Motivation Letter “If you believe then you can reach anything you want.” Putting all my beliefs, hopes, dreams, and years of work and sacrifices for this organization on the line, My friends, my family! My name is Ali Mamoun Khateeb, and it is my utmost pleasure to present to you my candidature for the position of IFMSA-Jo/JUST-LC Secretary General for the 2020-2021 term. Years ago, I came to JUST-LC’s 2017’s promotional campaign as a freshman. I had no idea what IFMSA was. I even had no idea what medicine was! I was just a technology geek with years of experience in editing, montage, and whatever comes to your mind in terms of technology! I thought to myself “How could a medical students organization like this one benefit from me?” And, oh, boy, did I get the answer in a blink of an eye! I became an OC in a SCORA activity about child care, and I mostly coordinated the technical matters of the activity. From designs to videos to whatever may come to your mind, I did everything imaginable… and I actually (Very unexpectedly!) started to enjoy myself as a medical student! Fast forward to March 2019, I became a technical team member of NGA 15, my first experience in an NGA… and I decided to participate in change in a deeper role. That’s when I ran for the Technical Support Division Director position of the 2019-2020 term, winning the spot by a landslide.


Ever since then, I tirelessly, relentlessly, and loyally improved the background and image of JUST-LC with my work and technical performance. Throughout that term, I led my first activity with SCORA as well, my first experience coordinating my fellow members and interacting with the general public through a leadership-based position. …and that’s when I decided I wanted to stay forever and a day serving this home, my home… JUST-LC. I felt like I wanted to give back to this LC for shaping me into a better me, and with the experiences I had for years within the LC itself, its’ members, and my experience in general and in the technicalorganizational fields, I am more than prepared to take on the tasks of the Secretary General of JUST-LC with pride and honor. With my plan of action in mind, my years of experience, this “deep from the heart” motivational letter, my recognized achievements and work within the LC, and my neverending motivation to keep on serving the LC in any and every capacity, I hope that I gain the trust of my family members of JUSTLC to keep on serving JUST-LC through this position. PLAN OF ACTION After reading my plan of action below you will find out that it revolves around the new JUST-LC database, since the database reconstruction remains the pivotal challenge every Secretary General faces during his term, and my previous colleagues have done a tremendous amount of work to make it be where are we now; the upgraded version of it, improving our scoring system, adding the TSD & PSD teams to our scoring system, and forming the database team which will have a major role during this term on multiple levels. MAIN GOALS: A. Restructuring the database. B. TSD & PSD scoring system. C. Initiate the database working group. D. Synchronizing the scoring system with the national one. E. Establish a promotional Campaign registration method convenient with the new database. F. Database monthly updates. FIRST QUARTER (October – December): ❖ Complete the HANDOVER process with the aid of the current Secretary General and TO. ❖ Finalize the scoring of the submitted reports and ensure that all reports from the previous term have been submitted. ❖ Counsel the former Secretary General for recommendations and suggestions to expedite the work and ensure a productive and a fruitful term.


❖ As the current TSDD, I will assure that my handover process is smooth and efficient. After which, I will assist the upcoming TSDD in the recruitment process of the newly composed team. Along with engaging new enthusiastic and talented members to the TSD. I will not hesitate to provide any technical support for the future team. ❖ Begin working on the new database keeping the EB acquainted and updated on the workflow and timeline. ❖ A programmer assistance will be requested for the advancement of the new database's foundation to optimize the process, utilizing all technical and IT expertise medical students lack. To facilitate and promote the process of updating registration, scoring, projects and penalties databases. ❖ Reaching an agreement with the programmer will be under the supervision of the EB, in which all obstacles and rewards will be discussed to maximize the LC’s benefit. ❖ The following factors are to be taken into consideration by the programmer, EB and working group including the design and layout, applications, time frame and finances. (Any financial issues regarding the database development will be discussed with the EB members, and a decision will be taken accordingly.) ❖ A call for the Database working group will be available on the LC’s official Facebook group. The tasks of the working group will be confined to data entry, data collection, missing data treatment and revisions. (The confidentiality of the data will be cautiously maintained through sharing it with authorized individuals, who are to be determined by the EB members) ❖ Integrate the university ID to all JUST-LC formats as a unique ID to make the scoring process uncomplicated and effortless.


❖ A new protocol for members registration is to be developed in convenience with the new database, ensuring an effective and efficient untroubled process. ❖ Update and redesign templates to make them easily accessible by both experienced and unexperienced team leaders and officers. ❖ Begin the process of updating the LC’s scoring system, in which all TO members will be informed for any helpful and profitable input. SECOND QUARTER (January – March): ❖ Make sure that all finished projects from the previous quarter are reported and scored. ❖ Begin with the second phase (Data entry) of the database reconstruction process. (January) ❖ Former Secretary generals will be asked for further input, taking into consideration their valuable experience and advising. ❖ Finalize the database development process and start a trail phase to locate any gaps within the new system (February and March). ❖ Prepare the required files & documents for March’s NGA. ❖ In addition to the members scoring system, a structured scoring system will be initiated for both the technical and publications support divisions, upon a mutual agreement with the TSDD, PSDD and the EB. Ensuring a comprehensive scoring protocol. ❖ Rearrange and update the LC’s drive. THIRD QUARTER (April – June): ❖ Make sure that all finished projects from the previous quarter are reported and scored.


❖ Implement the new database officially and start using it as the primary source of the member’s scores and personal information (April). ❖ Finalize the scoring system. FOURTH QUARTER (July – September): ❖ Make sure that all finished projects from the previous term are reported and scored. ❖ Create a handover package to be given for the next elected Secretary General, including an orientation session for the database handling, scoring system, and reports. In addition to any practical advices and recommendations. ❖ Finish the handover for the future Secretary General. ❖ Prepare the required files & documents for September’s NGA. ❖ Review all the task that are done at end of the term and check if there any problems that happened to discuss it with next TO & specially the elected Sec-Gen to avoid it at the next term. TERM LONG OBJECTIVES: ❖ Meeting minutes. ❖ Ensure a smooth communication between local officers & EB, through the VPI. ❖ Update the Constitution and Bylaws of IFMSA-Jo/JUST LC after the first & second Amendment Sessions. ❖ Monthly updates of the database. ❖ Inform Local Officers about any modifications in their Standing Committees members status.


❖ Be responsible for sending recruitment emails (for any new project, event... etc.) mentioning the needed criteria, number of volunteers and deadlines. ❖ Reply to all members emails and inquiries daily without any delay. (During examination periods and vacations an auto reply system will be used to avoid any delay.) ❖ As an EB member I will fulfill my role within the team, by assuring an involvement in all administrative and executive roles including fundraising steps, supervision and documentations.
