Time to Review School Suppliers for 2024

ASCA is a supporter of long-term strategic relationships with suppliers in schools. Constant change of suppliers in order to save a few short-term dollars risks losing the benefits of long-term strategic partnerships. These can result in added value when schools and suppliers work closely together to continuously improve products and services that best meet a school’s needs.

However, if your current supplier is not meeting all your expectations then it is important to test the market. With other pressures of work, it is often tempting to put off changing suppliers due to the possibility of short-term disruption. However, working with the wrong supplier can not only cost you more, but also use up precious time in addressing ongoing problems.

ASCA has been careful to choose the right supplier partners that it recommends to our member schools. They are all suppliers that have a reputation for success in schools, and understand the importance of making life simple for new customers who are onboarding with them.

If it is time to test the market, then the end of a calendar year is a good time to start - so begin by talking to ASCA’s recommended suppliers. They will be able to share with you experiences of other schools that are already their customers. And remember to tell them that your school is an ASCA member.

WHAT PARENTS ARE EXPECTING WITH 2024 SCHOOL FEES

Many families have felt the realities of cost of living and larger interest payments on their mortgage in recent years. While they’ve been conditioned to higher prices for many of their expenses, what level of increases are they expecting with school fees next year?

When we surveyed 1,535 families with children attending independent and Catholic schools as part of the 2023 Edstart School Insights Report, we found many are hoping for some relief from their school when it comes to fee increases.

With schools also facing higher costs, it is a challenging time for both schools and families with each trying to delicately manage their own budgets without impacting the educational outcomes for students.

Majority of parents are expecting fee increases below 3%

Whether wishful thinking or genuine expectations, the majority of parents indicated they are expecting 2024 school fees to rise at a much lower rate than the average fee increase this year.

Despite the question being framed around high levels of inflation continuing to impact costs including that of running a school, nearly two-thirds of families are expecting fee increases of below 3% - with only 12% expecting an increase of above 5%.

Highlighting how low parents are expecting school fees to increase, almost a fifth (19%) of parents nationwide are expecting no school fee increase or a fee reduction for 2024. This is most prevalent with parents from Christian schools where the figure increases to 28% - notably higher than the national average.

When split by both school fee tier and state, this trend remains largely unchanged.

Schools

When we compared the parent data with responses from the 200 schools we surveyed as part of our Edstart School Insights Report, a substantial gap appeared between what schools are planning to do versus what parents are expecting. While 19% of families are expecting no fee increases next year, only 2% of schools are intending to keep their fees steady. Furthermore, despite only 34% of families expecting fee increases of above 3%, 73% of schools are planning fee increases in that range.

This expectation gap again remains consistent across all school fee tiers and states.

Managing parent expectations

With the parent and school expectation gap so distinct it’s important for schools to ensure they have a clear communication plan in place to set realistic expectations, as well as providing as many payment flexibility options as they can.

Clear and open communication around fees

Open and clear communication around fee payment options is a good idea to help strengthen trust with your parents. We’ve seen a number of schools increase transparency by including a breakdown of items that fees are going towards as part of their fee communications which can help parents understand the reasoning behind increases.

Encouraging parents to communicate their ability to pay their school fees with the school, and to let you know if they need any

Take early action with parents

Schools can implement simple actions to spot patterns early for parents who might need financial assistance. If your fee payments are automated, daily reports and weekly reports about the number of missed payments that are occurring can help identify any parents that may need support.

Edstart has been helping our partner schools with this using our fee management service where we’re able to keep schools informed when families are at risk of falling behind on payments. Schools can also access real-time information through a dedicated portal as part of our Edstart Plus offering.

Maximise fee payment flexibility

Given the expectations gap, many families might not have factored large fee increases into their household budget. By offering as much payment flexibility as possible, families are able to better adapt these changes and align fee payments based on a schedule that suits their needs.

For help providing more payment flexibility to families without increasing their own workload, many schools have turned to Edstart. One example is Waverley College in Sydney which had to increase their fees higher than they normally would. By implementing Edstart Plus, parents are able to access greater flexibility at no extra cost to them, and the school is able to reduce the financial burden passed on to families.
