Collaboration between supply chain and IT helped one health system streamline its contracting following a merger
Implementing standardization across an organization following a merger of two entities can be challenging. Jordan Scott, supply chain – IT program manager at HonorHealth, has another term for it – natural turbulence. HonorHealth was formed by the merger of John C. Lincoln Health Network and Scottsdale Healthcare in 2015.
“As expected, there was natural turbulence during the forming and storming phases of our organizational development,” he said.
However, through an extensive integration process, IT and supply chain identified duplicate software, hardware and service contracts at different price points that were in place pre-merger across the organization.
Jordan Scott “This ultimately led to the renegotiation and termination of 50-plus contracts across our network, which allowed for a standardization of vendors, and the opportunity to obtain excellent pricing,” Scott said.
It also led to supply chain and IT meeting HonorHealth’s stretch savings goal for 2018. But in order to meet those goals, changes were needed in the way the organization’s departments worked together.
“Historically, our IT contracting was decentralized within functional silos where ensuring all contracts received proper review and scrutiny presented a challenge,” Scott said.

Category versus contract management At HonorHealth, Supply Chain Strategic Sourcing & Engagement (SS&E) manages the day-to-day supplies and services contracting for the organization. The collaboration between the supply chain and IT departments initially surfaced as a request for assistance with IT contracts. Through standardization of the process, strategic sourcing proposed creating an IT value analysis team (VAT) to align supply chain sourcing opportunities with the technology forecast. An early success with print management that improved price points and service levels gained inertia for establishing a presence for IT category management within supply chain, Scott said. The organization soon realized it could foster better outcomes by taking this tactical approach to a strategic one. In order to better steward its resources, HonorHealth’s supply chain shared services department adopted the methodology of category management versus contract management, which meant evaluating contract categories from a holistic approach versus individual point-in-time reviews.
“This shifted our department’s focus from attempting to review 3,000-plus contracts annually, to 300 categories, where we can better identify key strategic opportunities,” said Scott.
Scott was in a unique position to help with the collaboration. In his previous role at HonorHealth, he worked in IT as an operations coordinator where he managed the budget, tracked termination dates and developed project plans. The IT operations coordinator role provided insight into HonorHealth’s organizational technology plan, application schedule and value of formal customer requirements gathering, Scott said. “This experience and
perspective translated well into a category management role within supply chain shared services where I needed to engage stakeholders, anticipate strategic questions and map a complete implementation plan.” Traditionally, IT led their own initiatives, built the vendor relationships and negotiated pricing. Once their action items were completed, the contracts were passed on to supply chain to manage and advance through the legal review process, Scott said. Through the new collaboration, supply chain was now part of the whole initiative from inception of the project through the implementation. “The value received from this collaboration includes alignment of organizational strategies, refined processes and controlling costs more effectively.”
Three key items were needed to make the collaboration work, Scott said: ʯ Trust ʯ Alignment of goals ʯ Senior leadership support from both IT and supply chain.
“Bringing together a new team required the collaboration and solutionfocused approach to ensure the alignment of goals were unified, without sacrificing organizational excellence,” he said. “Searching for cost saving opportunities required close communication between the end users, stakeholders and the category administrators. We were also patient with the process and allowed for organic integration, which was more collaborative than the top down mandate.”
As IT integration became more of a focus throughout the organization, Scott said he has seen increased satisfaction with supply chain shared services by the clinical departments. “A big part of this is due to supply chain being able to proactively identify contracts with IT implications and proactively collaborating in the early stages of the process,” he said. “This has allowed for a more streamlined process, increased leadership visibility, reduction of time executing and implementing critical projects.”
On the horizon HonorHealth will be opening its sixth hospital, Sonoran Crossing Medical Center, in September 2020. Scott said supply chain has partnered with the organization’s enterprise project management office to ensure current contracts include the new location and that services are fully functional on opening day.
“Working with various departments throughout this process has provided new insights on the challenges and resources required for successful hospital operations,” he said. “Striving to be a future leader in healthcare, this project has allowed me the opportunity to learn new strategies and gain a more thorough understanding of all service lines throughout the hospital and dependency required from IT to thrive.”

Video: it’s everywhere in a hospital now. From ENT to urology and gynecology, to pulmonology to general and thoracic surgery and GI, video is a standard function of these practices, and more applications for using video surface all the time. Increasingly hospitals and health systems are thinking about how their video-oriented purchases are going to fit the bill in the long term.
For all the video that is gathered by hospitals, it’s not always being harnessed in a way that will optimize patient care. Physicians don’t always take recordings or store images, for fear that the storage won’t be
there or there may be compatibility issues and technical challenges preventing disparate systems from connecting with each other. As a result hospitals often find their videos siloed from each other – making it difficult to share the video and still-image information with patients, payors and other healthcare providers.
That said, with a need for improved integration and the need to prepare for data-driven advancements like AI, the industry is on the cusp of change. The potential for improved patient care is great. Imagine, for example, proof-of-concept work happening now toward the development of an AI algorithm that can comb over the past 100 recorded surgeries of
each physician in a facility. The physician feedback on technique could affect real and clinically significant change. This is the kind of potential being predicted.

The Full Picture of the Patient The platform that will grow with the hospital is one that will set the stage for connecting all video assets, while also connecting those assets to electronic medical records. From the GI Lab to pathology, from surgery to diagnostics and drug therapy, records and visuals must talk to each other and ensure that duplicative care is eliminated, and that nothing is missed in terms of improving that patient’s outcome.

Case Study in Transplantation Unique situations also can be helped by standardization. A good example can be found at an innovative facility in San Antonio recently launched to address transplantation.
According to San Antonio University Hospital, managing an organ donor and surgical procedures can be a challenge to doctors and hospitals due to lack of resources. Through the Center for Life, Texas Organ Sharing Alliance (TOSA) and University Hospital will work closely with community partners such as GenCure and the San Antonio Eye Bank, to ensure more efficient organ matching for a wide swath of the region’s population on waiting lists. Clarissa Thompson, senior communications coordinator for TOSA, said the time it takes for doctors to decide if an organ can be a match for a recipient on the waiting list can be decreased immensely with the state-of-the-art equipment.
In this 24/7 facility, Thompson said, specialty care teams can focus on
patients one-on-one. The surgical suites equipped specifically for the recovery of organ and tissue donation and transplantation and also connected to standardized Olympus video systems are reducing travel for expert surgeons and preserving organs until the right match can be made. Doctors at the center plan to use the cameras to allow medical examiners and coroners to view the surgical procedures to obtain organs, which could lower the rate at which those offices disallow transplants because of ongoing death investigations.
In the center’s first year, it’s estimated 90 people will benefit from organ donations and more than 21,000 others will benefit from tissue donations.
The center could serve as a model for facilities looking to update their telemedicine capabilities or even to ensure
more generalized integration of imaging systems. Although every facility’s needs are unique, the benefits that a standardized use of imaging can bring seem increasingly universal.
The Checklist: What to Ask So Your Platform Will Stand the Test of Time ʯ Does the platform serve multiple needs across the hospital? ʯ As you grow the number and types of endoscopes, energy devices, capture and storage systems and EHR integration technologies, will this platform be able to support that growth? For how long? If you’re just looking out 3-4 years, you might want to look further out. ʯ Is the platform vendor neutral? To truly improve patient care, it will be important to share across a wide range of facilities and technologies and to have compatibility with other platforms. ʯ Will storage be accessible on your network? Is it secure? ʯ Is it an open platform? Clinicians, biomeds, algorithm developers — it’s time to give them the power to build their own algorithms. Consider a cloud-based solution that, if it’s not already there today, is at least moving in the direction of something akin to an “App Store” for clinical AI. ʯ Does your standardized video platform leave room for clinical research? Is it capturing and managing data that could one day inform the future of AI in healthcare?
