t D365UG/AXUG, our mantra has always been that content is king. We know Users come to the User Group to learn and to improve their skills using the ERP product that they’ve invested in—whether that’s Microsoft Dynamics AX 2009, Microsoft Dynamics AX 2012, or Microsoft Dynamics 365 Finance & Operations. We are committed to addressing the needs of all Members, regardless of experience, job role, or current version.

At Dynamic Communities, we are always creating and cultivating content with that in mind. There’s no better instructor

(virtual or onsite) than an actual Microsoft Dynamics AX or Dynamics 365 for Finance & Operations User. At our onsite events, we highlight Member showcases, where Users present on their industry solution, implementation, or migration. Many folks have recently upgraded or implemented Microsoft Dynamics AX 2012 R3, and we are including presentations on the challenges and best practices for that version as well. This is what makes D365UG/AXUG unique: We look to the demographics of our User base, and we tailor our content (both onsite and virtual) to address your needs. In addition, Microsoft strongly supports the User Group, providing virtual learning through webinars as well as in-person presentations and feedback sessions at onsite events. This is your opportunity to weigh in on plans for new functionality and the direction Microsoft is taking with our product through Microsoft Dynamics 365 for Finance & Operations. Northern California The Northern California chapter has been around for a long time but hit an inactive spell about a year ago. Anders Johansson recognized the need for a vibrant chapter in the area and stepped up to lead the group this past summer. “Oracle is a big player here in San Francisco, but I believe in the way Microsoft is going about things. I believe in Microsoft Dynamics 365 for Finance & Operations and think people should know as much as possible about it. It’s exciting to be part of a smaller group, driving a vibrant chapter,” Anders shares. Their first gathering took place at the Microsoft office in August of 2018 with about 25 Users in attendance. RSM McGladrey presented on Power BI and Dynamics 365 for Finance & Operations, showing how Users can drill down into a record within the collections and accounts receivable workspace. “I love how they incorporated Power BI into helping speed up the collections process, making it clearer for Users,” Anders continues. “Yeah, we’re all Dynamics 365 for Finance & Operations and Dynamics AX Users, but what about the other tools that can help, like Power BI, PowerApps, and Microsoft Flow. I’m looking forward to switching it up and including those topics to solve problems for our Members.” Anders plans to coordinate with the Power BI User Group chapter meetings in his area on different topics to help expand the scope of the learning his chapter Members receive. The 2018 meetings were held at a site that wasn’t very easy for Members to get to. Traffic is a serious situation in San Francisco and can really deter Members from attending meetings. Anders asked around to find other locations so that the same Members don’t always struggle with attending. “In Q2 and Q4, we’re slotted to meet at Member-site offices located in the North Bay of San Francisco and then the South Bay. We’ll be able to tour their businesses and make it easier for some Members to join us,” Anders explains. The other two meetings are scheduled at the Microsoft Reactor site in downtown San Francisco, which is a cool development and presentation site for Members to experience. “There are a lot of people in Northern California in need of this small-group support. I believe in the software and have fun working in it and look forward to sharing that excitement with chapter Members in 2019,” Anders concludes.

o, you and your company have made the decision to move to Microsoft Dynamics 365 for Finance & Operations, and you have been tasked to take the step of determining User licensing. Where do you begin? As it turns out, it’s not necessarily a complex task, but there are several variables one must consider to rationalize User counts. This learning curve can be a bit different for Microsoft Dynamics AX 2009 Users and Microsoft Dynamics AX 2012 Users (more on that later), but the most important thing to understand is the basic schema and how your company can leverage it in the most cost-effective way. So, let’s begin this journey with a basic understanding of the Microsoft Dynamics 365 for Finance & Operations licensing concepts.

Microsoft Dynamics 365 for Finance & Operations Licensing Schema The basic licensing format is based on named Users (Microsoft Dynamics AX 2009 Users—this is a big change). In order to log into the system, each User must be separately licensed and have the proper access to do their jobs. Microsoft has established four basic User types that establish access and functionality for those Users and charges a monthly fee for access based on that User type. First, let’s look at Microsoft’s official explanation of those User types from the licensing guide itself: Operations Users These are full access Users, and they are still bound by security roles, but they have potential access to the entire system, including PowerApps and authorship rights in Power BI as well as administrative rights, if such rights are granted.

After working on many transitions and new implementations, it has been our experience that these Users represent 30 to 40 percent of User populations, based on the type of business you are in. A company can derive significant savings from combining these licenses with Microsoft Dynamics 365 for Customer Engagement product line licenses; ask your Partner for more information. Activity Users This is perhaps the most common User type and is priced at roughly half of the full Operations license. The Microsoft Dynamics 365 Activity subscription is a named User subscription intended for Users who may be heavy Users of the application but do not require the use rights of a full User. Microsoft Dynamics 365 Unified Operations - Activity use rights include the right to:

» Approve all Activity related transactions » Create or edit the items related to warehousing, receiving, shipping, orders, vendor maintenance, and all budgets

» Operate a point-of-sale (POS) device, store manager device, shop floor device, or warehouse device Team Members This is the named User license with the lowest access rights and is available at a fraction of the price of the licenses above. In old-fashioned terms, this is basically a “read-only” license with access to certain limited input rights. Its basic capabilities include: » Create, view, update, and delete contacts, activities, tasks, and notes access to contacts, activities, tasks, and notes » Record time and expense for Microsoft Dynamics 365 for Project Service Automation, and apply for projects » Update personal employee information » User reporting and dashboards » Participate as an end-consumer of Microsoft Dynamics 365 services such as responding to surveys Device Licenses This is the only license available that allows multiple Users to log in to a single license, but it is strictly controlled by the device it is attached to. Multiple Users can access the application through a shared device login. The use rights are equal to that of the Microsoft Dynamics 365 Operations User SL, except that access is limited to only the licensed device. When examining this license, consider things like: » Warehouse devices including scanning devices » Shipping and receiving stations » Point-of-sale devices It’s priced at roughly 30 percent of a full Operations license and can save a lot of money for those who have large warehouse, distribution, or retail user populations. After considering all of this, there is a handy Licensing Guide available on CustomerSource and to the public as well. Just Bing it, and you’ll easily find it. At the end of the guide there is a table with many commonly used job titles and functional descriptions. This table identifies basic duties and the license type most commonly associated with those Users. It’s great as a starting point, but it is clearly only intended as a “guide”, not as a definitive table. In fact, one can see many common roles that are identified as both Operations and Activity licenses. A quick rule of thumb that we apply when taking the first steps around this is to determine whether a User has the rights to approve and “post” transactions in the system. If they do, we preliminarily identify them as Operations Users. If they are simply involved in data entry, chances are you can get away with an Activity User license.

Microsoft Dynamics AX 2012 Users If you are currently on Microsoft Dynamics AX 2012, this licensing schema will not be entirely foreign to you. The major difference is that the limitations inherent on licensing types are strictly enforced by the system. We use this chart to help us understand the transition:

You may have noticed that, in this chart, we used a ~ instead of an = sign. This is because Microsoft, in its infinite wisdom, slightly altered the User definition delineations. This chart represents a quick estimate, but be aware that there are not complete one-to-one relationships. Some of the old Enterprise licenses in Microsoft Dynamics AX 2012 have been “demoted” to Activity licenses in Microsoft Dynamics 365 for Finance & Operations. Conversely, some of the Functional Licenses for Microsoft Dynamics AX 2012 have been “promoted” to Operations licenses in Microsoft Dynamics 365 for Finance & Operations. Microsoft giveth, Microsoft taketh away.

Microsoft Dynamics AX 2009 Users It’s likely that the most difficult adjustment that Microsoft Dynamics AX 2009 Users will face is the transition from concurrent User licensing to named User licensing. This web-based application sits on Azure servers that are managed by Microsoft. Each User login is monitored and controlled by its definition. There are no options for exceeding User counts (even slightly), and functionality is also strictly controlled so that a User cannot exceed their licensed permissions. This requires a whole new level of functional definitions that Microsoft Dynamics AX 2009 Users are not accustomed to. Relax, it’s easier than it looks.

Conclusion If we could offer one piece of advice about this process, it would be: Relieve yourself of the responsibility of getting this 100 percent correct in your initial estimate. Microsoft does not supply Partners or Customers with a comprehensive list of functionality or menus access by User type. They only supply general guidelines. If you have a User, or group of Users, that are difficult to define, you’re just going to have to test it. We always advise Customers to start by defining them as an Activity User, and then test all the functionality they need access to. You may be surprised to learn that a single “click” can make them a full Operations User. It’s up to you to then decide if that User really needs to make that click, or if they can live without it. This process is as much art as it is science. Work with your Partner, and good luck!

f o s n a m u H When you’re not at work, what are you doing? Spending time with my family or running relay races such as Hood to Coast or The Wild Rogue Relay. These are approximately 200-mile races that raise funds for charities such as Providence Cancer Institute and Special Olympics.

Dog, cat, or neither person? My family and I own a 20-acre farm. We have two dogs and a cat as well as horses, pigs, goats, chickens and, occasionally, some ducks.

What hobby would you get into if time and money weren’t an issue? If time and money weren’t an issue, I would love to get involved with falconry and raptor rescue.

What version of Microsoft Dynamics 365 for Finance & Operations are you on, and what is your favorite part about it? We are currently in the middle of an implementation of Microsoft Dynamics 365 for Finance & Operations version 8. Our planned go-live date is September 1, 2019. Right now, I’m really loving task recordings.

What do you appreciate most about the D365UG/AXUG community? I like that it was built by Users, for Users, and that we stay true to that. I like that the community Members are there for each other. If you ever have a question that you can’t find an answer to, there is sure to be someone out there who has faced the same question and is happy to help you address the problem.

D365UG/AXUG: That’s excellent. How extensive is your Partner network? KC: About 90 percent of our sales go through the Partner channel, and we work with upward of 50 different Partners mainly located in North America, Europe, and Australia.

D365UG/AXUG: What sort of pains do your solutions solve for Microsoft Dynamics AX and Microsoft Dynamics 365 for Finance & Operations Users? KC: With up to seven solutions, we solve different kinds of pains. Our solutions help Users be more effective. Besides saving time and money, Users will experience an intuitive solution, making their work more enjoyable. A good example of this is our popular AXtension® Invoice Processing solution for accounts payable. The time Users need to take to validate invoices received costs a lot of, well, time. They have to make sure it’s in line what they ordered and that the invoices get approved by the correct person in the organization. We have six more products. These are for optimizing project and production planning and costs, managing documents related to the system of record, integrating to carriers, extending the supply chain, including delivery to customer and one for customer data anonymization.

D365UG/AXUG: Is AXtension very industry-specific in terms of what your solutions can do for Users? KC: We have a horizontal approach. With about 400 Customers, we have shown that many companies can benefit from these solutions. Although we have a horizontal approach, we do bring a certain industry expertise that is very strong in AEC, manufacturing, retail, and consumer packaged goods.

D365UG/AXUG: What do you plan to focus on in 2019 that Users should know? KC: This past year, we focused heavily on all developments with Microsoft Dynamics 365 for Finance & Operations. Moving forward, we plan to create even more synergy within the entire

AXtension product portfolio and get to the next level of helping our Customers. Our primary focus is always to make sure Customers are happy and in a good place with regular updates. We do at least two major releases per year as well as keeping up with Microsoft’s update cadence.

D365UG/AXUG: When you say the entire product portfolio, does that include Microsoft Dynamics 365 for Customer Engagement and the Microsoft Power Platform? KC: Yes, exactly! For example, we have created a content gate so Users can manage all documents across business applications in the Microsoft suite, including Microsoft Dynamics 365 for Customer Engagement and Microsoft Dynamics 365 for Finance & Operations. In one place, Users can see the same content and be on the same page. We also brought Power BI integration into workspaces and have so many Customers interested in that area of improving their business intelligence (BI). The Power Platform can enable Users to go the extra mile without customizations, giving them a huge competitive advantage. As an ISV, our aim has always been to avoid customizations, and with these tools, our Customers can go that extra mile.

D365UG/AXUG: This issue is tackling the age-old question about upgrading. Do you have any advice for Users evaluating an upgrade from Microsoft Dynamics AX to Microsoft Dynamics 365 for Finance & Operations? KC: Too many customizations can make an upgrade very

difficult. If you can work to get customizations out of your current environment by standardizing and streamlining processes, you’ll be ahead of the game when crunch time comes. Doing this can make your upgrade as effective as possible and is simply a best practice all around. We have a lot of Customers on Microsoft Dynamics AX 2012 who are considering upgrades, and we’ve suggested they ease their upgrade project more by optimizing the core solution. By doing so, they can make it into smaller, more manageable upgrade projects.

hinking about upgrading our existing Microsoft Dynamics AX 2012 environment to Microsoft Dynamics 365 for Finance & Operations causes my blood pressure to rise, my stomach to sour, and my head to hurt. We have invested significantly in our current environment which includes: » Nine instances of Microsoft Dynamics AX 2012 R3 » Four codebases (two with minimal modifications, two moderately customized) » Private cloud infrastructure » Several ISV and third-party solutions » Several integrations to external systems We also have a considerable collection of technical and functional knowledge owned by our development team, support team, and end Users. Shoot, we haven’t fully utilized the existing functionality in R3! The effort feels monumental. So why consider putting myself and my company through this pain? As with all large projects, you must begin by considering the business value of the investment. What return on investment will be realized with a move to Microsoft Dynamics 365 for Finance & Operations? A few items stand out to me: » The promise of the Common Data Service (CDS) is compelling. Microsoft Dynamics CRM is in our portfolio of applications and implemented for several legal entities. We are exploring how Talent may fit for us. Both applications share the Common Data Service. The Data Integrator’s ability to allow data to flow from prospect to quote to sales order to invoice and back supports our business’s need for speed. Speed and agility are highly valued by our business leadership for providing a competitive advantage.

» The analytical insights available from data across these applications would provide significant value which is not available today. The ability to use artificial intelligence (AI) and predictive analytics with this cross-application data promises a way to see new opportunities or ensure existing opportunities are not overlooked. The addition of an enterprise data platform to aggregate this and other information at a multi-instance level puts the finishing touch on a potential gold mine of actionable information which our business is pleading for today. » The idea of an “evergreen” ERP, never having to upgrade again, makes me smile. Our company moved from Microsoft Dynamics AX 4 to AX 2009 to AX 2012 RTM to AX 2012 R2 to AX 2012 R3, so we thoroughly understand the effort and investment required to make these moves. Allowing Microsoft to own the responsibility for keeping the system and the platform current is very enticing. The fact that you can opt-in for any new functionality (it is turned off by default) also provides comfort. » On the other hand, we have many questions and concerns about losing control over the cadence and impact of these changes. Will we be required to invest in a dedicated testing team or an automated testing solution? The answer seems to be yes even while Microsoft is providing the Regression Suite Automation Tool, based on Task Recorder, to automate regression testing. What happens if a bug impacts our ability to perform mission critical functions? How quickly will bugs be resolved when they occur? Will Microsoft feel the same urgency to fix the problem that we do? How do we manage the inclusion of company required enhancements with the monthly release cadence from Microsoft? On the positive side, Microsoft allows you to choose the schedule for receiving the updates (the second week of the month, for example). » One area of Microsoft Dynamics 365 for Finance & Operations functionality that really has our interest is the Regulatory Configuration Service for Tax, e-invoice, payments, and regulatory reporting. As we do business in more than 100 countries, keeping our systems current with the latest regulatory requirements is a significant challenge. RCS’s configuration interface is a welcome respite from relying on Microsoft updates, in-country partners, or developing the code in-house. Using configuration will greatly reduce the time required and complexity to implement and test changes to requirements. Further, moving the ownership of these changes from our development team to the hands of in-country or in-region power Users, who better understand the regulatory environment, should make the process much more efficient. » Finally, the ability to leverage the entire Microsoft ecosystem is very attractive. The interoperability of Microsoft Flow, Power BI, and PowerApps with Microsoft Dynamics 365 for Finance & Operations is a game changer. The ability to leverage the power of Azure and Office 365 alongside Microsoft Dynamics 365 for Finance & Operations and Talent provides a persuasive value proposition. Now that we’re revved up about the possibilities, let’s explore some of the effort to get there. For those of us on the latest Cumulative Update for R2 and R3, we can upgrade code and data in place one instance at a time. Your existing customizations must be recreated as extensions. ISV solutions and third-party code are not upgraded. You must install their solution available for Microsoft Dynamics 365 for Finance & Operations. Check out appsource.microsoft.com for currently available solutions. Recreating the existing customizations gives you a natural place to pause and consider alternative solutions. Can our business process requirements be addressed with existing functionality? Perhaps we consider changing our business processes? Writing the extensions to replace the custom code provides an opportunity to “get right” some of the existing customizations that we’ve been living with for years. Alternately, you can migrate master data only, one legal entity at a time. This may be beneficial if you desire to reduce the number of instances or rearrange which companies live in which instance. You would need to keep your existing systems in place for historical reporting. To get started, Microsoft provides a project template in Lifecycle Services (LCS) which uses output from the upgrade analysis to estimate the Microsoft Dynamics AX 2012 prep effort and

the code upgrade analysis to estimate the development effort. It also provides a sandbox demo environment where you can perform your first fit/gap analysis. New Discussion Forum Features: Reply Email Notifications, Inline Replies, Save Posts as Drafts ecently, we announced three new community features on the User Group website, all designed to enhance your Discussion Forum experience: reply email notifications, inline replies, and save posts as drafts.

R

New Reply Email Notifications Participants will now receive a real-time email notification when there is a new reply on a discussion thread that you started or when there is a new post to which you’ve replied. You will see a star icon next to the title of the post that will be automatically filled in when you create or participate in a discussion. When the star is filled in, that means you will receive email notifications.

Interested in getting a notification on a thread that you didn’t create nor have a reason to reply yet? Simply click on the star icon to “favorite” that thread to get real-time post updates on that discussion, and you can deselect it to stop getting notifications on new posts on that thread. Not interested in getting ANY real-time notifications when a post is updated? Simply go to your profile page and navigate to My Settings > Email Preferences and toggle “Participation Emails” to NO.

Inline Replies To make it easier for Users to reply to threads online, you now can make a reply within the discussion thread page to allow you to reference all the replies made when creating your post. This new default is a quick reply option with streamlined formatting options; however, you can click on the “Reply with Advanced Editor” link if you want to use more formatting options (add an image, etc.) in your post. You will still be able to use the ”Reply to Discussion” option to reply to discussion posts online, which has all the usual reply formatting features. This will take you to the standard reply to discussion page with all the formatting options that you are used to having on our forums.

You can now press “Save as Draft” if you need more time to finish before you post your new thread or reply to the community. When you save a post as a draft, you will see a notification confirmation on the discussion page of where to find your draft. In addition, when you start typing a new thread or reply, your post will

now be auto-saved at a frequent interval so you can continue your post in case of the occasional computer or internet issues. To find your drafts so you can continue your post, go to your Profile page and click on My Contributions > List of Contributions. There is a filter that will allow you to sort by your draft posts. Simply click on the option to continue your post, or click delete to remove it.

SPEED READ DATA ENTITIES IN EXCEL AND POWER BI story by Shaun McMikle, RSM US LLP, Partner Member

n these three webinars for D365UG/AXUG, we covered the process of accessing and consuming User data and then sharing the information in both Microsoft Excel and Power BI. As Users of Microsoft Dynamics 365 for Finance & Operations, Enterprise Edition and Microsoft Dynamics AX 2012, our goal is to design reports that are useful, accessible, easily edited, and understandable. One of the most powerful ways to extract data is to use the OData connector. Using real-time data entities allows data scientists, CFOs, and other consumers of the report to access key fields from tables in the ERP system. From this data, finished reports for decision making can be quickly created. Companies first need to understand their data and how they want to consume it before they hire a Power BI expert. The current marketing trend advocates that consumers jump straight to Power BI for fantastic visuals and interactive reports. There is nothing wrong with that approach; however, most of my clients gain greater understanding when first provided with consumable spreadsheets and base data reports. This allows them to try the key assumptions that built the report format before it is translated into pie charts, bubble scattergrams, and heat maps. With this method, no programming is needed, and anyone can access with the appropriate security. In this webinar series, participants learned the process of accessing the OData connector for Microsoft Dynamics 365 for Finance & Operations and Dynamics AX 2012 in Excel and in Power BI. For our examples, we accessed the Sales Order Headers, Sales Order Lines, Items, and Customer entities, yet it could easily be Sales Invoices, Purchase Orders, or even Service Orders. In the Excel session, we used the query editor to both manipulate and limit the data returned. Once we have the data we need, we created a data mart to create relationship. The tables are then ready to consume with Pivot Tables and other traditional Excel models that many companies have from their legacy systems. For the Power BI sessions, we ran through the same type of process of query editor, table relationship, and finally the modeling with basic reports. Our last session covered the ability to publish the reports for others to consume. (This does require a Power BI Pro license which can be free for the first 90 days). here are several things that everyone worries about when it comes to an upgrade: Do I need to migrate my data? What do I need to do for equipment or for migration to the cloud? What training do I need to provide in preparation? While these are very valid questions, I find that oftentimes a big one is missed: What new functionality was added and what was deprecated in the new version, and what does that do to any customizations I have? With each new release and with Lifecycle Services, a “What’s New and Changed” document is always provided (see sidebar for links). For any upgrade plans, it should be a first step to get this document and thoroughly go through it. For example, between Microsoft Dynamics AX 2012 and Microsoft Dynamics 365 for Finance & Operations, the interfaces to UPS and FedEx are no longer part of the base product. If you need that functionality, you must bring in or create some integration to the MICROSOFT DYNAMICS 365 FINANCE AND OPERATIONS carrier. One other area that is important to look at is your customizations. If they are based on functionality that has been deprecated, you might have to do some rework. If you are moving to the latest version of Dynamics 365 for Finance & Operations and Dynamics AX, the old way of overlays is no longer going to be supported; it all must be extensions going forward. This is a big change and means that if your customization is still needed, it must be rewritten. Finally, you want to look at the new version and your customizations not only to prevent them from breaking, but also to see if new functionality has been added that could replace your customization. If your customization is not broken in the release but new functionality has been added that could replace your customization, you should consider removing your customization. Chances are very good that the functionality that was added will likely perform better than your customization. As a side note to this, you may gain additional functionality that you never thought of by replacing. The main point to this article is to remind everyone that the “What’s New and Changed” document is a critical one to read before you think of doing an upgrade and a must-read if you are starting an upgrade.

W

hen I first brought up the idea of upgrading to Microsoft Dynamics 365 for Finance & Operations to our CFO, her response was a quick, “absolutely not.” It was a reasonable response: We have been implementing Microsoft Dynamics AX 2012 R2 for the last few years and are just now getting to something resembling stability and normalcy. The thought of another big change is not very appealing. However, like most choices, there are subtleties and grey areas that may not be immediately obvious. Stagnating and hoping that a better solution will appear in the future is not a very good plan. We end up in limbo; we know that we will need to upgrade eventually, but implementing another large change so soon is just not practical. The path forward for us is to prepare for an upgrade we know is coming even if we do not know when. To do that, an understanding of how a Microsoft Dynamics AX 2012 to a Microsoft Dynamics 365 for Finance & Operations upgrade looks is important. For us, it comes down to three major areas where there is technical debt that needs to be cleared to prepare for an eventual upgrade. Our pre-planning focuses on three main areas, each of which has specific tasks that we can complete long before the upgrade. »» Code Upgrade Review and Prep: The less code we need to upgrade, the simpler the update will be to execute. »» Data Clean-up: Reducing the size of our OLTP database will reduce the effort to upgrade and reduce the running costs of a hosted Microsoft Dynamics 365 for Finance & Operations. »» Licensing: Carefully controlling and documenting licensing will reduce the eventual costs of Microsoft Dynamics 365 for Finance & Operations.

Code Upgrade Review and Prep If you are like us, then you probably have a fair amount of custom code written for Microsoft Dynamics AX. The code was most likely written over a long period of time and against possibly outdated gaps and processes. Many of our modifications to Microsoft Dynamics AX were based on a fit/gap analysis done many years ago before we as a company had a good handle on the solution. Due to the changes in how modifications need to be done in Microsoft Dynamics 365 for Finance & Operations, upgrading code will require a significant refactoring effort. Being forced to refactor custom code may seem like a negative, but it is not. It is an excellent opportunity to clear some technical debt. The simple question, “Do I need this?”, is the core of this step for us. Answering that question, though, is more complicated. To do so, you need a native instance of Microsoft Dynamics 365 for Finance & Operations to test new functionality. In our case, we haven’t looked at truly native Microsoft Dynamics AX functionality in more than six years, and we see this as a chance to re-evaluate native Microsoft Dynamics 365 for Finance & Operations. We also learned during our initial implementation that demo data is not very useful for analyzing our processes; we need our data. As a result, we don’t just need a native instance of Microsoft Dynamics 365 for Finance & Operations, we need a native instance of it with our data in it. Getting to this end, however, requires several steps first. The process we are using is to: »» Create a new development environment which is an exact copy of our production environment. »» Uninstall CUS and USR layer models from this environment to achieve a native Microsoft Dynamics AX 2012 environment. »» Deploy a single box developer Microsoft Dynamics 365 for Finance & Operations environment. »» Perform the required code upgrades in the Microsoft Dynamics 365 for Finance & Operations environment, which will be minimal due to step 2. »» Perform the data upgrade in the Microsoft Dynamics 365 for Finance & Operations environment. »» Start new gap analysis based on native Microsoft Dynamics 365 for Finance & Operations code. There is a developer-related topic which is not covered here: designing modifications to Microsoft Dynamics AX 2012 to be easily refactored for Microsoft Dynamics 365 for Finance & Operations. Data Clean-up We have been live since December 2014. During this time, we have done minimal data cleanup. Once again, our upgrade pre-planning provides an excellent opportunity to complete some data clean-up. There are several routes to take on this. Out-of-the-box Microsoft Dynamics AX includes some data clean-up batch jobs which could be used. After careful analysis, we determined that most of these out-of-the-box classes did not meet our requirements. The most common reason was the native clean-up jobs are too aggressive and remove too much data. Also, they did not target the largest tables. The other Microsoft option is the Intelligent Data Management Framework (IDMF). The tool (available via LCS) is a full development data management suite that cannot only clean-up data, but also aggregate and archive it as well. However, after looking into this tool, we decided it was too complicated to implement for a short-term solution. Instead, we are developing a custom batch class that will be able to delete records from any table to reduce its size. This requires careful analysis of each table, looking for impacts of removing records from that table. See www.axug.com for the code we used to do this.

Licensing It is easy to overlook licensing when planning for the rest of your Microsoft Dynamics 365 for Finance & Operations upgrade. Controlling your licensing will have a direct impact on the operational cost of Microsoft Dynamics 365 for Finance & Operations. In Microsoft Dynamics AX 2012, there are four levels of licensing; in Microsoft Dynamics 365 for Finance & Operations there are three levels of licensing. However, the top three levels are roughly analogous. If you haven’t done so before, I recommend taking a read-through of the Microsoft Dynamics 365 for Finance & Operations Licensing Guide as it does have some new considerations versus Microsoft Dynamics AX 2012. Our major pre-planning effort is to develop custom Security Roles which target the requirements of various positions at our company. License level in Microsoft Dynamics AX and Microsoft Dynamics 365 for Finance & Operations is determined by menu item access. The assumption we are making is that those levels and menus are roughly equal in Microsoft Dynamics AX 2012 and Microsoft Dynamics 365 for Finance & Operations. Looking through the licensing guides, this appears correct. We make extensive use of the Security Development Tool, which can be downloaded from LCS. Once installed, the tool is useful for many security tasks.

This process will allow you to see what menu items are driving your licensing requirements. Note that the highest license level in a role determines the license type needed.

Final Thoughts Looking ahead to an inevitable upgrade is daunting. Planning far ahead for that upgrade will ease the upgrade process and is a productive task. The tasks above not only prepare us for an upgrade, but they also clear technical debt from our current environment. While each company must make its own decision about when and if to upgrade, everyone benefits from planning for the future. Moving forward all decisions regarding our current environment will be undertaken with an eye toward how they impact our ability to upgrade.

ata. Arguably the most valuable commodity of any organization today. No small wonder then that companies and employees tend to hoard it. Not so long ago this was a major issue as IT departments struggled to keep up with the ever-increasing demand for storage. An entire IT practice started up around the notion of keeping data on the right tier of storage to optimize price versus performance. This is called data management, and generally moves data around based on last access date. This article is not about data management. Where data management generally fails is in categorizing data. Like most company assets, different types of data have different values. To differentiate, we look at the information that is contained in the data, and so the practice of applying value to data is often referred to as information lifecycle management (ILM). Sometimes it will be called data governance or simply information management. In recent years compliance requirements have brought ILM to the forefront of IT departments’ concerns, more around securing sensitive data. Many companies decided to treat all data equally and ensure it is all secure. Not a bad practice, though these companies are missing out on the perfect opportunity to start an ILM journey. And ILM is a journey. Every company’s data is in a constant state of evolution, and ILM should not only be involved, but it also should help guide the change. In the case of security, protection generally adds cost. Does spending additional money to secure the non-sensitive data—which is generally the majority—really add value or just overhead? Maybe a little more relevant to the Microsoft Dynamics 365 for Finance & Operations and Microsoft Dynamics AX world, preparing for an upgrade—though not in the middle of one—is another great time to start ILM as there will already be focus on the data. On a side note, there is a good reason why Microsoft does not recommend, and their tool does not support, upgrading all data when moving from Microsoft Dynamics AX 2009 to Microsoft Dynamics 365 for Finance & Operations. The schema change is so drastic that the level of effort in simply mapping the data is prohibitive, especially when the volume of customizations implemented in the customer base is considered. The value of data diminishes drastically when a significant effort is required to make it available or maintain it. A data warehouse tool will often already have connectors to ingest the data natively and may even provide self-service reporting, increasing the ease with which the data can be consumed. Back to the topic at hand. Anyone who has worked in IT intrinsically knows that the only thing worse than no data is the wrong data. Ever show up for a party on the wrong day? Information that cannot be trusted has no value. So why keep it? The hoarder mentality tells us that we keep things because they may someday be useful. I guarantee, that list of people who bought typewriters 20 years ago will never have value again. On the flip side, a list of people who bought cars five years ago may have value, unless you sell hats. These examples bring out two characteristics of information that can be used to start classifying data: criticality and lifetime. Data that is outdated only serves to bloat databases, resulting in performance issues and the need to sift through “noise”. In the same vein, data that is not directly related to your business may have diminished value. This is not to say that all non-critical data should be deleted. That would lead to scenarios where there is no data, which is still a very bad place to be. Ever find an invitation to a party in the stack of mail, two days late?

New compliance requirements, while very compelling events, are not the only times ILM becomes important. System upgrades, integrations, and migrations are all affected by the volume and quality of data. What is the value of spending an extra five hours on a weekend migrating data that will never be looked at? It would be much more productive to move that data to archive media or a data warehouse. That way the data is still available, say in case typewriters suddenly come back into fashion, without impacting the reliability and performance of more relevant data. So where to start? To start, IT should not be making the decision on what data is important to the business. Though IT will likely be involved in the ILM process, they are not the driving force. The start, then, is identifying what data belongs to what business owner. Don’t do this at the field or table level; that will be too timeconsuming and may scare off the business owner. Start at the entity level. Who owns customers? Warranty information? The knee-jerk reaction may be to keep it all. While there may be valid reasons for this, there also needs to be justification. Buy-in at an executive level may be needed if this is a company wide initiative. Next, the decision about what attributes will be applied to the data to help with the process must be done. Some possibilities are: criticality, lifetime, sensitivity, legality, and compliance. If GL transactions need to be available to auditors for seven years, don’t waste any time arguing if, just decide where and move on. Legal has a special place in any ILM plan, even if not considered as an attribute of the data. Issues like e-discovery may bring their own requirements, for either retention or deletion, that are not directly related to the business value of the data. Always check with legal before deleting any data. Now that we know who and what, it’s time for IT to get involved. Just moving or removing the data outright is a bad plan. Create reports showing what will be moved/removed and have it validated. Keep backups. Note that an updated résumé is not a backup plan. IT may also be able to help business owners understand what data is really being accessed. Adding temporary logging to identify data that is not touched is a great way to locate stale data. Helping business owners understand what a data warehouse really is and how it can be used to access current data as well will go a

long way in reducing resistance to change. Remember, ILM should be something done for the company, not to the company. Although already mentioned, the importance of data cleanup as part of an ILM process cannot be understated. All versions of Microsoft Dynamics 365 for Finance & Operations and Microsoft Dynamics AX make heavy use of temp tables, some of which are not selfcleaning. Regularly running the provided cleanup utilities should be a best practice. It is also worthwhile adding in some new ones, depending on which modules are used. How valuable are four years of batch job history? If the answer is “not very”, consider the fact that in most installations, the batch job history table is in the top five largest tables. Every company, whether they know it or not, is already on an ILM journey. Every report and integration are a step along the path, so why not make it official? It may seem daunting at first, but every future upgrade, merger, integration, and report will be that much more efficient to undertake. And you may even save some money on storage.

Think Big. Start Small. Reinvest Fast.

O

ver the last decade, we have seen the internet of things (IoT) go from being relatively unknown to one of the most talked about technology innovations. In 2009, IoT accounted for $18 billion in sales; in 2017, those numbers surpassed $1 trillion. It is not difficult to understand why IoT has seen such rapid growth. Connectivity has become pervasive. Hardware devices are cheaper, smaller, and more powerful. And the rise of cloud computing has enabled all companies, not just large enterprises, to collect massive amounts of data, store it in a centralized location, and turn it into actionable insights. Despite this progress, many companies today have yet to move to digital business models supported by IoT connected devices. While there are many reasons cited for not committing to IoT, we most often encounter a belief that IoT initiatives are too complex, extensive, and costly to be relevant to companies with realistic budgetary and resource constraints. The primary goal of this article is to correct that misconception through this phrase: Think Big, Start Small, Reinvest Fast. At the end of this article, I provide examples for IoT projects that companies of any size can implement or learn from on their IoT journey.

The quick-win strategy for jumping into IoT is to buy cheap sensors, throw them on/in machines, and begin gathering data. While it is very tempting to start small and fast, it is more important to first lay out a vision for your operations. In a study of IoT’s early adopters by HPE’s Al Madden, respondents cited insufficient planning in their early IoT projects as the main cause for late stage rework and even project failures. You may be wondering, “If these small projects are less disruptive and focused on solving a single problem, how can they lead to broader failure?” That is because what you build today—including the infrastructure, architecture, security, data standards, and hardware—will influence your future IoT projects. Remember, the goal of IoT is to connect your people, processes, and assets via one unified location. We are not building the internets of things. In order to Think Big, your team must first identify your primary goal. Most IoT initiatives are meant to do one of two things: optimize operations or improve Customer experiences. Once the vision is documented, it is important to gain an understanding of what is required to reach that goal. What hardware is needed to capture data? Where will data be stored, who needs access to it, and how will it be secured? How will numerous data sources be integrated into a single location? What tools will be used to analyze the data and turn it into actionable insights? And what underlying technology has the power to process these massive new data sources?

Start Small Once all of the above is understood, it may seem natural to create a “big bang” solution that will solve all problems impacting operations. However, a 2017 Cisco survey found that 75 percent of IoT projects are failing to achieve their objectives. While those failure rates are not slowing adoption—in fact, 73 percent of participants in the same survey noted they are using data from their IoT initiatives to improve business performance—it is important to balance risks and rewards when beginning an IoT journey. How do you start small? The best way is to identify one problem area within your larger vision to solve. Then, drill down into detail and identify the questions you would need to answer in order to resolve or improve the process. Once these questions are defined, you can gain a better understanding of the type and structure of the data needed to answer those questions. Your initial return on investment can be increased by choosing an area that can be scaled or used as a template for future IoT initiatives. Therefore, when building your initial IoT solution, it is important to leverage a platform that is extensible and scalable, enabling you to add on capabilities and grow your solution footprint. Security should also be built in—into all microcontroller (MCU) devices, operating systems, and cloud infrastructure—to prevent breaches and respond to emerging threats. And with technology changing so quickly, be sure to build a solution that is capable of swapping in newer technology as it becomes available. Always remember that starting small is not thinking small. Rather, it means iterating with small wins that align to the larger vision and business objectives. This approach limits up-front risk and can fund future IoT projects.

Reinvest Fast As stated earlier, we believe it doesn’t take massive investment to dip your toes into the IoT waters. By implementing a few sensors, integrating data sources, building in simple alerts, and automating manual processes, IoT has the potential to provide a positive ROI

beginning day one, even if in a limited scope. Be prepared to learn from any failures—or surprises. Then reinvest into future IoT initiatives that can provide a multiplication on your return. If the initial IoT project is implemented correctly, it should be able to be scaled up and out with less incremental investment. By leveraging previous architectures, integrations, and learnings, new IoT projects can be launched faster and with less risk. The more connected you become, the bigger impact IoT has on optimizing your operations. And it takes less time to achieve your ultimate vision.

IoT Entry-Point Examples Now that we have discussed how to Think Big, Start Small, and Reinvest Fast, how do you know where to begin? Below are a few IoT entry points we have seen manufacturers implement as their first step toward optimizing operations with connected factories. Hopefully you can implement some of these “quick wins”—or use them to help you brainstorm additional use cases relevant to your business. Do you have materials or products that must be weighed for formulas, pricing, packaging, shipping, etc.? If so, you likely have people responsible for manually reading weights from scales and entering that data into your system(s). Leveraging IoT scales and integration, you can automatically capture weights and populate all appropriate forms and fields without any manual data entry. In our experience, this can speed up weighing cycle times by 91 percent and enable the reallocation of resources. As you build toward your larger vision, the data from these scales can be integrated with data from other machines to learn and monitor product quality trends while predicting and preventing unplanned downtime. Do you have equipment that needs to be serviced or fixed based on utilization? If so, you may be recording utilization manually or using production averages. This could lead to equipment being used too long—or costly repairs before machines actually need them. You could go purchase new “smart” machinery that connects to the cloud, but that often requires a large capital expense. Another option could be as simple as adding vibration sensors to the outside of current machines. These sensors would monitor when the machine is on and vibrating. That data can be tracked in real time, at both the machine and component level, and used to proactively schedule maintenance and prevent unplanned downtime. Scaling up, these sensors could track all of your assets. Do you work with materials that need to be stored, produced, and/or shipped within a controlled environment? If so, you likely have employee(s) reading temperature and humidity sensors within machines or rooms at required intervals. For example, someone may manually read and input data at the start and end of every batch. By implementing connected sensors, these manual checks are eliminated. Real-time readings are captured, enabling more proactive resolution at the moment of variation. Whether stopping production before more materials are consumed or speeding the relocation of inventory, companies can dramatically reduce waste with IoT. When integrated into a connected factory, this data can be leveraged to identify downtime trends, perform real-time forecast adjustments, and improve quality.
