ANATOMY TABS Every “notebook” can have tabs to divide topics or organize information.

NOTEBOOKS Every “notebook” in OneNote is analogous to one 3-ring binder with dividers in it.

PAGES Pages and Sub-Pages add yet another level of organization

CONTENT Add text, drop photos, insert links, use annotations…

Think of OneNote as a digital notebook. Actually, it is many digital notebooks. A good analogy is a typical bookcase in a typical den at home. Imagine that the bookcase has three or four big, three-ring binders. Each binder has a specific purpose - Finances, Recipes, Work, and Travel (for instance). Each binder would then most likely have different dividers. The Finances binder probably has dividers for Taxes, Credit Card Statements, Investments, and House Expenses. Furthermore, each division most likely has even more components. The Credit Card Statements section probably has a place for Bank Of America, Visa, MasterCard, and Discover. OneNote allows a seamless aggregation of all these disparate items. In many ways, OneNote is better than physical binders - it is small, portable, can include graphics, links and other documents, and in the workplace almost all components are electronic (or can be made electronic). The next few pages illustrate various uses of OneNote, but the possibilities are endless. Understanding OneNote takes time, but it is well worth the investment. Introduction to Microsoft OneNote

FEATURES NO SAVING OneNote will automatically save, so there is no need to save files (in fact, there is not even a mechanism to save). WYSIWYG No guessing or nudging images, tables or text boxes - what you see is what you get! TRACKS RECENT EDITS All changes are tracked, so it is easy to travel back to yesterday’s notes, last week’s notes, or the notes from six months ago. TIME STAMP It is very simple to insert the day and time of an annotation or addition SYNC WITH OUTLOOK There is a quick way to email notes from OneNote through Outlook, a way to sync tasks to Outlook and a way to enhance the meeting details. INHERENT ORGANIZATION The intuitive nature of OneNote’s hierarchy makes organizing levels of notes very, very easy. PAPER BACKGROUNDS Lined paper and graph paper are only a click away. And the colors can be customized! INSERTING SPACES Unlike most other pieces of software, it is very easy to “create more space” - by extending the page or pushing everything down (or to the side) DOCKING When in “Dock View”, OneNote will remember, where in a linked Microsoft Document, the notes were taken. Very effective for attached files (which can also be done). AUDIO/VIDEO RECORDING AND ANNOTATING When recording audio or video, any notes that are taken can be referenced by time signature; when OneNote replays the recording, the text will be highlighted. SCREEN CLIPPING Screen shots from other programs can be inserted instantaneously. Copying and pasting from Internet Explorer will automatically insert the URL, as well. SHARING Notebooks can be shared (both copied and linked). And can be accessed anywhere from online. And can track changes by author. And can be worked on simultaneously. Wow. SUPPORTS “QUICK-REF LINKS” Links to other pages and folders can be made very easily. Introduction to Microsoft OneNote

MORE FEATURES SEND TO ONE NOTE Files can be printed to OneNote (similar to the “Print to PDF” function). STICKY NOTES Even sticky notes are digital! Quick, temporary items can be placed on a “digital sticky note” and can be referenced later. They automatically go to one spot in OneNote TAGGING All items in OneNote can be tagged (ToDo, Important, Question, etc.). These tags can then be filtered during a search. POINTER There is a tool that converts the current pen to a “pointer” (temporary strokes). EASY TABLE CREATION Making tables in Microsoft Word is frustrating, but OneNote streamlines the process, so it is very simple to create and edit a table. CALCULATOR Typing in any expression will automatically make a computation. DRAWING TOOLS Very easy to create flow charts, bring in existing images, insert symbols, insert math, and use other shapes (axes, for instance). MESHES WITH OFFICE 2010 Can send to Word, and can be distributed to others by different methods, as well. INSERT SCANNED DOCUMENT It is possible to scan in a document, and then store it in OneNote as a searchable document. INK TO MATH Convert ink strokes into math expressions easily. KEEP ON TOP Keep OneNote on top of all other applications. RESEARCH Search engines are embedded to help provide accurate and immediate results. It is possible to translate on the fly, as well.

GENERAL TIPS Can be organized from the Folder View Easy to use with a Tablet PC or Graphics Tablet, but can be used with regular computer It seems overwhelming at first, but the potency of the software makes it effective Use it often to gain experience Make sure that there is a solid understanding of hierarchy before getting too far Don’t be afraid to experiment!!!
