG® Members. My wish for you is to find a connection with someone within the AXUG community. That person may be in the same job role, the same industry, or simply may share a personal commonality with you. Connecting with others can lead to so many priceless learnings and opportunities. Think about how easy you can accomplish this through all of the AXUG channels within reach; literally only a click away! The next wish I have for you is to find a solution that makes your daily job easier. Perhaps this solution saves precious time in your day, week, or month. Not only do I wish that it saves you time, but I also wish that the time saved is spent on something you personally enjoy or love. The gift of time is one of the most precious gifts of all and is one that we can never get back; find the time, take advantage of it, and treasure the value it gives you. Another wish I have for you is to embrace the learnings offered through webinars, Collaborate, fellow Members, Partners, Microsoft, face-to-face events, chapter meetings, and any other areas within AXUG where you can gain a nugget of knowledge. Learning from others is monumental and is the true essence of what it means to be an AXUG Member. A dream I have is that you are inspired to become more involved with AXUG. This is YOUR Microsoft Dynamics AX User group and YOUR community. AXUG is only as great as its contributors. Everyone has something to give that will be valuable to another Member. You could be the person who offers a tip that saves a fellow Member hours of work and time. Those hours could make it possible for them to be present at their child’s school performance, be there for their spouse during a special event or moment, care for a friend, or give back to their community. Don’t ever discount what you have to offer because I promise it will be dearly appreciated by others within AXUG. My final wish is that you have a year full of success, joy, meaning, and love. I hope you find yourself in the midst of acts of kindness, have the inclination to repeat benevolence, love and are loved, and have a life soaked in success. Here’s to a phenomenal 2016! Cheers,

What does it mean to you to be named an All Star? It’s quite an honor to receive this award given there are so many amazing people that volunteer and share their knowledge. It is great to be a part of the AXUG community where you can share and learn from each other in person and virtually. I am glad to have the opportunity to share what I have learned, and I appreciate the two-way interchange of ideas. What was your greatest takeaway from Summit 2015? To reach past my comfort zone: Don’t be afraid to ask someone to volunteer, suggest ideas or changes, or just introduce myself to another person!

I believe you get out of AXUG what you put into it, so to be recognized for volunteering means a lot to me. What was your greatest takeaway from Summit 2015? For me Summit is a great place to meet other Microsoft Dynamics AX Users and talk to them one on one about their experience; it is all about networking.

Chapter Leader to Watch

Kelly Kane, information systems specialist for Algood Food Company and Kentucky chapter leader, is coming off a high as she plans for chapter meetings in 2016. “AXUG Kentucky’s most successful meeting was our December 2015 meeting on master planning. It was well attended, the energy in the room was just contagious, and it felt like everyone would have stayed another hour to network and talk more about master planning,” shares Kelly. Kelly is quick to call out Connie Thompson and Lenora Gusler for their chapter leadership efforts – “I definitely would not be the leader I am without their continual support of me and the growth of the

chapter!” – and is quite fond of her chapter in general. “The AXUG Kentucky chapter is such a wonderful chapter to lead because so many companies are willing to host and “show off ” their companies with tours!” says Kelly. Over the last year, the chapter saw the manufacturing processes of peanut butter, smokeless tobacco, and dental supplies, and most recently was able to tour the facility of the RJ Corman Railroad Group. “I love that our group is so hospitable and willing to share their facilities with everyone in the chapter,” says Kelly. “Everyone’s willingness to participate has made being a chapter leader completely worth the time and effort.”
» The chapter was formed in December 2014 with 35 attendees. Attendance hung in the mid-20s until their November meeting when 70 people showed up! » 2016 will feature topics such as audits, Management Reporter, coding best practices, upgrade preparations, and using financial dimensions.

One of the things that makes Tom an up-and-coming leader is his initiative to see how other Members are using Microsoft Dynamics AX. “We’re going to start meeting at Customer sites for more of our meetings as it gives everyone an opportunity to see how others are using Microsoft Dynamics AX,” says Tom. “We’re also working to make sure our meetings have both functional and technical content so that more attendees get value from the meetings.” When asked what he enjoys most about his leader status, Tom went straight to the purpose of AXUG. “I enjoy it when we have an open discussion among Users, and someone gets a suggestion on how to resolve a problem,” says Tom. “Most attendees have a specific problem they are trying to solve, and it’s great when they can bring up their issue and get several suggestions to take back to their office and try.” AXUG

12 | AXUG Magazine ith over 100 years under their belt, Simpson Technologies is a fifth-generation familyowned business specializing in the design and production of advanced process technologies and services for the global metal casting and chemical process industries. Simpson implemented Microsoft Dynamics AX 4.0 in 2008 at their Swiss office with the goal of having the U.S. office up and running on the same ERP solution soon after. Julie McMillin, chief information officer, shares, “The need for a new ERP was more pressing in the Swiss office as they had recently completed a major acquisition. We ended up waiting to implement in the U.S. until 2014, but I’m proud to say we are now ONE Simpson Technologies both running Microsoft Dynamics AX 2012 R2.” Being the first time in their 100-year history that both offices are on the same platform at the same time, Simpson is realizing some major benefits and possibilities for their business, such as consolidated financials and easy insight into the operations of both offices. “It allows us to be very flexible as well as keep our headcount down. For example, our salesperson here in the U.S. can create quotes and sales orders for our Swiss business in the morning, and then switch over to doing the same thing for our U.S. business in the afternoon. That wouldn’t be possible if we didn’t have our two offices on the same ERP,” Julie says.

Global Network of Partners
Simpson worked with a global network of Partners to help with their most recent implementation to Microsoft Dynamics AX 2012 R2, and it made a world of difference. “We found we needed a Swiss Partner to be the expert on tax regulations, language translations, and currency conversions,” Julie explains. “It was much more efficient for us to get the localizations done by our Swiss Partner while our U.S. Partner maintained overall control of the project.” Now that Simpson is thriving on one platform, other technology advancements are coming to light. They are implementing Microsoft Dynamics CRM Online to ensure their sales force has access to the system wherever they can get an Internet connection. “Having access to the system from anywhere in the world will make it so much easier for our team to update opportunities, forecast sales, or spot trends in certain areas. We plan to connect some of that data to our Microsoft Dynamics AX system as well, for even more efficiency,” Julie shares.
Evergreen Process
Simpson has never felt like they should have chosen another ERP. “Continuing to build out and enhance our Microsoft Dynamics AX system is an evergreen process,” Julie shares, “and we’ll continue to tweak it for our particular needs for years to come, but that possibility alone makes it the perfect solution for us.” In addition to the great solution and network of Partners, Julie and her team at Simpson are impressed with the AXUG® community. From the local chapter meetings to the online forums, Simpson finds great value in reaching out to other Users to find answers. “It’s amazing to me how generous Users in the Microsoft Dynamics AX community are with sharing their ideas and experiences, and AXUG provides a great platform for that collaboration,” Julie concludes. he cloud has been around for a long time, but now that the newest release of Microsoft Dynamics AX (dubbed ‘AX 7’ during development) is on the brink of release, the cloud is taking on new meaning for Microsoft Dynamics AX Users. Linda Rose with RoseASP shares with us seven of the top cloud tech trends in our industry and how Users can make the best of this new era of the cloud. » Microsoft Dynamics AX on Azure: Now that Microsoft is investing heavily to put Microsoft Dynamics AX in the cloud, people are in a small holding pattern to see what’s next. It’s a high-interest topic, no doubt, but it still comes down to how Microsoft will price it and how the roll-out will be scheduled. For six months, Microsoft Dynamics AX will be available in the cloud only, so Linda recommends taking the opportunity to see if the cloud version suits your needs. It’s a great opportunity to do development tests and get comfortable with the web-enabled client. » Add-On Options: Microsoft Dynamics AX has a lot of ISV solutions that enhance the product, so Linda makes note of the importance to know what is available on Azure and if the product is available on a subscription basis. With Microsoft Dynamics AX being a completely web-based application, many ISVs will need to rewrite parts of their application to comply with this environment as well as running on Azure SQL Server. Azure SQL is different than regular SQL Server, so more goes into making sure add-on solutions fit your model. » Hardware Costs: A good number of Users are looking to make major upgrades to their Microsoft Dynamics AX solutions, and those upgrades may require a hefty hardware investment. Or, they could look into cloud as an option. When upgrading, Users need to think about cost-effectiveness and pose the question of whether the cost of hardware, maintenance, and having someone on staff to maintain it is worth it versus going the cloud route.

» Desirable Features: One of the biggest drivers for Users to consider the cloud is the newer features within the product. Even if you’re in a department that’s been more conservative, new versions can be consumed more quickly by Users, and training is now much more streamlined with enhanced usability. » Security and Risk: Not many Users realize that you may be more secure in the cloud than if servers are on-site. Servers are managed in a controlled environment making physical access as well as logical access more secure. For companies that are required to be SOX, FDA, or HIPAA compliant, these are huge concerns and need to be addressed and reviewed continuously. In addition, online backups and restore functionality are more credible, and Users can access their data from anywhere. Users expect and appreciate virtual access to keep up on productivity, and the cloud has proven that security and risk are no longer a major challenge. » Rising Comfort Levels: Users are finally becoming more comfortable with Microsoft Dynamics AX in the cloud, understanding that they can link to other applications (custom, onpremise, or hosted) that are critical to their operations. Putting ERP in the cloud has taken a little longer for companies because of its missioncritical nature as well as the security risk should the data be compromised. Service providers have proven their worth with years of good track records, and their levels of compliance through SSAE (Statement on Standards for Attestation Engagements) certifications will help ease company data concerns. Uptime guarantees backed by financial credits as well as the track record and longevity of the cloud provider help ease concerns around moving to the cloud. » Staying Connected: Connectivity has also become more ubiquitous around the world. Many Microsoft Dynamics AX Users have facilities in emerging countries, and the past issue of unreliable Internet is fading away.
All in all, the investment Microsoft is making to put applications online is proof that the cloud is here, and here to stay. I think when Users go through implementation, they dive deep into the functionality and business processes, but the foundational tips and tricks about how to use Microsoft Dynamics AX get lost. AXUG is a perfect place for Users to gather that information because it’s the little things that make Users’ lives so much easier. There is this chasm of knowledge around Microsoft Dynamics AX that people are missing on a basic level yet are very hungry for as well.
THE CYCLE OF KNOWLEDGE SHARING
AXUG is strengthening the bond among Users, Partners, and Microsoft because of all the opportunities to share knowledge along the way. If Partners can speak for webinars, it gives their company a higher profile, and they hear direct feedback from Users. When Users get more involved, they learn more about the product from their peers, and that is worth its weight in gold. Microsoft benefits from any community that supports the Users and the product. Best Practices for End User BI Implementations

usiness intelligence (BI) implementations come in all shapes and sizes. An implementation can be as simple as a new Microsoft Excel report for the sales manager or as complex as an enterprisewide rollout of a new visualization/analytics product. In spite of the chasm between these two extremes, there are commonalities that should be considered in all cases. Before you even start the project, you need to consider a few things. First, what’s the point of the project? Are you wanting to automate or improve existing processes? Do you need to deliver a more flexible environment for analysis? Do you need to get available information into the hands of more Users (internal and external)? Depending on the answers to these questions, you need to consider different types of products. Second, what is the information needed, and what format do key User group Members (not just management) need to successfully use it? Not all User groups are created equal, so they may have different needs! Now that you have the needed information and the different ways Users will access it (let’s skip right past vendor selection!), you need to figure out how to package what you have learned into bite-sized chunks for delivery. I have avoided the use of clichés and business jargon, but for this one, “BI is a journey and not a destination!” This is critical because if you deliver a single project a year plus later, you will have missed the mark, and the business will have moved on. In all likelihood they hacked something together because they were tired of waiting on you. Instead, everyone is much better off finding a few low-effort/high-value (think of a matrix with requirements plotted) needs to meet by quickly using the framework or technology chosen. During development, it’s important to connect with the end Users as early as possible in the process to confirm you are on the right path. It’s nearly impossible to give good requirements when you have nothing to look at. User involvement also helps them become more invested in a positive outcome. Now that you are ready to deploy, you need to provide training to arm the Users with the information needed for success. You should also provide leavebehind reference materials. These can be as simple as a few bullet points or focused (and brief) job aids. Useful reference material doesn’t need to be and shouldn’t be hundreds of pages long. AXUG

il Garcia is the director of the United States manufacturing industry for the Microsoft Dynamics AX team. AXUG® sat down with Gil to talk about his background, his initiative around building up a reservoir of reference stories, and a vote of confidence for Microsoft Dynamics AX Users.

AXUG: How did you build your manufacturing expertise? Gil Garcia (GG): I was part of the Industry Builder program with Fullscope, where we were developing manufacturing IP for Microsoft Dynamics AX. I spent about three years traveling around the world with presales consultants, educating people on processes and working on opportunities in process manufacturing. There was so much success that Microsoft purchased the IP from Fullscope to support process manufacturing, and that led me to a role on the industry team where I’ve been for three years. Our industry team is a group of six individuals (titled industry market development managers, or IMDMs – see the sidebar to learn more about these individuals and the industries they represent) who are experts in our fields, but I use that term loosely as we’re always learning. AXUG: What’s a day in the life look like for a manufacturing expert? GG: We wear many hats, but first and foremost we support the field; they come to us when they don’t know how to answer specific questions. We also support Partners and vet ISV solutions. We also run the Industry Partner Program (IPP) where we’ve been trying to align Customers with the right Partners to serve their vertical needs. For example, if a company is an automotive supplier, we know who the best Partner is for them. AXUG: Is that engagement all focused on new purchases of Microsoft Dynamics AX? GG: It’s probably 80 percent new and 20 percent existing Customers. A good share of those new Customers is organizations that are migrating to Microsoft Dynamics AX from Microsoft
Dynamics GP and Microsoft Dynamics NAV that want to know about the product. We come in and provide credibility, sharing what we’ve seen in our careers and how to solve problems. AXUG: We were glad to have you as a presenter at AXUG Summit. Aside from delivering your presentation, what was one of your goals for the event? GG: We were looking for Customer references. I delivered a conduit session for the manufacturing industry, focusing on where we’re committed in regard to verticals and industries. As an outcome, I was looking for companies that are willing to share their logo so that when the sales team goes out, they can show prospective Customers 10 to 12 logos of companies similar to them. At the highest level, we’d like to build referenceable Customers and have them get involved in prospective Customer site visits and more. AXUG: Walk me through the experience: Why should a User become a Microsoft reference Customer? GG: Some prospective Customers just want to talk on the phone, and they’re going to ask the reference Customer about their experience with Microsoft, how the product fits their needs, what it’s like to work with a Partner, and would they make the same decision again. Other prospective Customers want to take the day and go on a site visit to a User organization. To serve that purpose properly, we need to bring in a variety of Customers in various roles to talk about best practices, benefits, etc. across their organization. The easiest way to participate in the program, though, is simply to allow Microsoft to use your company logo, as it helps us add more customers to the base. Those visits bring a huge comfort level that “somebody like me” is using this product to run their business. It’s a good thing for everyone to have lots of references. A rising tide lifts all boats. AXUG: What’s the call to action if somebody is interested in becoming a reference?
GG: They should contact their respective industry IMDM, or me at Gilbertg@ microsoft.com if they are in manufacturing or consumer packaged goods (CPG). We’ll then work together with a Partner industry marketing manager to find out how deep the Customer would like to serve as a reference. One reference activity that is mutually beneficial is a case study. The Customer gets to talk about how they improved their customer service with Microsoft Dynamics, and then when the case study is done, the Customer can show their own customers, helping them to see how easy it is to do business with their organization.
AXUG: Can the same be said for other industries? GG: Yes. While other industry solutions are less mature than manufacturing, the good news is that Microsoft is investing heavily to make industry solutions thrive. We have world-class people, our IMDMs, in those roles, people who know what it takes to become a major player in this space, and they – and our Customers – are pushing Microsoft in the right direction. AXUG
AXUG: I can see that as a benefit. When you’re talking to Users, what kind of feature requests do you receive? GG: All sorts, many that are specialized for particular verticals. Part of my team’s role is to define the white space around Microsoft Dynamics AX. We receive different requests based on Customers’ verticals, and like anything else, what we don’t have today we fill in with ISV and Partner IP solutions. Microsoft has traditionally been a horizontal organization, but we’ve started to ask Partners to build up their industry and vertical knowledge over the last several years. We also have solution sales professionals (SSPs) that have “majored” in an industry, which makes them more intelligent in how they engage with Customers and makes it easier for Microsoft to build repeatable solutions for industry success. AXUG: And, similar to having a number of reference Customers, that’s good for everybody. GG: It certainly is. On another note, from a manufacturing perspective, I want to offer that Microsoft Dynamics AX Users are in a good place with this product. Microsoft has one of the only pure process manufacturing solutions in the world today and will continue to invest a lot of money in the manufacturing industry.

A
t Fastpath, we see Users running Microsoft Dynamics AX 4.0 through Microsoft Dynamics AX 2012 R3 (and even a few on Microsoft Dynamics AX 3.0), who plan to leapfrog to Microsoft Dynamics AX 2012 or wait for the new release of Microsoft Dynamics AX. We tell them, “brace yourselves”: The Microsoft Dynamics AX 2012 security model is entirely new, as will be that of the new release of Microsoft Dynamics AX. Everything you’ve used in the past has been replaced with entirely new concepts. The illustration at the end of this article plots the Microsoft Dynamics AX 2012 security model, which is a strict hierarchy.
New to Microsoft Dynamics AX 2012: Template roles, duties, and privileges are OUT OF THE BOX Observe that at the top are roles assigned to Users. Below those are duties (e.g. business or job processes to perform certain functionalities), which are comprised privileges, and ultimately, securable objects like User interface (UI), tables, fields, and SSRS reports. All of these are out of the box in Microsoft Dynamics AX 2012, including: » 100+ roles » 1,200+ duties » 8,000+ privileges, and » 25,000+ objects On the left side are process cycles, groupings of those 1,200+ duties, which make them more manageable when you go out to modify those duties. So, roles have duties assigned to them, plus privileges assigned to those duties or directly to roles. A key point to remember is that you can assign privileges directly to roles. Privileges have entry points (e.g., menu items, web menu items, and service operations), which themselves grant additional access (e.g., a menu item ties to a form with tables or other usable objects).
The Power of Pessimism Microsoft Dynamics AX 2012 has a pessimistic security model. In Microsoft Dynamics AX 2009, if you created a menu item without a security key, everyone had access to it. In Microsoft Dynamics AX 2012, no one but the system administrator has access if you don’t specifically grant access through the role hierarchy. So if a Partner or consultant is building customizations for you, be sure they provide at least base-level security artifacts (privileges), maybe even duties and roles.
Roles Specific to Legal Organizations Another big change in Microsoft Dynamics AX 2012 is the ability to assign Users to roles for specific organizations; for example, legal entities or other organizations within your organizational hierarchy. Microsoft Dynamics AX 2009 used domains to restrict User access to companies which often resulted in a proliferation of security groups that increased the difficulty of managing security. Now roles are system-wide in Microsoft Dynamics AX 2012, but you can restrict the organizations to which that User has access.
Record Level Security Microsoft Dynamics AX 2012 offers extensible data security (XDS) policies, which allow you to restrict data access to individuals. For example, you have multiple sales branches and want each branch manager to access sales orders for his/her own branch but not from other branches. Two managers can have the same menu items but access to different records based on the XDS policies defined.
Active Directory Groups for User Provisioning Also new to Microsoft Dynamics 2012 is the ability to use Active Directory Groups for User provisioning. In Microsoft Dynamics AX 2009, you had standard active directory Users who could log in with Windows authentication. In Microsoft Dynamics AX 2012, while you can still use active directory Users, you can also create an AD group, assign roles to that group, and members of that group inherit roles assigned to the group and are able to access functionality in the role assignment.
plan on a reimplementation of security to the role/duty/privilege model of Microsoft Dynamics AX 2012 But it’s a useful exercise. You’ll find some Users are over-provisioned. And while Microsoft Dynamics AX 2012 has out-of-the-box artifacts, you must sit down with the business process owners to understand which artifacts Users need access to in a system, then map that access to build out a hierarchy for your organization’s security needs and requirements. There is a mapping tool available from Microsoft to help you evaluate duty/privilege against 2009 security groups; it’s called Security Upgrade Adviser Tool (https://technet.microsoft. com/en-us/library/hh394895.aspx). Most companies start from scratch. But they’ll do that whether they’re upgrading to Microsoft Dynamics AX 2012 or waiting for the new release of Microsoft Dynamics AX. If you decide to stick it out, you can apply the “pessimistic approach” using Microsoft Dynamics AX 2009 tools. But in Microsoft Dynamics AX 2012, privilege/duty/role is assigned before anyone has access. As such, for any object you create, it’s not access by default, but no access by default. You’d spend an awful lot of time customizing Microsoft Dynamics 2009 to live up to that standard. In short, if you plan to upgrade Microsoft Dynamics AX, you will re-implement your security. But that is something you should view with anticipation rather than dread. AXUG

Adding a Recording to Favorites The AXUG® Recording Library has hundreds of recordings, yet who has time to watch them all right now? A great site feature is the ability to “favorite” recordings for quick access at a later time. To add, access, and remove a recording from your favorites:

Recorded content is a benefit to AXUG Members. » Click on a folder to see recordings saved within the folder. When you find a recording you want to save, double-click on it. » Click on the blue Action button, and select Add to Favorite. You can do this for as many recordings as you want.

Organizational Excellence Tips by Jeremy Kingry, eBECS, AXUG® Partner Member mplementing Microsoft Dynamics AX 2012 can be an overwhelming change to a company: All new processes and techniques to learn, plus the mechanics of an entirely new software system, can bring even the most technical organization to its knees. With that in mind, I like to think that there are some really great tips and tricks we consultants learn along the way that can certainly help a company ensure not only a successful implementation, but also lay the framework for long-term success after go-live. When tasked with writing this article, I had a decision to make: Was I going to provide detailed tips or tricks for working with Microsoft Dynamics AX such as hot keys or optimization tips, or would I talk about what it really takes for long-term success with Microsoft Dynamics AX? I feel like Google is already cluttered with the detailed tricks, and a quick search would turn up more than I could ever cover in this article. With that in mind, I decided to take a different route and talk more about organizational structure and governance and how they are essential to long-term company success. This is by no means an exhaustive list but rather a good start on preparing your organization for life with Microsoft Dynamics AX: » NEVER, EVER do any modifications without properly documenting the change. » Separate the PM from the system expert(s). The people learning the system will not have the time to dedicate to project management.

Clearly define roles and responsibilities of your in-house implementation team ahead of time. » Clearly define who will sign off for UAT (User acceptance testing); you will never make everyone happy, and if you do not have a dedicated decision maker with the authority to push forward, you will never make it to go-live. » Talk to or visit references from your implementation Partner, preferably in your industry. » Very early in your project, define what reports/information will be needed from the system. This is much easier to build in during implementation and not after. » Finally, the last item people think about: data governance. During your implementation project, identify data stewards to make decisions on proper data cleansing and storage. The list above should help get your organization ready not only for a software implementation/upgrade, but also organize your company in a more effective manner to ensure operational excellence. BECS delivers award-winning lean and agile Microsoft Dynamics AX, Microsoft Dynamics NAV, and Microsoft Dynamics CRM solutions, integrated cloud services, including Azure and private cloud, and Office 365 and mobile solutions, including field service. These solutions focus on delivering improved business performance measured by comprehensive business intelligence (BI).
AXUG: Give a little bit of background. How did eBECS come to be? Charlotte McCormick (CM): When we first started out in the U.K., we were very focused on manufacturing. One area where we found a niche was around lean manufacturing in Microsoft Dynamics AX; we wrote the eBECS lean module in Microsoft Dynamics AX version 3. Microsoft purchased the module for Microsoft Dynamics AX 2009, and it’s now also implemented in Microsoft Dynamics AX 2012. Off the back of lean manufacturing, we grew outside of the U.K. into the U.S. in 2005. In the U.S., every manufacturer needed to do more with fewer people. There was great pressure to reduce costs, which made the lean way the best way. When we implement lean and manufacturing, instead of having to develop new custom features, we pull from our Microsoft Dynamics AX lean extensions to help Customers fill their gaps and save money while doing so.
Around 2010, we started to grow into other areas of manufacturing in Microsoft Dynamics AX such as discrete and process manufacturing and distribution as well as the service industry. In the past 18 months, we’ve started a business intelligence (BI) practice in the U.S. as well. AXUG: That’s awesome. BI is a hot topic, that’s for sure! CM: Yes, that’s where the industry is moving. More and more companies are interested in BI and data analytics. Actual enterprise resource planning (ERP) isn’t sexy, but being able to make decisions out of your ERP system IS very powerful. By coupling the two together early on, so much is possible. AXUG: Tell us more about the Power BI Accelerator. How does it work? CM: It is essentially the integration of Power BI and Microsoft Dynamics AX. The accelerator is processing the hard work in the background so Users can easily see and access the dashboards and reports that affect their business. More specifically, the data modeling tool gives Users the ability to create data structures directly within Microsoft Dynamics AX. The models are then used to provide real-time, direct access to the live data. Users can instantly build and view their own reports and make business decisions with complete confidence that the data is accurate, current, and uncorrupted.
AXUG: You’re based in the U.K. and are now very present in the U.S. Do you work in other countries as well? CM: Oh yes; we are truly a global company that works well with multi-national and multi-site companies. We won Global Partner of the Year in 2013, and we have teams tailored to do this sort of work, organized within the global design. Our people travel all over the world. A great example of this is the global rollout with one of our professional services clients who has 25,000 Users across the U.S. and the UK. AXUG: Wow! Now that is a large implementation project. Let’s look at the other side of the spectrum. Do you work with smaller companies as well? CM: Definitely! We can truly scale from small to large and are finding that the smaller businesses are very interested in Microsoft Dynamics AX 7 right now. The biggest benefit of the new online environment is the rapid implementation approach. With Azure, we can roll out a Microsoft Dynamics AX environment in an hour instead of waiting for hardware, specs, configuration, and installation. That can all take weeks. Couple this with some of our Lifecycle Services accelerator templates and our industry experts, and we are really very excited about the ability to rapidly implement Microsoft Dynamics AX and BI. We have also gotten excited about being able to quickly get companies through a “proof of concept” approach that also helps accelerate project implementations, upgrades, or improvement projects. We basically can go into a company, and within a week we
provide the organization with a clear picture of what it would be getting with Microsoft Dynamics AX or BI in a certain area. We just recently finished a lean proof of concept with Britax Group Limited. Check out the case study on our website for more info on this. AXUG: What’s next for eBECS? CM: 2016 is going to be busy! From a project point of view, we have five global implementations going live on January 1 that we’re very excited about. We’re also excited to see the demand for the Power BI Accelerator I mentioned earlier. As the industry moves toward these in-depth analytics needs, we see this taking off quickly. The Microsoft Dynamics AX Focus events are always really busy for us as well. We work with AXUG to present a lot of the content around that since those events are so focused on manufacturing and BI. AXUG: You’re also very involved in AXUG Summit. How did it go in Reno? CM: Our eBECS experts conducted 14 sessions at AXUG Summit this year, two of which were training sessions, and 12 of which focused on Microsoft Dynamics AX and BI. We tackle a broad range of topics, but it’s always an awesome opportunity to connect with the Users and understand the problems they’re starting to see and how they use Microsoft Dynamics AX. Summit is also a great place to gather feedback about our add-ons and implementations. We’re continuously improving our products and services, so anytime we can gather User feedback, we jump on the chance. AXUG

ongratulations! Microsoft Dynamics AX 2012 is live! Now you may be wondering the best strategy for developing all those operational and analytical reports not included as part of your Microsoft Dynamics AX implementation. Surely your business is not getting everything you anticipated you would when it comes to reporting. The out-of-box Microsoft Dynamics AX business intelligence (BI) cubes can address part of the problem. But keep in mind that they are delivered for analytics and will not address many of your operational reporting needs. Further, they do require some work before they are truly usable. Unless you are running SQL BI version or higher and SharePoint Enterprise Edition, some of that cool BI functionality doesn’t quite work as demoed. For operational reports, mostly written in SSRS, the OLAP cubes are probably not a viable data source, so Customers tend to develop the reports, sourcing the data directly from the Microsoft Dynamics AX database. In Microsoft Dynamics AX 2009, with its 1,800 tables, this scenario was much easier than in today’s Microsoft Dynamics AX 2012, 6,400 table world. The Microsoft Dynamics AX 2012 database was highly normalized and designed for transactional efficiency and scalability – after all, it is an ERP system. Unfortunately, the more normalized the database, the less practical for writing reports. Besides, if the requested report includes complex queries, consider that you are consuming production resources, which could slow down your order entry and shipping processes. Also, if data, important for reporting, is not captured within your Microsoft Dynamics AX system, you may be tempted to customize Microsoft Dynamics AX in order to store the data for the mere purpose of reporting. This is not always a great approach, as any customization to Microsoft Dynamics AX will increase your total cost of ownership. For example, think about the additional costs to upgrade when a customization and data are in play. And for what? So you can write a report from the Microsoft Dynamics AX database, which is not structured for reporting in the first place? Sometimes, we must do what we must do, and this could be the right answer, but in many cases, it is not. There are software costs to consider. What about the Users who

do not truly need access to your ERP system, but they need reporting capability? One must deliver this information in a cost-effective manner. Take into consideration that many informational Users do not truly need access to the ERP transactional system. There is another cost. Once a company signs up for true BI analytics, we enter the world of OLAP and MDX programming. Managing the out-of-the-box OLAP environment is tedious, labor-intensive, and not business-oriented. The folks who are really good at this probably are not the same folks who understand your strategic enterprise BI requirements (there are exceptions, of course!). How about all those ISVs with their silver bullets? Well, clearly there is value or they would not exist, don’t you agree? Here is what I will say if you have invested in Microsoft Dynamics AX: » Leverage as much of the Microsoft stack as possible. You are looking for a solution that enhances the Microsoft BI stack, not replaces it. » Stay away from anything proprietary that would require you to be “married” to the ISV longer than you choose to be. » Understand that anything “out of the box” is just that. You will need to adapt, extend, and enhance it. » Your reporting and BI solution will evolve over time. It is important to be self-sufficient and not highly dependent on consultants for long-term care and feeding. » Separate in your mind the back-end (all the plumbing involved) from the front-end (reporting and data visualization). They are two separate capabilities – both as important as the other, and the ISVs do have specialties. AXUG At Edgewater Fullscope, we leverage our highly affordable BI accelerator. This involves an “out-of-the-box” enterprise SQL data warehouse that takes those 6,400 Microsoft Dynamics AX tables and flattens them to 65 tables for easier access to your enterprise information, coupled with a business-oriented tool to easily and efficiently adapt, extend, and enhance the back-end of BI. AXUG®: What does Fastpath specialize in? Mike Cassady (MC): Fastpath offers a suite of security, audit, and compliance software for Microsoft Dynamics Users. We have a team of certified internal auditors and certified professional accountants who assist with the design of the tools, templates, and reports that we provide to address Users’ compliance and security reporting needs. We also have tools to make it easier to administer access and security for IT administrators. AXUG: What kind of companies need the most help when it comes to compliance? Frank Vukovits (FV): Companies that need to meet SOX regulations or audit and compliance requests from other regulatory bodies are more interested in our products. Any publically-traded companies or larger enterprise companies tend to have an increased focus around controls, as they are audited frequently. However, having a strong internal control system (ICS) makes good business sense for all companies, whether they are frequently audited or not. We have many Customers who purchase our tools to strengthen their ICS, even though they aren’t subject to regulatory reviews or audit requirements. MC: There isn’t a specific industry that we work best in; the purpose of our software is really to help companies gain appropriate control and monitor access to the data within their systems. Having the necessary controls and security in place applies to all companies, regardless of the specific industry they operate in.
AXUG: What are your areas of expertise at Fastpath? MC: As the VP of development, I lead the initiative to design and build products in the security, audit, and compliance space from a technical perspective. My role is to understand the technical aspects of Microsoft Dynamics AX and lead the team of developers that build the tools we provide to our Customers. FV: Mike is one of our go-to experts in Microsoft Dynamics AX. I am the VP of strategic partnerships, and I work with Partners, specifically VARs and audit firms, to make sure they understand how our tools can help their clients set up and administer security. I also work with audit firms that use our tools to audit their clients and perform risk assessments. From this perspective, I get to see how compliance needs are being met, and in turn provide input as we continue developing our solutions. AXUG: Technically speaking, what should Microsoft Dynamics AX Users expect to see from Fastpath in the next year? MC: Fastpath is improving the User provisioning process in Microsoft Dynamics AX: That is, allowing Users to have a better history tracking, helping them monitor for segregation of duties (SOD), and simplifying SOD methodologies. We’re focusing on making it easier for Users and auditors to understand risks that exist without requiring extensive technical-level expertise. We’re simplifying terminology and moving technical
grouping to business-process grouping so risks are easier to identify, mitigate, and remediate. There are also a lot of security-related changes on the horizon with Microsoft Dynamics AX 7 being released in the cloud. We are working on new features to help address the new security concerns that Customers face as they adopt a cloud ERP platform.

In everything we do, we try to help Partners and Users understand what to expect, what to know, and how to prepare for audits and compliance reviews so that they can continuously improve.
AXUG: When working with Partners and audit firms, what sort of trends do you see? FV: A lot of talk about the cloud. VARs are talking to their Customers about moving to the cloud, and the topic of security is on the forefront. It’s a different set of challenges and a brand-new concept for Users. They need to know who is responsible for security, how to navigate new terms, and what terms like SOC-1 and SOC-2 reports mean. I’m working closely with Partners to help them properly prepare and direct their Customers in this new world. It’s really about knowing who should be responsible in the right areas. Just because it’s in the cloud, you shouldn’t expect security is there. A good rule of thumb is whether you’re online or on premise, the time spent on security shouldn’t change. We also work closely with Partners to make sure their Users understand the importance of continuously improving their security and audit controls. It’s not a “set it and forget it” situation. It may be tempting to get security approved once and not make changes down the road, but that is setting a company up for major risk exposure.
AXUG: You and your team prove that by presenting awesome sessions! What was your experience like in Reno, and how has it differed from previous years? FV: In addition to presenting a number of compliance, security, and audit sessions, a few of us presented thought leadership sessions not related to our company’s products. Trish Boccuti did a session about social media, and Andy Snook did a session about repositioning core mission statements. I helped lead numerous sessions around project management as well. MC: We feel it’s important to share our security, audit, and compliance knowledge with the community. We’re continuously educating ourselves and sharing that learning with the community. We also invited one of our audit partners to present at our Partner showcase. This turned into a great educational session for the community to acquire information directly from an audit firm on its approach to security design and segregation of duties.
AXUG: What sort of functionality in Fastpath solutions helps Users continuously improve their security and audit controls? MC: Our features help simplify the audit review process. By using our tools, Users can complete audits more regularly as a result of increased efficiencies. What used to take them a month to do, they
AXUG: Any “aha” moments at AXUG Summit this year? FV: I found it interesting how great the cross-User group sessions went. I think there’s more opportunity there to combine all User group communities in some sessions, treating it as a whole regardless of what group you’re in, as many topics go across products. Fastpath works in the entire community, and the cross-User sessions really highlighted the commonalities that exist throughout the Microsoft ecosystem. AXUG

Established in Louisville, Kentucky in 1985, Algood Food Company is a manufacturer of private label peanut butter, jellies and preserves. Prior to implementing Microsoft Dynamics AX, Algood was running a legacy ERP system, and they weren’t able to get a clear picture of their strengths and opportunities. “It would take a month to close each period,” says Kelly Kane, information systems specialist. “We were using old data to make important inventory and pricing decisions. Also, in our industry, traceability is very important, and we need to know at a moment’s notice where anything is at in the event of a recall or customer complaint. That real-time information is much easier to obtain in Microsoft Dynamics AX than in our legacy system.” Algood started working with Junction Solutions in the spring of 2012 to implement Microsoft Dynamics AX. “Junction Solutions has a full food and beverage vertical for Microsoft Dynamics AX,” Kelly says, “which is a main reason we chose them as our Partner. They really understand the food industry and took time to understand our business practices and procedures.” Junction helped Algood with data migration and two major integrations, one with Algood’s warehouse management system (WMS) and another with their manufacturing execution system (MES). Algood went live on Microsoft Dynamics AX in July of 2014 and is now seeing a huge difference in the way they cost their items. Kelly explains, “We can see how much it costs to buy ingredients and packaging, as well as how much it is to produce the items in real-time. Knowing the costs, we can price accurately, greatly improving our profitability and the accuracy of the information we provide to our customers.” They can also see their margin analysis a lot quicker, helping them make better real-time decisions. In the event of a recall or customer complaint, Algood can now go into Microsoft Dynamics AX, search by lot code, and easily track when the item was shipped, when it was produced, and even the exact ingredients within the product. Junction Solutions also offers an excellent training program through an additional service called Junction Academy. Kelly shares, “I have utilized their services several times. One of their course offerings was a Functional Fundamentals class for which we had one of their trainers come on-site. Having that early introduction to Microsoft Dynamics AX really helped make a smoother transition as our team was learning how to use the system.”

States Industries is a wood products manufacturer that offers more than 400,000 wood product combinations. Since its founding in 1966, States Industries has continually been a leader in setting the standards for hardwood paneling with a steady stream of new, innovative products and improved manufacturing processes. With an ERP system rooted in the 1960s, States Industries
dealt with manual processes, expensive customizations, and a standalone quoting system. Their processes were laborious, time-consuming, and fraught with unnecessary scrap and costly errors. “One mistake, one mis-constructed item would potentially cost our company tens of thousands of dollars,” says Cliff Barry, chief financial officer. The company realized that its current ERP and quoting systems were limiting efficiencies and cost savings. States Industries decided on Microsoft Dynamics AX as their ERP and hired Cliff Barry to see the company through the implementation. “Going into the project, we knew we needed a new, robust configurator that could comprehensively configure orders as well as generate costs estimates, bill of materials, routings, and product masters while the customer is still on the line, providing immediate feedback,” Cliff explains. “We found that Experlogix CPQ was the best solution for the job, and their product strategy was in sync with ours.” Experlogix CPQ combines with Microsoft Dynamics AX to form a powerful engineering and product management system, automating bill of materials (BOMs), production orders, costing, and routing. Once a sales quote or order comes through Microsoft Dynamics AX, manufacturers can leverage Experlogix CPQ to create sophisticated, multi-level, configured BOMs and production orders in the solution – all with a couple mouse clicks. With the help of Experlogix CPQ, States Industries now has full integration between order configuration and ERP, eliminating manual and error-prone processes. Their customer service representatives are also able to give definitive answers to customers on the phone about their unique orders. They can change features and prices on a daily basis and do cost rollups on the fly. All this flexibility is creating major cost savings and helping the company to grow their operations. “Over the years working as a consultant, I’ve dealt with a lot of software vendors,” Cliff says. “This is the first time that a vendor truly listened to our requirements and thoroughly understood the depth and breadth of the business. Experlogix’s willingness to step up and invest capital in the enhancements we needed was unique in my experience. They have enabled us to do things nobody else in the industry can do.”
